Welcome to Malvern Prep

Dear Malvern Families,

It is my pleasure to welcome you and your son(s) to the 2024-25 Academic Year at Malvern Prep!

Whether you are a new or returning family, I want to thank you on behalf of the faculty and staff for your partnership. This journey is not complete without you. We are grateful that you have selected Malvern Prep for your son’s education and we look forward to guiding him as he takes pivotal steps toward becoming a young adult.

As we journey together, you will hear us reference our Core Values of Truth, Unity, and Love. These values are present in all areas of student life from Academics and Arts to Christian Service and Athletics. All of us are on a path to continuing to grow personally, intellectually, and spiritually at Malvern.

The information contained in this Guide will help you to learn more about our school community and answer some Frequently Asked Questions we often hear from families.

The History of Malvern Prep

Malvern Prep is the direct continuation of the academy program founded in 1842 by the Augustinians as the “preparatory” school for what is now Villanova University.

The Augustinian community purchased the farm called Belle-Aire in January 1842, to establish a college and monastery under the patronage of St. Thomas of Villanova. The original academy building, built in 1848, is now called Alumni Hall and stands just behind the Chapel at Villanova.

As the school grew and modern education began to take its present form, a distinction grew between the “academy boys,” the “college boys,” and the “seminarians.” In 1901, the academy was named “St. Nicholas of Tolentine Academy,” and in 1922,

the college program was expanded. The decision was made to remove the academy program from the college campus. About the same time, the Rosengarten family of Malvern planned to sell part of its holdings located on Warren Avenue and Paoli Pike. Thus in 1922, because of the Augustinian need and the availability of 143 acres in historic Chester County, the academy relocated to become Malvern Preparatory School.

Although only two buildings on the Rosengarten estate could be used for school purposes, Austin

Hall (original farmhouse) and the St. Augustine Friary (farm building), they were more than ample in providing classroom and living space for the predominantly boarding student body of 19 and the original faculty of three Augustinians and a layman. In the intervening years, the original buildings were supplemented.

Embracing its earliest roots, Malvern Prep regards 1842 as its founding year and features it on the school seal. Malvern Prep celebrated its 175th anniversary during the 2016-2017 school year. In 2022-2023, Malvern celebrated the centennial celebration of its history at its present location in Chester County.

Community Standards

Student Expectations

Students are held to a high standard of accountability to the school’s mission and its policies and procedures. These will aid each student in instilling how to live a life of integrity and personal responsibility for the common good. It is the understanding of the school that, at times, adolescents may exercise poor judgment. Students should foster responsible behavior by conducting their daily actions according to the virtues of Truth, Unity, and Love

• To act Truthfully is to discern between “right” and “wrong” when making decisions in all aspects of life.

• To act in Unity is to consider how actions may affect both oneself and the community and to always regard the health and safety of others.

• To act in Love is to respect and care for oneself and the community.

Behavioral Expectations Outside of School and School Sponsored Events

Students are expected to make a conscious effort to exhibit responsible behavior at all times, both on and off campus. Deference and respect are to be shown to all administration, faculty, staff, parents, volunteers, guests, friends, alumni, and to fellow students. This same respect must also be shown to faculty, parents, and students from other schools at all times, including sporting, extracurricular events, and/or with posting information on the internet.

Any behavior or action which occurs off-campus and violates the law and/or results in a material or substantial disruption at school, an unsafe school environment, and/or which adversely affects the reputation of the school, may result in severe disciplinary action by the school.

Leadership Advisory Council

In order to offer students a voice and a seat at the table in crafting policy and procedure, students may participate in the Leadership Advisory Council (LAC). The LAC is comprised of 11 students and the Student Academy Leader Team who meet regularly to examine and discuss disciplinary changes, address student body concerns, and offer feedback regarding student behavior on campus. They will work closely with the Head of Character Development and Wellness.

The LAC is composed of five Seniors, four Juniors, two Sophomores, and will be mentored by the Student Academy Leader Team. These students will be nominated by the faculty at the beginning of the year, and will participate in an application process.

Family Outreach Coordinator

The Family Outreach Coordinator serves as the main point of contact for new families as they become orientated to the Malvern Prep Community. Please feel free to reach out to Mrs. Dougherty with any questions!

Campus Store

The Campus Store, located in Dougherty Hall, is a convenient place to pick up all things necessary and fun. From school supplies to a full array of Malvern clothing, accessories, keepsakes, and Friar merchandise, there is something for everyone! Students may use their Student Debit Account to make purchases in the Campus Store.

