GENERAL POLICIES

FOOD & BEVERAGE:

All food and beverage served will be provided by the Best Western Holiday Lodge, Clear Lake IA, with the exception of wedding cakes, mints, and nuts. Under no circumstances will outside food or beverage be allowed to be brought into our banquet facility without being subject to a penalty fee.

The Best Western Holiday Lodge does not permit the removal of any food and beverage items provided by the hotel.

The Best Western Holiday Lodge reserves the right to take reasonable action to monitor the legal drinking age and reserve the right to refuse service to anyone who appears to have reached their drinking limits.

ROOM ACCESS:

The Best Western Holiday Lodge guarantees access to your function space 8:00 a.m. the day of the event. Additional time will be provided, at no additional charge, when possible but not guaranteed. Please visit with one of our Sales Specialist about special request regarding additional time or the decorating of walls or ceilings. Each banquet table will seat ten of your guests and each round table will seat eight of your guests.

GUARANTEED NUMBER OF GUESTS:

Guarantees are required for all food and beverage events with pricing based per person. Final numbers must be confirmed 7 business days prior to your event. If a guarantee is not received, your estimated number of guests will be considered your guarantee, and all charges will be made accordingly. The hotel will set and prepare for 10% over your guarantee.

DEPOSITS AND CANCELLATIONS:

To secure space, a non-refundable deposit of $750 is due with a signed contract. Your deposit will be kept on file until after your event and returned to you if you had no additional charges during your event. A guaranteed method of payment will need to be on file for the banquet event.

Any advance deposits will not be applied towards your cancellation fee in the event the group event is cancelled. In addition a cancellation fee as a percent of the original estimated food, bar and room revenue will be due or retained as non-refundable based upon the following schedule:

FUNCTION PAYMENT SCHEDULE:

75% of the estimated balance is due 60 days prior to the event. 100% of final guarantee is due 7 business days prior to your event date along with a credit card for any incidental charges incurred during or following your event.

DECORATIONS:

All decorations must be approved in advance of your event. The hotel will not permit the affixing of anything to the walls, floors or ceiling with nails, staples or tape without the approval from the catering department. Charges may apply for any damages caused. No confetti or glitter.

White chair covers and lighted backdrops are available for an additional fee.
