Depending on where your reception will be, you may find yourself in need of certain items not provided by your reception facility. The term “party rentals” covers a variety of rental items including linens, chair covers, tables and chairs, tents, dance floors, fountains, plants, props and theme decorations.

If you are holding your reception in a hotel, then of the items listed above may be included in the overall cost. The need for various rental items increases when the event is held outdoors or at an event facility where you are required to provide your own caterer.

Before contacting a rental company, have the following information available.

• Your event date, time and location

• Any items provided by the facility: tables, chairs, portable bar, and so on.

• The number of guests attending

• Exactly what items are provided by the caterer: glass, flatware, china, buffet linens, and so on.

• Any special requirements or themes

Find out in advance what the delivery, setup, pick-up and payment policies are. Be sure to coordinate with the facility manager to ensure the location will open when your rental company drops off your order.

From the proper tent size for an outdoor wedding, to the portable dance floor complete with tables and chairs, a good rental company will work closely with you to determine exactly what and how many rental items will be needed to make your guests comfortable and your special occasion a complete success.

UNDERSTAND YOUR GUESTS’ PERSPECTIVE. Awkward gaps of time or long distances between the ceremony and reception are difficult for guests. Try to craft your schedule with guests in mind.

JUMP ON THOSE THANK YOU NOTES. Guests look forward to hearing if you liked their gift! Write a personalized note and respond as quickly as possible.

GIVE OTHERS GRACE. Know that weddings are an emotional time for your close relatives and friends, and there can be unexpected emotions such as grief or anxiety. Give them grace and, maybe, a warm hug.

Unique sites can help create an interesting and memorable event. Popular locations require advance booking usually six months to a year before the wedding date. Most require a 50 percent deposit when you reserve them with the balance due seven to 10 days before the event. Refundable security deposits are usually required, and some facilities may request a special liability insurance policy.

In selecting a unique reception site, consider the different restrictions regarding food, alcohol, smoking, music and hours of operation. Some locations may require that you use an in-house caterer or one chosen from a preferred list. Some sites will provide tables and chairs, but many require that you or your caterer provide your own furniture,

as well as linens and china. Check the kitchen facilities as many sites have only a small kitchen or require that caterers bring a tent for food set up and service.

Keep in mind that not all unique sites will allow you to have your reception inside the facility. Often historic homes are available for your guests to tour, but the event itself must be held in the gardens. If that is the case, be sure to include money in your budget for a tent to accommodate your guests in case of rain.

Make sure your special site is appropriate for your wedding needs and fits your unique style. A historic home may not be able to accommodate hundreds of guests while a formal museum might not be right for a very casual wedding. 

10 tips to looking good

The groom’s formalwear selection will depend upon many things: his coloring and build, the bride’s and bridesmaid’s dress color and style, the season, time of day and personal taste. Here are a few things to remember when choosing what your man will wear.

• Darker colors have a slimming effect.

• Ties, cummerbunds or suspenders that are the same color as the bridesmaid’s dresses bring the wedding party together.

• If the men in the wedding party are identically dressed, then you may wish to set the groom apart. A slightly different boutonniere or neckwear accomplishes this effectively.

• Tuxedos should be reserved three months in advance and all measurements taken at least three weeks prior to the wedding. Additionally, all the men should try their tuxedos on a few days before the wedding for any last minute adjustments.

• Out-of-town groomsmen can have their measurements taken at a men’s formalwear store near them and then forwarded to the formalwear store where you have reserved your tuxedos.

• Rented formalwear usually includes a jacket, vest or cummerbund, pants, suspenders, shirt, cufflinks, studs and a tie.

• Usually, shoes are rented from the same store to maintain consistency.

• Find out when the tuxedos may be picked up and when they must be returned.

• Make sure that if the groom is planning to get a haircut, he gets it at least two weeks before the wedding.

Photographers generally fall into one of three categories: Documentary (candid, spontaneous shots), portrait (classic, posed shots), or fine art/edgy (dramatic, artistic shots).

