Across the Board A MESSAGE FROM THE PRESIDENT By Tonya Petersen, President Welcome to February Amazing Membership! While we have had the continuation of pandemic impact, we are striving to evaluate in-person meetings and look forward to being together as often as possible. January usually presents the wonderful opportunity to welcome the National Apartment Association (NAA) Chairman of the Board to moderate the Greater Cincinnati Northern Kentucky Apartment Association (GCNKAA) Tonya Petersen Miller Valentine Group Installation Ceremony. I am excited to announce, the NAA Chairman of the Board, Don Brunner with BRG Apartments will be in-person at our State of the Industry to install the GCNKAA Directors and Associate Council. We are lucky Don chooses to serve our local market and represent GCNKAA at the national level. We will then move directly into our State the Industry presentation with the renowned Dave Lockard with CBRE. Be sure to register to attend this event at The Oasis Conference Center in Loveland, Ohio, on February 15 at 5:3 pm. The afternoon will start with the Next Gen Committee Happy Hour and the New Member Orientation both starting at 4 pm. All are welcome! An invitation-only Diamond Sponsor Thank You Reception will be held at 4:45 pm and will be followed by the State of the Industry meeting beginning at 5:30 PM. On January 18, we offered an intimate evening to share appreciation for our Committee Chairs and strategically align our GCNKAA committees for 2022. This event was held at The Summit and promoted exceptional brainstorming on how best to support membership, promote GCNKAA and serve the multi-family housing industry through our committees. I look to implement this event each year to achieve increased results in the association’s performance. In addition, I would like to invite YOU to join a committee. There is a varied selection allowing service that suites your passion. Please contact the staff if you would like to join any of the following committees: Legislation, Membership, Education, Next Gen, Social Media, Independent Rental Owners, Trade Show,
Spring/Fall Golf Outings, Business Exchange, Holiday Cheers for Outreach, and announcing our newest committee transitioning from a task force: Diversity, Equity and Inclusion! Please mark your calendars for our annual Trade Show on Tuesday, March 15 at the Sharonville Convention Center. Education classes that you will not want to miss begin at 1:30 pm. National speaker Toni Blake will present Expectation POC Mapping in the first session of classes followed by Amazing Leasing in the second session of classes. Our other national speaker Leah Brewer will present the Art of Hiring during the first session and Uber Closing in the second session. We also have two sessions for maintenance techs instructed by local maintenance experts. Mike Markus with BRG Apartments and Danny Adams with Heritage Hill Property Management will present Financial Impacts of Maintenance during the first session; followed by Maintenance Communications in the second session. The Trade Show floor will then open at 5:00 pm. Our Education committee is making a continued impact for industry education with the Certified Apartment Manager (CAM) course running in February and the Certificate for Apartment Maintenance Technician (CAMT) starting in March. And be sure to keep an eye out for additional seminars in April and May. Finally, I would like to take the opportunity to thank key people each month in having an attitude of gratitude in 2022! This month I have selected Jeff Greenberger with Greenberger & Brewer, LLP. Jeff has served as GCNKAA Parliamentarian longer than I can recall. His service is often behind the scenes yet immensely important to cover liability for the GCNKAA and offer guidance in multiple legal matters that arise. Jeff also works with NAA in completing state leases/addenda for NAA’s Click and Lease Program. I value Jeff’s knowledge and appreciate his partnership with MV Residential Property Management, LLC. Jeff – thank you for all you do. You are an unbelievable enhancement to the association and all of the membership. I am glad to call you friend and thank you for your years of service! The offending individual or company shall also be banned from all future GCNKAA activities, meeting, or other events, until said invoice is paid in full to the GCNKAA and posted. This policy, in fairness to all, is extended to all Primary Members, such that the Primary Members are specifically requested not to violate this policy by bringing as guests of the Primary Member any person employed by a non-exhibiting/non-sponsoring Associate Member or any other business without the express written approval of the Associate Council.