Inclement Weather

In the event of inclement weather, parents/ guardians and students will be notified via text alert and email. Please follow your school district as they may dismiss early or cancel busing on days of inclement weather, even though Malvern may remain open.

Campus Dining Services

Our Food and Allergy Policy

All foods prepared by the Dining Services team will not knowingly contain Peanuts/Tree Nuts and/ or Peanut/Tree Nut products. Some products may be purchased from factories where Peanuts/ Tree Nuts and/or Peanut/Tree Nut products have been produced. All items offered in the cafeteria containing Egg, Gluten, Dairy, Fish, Shellfish and/ or Soy will be published and displayed. Allergen posters are displayed throughout the cafeteria and we encourage students to speak to the team if they are unsure. All managers are AllerTrained certified.

Student Accounts

All Malvern Prep students are automatically assigned a Student Debit Account and Personal Identification Number (PIN) which they can use to make purchases in the Dining Hall and the Campus Store.

Deposits to the students’ accounts can be made directly at the registers in the Dining Hall with cash or check only. Parents have the option to access their son's account via MyKidsSpending.com, an online service that allows parents to deposit money to their account and review account activity.

Technology

Campus Technology

MyMalvern

MyMalvern is our internal system for students, parents, faculty, and staff. You can check grades, homework, view important reminders, sign and submit forms, and more. As your son prepares to start at Malvern, a number of back-to-school forms will need to be completed. The forms can be found in "Resources" when you log into MyMalvern. Once in "Resources," click on the Magnus Health tile. You will be taken to your son's health portal which houses back to school and health forms.

To access MyMalvern, visit our website and click on “MyMalvern” in the lower right-hand corner of the home page. You will be prompted to log in. Enter the username/password you created during the admissions process. If you are having trouble logging in please use the “forget login link” to recover your username or password.

Malvern Technology is unable to reset passwords. parents/guardians must use the following link to reset their password: https://signin.blackbaud.com/ signin/.

Note: If you are using a Gmail account for MyMalvern, you can click “sign in with Google” which will allow you to use your Google/Gmail account as a login. Finally, you will receive an email to your email address on record to confirm your account when signing up using Blackbaud ID. Going forward you will use your email and updated password to sign in or a Google account if applicable.

Use of Electronic Devices During the School Day

Cell phone use throughout the day will be at the discretion of faculty/staff. At no time are students permitted to disrupt any academic class with their phone use.

• Parents who need to contact their son should contact the Main Office at 484-595-1100 or their son’s Student Academy Leader.

• Messages pertaining to an emergency will be delivered immediately.

• Messages of a non-urgent nature will be delivered as needed.

Social Media Expectations

Interacting online with fellow students, alumni, teachers, parents, and other community members is no different than interacting with these individuals or groups face-to-face. Students are encouraged to maintain the respect, dignity, prudence, and humility reflected in our Mission in all of their social media communications. Examples of popular social media websites include, but are not limited to, Facebook, YouTube, TikTok, Instagram, Twitter, Snapchat, etc.

Represent Malvern with Care

Images/photos taken and posted that may cause harm to the School will not be tolerated, such as postings that contain malicious, obscene, threatening or intimidating messages, information, or comments.

As a Catholic, Augustinian institution, Malvern Prep does not align itself with activist groups/ organizations, or political parties/organizations. Postings that create the appearance that Malvern Prep is connected to, endorses, or supports any such movements, groups, or organizations, or that seek support for such movements, groups, or organizations from the Malvern Prep Community, are prohibited.

The School considers discretion in social media activities a very serious matter. Violation of this policy may lead to disciplinary action, up to and including expulsion.

Students, faculty, and staff can stop by the Technology Offices, located on the bottom floor of Riley Hall, for help.

Academic Teams

The Academic Teams at Malvern Prep are constructed using an Academy model. Each grade level is led by a Faculty Academy Leader (FAL) and Student Academy Leader (SAL).

A Faculty Academy Leader’s first priority is to know, coach, and evaluate reporting faculty members through our growth and development process. In partnership with the Student Academy Leader, Faculty Academy Leaders also guide their respective teams to create and influence gradewide experiences, and activate appropriate student support resources throughout the academic year. Because Faculty Academy Leaders are a part of a larger Academic Leadership Team, they also have the opportunity to influence school-wide policies and decisions. In short, this person becomes an important part of the academic engine at Malvern Prep.

