7 tips for hosting value-driven events P By Keri Laman
lanning an event is a business transaction. Even if it’s as emotionally charged as a wedding reception, clients owe it to themselves to work with a budget. Budgeting for your event will provide your catering team a road map that begins with understanding what might be (or isn’t) possible. Engaging a catering professional can save you money and keep you within those guidelines. Hosting value-driven events allowed me to grow Tidewater Catering Group these past 20 years. It starts with being honest with clients, sharing my feedback and drilling down to what is really needed to bring their vision to life. So, as you prepare for your next event, consider these tips.
Decide what the important elements (must-haves) of your event are On some occasions, if your event is very small in scale, service staff may not be required to stay at your event. I oftentimes recommend a “set up/return to breakdown” scenario. When appropriate, this uses the budget for mostly food and lessens the labor costs. Food and labor costs are drivers, and there are many ways to masterfully navigate those costs while still enjoying a fantastic event.
Be open to options that might save you money It is OK to ask “what can I do to trim back costs” without sacrificing the overall experience. A catering professional will have many recommendations and, once armed with those, you can decide which you are most comfortable with. When collaborating with my clients, I ensure they understand the financial impact of their decisions and offer alternatives when appropriate. For example, requesting passed hors-d’oeuvres or a plated meal to a large group of guests requires more service staff and culinary staff than doing stationary appetizers and a buffet. It’s an efficiency curve, and that labor fee would certainly be in your proposal.
Don’t try to fit a round peg into a square hole If the venue you’re selecting has a lot of restrictions that encumber the catering team and has limited resources (water and electricity on-site and nearby), inadequate workspace, and unreasonable unloading and loading access, be prepared to pay more for their services. Set-up and breakdown logistics can add to labor costs as well. If the service team is unable to efficiently unload and access the ultimate event site, considerations should be made to simplify. Similarly, choose a caterer local to your venue site. 6

Travel fees are a budget’s worst enemy. I prefer to keep our events within 45 minutes of travel each way.
Understand bar and beverage services There is never a one-size-fits-all approach to beverage services. Ask your caterer to offer an on-consumption, non-alcoholic drinks setup for meeting-style events. Inquire about different several levels of alcoholic bar offerings for your event. Perhaps you only want to allocate $1,000 to the bar, and once that amount is reached, the guests will be required to purchase their own drinks. This can be both fiscally sound and a gracious gesture to your attendees.
Knowing your event timeline can have meaningful savings Let’s say your event begins at 5:30 p.m. and ends at 7:30 p.m., and you have a one-hour speaker planned from 6:15 p.m. to 7:15 p.m. That leaves guests with only 30 minutes to enjoy the food provided. Always share the event agenda with your catering coordinator, as they know the best industry recommendation for the quantity of food needed to fulfill the event’s timeline.
Consider the general profile of your attendees and how it can relate to their food and beverage requirements You are hosting an event and the profile of your guests must be a big consideration in planning the menu. It is very difficult, if not impossible, to please everyone’s dietary needs, given the myriad of personal eating requirements many of your guests will have. You cannot fill the table with every item on the menu, so what do you do? Oftentimes, it’s a simple matter of choosing which items do not necessarily need to be offered for your full group. For example, you have a group of HVAC technicians that
a Mediterranean-style orzo pasta salad and bowls of grilled vegetables and hummus for a quarter or half of the group to ensure all bases are covered. Also, consider dessert. Offer cookies for most, but a lovely fruit platter for half of your attendees works well, too.
Build a trusted relationship
are attending an all-day seminar and your attendees will mostly be men. You need to provide a hearty luncheon, but there are certain to be women attending, and the guest speakers are both vegetarians. Tell your catering coordinator this, and let them offer you suggestions. In this scenario, I would offer a hearty hot meal with beef or chicken, a salad and two sides, but also perhaps
Allow your caterer to build a strong rapport with you. Having a go-to catering team that has already worked with you will lessen your stress. In turn, they will not only know what’s important to you, but will also respect the bottom line and work diligently to provide you with the best advice in how to stretch your budget and achieve maximum results. hen it comes to marketing your business, sponsorships have a positive impact on your company. Brand sponsorships provide an excellent opportunity to increase credibility, improve your overall public image and build your reputation. Not only is this a great way to publicize your business and what it stands for, but you can give back to the community or support a purpose that your business aligns with. While there is no doubt that brand sponsorships are beneficial, it’s important to keep a few key points in mind:
Brand sponsorship 101 Brand sponsorships come in many shapes and sizes and include financially or materially supporting an event, business seminar, cause organization, sports team, association, etc. First, the most basic form of brand sponsorship is donating money to a nonprofit cause or an event in your community. This is an excellent way to increase local audience awareness of your brand and its overall message. You may support a local sports team or nonprofit organization that helps those in need. Other forms of brand sponsorship can include the donation of promotional items, supplying products to help a cause, or even contributing branded prizes or exclusive offers to event attendees to support audience engagement. But for businesses, it is about sponsoring a business event or speaking opportunity where you can communicate a key message. With sponsorships, you can increase your brand awareness through email marketing, banner ads, pop-ups or other advertising. Brand sponsorships can look different for every business, and you can amplify your brand and key message by carefully selecting to sponsor events that align with your company’s core values.
Build mutually beneficial relationships Brand sponsorships provide a mutually beneficial relationship in the business world, and they have the power to positively influence your brand awareness and drive sales opportunities. Should your brand choose to sponsor an event or cause, you can expect to:

When your business is deciding what events to sponsor, revisit your messaging and core values, and then seek out events and sponsorships that align with your business’ overall goals and brand identity. By choosing your brand sponsorships with intention, you are not only amplifying your messaging for your audience but also solidifying your own credibility by demonstrating how you endorse your brand’s message firsthand.
Present your business in a positive way Brand sponsorships allow you to present your business in a positive manner, showing the audience how you give back to your community. Consider giveaway prizes that allow attendees to sample your products, which allows them to explore your business — brand sponsorships give your business the positive PR it deserves.
Promote your brand’s message Brand sponsorships are also a great tool to establish your business’s messaging to a wide, potentially new audience. When your brand sponsors an event, you are highlighting a part of your business to an audience that has mixed awareness and varying views on your brand. This opens you up to an exceptional opportunity to take the time to incorporate key messaging into your efforts, using your unique selling proposition, value points and logo on signage. Sponsoring an event is a great way to engage new customers who otherwise may not be exposed to alternative marketing efforts in a low-pressure, positive environment that inspires organic relationships and sales opportunities. Business event audiences want to learn through education and insight and want to be engaged, and harnessing that knowledge, understanding the audience and channeling your brand’s messaging makes you stand out from the competition. This shows your business as a community member that likes to be engaged in the community and give back.
Does brand sponsorship work? Many brand sponsorships include the announcement or display of your business and its likeness in appreciation for your contributions. Use this opportunity to your advantage. You have direct access to a connected, diverse, community-based audience, and you want to make sure that they leave engaged in your brand. Over 90 percent of consumers leave brand-sponsored events feeling positive towards the
business, and to top that, about 85 percent of those consumers will engage in business with you after the event. Sponsoring an event positions your business as a generous community member, empowering customers to shop local and “give back” by association.

osting an event can be stressful. Choosing the right venue for your event is a big decision, but knowing how much time you want to spend in the planning processes can help you choose the perfect space. Sometimes, a DIY or blank-slate venue seems like it will be less expensive, but when you identify the cost for the build-out of all the details required, it can quickly add up. Not only is it expensive, but it can become time-consuming and cumbersome. To skip the aggravation of hiring multiple vendors at higher prices, here’s a few reasons why you should host an event at a full-service venue.
Experienced staff Aside from the obvious benefits that come with a brick-and-mortar facility like electricity and running water, the biggest benefit is that you will be working with an experienced staff. While you can certainly put

together an event on your own, having an experienced team on hand will alleviate your stress. No one knows a venue and its intricacies better than the team that works the space day in and day out. From timeline management and vendor relations to day-of logistics, the on-site team will handle every detail, keeping an eye on all the moving parts so you don’t have to.
On-site catering Your guests will rave about your event if they love the food. You could provide the most unforgettable programing, but if the food is subpar, you’re doomed. On-site culinary teams will guide you through the planning process with ease, helping you navigate allergy questions and menu selection to ensure your guests enjoy their meal. The menu doesn’t have to be complicated for your guests to notice that you took the time to hire a professional catering team.