NEW CINCINNATI CITY COUNCIL COMMITTEE FOCUSED ON HOUSING HOLDS FIRST MEETING By Pat Crowley, Vice President of Governmental Affairs A new era in housing policy was launched January 19 at Cincinnati City Hall with the inaugural meeting of the Equitable Growth & Housing Committee. The committee has jurisdiction over several topics of interest to the multi-family industry including: • Residential and commercial incentives and policies. • Zoning and Planning Commission. Pat Crowley • Neighborhood development. • Economic inclusion policies. The committee’s priority is creating and strengthening partnerships the city has with private and public companies and organizations to create the conditions that will foster housing and equitable growth, Committee Chairman Councilmember Reggie Harris said during the meeting. “As in the title of this committee, equity is at the center of what we want to accomplish,” Chairman Harris said. “This committee is going to have a lot of presentations from experts who are doing this work in our city. We want to reshape the narrative about housing in the city.” Committee member Meeka Owens said she is crafting a Tenant Bill of Rights (TBR) that will provide tenants an understanding of the rights they afforded under law to prevent discrimination and exploitation. She added that wants to bring “all stakeholders to the table”, mentioning Cincinnati Metropolitan Housing Authority (CMHA), Legal Aid, landlords, neighborhood councils, and others to work on the TBR. The Greater Cincinnati Northern Kentucky Apartment Association (GCNKAA) is working with Councilmember Owens’ staff so the association is represented in those meetings. As a member of the committee, Councilmember Owens said she wants to work on identifying and rectifying hazardous conditions and safety concerns of residents in multi-family housing and
establishing a path to homeownership for renters. “The committee ... and the Tenant Bill of Rights is another path toward equity and protecting the residents in our city,” she said. Councilmember Liz Keating, also a committee member, said she wants the committee to focus on expanding the tax base in the city by attracting more people and taxpayers to live and work in the city. She also wants more residential density in the city’s neighborhood business districts and improved sustainability by increasing walkability and public transit opportunities. The committee will also focus on restoring blighted buildings. “Redeveloped blighted buildings will help create affordable housing,” Councilmember Keating said. Other members of the committee include Vice Mayor JanMichele Kearney, Jeff Camerding, Liz Keating, Mark Jeffreys and Victoria Parks. NATIONAL APARTMENT ASSOCIATION ADVOCATE EVENT SET FOR MARCH 8, 9 The National Apartment Association’s Washington DC Advocate event has been planned for March 8 and 9. The annual event, which will be held in person this year, provides GCNKAA members the chance to meet with members of Congress and their staffs to discuss multi-family issues. Here is an important note - COVID continues to have an impact on Congressional meetings, which are being limited between five and 10 people. And a Washington D.C. city-wide vaccination entry requirement includes the Grand Hyatt Washington - the headquarter hotel of the Advocate event - as well as restaurants, food halls and bars. Masks are also required. The Greater Cincinnati Northern Kentucky Apartment Association’s 2022 Trade Show is scheduled for TUESDAY, March 15 at Sharonville Convention Center. Due to your feedback, we are keeping the good ideas and adding more to the 2022 show. Here are the top reasons you won’t want to miss out! But act soon! The price rate of $800 per booth expires on Tuesday, February 15! After that, the price increases to $900 per booth! 1. The Invitation Only VIP Preview Hour. Building on 2021, we will personally invite key decision makers at each owner and property management company that is a member of the Greater Cincinnati Northern Kentucky Apartment Association. This personal invitation allows each of them to attend a private preview of the trade show from 4 pm to 5 pm. This offers you more personal time to meet and greet potential new customers as well as conduct business with current customers without the interruption from other attendees of the trade show. 2. New Floorplan. Minor changes have been made again to the floorplan to encourage better foot traffic as well as accommodate more booths. This year the booths remain 8’ x 10’. All booths include pipe and drape, one table, two chairs, booth sign and wi-fi. Premier booths are an additional fee. Other booths are reserved for VIP Sponsors. Electric, carpet and additional tables and chairs can be ordered separately through Sharonville Convention Center or Academy Rentals. 