etermining that, along with your budget, are the first items on the checklist of good party-planning, said Tom Wilson, owner and general manager of Teller’s. “You have a feel for your guests,” he said. A budget is important because it really sets the tone for the event and will help the venue’s staff guide you. “Although Maceli’s encourages a well-balanced combination of venue, décor, food, service and price, one or two of these aspects may take priority over the

others,” said Steve Maceli, owner of Maceli’s . “We have seen (party planners) who choose to have so many guests, once they pay for an appropriately sized venue, there is little money left for food. The same can apply to venue or even décor. “Although venue and décor are important, good quantities of high quality food and alcohol are usually most important for guests.” Most venues and caterers have set menus, but can always make adjustments according to a party planner’s budget. The key is communication, all of the experts agree.

Early Planning = Better Results "Start

planning as early as possible,” said Bobick Sarraf, who, along with his wife, Roxanna, owns Bambino’s Italian Restaurant. As at most venues, the chefs at Teller’s can accommodate almost any menu request – provided the request isn’t made when the host walks in the door for the event. “For instance, we brought in Copper River Salmon for a rehearsal dinner one night,” Wilson said. “It’s just important that we know ahead of time. It’s also important to communicate in any changes in the number of people who are coming – whether that’s up or down. That really affects a venue.” At Bambino’s Italian Restaurant, communication is an important key to making a successful event, too. The more the venue knows about what a planner is looking for, the Sarrafs said, the better the event can be designed.

But, for the most part, with the number of venues available in and around Lawrence, a party or event planner ought to be able to put together a venue that can make him or her look good to guests. From sorority and fraternity masquerade parties, to the year-end soccer banquet for the Free State High School girls’ soccer team, to a business meeting with PowerPoint presentation, for the Sarrafs, it’s all about bringing someone’s dream event to life. With several different room set ups and a patio available, and seating ranging from 50 for a private room to more than 200 in the whole restaurant, there’s not much the Bambino’s team can’t or hasn’t done. The same goes for Maceli’s with its banquet hall that can accommodate 400 and its Bistro Room, which holds up to 80. At Teller’s, large groups can be accommodated in the main dining room; the second floor holds 20 and the third floor from 30-50.

The time of year when you are planning an event can have an effect on your plans, too. Want to throw a shindig for the office in December? No problem, as long as you don’t call in December expecting there to be prime party times available. “For the holidays, you need to do a little more planning ahead,” Wilson said. Summer is, naturally, wedding season, so it’s best to start as early as possible if you want a good weekend spot then. 8

If you’re planning an event that large, you don’t want to be stuck with set up or tear down. Look for a venue that will handle everything for you, Maceli said. “This minimizes set up time and associated stress while it also allows you to walk away at the end of your party,” Maceli said. Another tip? Choose a venue where someone is assigned to your party for the duration, as with all of these. “We have one person in charge of a venue,” Wilson said. “From the beginning of planning, you know who to contact.”

he biggest (mistake) is thinking that if you do something – bring in a cake, cart your own alcohol where possible, handle your own floral order – that you’ll save money. Usually, the opposite is true. Not to mention the hassle and stress a planner will endure in trying to source particulars instead of just asking the venue for assistance. “A lot of people think they can save money by bringing in their own cake,” Bobick Sarraf of Bambino's Italian Restaurant said. “But what if you run out? We know how to plan for how much food you’ll need based on the number of guests you have. We can help you and we can do it better. We pride ourselves on never running out of food.” But the area where most planners make a mistake when they go it alone is in alcohol, the professionals agree. People who are used to buying alcohol in large quantities can easily over or underbuy. Banquet and catering professionals have years of experience that tell them how many drinks most parties of 200

will consume and what percentage of party-goers will drink beer, wine or mixed drinks. If a planner does buy his or her own alcohol, having to go to the store is a minor inconvenience,” Maceli said. “Having too much doesn’t have to be negative if you know that the extras will not go to waste. However, that is money that could be used to hire a professional which can reduce host responsibilities and party-induced stress. “An important thing to keep in mind is alcohol caterers often have minimums but once you reach them, you are only charged for what is consumed. They also take care of other necessary items for bar service such as linens, service ware, ice, cocktail napkins, mixers, garnishes and bartenders.”

A great caterer will do more than just make good food. He or she will pay great attention to details, making sure the presentation is just right, the food and wine are served at the right temperature, the servers are well-groomed and attentive and that clean-up is efficient and thorough. So how do you make sure the caterer you hire is a great one? By asking the right questions.

May I have references? Most caterers get their business from word of mouth. Ask for at least 10 former clients and call as many as you can. Ask questions such as: Was the caterer easy to work with? Was the service efficient and nonintrusive? Was the food delicious, and did it arrive hot? Were there any problems that came up and how did the caterer deal with them? Do you have a business license and liability insurance? Caterers should be licensed by the state. Usually licenses are displayed in the office, but if you're not positive, then ask to see it. Make sure you see proof of liability insurance as well. Can we sample from a typical wedding menu? Catering can be a large part of your wedding budget. Make sure you know

what it is you’ll be getting for your money. Take your spouse-to-be and a friend with you to the tasting so that you can get varied opinions. Some caterers will charge a tasting fee, but it’s worth it. May I see photographs of your table displays? Some caterers who provide buffets or food stations include floral arrangements and other decorations. It's also a good idea to discuss your color theme so that decorations and floral arrangements coordinate What does the price per person include? Is the cost strictly for food, or does it cover tables, chairs, linens, tableware, punch service, table displays, etc.? What other fees do you charge? Are tips and taxes included in the price? Some caterers will charge a

cake-cutting fee or corking fee for wines. Make sure you get all fees in writing up front. Do you handle special menu requests? You may have guests with special menu needs, such as food allergies, vegan or kosher requirements. Make sure your caterer will accommodate these needs. Some couples want to have a special family recipe at the reception – grandma’s meatballs or foods from the family’s ethnic traditions. Find out if your caterer will personalize your menu with these kinds of items.
