SOFTWARE ENHANCES EVENT PLANNING Mountain View Grand sees benefits in Cvent platform Peter Davis, sales and service manager at Mountain View Grand Resort & Spa in Whitefield, had already been utilizing Cvent Event Diagramming before the Covid-19 pandemic. Since the pandemic, he’s been impressed with how the software has enhanced the Mountain View Grand’s ability to plan for socially distanced meetings and provide clients with a visualization of the setup. “It’s a useful tool for planners,” says Davis, noting Cvent Event Diagramming includes customizable features for event planners like assigning seats and keeping track of meals and special dietary needs, or even establishing where the pillars are in the room and setting the tables and chairs so attendees are not blocked from seeing the presentation screens. “You can also generate a realistic 3-D photo of the room or send a link of a 3-D rendering of the customized floor plans created,” which can be helpful for clients and planners, he says. Quickly after the Covid-19 pandemic began in March 2020, a new feature was added for social distancing. Users can either input the number of feet between tables or chairs or input the number of attendees per square feet and maximum capacity, allowing for customization based on individual state requirements for social distancing. “They have all of the standards available,” says Davis. “You can make selections and it will run a check on your diagram and note anything that’s in red where you need to make adjustments.”
Typically, the Mountain View Grand is a meeting setting for corporate gatherings and industry associations as well as tour groups, social, military, educational, religious and fraternal organizations. When the state placed stricter capacity protocols in place due to Covid-19, the Mountain View Grand shifted to host smaller-scale weddings and corporate meetings. However, with vaccinations taking place, demand ticked up and restrictions are changing, though safety protocols will remain in place. “We’ve had a huge surge in wedding inquiries. Typically (we) get a lot of inquiries, but I know with the pandemic it’s increased demand for weddings because people aren’t traveling as far,” says Davis, adding, “New Hampshire is more friendly for events right now, and the guidelines are a nice mix — we’re still able to have events.” Organizations in New England are also looking to hold meetings and events within the region, as they can travel freely without restrictions. “Even when we get beyond this pandemic, Cvent Event Diagramming is a useful tool for planners,” says Davis.

MEETING THE PENT-UP DEMAND College’s programs seek to meet expected surge in need for hospitality employees The Seacoast hospitality industry is ready to come roaring back, and Great Bay Community College says it’s ready to help. The college offers an associate degree and short-term certificate options in hotel, restaurant and event management. College officials say they expect to see a surge in interest in the programs as the industry recovers from the devastating impact of the Covid-19 pandemic. More than 18,000 jobs in New Hampshire restaurants and bars were lost to the pandemic, and another 5,400 lodging-related jobs vanished. But they are coming back, and Great Bay is training the workforce for the post-pandemic world, says Dawn Comito, who chairs the program and is its lead professor. “If anyone is interested in hospitality or event management, now is a great
time to get into it. A lot of people left the industry last year, particularly in management. Those people need to be replaced, and their replacements need to be groomed.” Comito says, with more people being vaccinated and the reopening
of restaurants, bars and events to larger numbers, as well as eased travel restrictions, she sees the months and years ahead as “Roaring ‘20s 2.0.” “There is a huge pent-up demand among consumers, who want to get out and go to a restaurant, have a seat at the bar, attend an event. We’ve all been cooped up for a year, sort of in hibernation. People
are ready to get out and have some fun and connect with one another again,” she said. At the same time, Comito is fielding calls from employers seeking qualified, trained employees to fill positions already open and those that will be open soon. One hotel management company in Portsmouth asked if Comito could recommend candidates for 23 positions, from bartender to lobby attendant to catering coordinator. Those employers say it is nearly impossible to fill openings for chefs, bartenders, dishwashers and other positions, and Jason Bartlett, general manager at Wentworth by the Sea, a Marriott Hotel and Spa in Portsmouth, said wages “across the board are at an all-time high. The industry is competing for talent. That is great for everybody looking to be employed and start a career in hospitality. It’s a great time to get in the industry.” She adds: “Hospitality jobs are coming back, and they are coming back fast.”

