Making a Smooth Transition in Leadership You can help build your club or district for future years by planning an effective officer transition for the next set of leaders. Once new officers are elected, there should be at least two more steps before the previous officers step back.

Create a Binder In order to effectively run your organization, you have to commit to documentation. If your club hasn’t kept records in the past, this is a good place to start. Do your best to go back through the year and recreate the following items to be included in your binder. It will also be helpful to create an electronic binder with digital documents. Here are some suggested sections to include: Club or district bylaws Meeting agendas and minutes Sample annual budget Calendar of the year’s activities Task List for officer position you hold Weekly tasks Specific tasks for each month of the year Ideas you weren’t able to work on and ideas you tried that weren’t successful Position-specific Contact List. Here is some information you may want to add: Best method of communication for each contact (email or phone call) Add a picture (if you have access to one) next to the individual’s information Description highlighting what this contact information was used for, whether it was service opportunities, advisors, donations, etc. Contact information of past officers and the tips they passed on from their year Contact information of district officers and relevant Kiwanis Family members Tips accumulated over your year

Provide an Orientation Set up a formal date and time to meet with your successor once they are elected. You’ll be turning over the binder to them, along with any other records and answering any questions they may have. If this wasn’t done for you when you became an officer, you may be creating a new tradition that will benefit your club or district for future years. If it was done for you, then you know how helpful it can be.

A great CKI club or district doesn’t run itself. You are taking a brave and important step by holding a leadership role. Don’t be afraid to step it up and make your new officer transition a really big deal… because it is!


Team Building A TEAM is an energetic group of people who are committed to achieving common objectives, who work together and enjoy doing so, and who produce high quality results. By building a team comprised of your club’s Board of Officers, you can ensure success over your tenure! Why are groups Effective? • Synergy, what energy is to an individual, synergy is to groups. The synergy of a group is always potentially greater than the sum of the combined energies of its members. When team concepts are applied to group formation, the result is not only the effective use of energy, but also the creation of new energy. • Interdependence: The focus of team efforts is on combining, rather than on coordinating resources. Interdependence in today’s organization is a simple reality. Most services and products are so complex and the skills needed to produce them successfully so specialized, that it is impossible for any individual to accomplish alone. The team concept provides the necessary link to approach organization objectives from a position of strength and creativity. • Support Base: Team members share a common goal and are thus able to provide vital support and encouragement to each other in their work. Also, it’s simply more fun to work with someone else than to work alone.

Club Goal Setting As the new year transitions, it is important to set goals for the up coming year! This involves a good reflection of how the club preformed last year, and what is possible for you to achieve this year. It is important to do so as individuals as well as an entire club too! Remember when you are setting goals to be SMART about it.

Specific: State exactly what you want to accomplish (Who, what, Where, Why?)

Measurable: How will you demonstrate and evaluate the extent to which the goal has been met? Achievable: Stretch and challenging goals within an ability to achieve outcome. What is the actionoriented verb? Relevant: How does the goal tie into your key responsibilities? How is it aligned to objectives?

Time Bound: Set 1 or more target dates, the “by when� to guide your goal to successful and timely completion (include deadlines, dates, and frequency)

Spring Rallies and DLSSP Spring Rallies are coming up quick! So save the Date for March 28th!from 10 am- 4 pm in Indianapolis. Spring Rallies will include the Spring District Large Scale Service Project and Club Officer Training! You won’t want to miss out as this year it’ll be different than ever before! You have time to get to know your newly elected LTG as well as get to know other members in your division; all the while you are learning the ins and outs of your new position! While the training will be just for officers, ALL members are encouraged to go as there will be lots of service projects!