3. Expanded Education Rooms. By creating more education seminars that accommodate more students, we can guarantee a larger attendance of property managers, leasing agents and maintenance technicians when the trade show opens. At the end of these seminars, seminar attendees will flow onto the trade show floor where you have the opportunity to talk with each and every one. 4. More Sponsorship Opportunities. DEADLINE TO ENTER NAA EXCELLENCE AWARDS SOON Each year, NAA’s Excellence Awards, or Excels, recognize excellence and leadership in the rental housing industry. Excels celebrate communities, industry professionals and affiliated apartment associations who make unique contributions to the industry. For the winners, receiving an Excels award represents milestones and outstanding achievement. Applying is easy. BWC’S DESTINATION EXCELLENCE PROGRAM DESIGNED TO PROVIDE ADDITIONAL PREMIUM SAVINGS OPTIONS The BWC’s Destination Excellence Program encourages an employer’s focus on safety and return-to-work for injured workers, and fosters efficient management of accounts and cost control efforts. The Destination Excellence program includes Administrative rebates, Safety Council rebates, an Industry Specific Safety bonus, a Drug Free Safety incentive program and a Transitional Work Grant program and bonus. SAVINGS OPTIONS Go Green: A rebate (1% of premium, which includes any assessments, up to a maximum of $2,000 per policy period) is granted to employers who elect to utilize the BWC’s website at www.bwc.ohio.gov to conduct business electronically. BWC will apply the rebate automatically; no application is required. Online transactions consist of reporting payroll; payment of premium no later than the due date; and any additional transactions that BWC expands to online account management and communications. Lapse Free: A rebate (1% of premium, which includes any assessments, up to a maximum of $2,000 per policy period) is granted to employers with an active policy for at least 5 years and no lapses during that time. “One Time Forgiveness” may be utilized to remove a lapse to become eligible. Predecessor policy lapses do not transfer to successor policy but successor policy must be active for at least 5 years to be eligible. Employers reporting zero payroll in current payroll period, state agencies and self-insured employers are not eligible for this discount. SAFETY & RETURN-TO-WORK OPTIONS Industry Specific Safety Program: A 3% bonus of the employer’s premium is given at the close of the program year to encourage an employer’s focus on safety in the workplace. Employer must complete an online safety management self assessment and completion of one, two or three loss prevention activities depending on payroll. Loss prevention activities include industry-specific training classes, attendance at BWC’s Ohio Safety Congress & Expo and/or onsite field consulting with a BWC safety and health
expert. Drug Free Safety Program: A premium bonus is given for the implementation of a program promoting occupational safety and health for workers which addresses the use and misuse of alcohol and drugs in the workplace. An employer may choose between basic (4% bonus) or advanced (7% bonus) level programs to help their organization prevent on-the-job injuries and illness by integrating drug-free efforts. Safety Council: This is an incentive program that enables employers to receive a rebate of 2% of their annual workers’ compensation premium through program participation and an additional 2% performance bonus based on the reduction of the frequency or severity of claims (reduction of 10% or more compared to the previous year’s frequency or severity or maintaining both frequency and severity at zero). Regular attendance at meetings (requirement of 10 meetings or events between July 1 - June 30 annually) provides an organization with the latest in safety, workers’ compensation and risk management information, techniques, products and services. Transitional Work: This is a grant for employers to establish a transitional work plan and a bonus for employers who use the plan in returning injured workers to work. An effective transitional work program helps injured workers return to productivity in the workplace by providing modified job duties and other methods that accommodate medical restrictions. The injured worker receives a full paycheck with the goal of returning to his/her original job while the employer reduces the costs associated with long-term claims and improves productivity. Grants are 3-to-1 matching grants for companies ranging from $2,900 to $6,300 from 11 to 200+ employees. Up to a 10% bonus available for employers who utilize an established and approved program applicable to claims with dates of injury within the policy year. NAA ANNOUNCES DANICA PATRICK AS ONE OF THREE GENERAL SESSION SPEAKERS AT APARTMENTALIZE 2022 Experience the unstoppable energy of Apartmentalize, where the industry’s thought leaders, trendsetters, and innovators come together to share ideas and solutions. The National Apartment Association (NAA) has recently announced the first of three General Session speakers: Danica Patrick. As a racecar driver, Danica Patrick broke barriers and set records with her ontrack performance. With her racing career Danica Patrick behind her, Danica looks to her next chapter as she focuses on her passions: good food, great wine, fitness and helping others achieve their goals. Danica joined the mainstream ranks by succeeding in the male-dominated world of professional motorsports. Danica was named to TIME’s “100 Most Influential People” list, has graced the cover of many prestigious publications and was featured in pictorials in the 2008 and 2009 Sports Illustrated Swimsuit Issue. She has appeared in a record-setting 14 Super Bowl commercials, 13 of which were for longtime partner, GoDaddy! At just 10 years old, Danica’s racing career began after her parents bought her a go-kart. After winning numerous regional and national go-kart titles, Danica left the Midwest at 16 years old to compete in the cutthroat world of European road racing.