CAUTION AND ‘FLEXIBILITY’ Star Island’s shares reopening plans for summer 2021 Like so many others, after being closed in the summer of 2020, the nonprofit Star Island Corp. will be reopening in the summer of 2021, “The health and safety of everyone who comes to Star Island is our top priority,” says Star Island CEO Joe Watts. By limiting the number of visitors and conference attendees, instituting new safety protocols, strongly encouraging vaccinations and taking a proactive approach to reducing risks, we plan to welcome people to the Isles of Shoals once
again.” Registration for the 2021 season is now open. According to Watts, new safety measures “will reduce risk while still enabling visitors to connect with one another and the island in a meaningful way. These new protocols include limiting the number of people on the island and restructuring activities from programming to dining.” Watts says conference leaders are re-envisioning workshops, lectures, youth programs, performances and other activities to meet appropriate spacing and other precautions, including a requirement that all overnight visitors provide a negative Covid-19 test result prior to arrival. In fact, says Watts, “overnight guests are strongly encouraged to be fully vaccinated if possible. In addition, all guests will be required
to wear a mask and practice social distancing.” He also says that, to allow for increased cleaning and disinfection, “there will be a gap night in between all stays.” In addition, day visitors who travel by boat to visit the historic site will be allowed to explore the island, but will have to stay within spaces designated for their use and will need to follow a number of health and safety protocols. Nevertheless, says Watts, should there be a dramatic change in circumstances, the organization will respond accordingly. “Flexibility is key. We have also amended our cancellation policy so that conference guests can get a full refund up to the day before their conference start date.”
WHERE EVENT PROS CAN NETWORK New Hampshire Event Professionals group seeks members New Hampshire Event Professionals is putting out the call for members to join the recently formed organization. Membership in the networking group, which holds nine meetings a year, is open to any event professional in New Hampshire. It also presents networking and educational opportunities throughout the year. The meetings have been held virtually, but offi-

So what do we do about planning events now? No matter what, it’s likely business events have been changed forever | By Ernesto Burden
M
any of us hoped, when we were in the midst of tearing apart our spring and summer events last year — trying to metamorphize get-togethers that once hinged on food, drink and warm handshakes into virtual programs that were engaging, useful and modestly entertaining — that the pandemic would have receded enough by the end of 2020 to allow the resumption of in-person events. On Aug. 4, 2020, I attended with optimism a traditional luncheon presentation hosted by the Business and Industry Association of New Hampshire at Manchester Country Club, and hoped it was a brave forerunner that meant we were near a turning point. Instead, that turned out to be the last in-person event the BIA has hosted to date. And here in June 2021, those of us who engineer events as part of our business are still scratching our heads, taking surveys and making guesses about when exactly the time will be right for events, as we knew them, to return. Based on conversations I’ve had with some event pros over the last few weeks, that time may be never. But that may not be a bad thing. 10
Events are evolving, permanently, and the upshot could be higher-quality, healthier experiences, bettertargeted travel and more egalitarian access to important programs. Near term, as New Hampshire moves from “Stay at Home 2.0” to a set of “Universal Best Practices for New Hampshire Employers and Employees,” the question is: What do events look like in the summer, fall and winter of 2021? Will in-person conferences, company meetings, trade shows and the like resume, and what will they be like? This question is complicated and perhaps given broader latitude and cause for optimism by the CDC’s surprise May 14 announcement, just as we were going to press, saying fully vaccinated adults no longer needed to wear masks or social distance in most situations.
Recommendations, not regulations Draft documents released by New Hampshire’s Economic Re-Opening Task Force in April included specific recommendations for different industries. Performing arts venues, for example, had a time frame around less and less distant distance required between

