How Do I Reserve the Ballroom? (Deposits/Payments)

We can hold a date on a tentative basis (with no deposit) for up to 72 hours To hold a date on a definite basis, we require a $1,500 non-refundable advance deposit and a signed contract The $1,500 00 deposit will go toward your total Food and Beverage Minimum Food and Beverage Minimums vary depending on seasons, holidays, and proximity to date Payments thereafter will be scheduled as follows:

- 6 months from the event date, 50% of the food and beverage minimum is due

- 90 days from the event date, 75% of the estimated food and beverage is due

- 10 days prior to the event date, 100% of the estimated food and beverage is due.

The hotel will require a credit card to be kept on file for all final charges. All menu pricing is subject to 25% service charge and 7% sales tax, prices are subject to change Can I Bring In My Own Catering and Alcohol?

West Des Moines Marriott will provide all food and beverage for your event with few exceptions

- Wedding Cake/Dessert is permitted and must come from a commercial kitchen and will be assessed a cake-cutting fee of $3 00 per person Any leftovers and toppers must be picked up within 24 hours following your event A $100 storage fee will apply each day for any remaining items.

- Wine & Champagne may be permitted but a corkage fee will accompany, $15 per bottle The hotel must receive these 24 hours prior and leftovers must be picked up within 24 hours following your event or a $100 storage fee will apply for each day

- A $500 fine will be assessed for any outside beverages found inside the Ballroom

When Do I Need to Decide My Menu?

You will need to decide your menu approximately three months before your wedding. The hotel holds Menu Tasting opportunities for you You will be invited to the Menu Tasting closest to your Wedding At the Menu Tasting, you will be able to customize your menu by sampling all of the entrees with assorted sauces, starch selections, and vegetable choices for your wedding packages. Along with menu selections, the wedding agenda, bar details, and vendor information will also be due.

When Do I Need to Give My Final Meal Count?

Guaranteed numbers are due 10 days prior to the event when the final payment is due This includes a guaranteed number of Adult Meals, Children’s Meals, and Special Menu Meals. The guarantee may not be lowered once it is submitted and if no guarantee is received 10 days prior, the expected count becomes the guarantee Limited changes to the menu are allowed two weeks out from the event The hotel does not prepare overages

Do I have to provide my own decorations?

- The hotel has some complimentary options for centerpieces Any additional decorations such as floral centerpieces or other décor are the responsibility of the guest

- Any sprinkled decorations, such as confetti or glitter are prohibited along with sparklers and fog machines.

- All flames must be enclosed in glass and tapered candles are not permitted

- No one may tape, nail, tack, or otherwise fasten decorations to any fixtures, walls, and or ceilings

- The client is responsible for the removal and cleanup of the decor Decor and guest items must be removed from the ballroom upon completion of the event, a storage fee of $100 will be assessed if items are not collected.

What if I Need to Cancel?

A fee will be applied within 30 days of cancellation The hotel must receive a written form of cancellation and fees will be applied as follows:

- From 10 days prior to event start time: 100% of estimated food and beverage

- From 90 days to 11 days prior to event start time: 75% of estimated food and beverage

- From 180 days to 91 days prior to the event: 50% of food and beverage minimum

- From 270 days to 181 days prior to the event: 40% of food and beverage minimum

- From contract signing to 271 days prior to the event: $1,500

EVENT FLOOR PLAN & CAPACITY

West Des Moines Marriott requires prior approval of all Client-produced event floor plans. We will not approve floor plans that do not meet fire code regulations The Marriott Event staff can assist you in creating a viable floor plan for your event We will adhere to maximum occupancy levels as designated by the City of West Des Moines West Des Moines Marriott reserves the right to restrict further attendance into these spaces to protect public safety.

DAMAGES/CLEANING

Client is responsible for any damage and or excessive cleaning of the function room, complimentary decor items, or any other part of the event facilities by the Client, his/her guests, invitees, employees, independent contractors, or other agents under Client’s control except normal wear and tear West Des Moines Marriott representatives and Client should inspect all rented space prior to event and at the conclusion to determine existing conditions. You will be informed of any damage and or cleaning fees after your event with a written report and photographs.

BARS AND ALCOHOL

Beverages purchased within the hotel are not allowed to leave the facility The service of alcoholic beverages to individuals under 21 years of age is prohibited by law Proper identification will be required by anyone who appears to be under the age of

30 Any guest providing alcoholic beverages to minors at an event will be referred to security/law enforcement and may be subject to arrest and/or citation. West Des Moines Marriott reserves the right to decline alcohol service to an individual for any reason West Des Moines Marriott will provide (1) one bartender and (1) bar for every 150 expected guests Additional bars and bartenders may be added for every additional 50 guests (approximately) Bar and bartender fees apply for additional requested service beyond this standard Bar service concludes at 11:45pm We do not do tabs, doubles or pour shots for any event West Des Moines Marriott requires that all events with the service of alcohol include food service as determined by the Event Coordinator We reserve the right to discontinue alcohol service for any event
