Step 1 - Log in to Your Account ‣ Go to https://www.phonevite.com ‣ Click Login
‣ Enter your username and your password

Step 2 - Import Contacts Before you can set up any messages or calls, we have to tell Phonevite who to call. Contacts can be imported from a variety of other places, including the Highrise CRM system. As long as information is imported as a standard ‘CSV’ file, it can be used.
‣ Go to https://www.phonevite.com/g_phonebook.php ‣ Click Import Contacts

‣ Click Choose File
‣ Select the CSV file of your contacts ‣ In Group Name give your contact list an appropriate name Note: You cannot import contacts into an existing group. If you need to add more contacts to an existing group, you can add contacts manually, by clicking Add Contacts. Alternatively, you can create a new group and upload your new import. You then have the option of sending a call to multiple groups, or of combining multiple groups into a new group (For example, List 1 and List 2 could be combined to create a List 3).

Step 3 - Set up a Caller ID ‣ Go to https://www.phonevite.com/m_callerid.php ‣ Click Add New Caller ID ‣ Enter your phone number and click Verify ‣ You will then get a call for verification ‣ Enter in the Verification Code provided in your phone
Note: If the verification does not go through the first time, you will need to enter a new Verification Code.

Step 4 - Add Funds ‣ Go to https://www.phonevite.com/m_purchase.php ‣ Based on how many contacts you have, select the package you wish to use or enter in the amount manually ‣ Click Buy Now
‣ Fill in your credit card information.

Step 5 - Record Your Message ‣ Go to https://www.phonevite.com/e_send.php ‣ Make sure you have a microphone connected to your computer ‣ Click New Web Recording
‣ Click Agree
‣ Enter the title of your recording

‣ Click Record ‣ Press Stop when completed ‣ Press Play to listen to the recording and decide if you would like to save it or re-‐record ‣ Once you are satisfied with your recording, click Save
‣ Select your new recording to create a new Phonevite call.

Step 6 - Add Contacts ‣ From the page you were on in Step 5, scroll down to Add Contacts
‣ Find the contact list (‘Phone Book Group’) you wish to use and click Include All
‣ Select another Group of contacts in your Phone Book if needed. Note: Any duplicate contacts will be automatically removed for this call. The contacts will still remain in your Phone Book. If you want to make a test call follow the same steps, but only select your number under “Add Contacts”. If you are satisfied then follow these steps again and add the contacts from your Phone Book.

Step 7 - Schedule Your Call ‣ From the page you were on in Step 6, scroll down to Select Options > Schedule Your Call
‣ Click Schedule ‣ Select your Time Zone (Pacific Time) ‣ Select the Date and Time you wish to send out your Phonevite message (skip this step if you wish to send out your message immediately)
‣ Click Submit. Note: If you haven’t set up your Caller ID or wish to change it you can do that here.

Step 8 - Other Options ‣ Once you have selected the options outlined above, keep scrolling down in the “My
Phonevite” page ‣ If you have included Emails in your contact list and wish to send out the message out as an email as well select Send Message Via Email Too (does not cost extra) ‣ Selecting Request RSVP will play a message after your call and give callers the option to let you know if they will attend your event (if that is what your message is about) ‣ Send Message to My Phone Number will send your message to your phone as it goes out so you can review the message ‣ Request a Message-‐Back will allow the recipients to leave a voice message-‐back that you can listen to in the My Phonevites page
‣ Once you decide on what options you want to use click Submit to send out your message. Note: You will not pay for any ‘failed’ calls (no answer, busy, blocked or invalid numbers).

Step 9 - Resend Your Message ‣ If your call fails for some of your contacts you can have your message resent ‣ Go to https://www.phonevite.com/r_events.php ‣ Click on the Phonevite Message you sent ‣ Click See Call Detail Records
‣ Click Checked Failed ‣ Click Resend checked
‣ Go back through Steps 7 and 8.

Step 10 - Review Results ‣ Go to https://www.phonevite.com/r_events.php ‣ Click on the Phonevite Message you sent ‣ Click Monitor This Phonevite
‣ When you see the message “Finished!” click on the outside of that message to see your statistics ‣ Here you can see the details on how successful your Phonevite message was.