parties, working toward full venue capacity in mid-June. But in the end, Gov. Chris Sununu said this kind of granular guidance for individual industries wasn’t necessary. After May 7, there would be no seating capacity restrictions on indoor or outdoor venues. And the “Best Practices” document contains recommendations, not regulations. As a result, event planners’ constraints are related to what venues, potential attendees and their own staffs, feel safe with. Taylor Caswell, commissioner of the state Department of Business and Economic Affairs and member of the Re-Opening Task Force, describes the new Best Practices as, “severely reducing or eliminating sector-specific guidance documents that have been put into effect,” and predicts that going forward, he expects limitations to continue to ease. “I do not see us getting any additional limitation beyond where we are right now. If anything, it’s going to get less limiting, because of the vaccination success we’ve seen, and the expectation that that’s going to make it a safer environment for everyone.” As for his own take on it, Caswell told me — without hesitation — when I asked if he’d go to a sit-down dinner event this summer, “yes, sure.” Still, event planners and venues remain conservative. Kate Malloy, of Malloy Events in Rochester, says she’s recommending clients who are planning events in the fall work as though the restrictions will be just as they are today. “You can’t assume anything anymore,” she says. “There’s so much to plan.” It will be easier to expand an event planned with too many precautions than the other way around. And she thinks some things you’ll see at events this year are unlikely to change even as time goes on. “There will always be masks at events, sanitization stations at events. … The stigma is gone. We’ve learned as a society, if I don’t feel good, I don’t want to get you
sick, I put a mask on to go to the grocery store.” Similarly, Shawn Monahan, director of sales and marketing at DoubleTree by Hilton Manchester Downtown, says that, for business meetings, his venue is sticking with the six-foot spacing of chairs for theater-style setup for the time being. “We’re still trying to stick to 50% capacity, except for weddings and social events,” he says. Large indoor events are happening in the state now, and event venues are feeling the scheduling pressure of events like weddings being moved to New Hampshire from Massachusetts, where constraints are tighter. “We have a decent amount of events in June,” Malloy says. “Some in person, some virtual, some hybrid. Same with July.” By August she says, the trend is heavily inperson but still reduced in scale. “In August, we have two conferences that are trying … but they are smaller than normal size.” By September, Malloy says, her company is planning an outdoor event for 700 people. Monahan says 1,000-attendee-plus trade shows are also being held, but with a scheduling timetable that requires ticketed entry to the halls, with tickets being meted out in 90-minute intervals. This allows for highvolume events without sacrificing social distancing.
‘Taking the temperature of customers’ Generally, event scale has more to do with the venue than state restrictions, and venues are taking a wide range of approaches, says Karyn Wornick, owner of That! Event Company. “It’s all over the place right now, and I have a feeling it’s going to be this way for a while,” she says. Because of the variability in what venues will allow, and a continuing sense of fear, many people are planning smaller weddings and seeking smaller venues with outdoor options, she says. This was underscored by Caswell. “A lot of this is going to end up being businesses taking the tem-