Fully furnished, customizable spaces Most venues have customizable spaces to accommodate gatherings during every season, but knowing your event can continue in any type of weather is important. When you work with a full-service venue, the event team will help create a floor plan that maximizes the space for your event and answer questions concerning the capacity for the space to help you determine the number of guests that can be safely accommodated. Using a full-service venue will also ensure you don’t miss any of the important details like tables, chairs, dinnerware and linen.

Parking and accessibility Ensuring your guests can easily access the venue and their amenities is important for your guests. Depending on how many attendees you plan to have at your event, you’ll need to make sure there’s enough parking spaces for everyone. A full-service venue will most likely have plenty of parking, including handicap-accessible ramps and automatic door entry. If you have any VIP guests, designated parking spaces can also be made available, so they won’t have to worry about finding a parking space.
Clean-up services Cleaning up after the event is over is almost always an afterthought. If you are working with a DIY venue, you could spend hours breaking down and packing up. Knowing the event team is on board to break down everything at the end of the night is perhaps the best part of all. Planning an event involves many aspects that need to be managed and balanced to achieve success. Creating a memorable event requires a dedication to the planning process. It starts with selecting a venue that not only suits your needs, but one that will allow you to enjoy the event without worrying about the little details. With so many incredible venues all over the state, sometimes the decision-making process can be difficult. If you don’t have time to interview caterers, book entertainment, source staffing or secure the right audio-visual equipment, using a turnkey venue is the best choice for your next event. he landscape of the event industry has changed over the past two years, and technology plays a bigger role now than it ever has. Although the needs from previous events are similar, the expectation from attendees has changed. Love them or hate them, video calls have impacted the way we interact with each other and the way we consume information. Some of us may find great value in physically attending an event, while others find it more valuable to have more time for other things and still attend the event — only virtually.
Hybrid events Keep in account, your audience may not only be in person. They may be at home, at the office or on the road, but you still need to get your message to them or include them in your event. This is where the term “hybrid” event comes from. It’s a combination of an inperson event along with a streaming portion to serve those that are not physically present. It’s important to deliver high-quality content to those attending virtually, because they are most likely watching on the same device that has Disney+, Apple TV+, YouTube, games, email and every other possible distraction at their fingertips. Your content needs to be compelling enough to keep them interested. With this said, you should consider whether the remote audience experience is an important part of your event or if it is necessary at all.
Remote guests What about bringing in a remote guest into the in-person event? This can be done in a few ways — sometimes it’s as simple as pre-recording an interview with said guest and playing the video at the event. Sometimes it’s having them Zoom in, and they are projected onto large screens or TV’s. Another option is to have a small crew travel to the guest and professionally live-stream their presentation or conversation to the in-person event in real time. This allows for high-quality video, faster transitions, and puts the technical burden on a professional crew, but it does come at a higher cost.

CONFERENCES RETREATS
Video content For the in-person experience, video will be more important than ever. This includes custom-sized screens, multiple displays, projection and soon 3D glasses rendering a unique perspective for each guest. Special content can be created to show on these displays, and this is where you can impress attendees. The power of a good story is more compelling and emotional when that story is shared with everyone experiencing it together, all at once. Yes, video can be expensive between content creation and equipment, but it is also one of your most powerful tools as an event producer.