Browsing local photographers’ websites is the quickest way to get a feel for the talent in your area. You can also collect referrals from friends and review local wedding magazines and websites. Beware of amateur photographers with limited real-world experience. Choose someone with a strong portfolio of quality work, testimonials from happy clients, the right gear, well-thought-out contingency plans, and a professional attitude.

When you meet with photographers, ask to see an entire wedding album. Have a critical eye: Did they capture all the shots you’re hoping for? Are the images clear? How’s the composition and lighting?

When you finally choose a photographer, get everything included in the package in writing. When is payment due? Will there be a backup camera? When can you expect to see proofs and final prints? What’s the contingency plan should your photographer fall ill?

If there are friends and family that you want to be sure to snap a photo with or a particular time in the ceremony or reception that you want captured, it helps to put that in writing as well. Shaped like a stretched-out letter S, Vietnam is long and offers different areas to explore. If choosing between regions of Vietnam, your lifestyle, interest and tastes will determine the location. Climate is also a consideration as Northern Vietnam is cooler, has damp winters and hot dry summers. As you head south, expect a more tropical climate.

Getting around Vietnam can be done comfortably and very inexpensively by bus and train with reclining seats and ample leg room.

HISTORY

Located in the Northern region, Hanoi offers a traditional culture and historical Vietnamese experience and shouldn’t be missed. The Old Quarter is a great place for visitors to stay. It’s an active area to wander around, eat street food, rest at a café and of course, shop. Ho Kiem Lake in the center of the city. Other cultural places

include the Ho Chi Minh Mausoleum where Ho Chi Minh, the main proponent of Communism, is embalmed. Other cultural places to visit include Tran Quoc Pagoda, The Temple of Literature, and One Pillar Pagoda.

Da Nang is the central region hub for the area and Hue is an ideal city for the history buff. You’ll need at least a few hours to explore the UNESCO-recognized Imperial City. Then wander through the various palaces, the Thien Mu Pagoda and Khai Dinh Tomb.

Hoi An is another beautiful destination. The picturesque preservation of the Ancient Town, with its yellow buildings, cobblestone roads and colorful lanterns, make it easy to see why it received the UNESCO World Heritage Site recognition. Watch out for the cyclos (part bicycle-part carriage) passing by on the narrow roads. Cars and motorbikes are not allowed.

Stay into the night, as the streets illuminate with multi-colored silk lanterns around the walking area. Ride a boat along the Thu Bon River and release your own candle lantern in the waters for good luck.

The largest city in Southern Vietnam is Ho Chi Minh City (Saigon) and a fabulous place to spend a couple days. Even though it’s a bit crowded with people and motorbikes, there are so many good places to eat, shop, and also learn more about Vietnam history. Frenchinfluenced architecture is visible everywhere and it has many iconic landmarks.

From Tan Lap Floating Village, an eco-tourism site surrounded by the cajuput forest and mangroves, to the network of Cu Chi underground tunnels used during the Vietnam War. The groom has proposed; you’ve accepted. Now the planning begins. The only problem is that you and your groom probably work full-time jobs and have hundreds of day-today errands and responsibilities. So where do you find the time to plan a wedding?

A bridal show affords couples the opportunity to meet photographers, florists, caterers, bakery representatives, musicians, DJs and many other wedding professionals all conveniently under one roof. These shows also provide the opportunity to sample wares, view vendors’ work and compare your level of comfort with other vendors you may already be considering.

Many bridal shows feature fashion shows where the latest in men’s formalwear, bridesmaid’s dresses, and bridal gowns are presented. It is a good idea to bring a note pad and pencil so you can take notes on your favorite dresses, tuxedos and the stores that offer them.

Bridal shows range in size from 30 to 200 exhibitor booths. They normally take place on weekends. In addition to fashion shows, food samples and entertainment are also featured. There are numerous door prizes and contests to enter so bring stick-on labels with your name, address, wedding date and email address. Consider a special wedding email address that can be deleted after your wedding date to make registering for prizes easier. Local bridal shows generally advertise on the radio, in bridal magazines, and in the newspaper. Local merchants, especially bridal salons, have information on shows in your area as well. 