Event planners remain conservative even as restrictions are eliminated perature of their customers,” he said. “Where is that line where people will be comfortable?” Wornick is also seeing corporate events going forward but on a smaller scale and in hybrid fashion. She recently coordinated an event at a White Mountains resort, for example, to which the company brought in 20 of its executives to meet in person and streamed the event to the rest of the participants virtually. Outside of New Hampshire, the terrain remains varied. While some Bay State event planners are looking from Massachusetts to the Granite State because of looser restrictions, large events are already booming in states like Florida. “I have friends in Palm Beach, and they’re holding events without masks … except for the older people,” Wornick says. (A web search shows many traditional multi-day resort-based conferences confirmed in Florida this summer, though the ones I checked indicated masks would be required in public spaces and conference rooms.)
As for us at McLean Communications — which includes NH Business Review, New Hampshire Magazine, New Hampshire Home and Bride — we kept our events entirely virtual through May 2021. Some were simple, webinar-driven, conference-content type events, and some were larger, high-concept, high-production pieces for which our partners at Edify built us what amounted to a full production studio in our 150 Dow Street offices in Manchester. We pushed our signature Best of New Hampshire event from June 2021 to August 2021 and reworked it from a thousand-person-plus, shoulder-to-shoulder, food-sampling event to an elegant, tented, limitedattendance celebration of art and culture at Canterbury Shaker Village. We plan to return to hosting cocktail receptions in September and larger in-person, indoor events later in the fall and winter. And we’re keeping our fingers crossed. I take some comfort in Caswell’s optimism as he looks ahead, even to the near term. “My hope is that we’re all planning for a record-breaking season this coming summer. All of it. In-person or virtual? There is a lot to consider
S
o you’re hosting an event this summer or fall, what are key things to keep in mind? Your options for size and format are going to vary venue by venue. You’ll need to work with each one directly to get the details. It’s not just about the venue rules. Understand the comfort level of your attendees. And understand the comfort level of your own staff. Venues are booking up. Events have been pushed back, and the fall will get crowded fast. According to Malloy, “Don’t be afraid of Wednesday nights.” Monahan says the level of inquiries for fall events at the Doubletree has already picked up to pre-pandemic levels. In addition to venues, vendors such as event planners, AV and video production companies, tent, rentals, etc., will also be booking up. Don’t wait. Virtual isn’t going away, and your event is likely to have some virtual component. Plan and budget accordingly. Speaking of virtual events … Kate Malloy suspects that for some events, virtual is here to stay. While socially driven events will return to a live format, certain content-driven events will remain hybrid or entirely virtual. She distinguishes, however, between a traditional event with a minimal streaming or video component and a genuine hybrid event. In the first scenario, it’s simple enough to add a camera and stream content presentations to a remote audience while the live event is going on. Or record the presentations and make them available later on. This can help make the content accessible to a much larger group of people, without the expense of travel. In the second, truly hybrid scenario, the goal is to make the experience for remote viewers as immersive
and complete as possible, just as you would if the event were virtual only, which can involve multiple camera setups and other technology challenges. It’s essentially like producing a full-blown virtual event and a full-blown live event, Malloy says. Eric Frank, co-owner of Edify Multimedia (a frequent technology partner of McLean Communications), says, “Businesses have to figure out if they want one-way or two-way communication.” Edify has been doing virtual events for 25 years, Frank says, and the technology has changed radically over that time. He says his company is still booking hybrid events into November. “The hybrid meeting is here to stay, because people are really hesitant to jump back into unnecessary travel,” he notes. But he and Malloy both emphasize that doing virtual or hybrid shouldn’t be an afterthought, and that it comes at a cost. “You need to anticipate keeping a portion of the budget you’ve used for virtual in the live event next year,” she says, citing costs like production fees and fundraising software. “Do you want people to bid in the room and at home?” In some ways, the question event planners have always asked at the outset of a new venture has become even more critical when deciding whether an event should be live, virtual or somewhere in between. “What’s your ‘why’ of your event?” is a question Malloy asks more and more in helping guide clients through critical decisions about structure and format. — ERNESTO BURDEN

In-person events are returning, but technology will be there to enhance the experience

n March 17, 2020, as lockdowns took place around the country and the world, over 10 million viewers around the globe were united by a spunky band of Boston natives. Broadcasting their bold anthems from a studio space in Derry, NH, the Dropkick Murphys concert at Studio Lab provided a glimpse into what would become a lifesaving pivot for the event technology industry. As the months followed, leaders in the event production field across the country grappled with receiving nine to 10 phone calls per day, canceling their live events. The move to produce high-quality livestreaming became a way to not only remain afloat but to grow. This pivot to a livestreaming platform while learning to accommodate a wide range of events in smaller spaces and without live audiences, was also a time of 14
unexpected opportunities. Events United, a New Hampshire-based, full-service events production company, found itself being able to cater to a new variety of clients as it hosted everything from the gubernatorial inauguration of Chris Sununu, to a Girls Inc. fundraiser, to partnering with Ember Events to host productions for Titleist and Bauer.
In-person experience However, over a year later, Tim Messina of Events United isn’t so sure that livestreaming is here to stay. The virtual trend seems to be ending, he says, as attendance to such events has been in a steady decline — so much so that the same Dropkick Murphys’ St. Patrick’s Day concert in 2021 (not hosted by Studio Lab) saw a viewership of only 1 million.