The Student Academy Leader works in partnership with the Faculty Academy Leader and closely with their respective Academy Teams by providing

proactive leadership to engage all stakeholders in the delivery of programs and services to support the students’ academic achievement, personal, and social development. This individual works cooperatively with their respective academy teams, counselors, students, and parents towards achieving a positive school climate - embracing Malvern’s mission and culture. Attendance Policy

As a school, one of our top priorities is the safety of the students, faculty, and staff in our care. A critical aspect of safety and security is being able to account for all individuals on our campus, especially in the case of an emergency.

Parents/guardians should utilize the attendance form on our website if you need to report your son absent or report a late arrival/early dismissal.

Campus Closing vs. Virtual Days

The need to close campus may arise due to inclement weather, loss of power, or any number of reasons. The decision to close campus is always made with the safety of our students, faculty, and staff in mind.

The Malvern Community will be notified of the need to close campus via text message and email. At that time a decision will be communicated as to whether students should prepare for a virtual class day or a non-class day.

Holding classes virtually allows our faculty and students to join classes from wherever they are, resulting in less missed class time.

In the event of a virtual class day, homeroom will begin at 8:35 a.m. Classes will end at 1:55 p.m., a result of shortened passing time and Community Block due to the online nature of the day. Students can log into MyMalvern to view their class schedule.

Car Drop-off / Pick-up Policies & Procedures

• Students being dropped off and/ or picked up by car must do so only at the designated areas. Students who have an early dismissal should be signed out and picked up at St. Rita's Hall.

Transportation FAQ

• The St. Augustine Statue Circle and/or bus drop-off lanes located at the O‘Neill Center and Dougherty Hall cannot be used for student drop-off or pick-up at any time.

• It is important for parents who drop their son(s) off at school before 7:30 a.m. and/or who pick up their son after 3:30 p.m. to understand that he may be unsupervised while on campus.

• The following areas on campus will be supervised in the morning

- Before 7:30 a.m.: Strength and Conditioning Center will be open for student use from 6:30 a.m. until 8:00 a.m.

- Both the Center for Social Impact and Stewart Hall will be open beginning at 7:30 a.m.

• The following areas on campus will be supervised after school:

- Both the Center for Social Impact and the Strength & Conditioning Center will be open for all students from 3:00 p.m. until 6:00 p.m.

- These times may be subject to change.

Frequently Asked Questions:

Q: What if my school district is busing, but Malvern Prep has closed campus?

A: Please keep your son home. Due to the wide area that students travel from, there may be instances where we have closed campus but buses are still running. Conversely, your school district may not be busing while Malvern’s campus remains open. Students should not report to campus if the campus is closed. If students rely on the bus for transportation and their school district is not busing due to weather, that will be considered an excused absence if he cannot find alternate transportation.

Q: My school district has alerted that they will start busing early due to inclement weather but Malvern has not closed, should he stay at school?

A: In the event of impending weather, school districts may opt for an early dismissal. If your son relies on the bus, he will be excused from class.

Q: My son is a student driver, when will he be dismissed if the weather deteriorates that day?

A: On days when the weather is forecasted to deteriorate during that day, student drivers will be dismissed early, typically when we are notified of the first school district to request early dismissal. Families will be notified if/when student drivers have been dismissed due to inclement weather.

Q: If school closes early, can my son remain in the CSI until I pick him up?

A: After-school supervision in the CSI is also weather dependent and may be closed earlier if there is a weather event or safety issue. We will communicate to all families as quickly as we can as to its availability.

Q: My school district is on a 2-hour delay — what does that mean for my son?

A: Because we have the ability to hold classes virtually, Malvern will no longer open campus late and hold classes. Rather, students will sign in virtually for the day. If the campus is able to open later in the day, that may mean that clubs, events, or athletics will continue as planned.

Q. When do I need to keep my son home from school?

A: If your son has experienced vomiting, diarrhea, or a fever over 100 degrees in the past 24 hours, we ask that you keep him home from school for his protection as well as the other students. If your son has an undiagnosed skin rash or itchy, red, weepy eyes, please keep him home.

Q: What if my son does not feel well during the school day?

A: If your son does not feel well during the school day, he should inform his teacher and then come to the Nurse’s Office. If he goes home sick from school, a parent will be contacted and he will be dismissed from the Nurse’s Office.

Q: If my son has a chronic condition, such as asthma or food allergies, what should I do?

A: If your son has a major medical concern, we ask that you update his online health record

The school employs a full-time nurse, a clinical psychologist, and Athletic Trainers to meet the health care needs of our students, faculty, and staff.

with that information. When you update his health record, you will be asked to upload the appropriate action plans. Please make sure the action plans are current, within one year of the medical visit, and signed by a physician/ parent/guardian before uploading them to the health portal.