Lighting Consider lighting as the mood setter. LED lighting fixtures have continued to improve over the past decade — they are brighter, have better colors and are more affordable. Properly lighting a room with just a few lights can change the look and feel of that space entirely. Lights can also add depth and texture. Often “painting” different surfaces with light gives the sense of awe and wonder — this works both inside and outside. Our brains react to different colors and brightness levels, and multiple feelings can be triggered by these colors. Lighting is an easy, cost-effective way to add energy to an environment.
Audio Clear audio is simply expected at this point in our technology-driven lives. The $19 Apple EarPods have shown consumers that good audio is easily accessible, and attending an event comes with the expectation that audio should at least live up to that standard. Professional audio can and should be an important part of any event. At a minimum, guests need to be able to hear clearly and certainly not be distracted by the audio system. EarPods don’t allow us to actually feel air movement unlike that of a professional sound system with subwoofers, so there are ways to consider audio as Studio Laban NHBR Ad.pdf 2 5/3/22 1:53 PM a unique and added experience for your guests.
Immersive audio takes multiple sound sources in an environment and allows for three-dimensional sound in a listening area — this is the “wow effect” for audio. This can be similar to surround sound in a movie theater, but the event production team can take that experience even further by utilizing the newest mixing consoles and speaker systems.
All the realities We aren’t quite there yet, but start thinking about how to incorporate augmented reality into future events. PowerPoint slides on big side screens or even IMAG (image magnification) screens won’t be needed. Phones, glasses and maybe even contacts will allow us to see things like graphs, images, videos, IMAG and other content appearing in the space with us. There is no doubt that this is not far off. Studio Lab is already utilizing augmented reality on their XR (extended reality) stage in Derry. They will be utilizing these advances in spatial positioning to add augmented reality items to live events, and when it is ready, a whole new level of in-person experiences will be born. GREAT NORTH WOODS
DARTMOUTH-LAKE SUNAPEE
Halfway between the Equator and the North Pole, the Great North Woods is at once rugged and inviting. This is where travelers over the centuries have come in search of beauty, adventure and inspiration, while enjoying legendary North Woods hospitality. Here is where you can go take a hike to watch the sunrise before breakfast, go fly fishing after lunch and get dressed up for an elegant dinner at a grand hotel. Whatever your passion, from fine dining to snowmobiling to camping under the stars, the Great North Woods is a destination in which to indulge it.
If only one region of New Hampshire could be known as a study in contrasts, it would be the Dartmouth-Lake Sunapee Region. Named for Dartmouth — Hanover’s Ivy League college — and Sunapee — the crystal clear lake, State Park and mountain, all of the same name — the region includes quiet country roads and rolling farmland, pristine lakes, a bustling hub of higher education and medicine, and some of today’s favorite family activities and recreation.
MONADNOCK REGION
WHITE MOUNTAINS If one New Hampshire region is synonymous with recreation, it’s the White Mountains. Forty-eight 4,000-foot peaks are found here, along with the highest mountain in the Northeast, 6,288-foot Mt. Washington, but it is the 800,000-acre White Mountain National Forest that truly shapes the region.
LAKES REGION
The Lakes Region: The name alone stirs memories of blissful, sunny days spent on the water, the joy of vacations, boat rides and camp, when everything moved at a slow summer simmer, and you connected with people and places that still resonate with you today. Summer may be the Lakes Region’s best-known season, but wrap the hillsides in spring green, the blazing colors of fall or a thick blanket of snow, and it is every bit as magical. While there are 273 lakes and ponds in the Lakes Region, one lake dominates them all: Lake Winnipesaukee.
For the New England of picture books, you need go no further than the Monadnock Region. Here you’ll find small villages where white clapboard churches and town halls edge manicured town greens. Rolling fields with neatly planted rows quilt the hillsides, and country roads lined by rock walls invite exploration at a leisurely pace.
MERRIMACK VALLEY In New Hampshire, where the capital’s name, Concord, is a synonym for harmony, it’s not surprising to find music and the performing visual arts central to life in the city and the entire Merrimack Valley Region. The state’s three largest cities — Concord, Manchester and Nashua — have an especially rich cultural life, with a variety of offerings year-round.

New Hampshire’s seacoast captures the essence of New England’s oceanfront. In just 18 miles of coastline, there are long, sandy beaches, working ports, offshore islands, surfstung rocks, and popular resort towns and villages that date back nearly 400 years. Many visitors begin their tours of New Hampshire along the coast, drawn by the sound and scent of the sea, and intrigued by all the region offers.