In looking to the future, Messina believes that though there is a push for hybrid events, that’s not the direction where the industry is headed. “I think we’re going to go back to an in-person experience and really focus on that experience,” he says. “The difference now is that during Covid, new technology has been developed that will allow those experiences to be deeper.” Perhaps one of the greatest technological advancements to come from a year of focusing on virtual events has been the use of XR, or extended reality, technology. “A lot of people were able to spend time working on this technology,” says Messina, “and a lot of us have perfected what we do, especially video skills and lighting to make the experiences even better moving forward.” XR technology is a form of a mixed reality environment that operates on four levels: virtual reality (which encompasses all immersive experiences), mixed reality (an overlay of synthetic content that is anchored to and interacts with objects in the world), augmented reality (the overlay of content on the real world), and reality itself (you, the person, interacting). To better help me understand the technology, Messina describes this scenario: “Imagine we’re filming you — you are the reality that is there. On the wall behind you is a mixed reality and virtual reality in one. You have a scene that is fully three-dimensional, and
when the camera moves, its perspective will change in that scene as if it would be in the real world, which then convinces you that the space behind you is real. The augmented reality part of this is that we can put objects in front of you and you can react to them. If you are holding a cellphone, we can place a graph or a chart as though it’s in front of you, coming up from your phone.” Mostly, the technology is used for film, but, Messina explains, “on the event side, it opens up some doors for it to be used live in the future.” However, he says, there are still challenges to overcome. In live events, using XR technology becomes complicated, as it is dependent on a singular perspective, and is limiting when you are creating an immersive event for 10,000 people at the SNHU Arena. XR is just one of the changes and challenges for the industry that companies are embracing as the way forward after a long pandemic of pivots, but it is an exciting one. “One of the things I’ve learned the most this year is to embrace change,” says Messina. “When you have to change to stay alive, don’t just do it to stay alive but because you can be better because of it. Take the risks that go along with that, and at the end of the day, you’ll be in a better spot than you were, because you were able to change.” n

It’s one family vacation idea after another, and the only way to truly appreciate it all is to see it for yourself. Use the list below to learn more about each of New Hampshire’s distinct, yet equally unforgettable, regions.
GREAT NORTH WOODS
DARTMOUTH-LAKE SUNAPEE
Halfway between the Equator and the North Pole, the Great North Woods is at once rugged and inviting. This is where travelers over the centuries have come in search of beauty, adventure and inspiration, while enjoying legendary North Woods hospitality. Here is where you can go take a hike to watch the sunrise before breakfast, go fly fishing after lunch and get dressed up for an elegant dinner at a grand hotel. Whatever your passion, from fine dining to snowmobiling to camping under the stars, the Great North Woods is a destination in which to indulge it.
If only one region of New Hampshire could be known as a study in contrasts, it would be the Dartmouth-Lake Sunapee Region. Named for Dartmouth — Hanover’s Ivy League college — and Sunapee — the crystal clear lake, State Park and mountain, all of the same name — the region includes quiet country roads and rolling farmland, pristine lakes, a bustling hub of higher education and medicine, and some of today’s favorite family activities and recreation.
MONADNOCK REGION
WHITE MOUNTAINS
If one New Hampshire region is synonymous with recreation, it’s the White Mountains. Fortyeight 4,000-foot peaks are found here, along with the highest mountain in the Northeast, 6,288-foot Mt. Washington, but it is the 800,000-acre White Mountain National Forest that truly shapes the region.
For the New England of picture books, you need go no further than the Monadnock Region. Here you’ll find small villages where white clapboard churches and town halls edge manicured town greens. Rolling fields with neatly planted rows quilt the hillsides, and country roads lined by rock walls invite exploration at a leisurely pace.
LAKES REGION
The Lakes Region: The name alone stirs memories of blissful, sunny days spent on the water, the joy of vacations, boat rides and camp, when everything moved at a slow summer simmer, and you connected with people and places that still resonate within you today. Summer may be the Lakes Region’s bestknown season, but wrap the hillsides in spring green, the blazing colors of fall or a thick blanket of snow, and it is every bit as magical. While there are 273 lakes and ponds in the Lakes Region, one lake dominates them all: Lake Winnipesaukee.
MERRIMACK VALLEY In New Hampshire, where the capital’s name, Concord, is a synonym for harmony, it’s not surprising to find music and the performing visual arts central to life in the city and the entire Merrimack Valley Region. The state’s three largest cities — Concord, Manchester and Nashua — have an especially rich cultural life, with a variety of offerings year-round.
SEACOAST
New Hampshire’s seacoast captures the essence of New England’s oceanfront. In just 18 miles of coastline, there are long, sandy beaches, working ports, offshore islands, surf-stung rocks, and popular resort towns and villages that date back nearly 400 years. Many visitors begin their tours of New Hampshire along the coast, drawn by the sound and scent of the sea, and intrigued by all the region offers.