Q: Is my son allowed to carry his EpiPen/ auvi Q and/or inhaler while at school?

A: Yes, your son can and should carry his own emergency medication while at school if the doctor feels he is able to, otherwise it can be kept in the Nurse’s Office. We require a doctor’s order and the doctor/parent signature.

Q: What if my son takes daily medication?

A: If your son needs medication during the school day, a doctor's order and parent consent form are required to be completed and uploaded to your son’s health record in the Magnus Health online portal.

Q: What medical information or forms are needed for my son to attend school?

A: Based on the Pennsylvania Department of Health, in order for your son to attend school, the following information is needed by July 1:

• A current physical examination for every student to attend school. This must be dated within one year from the start of the school year.

• Dental exams are required for all incoming 7th-grade students, as well as new students, also dated within one year of the start of the school year.

• Proof of immunizations must be up to date. Incoming 7th-grade students must have one dose of MCV vaccine as well as the tdap vaccine. Incoming 12th-grade students must have their second dose of the MCV vaccine by the first day of school.

Q: What is Magnus Health?

A: Malvern Prep has partnered with Magnus Health to facilitate communication about our health services. Magnus Health is a leading provider of electronic student health records (SHR) for independent schools. The SHR is an online solution for collecting, managing, and tracking student health information. This technology streamlines communication with parents, reduces liability for school health professionals, and keeps schools prepared in the event of an emergency.

Security & Dress Code

Safety & Security

The safety and security of the Malvern Prep Community are of the highest priority for the School. Malvern Prep makes every attempt to ensure that its students, teachers, staff, parents, and visitors benefit from a safe environment.

I.D. Cards

I.D. cards serve as “swipe cards” and offer access into locked school buildings, so keeping them with you at all times is essential. For security reasons, lost cards must be reported immediately to your son's Student Academy Leader. A fee will be incurred for replacing a lost card.

Visitor Check-In Procedure

Between the hours of 7:30 a.m. and 3:30 p.m. visitors to Malvern Prep are required to park their vehicle in the visitor parking lot and check-in at

the Welcome Center. You must sign in and obtain a temporary visitor pass with the school receptionist.

Visitors who have not checked in will be directed to the school receptionist in the Welcome Center by school security or employees of the school. Please note that the school is under video surveillance.

Restricted Areas On-Campus For Students

During school hours (7:30 a.m. to 3:30 p.m.) no student is ever permitted to be in a building or classroom without faculty supervision.

When outside of the buildings, students must remain inside the Ring Road at all times, unless accompanied by a teacher, and are not permitted in parking lots. To prevent class disruptions, students should always observe silence in the hallways while classes are being conducted.

Gymnasiums may only be used if there is faculty supervision.

Dress Code

The goal of Malvern Prep’s dress code is to instill pride, confidence, and unity in our students. A proper manner of dress signifies respect towards oneself and the academic community. This dress code should be simple to follow and flexible enough to allow individual expression. BASH: BASH is the acronym for "Building a Scholastic Heritage," and with this goal in mind, its success expands Malvern Prep's margin of excellence. BASH was started in 1975 by Malvern's first president, Father David Duffy, and a group of determined parents, teachers, and alumni. It is Malvern's biggest social fundraiser with an emphasis on fun and it is celebrated with the entire Malvern Community.

Brotherhood: The Malvern Brotherhood is something that needs to be experienced rather than defined. Malvern brothers express loyalty, hold each other accountable, pick each other up in times of sadness, and celebrate each other’s achievements. Malvern brothers are truly brothers for life.

Christian Service: In addition to in-class opportunities for reflection on their social impact, all students will participate in the Christian Service Program. Christian Service is a concrete way to put faith into practice and is one of the hallmarks of a Malvern Prep education. Whether students are delivering hot meals to people experiencing homelessness or hosting a Christmas party for underprivileged children, these shared experiences help students put their faith into action and generate life-changing insights.

Unitas (Unity, Community): Union with God and Others in the School Faith Community

The Christian understanding of being one with one another is based on our common origin in creation by God and re-creation in Christ. The relationships within the community are nourished by the oneness of Christ with each of us and His presence in the community.

Veritas (Truth): The Search for God through the Pursuit of Truth

We are rooted in the truth about ourselves, we are aware that God is the source of all truth. With faith and reason, like two great wings, we fly to Truth. Augustine insists that we are to “teach the truth in love.”

Caritas (Love): Union with God through Love

The school community and relationships within it are a special place where this love finds expression. More than any one word can express (be it love,

concern devotion, compassion, caring), “Caritas” is that impulse of the Spirit of Jesus that is expressed in hundreds of kind and gracious ways. It is “active friendship” that encompasses both love of God and neighbor. It is when the head and heart move into action, often with sacrifice, for the good of another or a community.

