Project Brief As the part of Design Project – INTERIORS, the topic taken is “Video Conference Room” for CISCO Networking Corporation at : 4th floor Sakar building -2 ,Ellis bridge Ahmedabad ‘Video conference room’ it is considered to be the most professional and disciplined room as most of the high rank officials sit together to discuss about new product launching, business meetings, decisions for certain problems etc. In this project, conference room interiors are designed in such a way that the interior design and furnitures also go along with the theme of Cisco, seeing the comfort level of the employees & making sure the conference room design does not allow any external sound to interfere with the internal interaction. Looking at the users , facilities required for a video conference room are furnitures, overhead projectors / LCD monitors, stage lighting, air conditioners, phone system, Wi-Fi internet connections, sound system etc. with a washroom and a small editing lab besides it. The conference room should accommodate maximum 4 to 6 people. The total area of the room is 5 metre by 8 meter including the washroom and the editing lab. There will be a good amount of space for the staff & guests which allows them to move freely, so the furniture’s included in the conference room is also considered so that cluttering can be completely avoided in the conference room.

• In Entrance -1, the conference room supports the view to the east & south side of the building and gives room a pleasant ambience. • The Entrance -1 avoids distraction towards editing lab and also in the video conferencing process. • Editing lab is placed in such a way that the video conferencing process can be viewed and handled properly without any inconvenience in adjusting the lights, camera, speakers, power supplies and other equipments.

Advantages • Washroom Entrance shifted towards outside provides a better environment inside conference room. • Conference room looks spacious after shifting the Entrance- 2 to the opposite side. • Other staff members in the office can also use the wash room.

Disadvantages • When the washroom is used by other staff in the office, the responsibility to maintain the washroom clean arises.

Ergonomics is the field of study that seeks to fit the job to the person, rather than the person to the job. This is achieved through the evaluation and design of workplaces, environments, job tasks, equipment, and processes in relationship to human capabilities and interactions in the workplace. Anytime there is a change in the workplace (new employee, new chair, new desk), new ergonomic solutions are required. It is important that all furniture (chairs, desks) and other accessories are adjustable in order to meet individual worker’s needs, for no two people are alike. Ergonomics covers the entire work area, including issues regarding the chair, workstation, and lighting.

Effective use of ergonomic practices will assist in maintaining high levels of productivity, avoiding painful and costly employee injuries, and increasing worker satisfaction. By designing the job around the person, employees will have a decreased risk of injury and an improved perception of their “employee-centered� role at work.

Features of an Ergonomic Chair

The mechanisms for adjusting the chair should be easy to locate and adjust with one hand while seated. One should understand the functions of the mechanisms, and know how to operate them. Fully adjustable chairs are essential to an ergonomic environment like the editing lab.

Editing Lab Workstation Proper Work Surface Setup

The work surface should be installed/adjusted to be approximately 25” - 34” high for seated work and to fit a range of operator sizes (ensure that adjustments can be made easily). The space beneath the work surface should have sufficient room above the legs to allow for a range of body postures. The knee well should be 30” by 19” deep. The work surface should have adequate space for equipment (monitor, telephone, stapler, tape dispenser) to be located close to the user to minimize bending, flexing, or twisting of arms, wrists, or hands.

A matte finish on the work surface is ideal to reduce light reflection. The keyboard and mouse should be placed together on a platform that is at least 28” wide, directly in front of the user and directly beneath the monitor. The keyboard and mouse platform should easily move side to side, up and down, in and out, and lock securely in place. The height of the keyboard/mouse platform should allow the users hands to rest lightly on keyboard or the mouse with the forearms using the chair armrests for support.

Understand the function Is it to be used as a multi purpose room or just for video conference?

Multi purpose room: a. video conference : Everyone facing the screen b. conference/ meeting (internal / with guests) : Facing each other - screen might supplement the discussion c. presentation (internal/ with guests) : One person addressing everyone/ as a discussion while watching the video presentation on screen.

Understanding the user Who all can access the space and for what purpose?

a. Company Executives b. Guests c. Technicians/ other staffs d. Services ( pantry/ house keeping) Activities within space and interaction with space differs for each user. For example: The circulation/activity of Technician/ Services shouldn’t inte fere the activity of Executives/ Guests.

Event analysis Do the users go straight to the seats as soon as they enter? Do they need a space for welcoming Seniors/ Guests? Consider events like Handshakes, exchange of visiting cards, entering/ leaving in middle of conference etc. What about a scenario where the users are in a meeting and there is a video to supplement the discussion? How does each user groups interact with the space and furniture/equipment etc Zone the space on the basis of Event analysis. Circulation patterns of each user groups. Decide upon the interior layout on the basis of above mentioned factors.

