Welcome to the Inspired Events family! I, along with my team are delighted and humbled you have selected us to handle one of the most important days of your life…your wedding celebration! Our expertise in the South Florida wedding industry guarantees you will have a flawless planning and wedding experience with true professionals helping you every step of the way. After more than 10 years in the industry, I founded Inspired Events in 2012, using my long-standing relationships with the finest in the industry, ranging from venues and photographers, to florists and wedding gown designers. Together we bring you stellar service, top notch advice, and affordable luxury! Inspired Events was awarded by WeddingWire the Couples Choice Award 20142016, selected by channel 10 viewers as the best wedding place in South Florida, several years running, and Best of Caterer and Wedding Planner in Coral Gables for three years. Most recently inducted into the “Best of” hall of fame for that achievement. Meet Priscilla, your planner: “Priscilla was always available to us via phone/email, which was especially helpful because we had a mostly outdoor venue and a 70-80% predicted chance of rain. Thankfully it didn't rain, but I'm sure Inspired Events could have gotten us through that without any major glitches. ” -Michael, a happy groom

 Each package has 10 planning hours included.  These hours have been calculated based on the complexity of each service included with your package.  Planning hours include texts, emails, meetings, and phone conversations.

 All communication is tracked via planning pod “time entries” tab, and is available for your review on your portal.  Most communication has a value of 0.5 or greater. PDF reports are generated after each communication with any member of our team so you can see how many hours of your planning time you have used at any given time.  Credit is not given for unused time.  Additional planning hours are billed at $100.00 for junior coordinators and $175.00 for senior coordinators

*Available coordination hours are as follow: Tuesday, Wednesday, Thursday 12:00 – 6:00 pm (this applies to appointments, phone consultations, and text messages). Emails will be answered during regular business hours.


As a member of the Inspired Events family, you will be invited to The Wedding Academy by Inspired Events, a monthly seminar series. Free to our clients, we will empower brides with knowledge for their journey of planning their wedding. Guest speakers, do it yourself clinics, field trips, and meditation sessions- we want focus on a holistic approach to wedding planning. Most sessions will take place at our showroom, but depending on the topic location may vary.


Please review and keep this schedule handy. It will help keep your wedding plans on track. -1 week after signing contract: Portal access to www.planningpod.com .

-2 weeks after signing contract: Welcome meeting and initial planning session. Wewill discuss next steps,vendor appointments andscheduling, and general questions you mayhave. -Post1st planning meeting you will submit our schedulingsheet so we can startcoordinating partner-client meetings -1 week after submitting scheduling sheet, we begin setting up your vendor appointments -4 months prior to your event, we will contact you to schedule your tasting. Tasting sessions are held at our showroom one Sunday per month. Tasting sessions are for the bride and groom only. Please review your “What to expect from my tasting” page for tasting details. -3 months prior to your event, we will contact you to schedule your sample floral and linen sample meeting. Floral sample sessions are for the bride & groom only. Usually allocate an hour for this session. At this meeting your final floral decisions will be made and orders confirmed. Additional deposits for upgrades will be collected at this meeting. -1 month prior to your event, we will schedule your walk thru. A member of our planning team will meet you at your venue and review the timeline, floor plan, and final event details. Our “wedding organizer” form will be completed during this meeting. -2-3 weeks prior to your event, we will send you the completed “wedding organizer” form for your review, approval, and signature. Once we have this form signed and returned, we will complete your final invoice. FINAL GUEST COUNT MUST BE SUBMITTED AT THIS POINT SO AN INVOICE CAN BE PROVIDED AND FINAL PLANNING MEETING CAN BE SCHEDULED.

-2 weeks prior to your event we have a follow up and final planning meeting to discuss which partners we will be working with on the big day. This is a one hour meeting at our office. -10 days prior to your event, final payment is due via wire transfer. - 3 days prior to your event you may drop off your wedding favors and day of details including seating chart, table arrangements, and place cards if applicable. PLEASE NOTE TRANSPORTATION OF ITEMS IS LIMITED DUE TO SPACE (3 BOXES MEASURING NO MORE THAN 14X14 OR SMALLER). EASLES MUST BE TAKEN DIRECTLY TO VENUE AS THEY DO NOT FIT IN OUR CAR. If we do not receive a seating chart, table arrangements (layout), and place cards, we will design at our discretion. Please keep in mind tables hold 810 guests MAX. When documentation is not received 3 days prior most tables are set up with 10 chairs (for example if count is 100 guests, we will set up 9 tables of 10, 1 of 8, 1 of 2(sweetheart table), up to the number of guests confirmed -The big day!!! Wedpics.com: Is a free, modern and convenient wedding website that allows you to provide guest information and collect all of your guests' photos & videos into one private location. Keep photos organized with WedPics albums, great for capturing photos of all your wedding events such as the engagement party, wedding shower, rehearsal dinner, reception, ceremony and more! EventFactor.com: Customized music portal to select all of the music for the big day! (available to bride and groom’s selecting the services of our DJ services only.)