Faculty Academy Leader (FAL): Faculty Academy

Leaders guide their respective teams to create and influence grade-wide experiences, and activate appropriate student support resources throughout the academic year.

Fathers’ Club: The Malvern Prep Fathers' Club provides specialized opportunities throughout the year and promotes the community atmosphere of the school. All Malvern Dads are encouraged to participate in meetings and events throughout the year.

Friar: A Friar refers to the Augustinian priests on campus. It also serves as the mascot of our school. A friar belongs to a religious order, a group within the Catholic church. The word friar developed in the thirteenth century from the Old French frere, "brother or friar." The Latin root is frater, or "brother."

Independent Study: Independent Study offers students an opportunity to explore their curiosity as well as pursue intellectual and artistic interests. Malvern continues to build the Independent Study program to help meet our students' interests as learners while providing them with a sense of agency and ownership of their education.

Inter-Ac: Malvern is a member of the Inter-Academic Athletic (Inter-Ac) League and embraces the philosophy that competitive athletics programs strengthen the excellent academic tradition of its member schools. Additional members (boys) include: Episcopal Academy, Germantown Academy, The Haverford School, William Penn Charter School, and Springside Chestnut Hill Academy.

MECO Retreat: A hallmark of the Malvern experience, this retreat takes place during the 12thgrade year. MECO (Malvernians Encountering Christ in Others) is a long-standing tradition and reinforces the strong bonds of brotherhood among classmates.

Microcourses: Microcourses are short, targeted learning experiences that do not appear in our annual curriculum guide and are not transcripted. They are experiences for students in which facilitators present content and activities for students to engage with, and learning communities are formed. It has been remarkable to see the impact of some of these courses over the years, and it is something that is helping us distinguish and distance ourselves from our peers academically.

Mothers’ Club: The Malvern Prep Mothers' Club provides specialized opportunities throughout the year and promotes the community atmosphere of the school. All Malvern Moms are encouraged to participate in meetings and events throughout the year. Some traditional events are the Merry Markets, Mother/Son Communion Mass & Breakfast, Mothers’ Club Flower Sale, and so many more!

MyMalvern: MyMalvern is our internal system for students, parents, faculty, and staff. Parents/ Guardians can check grades, homework, view important reminders, sign and submit forms, and more. You can find a link to log in to MyMalvern in the lower right corner of the Malvern website homepage.

Order of St. Augustine (O.S.A.): The Order of Saint Augustine includes some 2,800 Augustinians in 47 countries throughout the world. The Province of Saint Thomas of Villanova, founded in 1796, comprises the East Coast of the United States and international missions in Peru and Japan.

Peer-to-Peer Learning Center: The Learning Center provides support for both writing and math. Students become tutors for their peers. Students of all grades can be tutored either virtually or in person by fellow peers.

Quad: The Quad is the heart of Malvern’s campus. Completed in 2020, the Quad serves as an outdoor meeting space, lunch space, and even outdoor classroom space. Most buildings on campus can be accessed from the Quad.

Ring Road: Ring Road is the colloquial name for the drive around campus. This “ring” is a one-way road that encircles the heart of campus, keeping in mind the safety of students.

St. Augustine: Augustine was a prolific writer, an accomplished preacher, a monastic leader, a theologian, pastor, contemplative, and mystic. None of these titles, though accurate, would please him, however, as much as the simple one he used to describe himself: 'servant of God.' For whatever we

achieve in life, whatever gifts and talents we have been given, are of little value unless they lead us, as they did Augustine, to know, love, and serve God ever more deeply. He died on August 28, 430 at almost 76 years of age, as North Africa was being invaded by the Vandals, and the Church there was being devastated. Feast Day: August 28

St. Monica: Mother of Saint Augustine. Augustine acknowledges that he was brought to faith in the Church through the prayers and tears of his saintly mother, Monica, who, in turn, was led to confident trust in God through the prayers she offered continually for her wayward son.

Feast Day: August 27

St. Rita: An Augustinian nun who is venerated today as The Peacemaker for her courageous act of forgiveness at her husband's murder. She joined the Augustinian convent after the deaths of both her husband and two sons. She is also known as the Saint of the Impossible for the many challenges she faced in life and the many graces she has obtained since death. Feast Day: May 22

Student Academy Leader (SAL): This individual works cooperatively with their respective academy teams, counselors, students, and parents towards achieving a positive school climate - embracing Malvern’s mission and culture.