Cisco TelePresence Format Options Cisco offers TelePresence solutions in different formats to accommodate various kinds of collaboration:

Meeting Format. The Cisco TelePresence meeting format (as shown in the photograph above) has demonstrated excellent transformational results. This format can be extremely valuable for decision makers and key contributors in formulating strategy and building relationships. Managers and teams literally meet “across the table� with individuals at other locations. They can see each other in life size, and the combination of directional audio and coordinated room colors and lighting makes the experience similar to meeting in the same room. Participants can share content on a separate, smaller auxiliary screen, typically mounted below the video screens. This format provides an incredibly rich experience, best suited to formal meetings. It enables leaders to transform relationships with customers, partners, and employees in a highly immersive setting.

Meda Conference

The synchronised movement is controlled by a spiral spring with additional pneumatic functions, which joins the back of the chair to the bridge underneath the seat. It allows great freedom of movement, but can also be locked into position using the stop and go mechanism – similar to the swivel office chair version.

Conference Table Power Outlet Conference table power outlets/desk outlets provide the ultimate in convenient connectivity for the office workstation, conference tables, or even the uncompromising home user. The purpose of a desk outlet is to bring data, power, and A/V signals from your wall outlets and raceway systems to our desktop without an unsightly or hazardous cable installation. Most desk outlets are considered “permanent�. This means a hole must be cut out of the desk in order to install the unit. Other styles may be clamped to the edge, screwed onto the underside, or simply placed on top of the desk. The conference table is designed with the connections needed and then selecting one with the best look and most convenient installation.

Space & Furniture Layout Advantages • Ample light falls from the south direction of the building on the users, which provides enough lighting for the camera. • LCD screens blocking the light from the east direction helps the users to view the screens properly.

Disadvantages • LCD Screens in the conference room blocking the light from the east. • Placement of the furniture’s and the LCD screens making the place more congested and blocking a good view in the east of the building. • Inconvenience for the people working in the editing lab to control the cameras, lights and documentation. • Furnitures & equipment placed little far from editing lab. • Not having a good background for the camera in the conference room while video conferencing process. • Limitation in accommodating more people in the conference room. • Wastage of space in the conference room due to placement of furnitures and equipments. • LCD screens obstructing the entry path for the people in the conference room

Advantages • Can Accommodate more people in the conference room. • Convenience for the editing lab . • Providing an environment not only for video conferncing but also the space can be used for another meetings , gatherings,discussions, seminars etc. • Each room with the furnitures & equipments are arranged supporting each other. • Can develop a good background for the users while video conferencing process. • Main entrance of the conference room and the washroom door are not distracting or creating any inconvenience. • Creating extra space for the users to walk around. • Convenient for facilities like Document camera, PC presentation. • Natural light falls from the east direction helping in the video conferencing process. • Furniture,s & facilities can be adjusted and occupied properly.

Our multi-purpose system cameras have a horizontal angle of view of around 70°. Minor variations exist between the different models. You may need to take the angle of view into account when deciding where to put your camera. Keep in mind that if the camera position differs significantly from the monitor location you will obscure the feeling of natural communication. For systems with the camera attached to the monitor, this may call for care when deciding the room layout and the number of seats. Cisco recommends

Note that these figures should be regarded as guidelines only. We do recommend that you try things out on-site before fixing any mounting position. One thing that may modify the validity of the above guidelines is the number of people along the table. Persons sitting at—or near—the end of the table may feel that the distance to the monitor is too far for them, in particular during presentations. In such cases a larger monitor is recommended.

Relevant Construction Details 3D Demonstration showing False Ceiling Design & its Installation STEP 1 - Marking the False Ceiling Area

The area of the false ceiling is marked on the soffit (main ceiling) with points at distances of 3 feet each. A 12mm hole is drilled at each of these points. Points are also marked on the walls at the height where the false ceiling will suspend below the main ceiling.

A rawl plug is affixed in each hole and a soffit cleat is fixed through the rawl plug. A metal ceiling angle strip is further fixed to the soffit cleat. These installations (at each point) become the anchor points of the false ceiling

STEP 3 - Fixing perimeter channels

A perimeter channel is fixed on the walls of the false ceiling area at the height where the false ceiling will suspend below the main ceiling. This acts as the framing of the entire false ceiling.

STEP 4 - Fixing intermediate channels

The free ends of the metal ceiling angle strips are connected to the perimeter channel using intermediate channels with metal-to-metal screws. This completes the fixed part of the false ceiling which anchors the suspended false ceiling.

STEP 5 - Installing ceiling sections

Ceiling sections are snug fit to the perimeter channel, perpendicular to the intermediate channels at distances of 1.5 feet each. These form the skeletal frame for attaching Aluminium boards.

STEP 6 - Connecting ceiling sections to intermediate channels

Ceilings sections are connected to the intermediate channels using a connecting clip. This offers a strong and flexible joint, facilitating easy installation of Aluminium boards.

STEP 7 - Fixing Aluminium boards

Aluminium boards of the desired thickness are fixed to the ceiling sections with drywall screws. Boards are fixed in a staggered layout so that joints do not appear in continuous straight lines. This reduces the possibilities of cracks in the future.

STEP 8 - Jointing & Finishing

Joints and edges of Aluminium boards are covered using jointing compound and paper tape which add to the strength of joints. A smooth finish is given to the Aluminium board with skimming plaster. The false ceiling is now paint-ready.