Procedure: 1. Fill out form and submit to Priscilla@miamiweddingsandevents.com a. Take vouchers with you to your vendor appointments. 2. Once the appointment has been scheduled, you will receive an email including time and date of meeting, location, voucher, and representative you will be meeting with. 3. Depending on your collection, you have options for your dessert. If you select the dessert bar, our in house baker will be making for you fresh and delicious on the day of your event. If you choose a cake, you will be visiting one of our cake vendors to make your selection. Please choose which vendor you would like to visit so we can schedule the tasting for you. Depending on your collection, the florals are included. Please see below what’s included with each collection so when you meet with our floral team, you already know what comes with your collection.

If you choose photography as one of your little luxuries, we will set up an appointment with our photography partners.

Photo package includes: -up to 5 hours of service -1 photographer -ceremony and reception site only -CD with 250 images – photographer’s choice- client owns right to reproduce


When selecting DJ as a “Little Luxury� service, a conference call will be scheduled to discuss your music portal access and functionality.

DJ Package includes: DJ/MC services for 5 continuous hours 1 sound system Customized Event portal to select songs and create timeline

Please Note: You have 1 DJ who also serves as MC for up to 5 hours. Only 1 set of equipment is included. If you need an additional set for ceremony or cocktail hour a $300.00 fee will be added. Any additional time over the 5 hours is $175.00 per hour.

*If you would like to add lighting or have other entertainment needs for the big day, then an appointment will be necessary. Otherwise, a conference call is included*


What to expect at my food selection session: The food selection session is designed to help you decide what to serve your guests on the big day! Please review everything carefully and let your coordinator know if you have any questions. o

The food selection session is when you select your wedding day menu.

Items to be sampled are based on your package and are selected from the sampling menu below.

o

Not all menu items included with your package are available on the sampling menu.

o

If you would like to sample something not listed in sampling menu, a fee of $150.00 applies.

o

This fee covers substitution of up to 2 items. – to sample additional items, fee varies according to item selected.

o

Remember, the tasting is for bride & groom only. Additional guests (whether eating or not) will be charged a fee of $50.00 each.

o

Estimate an hour for your food selection session.

o

Cancellations must be received no later than 5 days prior. If cancellation is not received in designated time, a $150 fee will apply.

o

Food Selection Sessions are scheduled 1 Sunday per month- we will reach out to you according to the date of your event, as sessions are reserved for our clients in order of your wedding date, no earlier than 4 months prior to the wedding and no later than 2 months prior to the wedding.

Select your best man. Decide how many ushers you need (1 for every 50 guests), and select them. Start making out your guest list. Arrange visit with minister to discuss ceremony. Discuss wedding expenses with fiancée and all parents. Discuss honeymoon plans. If traveling abroad, make legal arrangements (passport, visas, inoculations, etc.). Visit wedding gift registry with fiancée.

Complete guest list, give it to fiancée. Consult with fiancée and order wedding attire for self, best man, ushers and fathers. Arrange transportation (limousines, etc.) for wedding party to ceremony and reception. Complete honeymoon plans: buy tickets, arrange hotel, etc. Order wedding rings and engraving. Arrange to pay for bride's bouquet and going-away corsage; order boutonnieres for men and corsages for mothers.

Plan rehearsal dinner with your parents. Consult with fiancée and arrange lodging for relatives and ushers from out of town. Select gifts for best man and ushers, to be given at the bachelor dinner or wedding rehearsal. Choose bride's wedding present. Something personal, such as a watch or other piece of fine jewelry is traditional. Make sure necessary documents - legal, insurance, financial, medical, and religious - are in order. Give or attend bachelor party. Pick up wedding rings, check engraving. Help fiancée with thank-you notes.

2 Weeks before Wedding: o o o

Make a date with your fiancée to get the marriage license. Arrange with the best man for transportation from the reception to the airport or train. Double check honeymoon reservations and hotel for wedding night.

1 Week before Wedding:

Explain any special seating arrangements to head usher. Put the clergy member's or judge's fee in a sealed envelope and give it to the best man, to be delivered after the ceremony. Get your money and credit cards in order for your trip. Out of the USA? Get your going-away clothes ready so you can change after the reception. Pack for your honeymoon. Arrange to move belongings to new home. Remind best man and ushers of the rehearsal and rehearsal dinner details. Present gifts to attendants at rehearsal dinner. Arrange for rental returns. Be sure you and your bride sign the wedding certificate and see that it is safely put away before leaving on your honeymoon. Have best man send a thank-you note to your bride's parents the next day saying how lovely both the wedding and reception were, and thanking them for all they did.