In 2005, Danica stunned the world by leading 19 laps and finishing fourth in her first Indianapolis 500. She became the first woman to lead laps and score a top-five finish in the historic race. In 2008, Danica made history again becoming the first woman to win a major-league open-wheel race in a North American series with her victory in the IndyCar Series Indy Japan 300 race. In 2018, she shattered another glass ceiling when she became the first female host of the ESPY’s – ESPNs Sports Award show, that aired live on ABC. Moving into her next chapter, retired from racing, Danica’s focus has shifted to her role as an entrepreneur and business owner. Taking the lessons she learned from her years on the track, Danica is the founder and sole proprietor of Somnium, a vineyard in Napa Valley, California. In addition to all other rules and regulations relating to the Vendor’s attendance at the Tradeshow, Vendor agrees to comply with All COVID-related procedures that may be implemented by the Greater Cincinnati Northern Kentucky Apartment Association and Sharonville Convention Center, including, but not limited to, testing, mask-wearing and social distancing requirements and restrictions on certain activities that carry higher COVID-related risk, in order to protect as much as possible the health and safety of all Tradeshow Vendors. Failure to comply may result in the Vendor’s exclusion from the Tradeshow, and Vendor will not receive a refund of any fees.

GREATER CINCINNATI NORTHERN KENTUCKY APARTMENT ASSOCIATION EXHIBIT RULES & REGULATIONS 1. AGREEMENT By signing the Exhibit Space Application and Contract, the Exhibitor agrees to abide by these Rules and Regulations and all amendments thereto and the decisions of Show Management. For purposes of this Agreement, the terms “GCNKAA” shall mean the Greater Cincinnati Northern Kentucky Apartment Association, “exhibit hall” shall mean the Sharonville Convention Center, and “Exhibitor” shall mean any company, firm or person who has applied for or been allocated any space at the Exhibit Hall. 2. UNDESIRABLE ACTIVITIES The Exhibitor agrees that his exhibit shall be admitted into the Show and shall remain solely on strict compliance with all the rules herein described. GCNKAA reserves the right to reject, eject or prohibit any exhibit in whole or in part, or any Exhibitor with or without giving cause. GCNKAA’s liability for rejection without giving cause shall be limited to a refund to the Exhibitor of the amount of rental unearned at the time of ejection. However, if an exhibit or Exhibitor is ejected for violation of these rules or any other stated reason (with cause), no return of rental shall be made. Exhibitor shall not exhibit any merchandise other than that specified in the application. 3. BOOTH ASSIGNMENTS Booth selection by Exhibitor is available on a first-come, first serve basis and there is no first right of refusal. GCNKAA’s confirmation of requested booth space is final and shall constitute an acceptance of the Exhibitor’s offer to occupy space. Confirmation will be made only after receipt of the Exhibitor Agreement and the appropriate booth fees. After confirmation, space location may not be changed, transferred, or canceled except upon written request and with the subsequent written approval of GCNKAA. Not withstanding the above, GCNKAA reserves the right to change location assignments at any time, as it may, in its sole discretion, deem necessary. 4. SPACE RENTAL Exhibitor fee includes a 8’x 10’ exhibit space, materials to define exhibit space (pipe & drape), a two-line sign showing Exhibitor’s company name and booth number, one 6’ table with skirting, two chairs and wifi access. No signs or advertising devices shall be displayed outside the exhibit space other than those furnished by GCNKAA. Booth displays not to exceed nine (9) feet in height across the back. No backdrops or booths higher than five (5) feet in height are permitted along the sides of the booth. Booth displays cannot block neighboring booths. Electric, carpet, additional table and chairs, and landlines are available at Exhibitor cost through separate contracted vendor. 5. USE OF DISPLAY SPACE A. Restrictions on Space Rental: Exhibitor may not sub-let, sub-divide or assign his space nor any part thereof, nor purchase multiple booths for the purpose of subletting or assigning to third parties, nor permit in his booth non-exhibiting companies’ representatives without the express written permission of GCNKAA. Only companies or individuals that have contracted directly with GCNKAA shall be allowed on the show floor as an Exhibitor. Failure to comply with this provision shall be sufficient cause for GCNKAA to require the immediate removal of the exhibit and/or the offending Exhibitor at the expense of the Exhibitor. Failure to comply may also result in forfeiture of all further rights to exhibit at future shows sponsored by GCNKAA together with all fees paid. GCNKAA may lease any space so forfeited to another Exhibitor and retain all revenues collected. B. Exhibitor shall design and maintain the general theme and tenor of show. 6. INSTALLATION AND REMOVAL GCNKAA reserves the right to fix the time for the installation of the booth prior to the show opening and for its removal after the conclusion of the show. Installation of all exhibits must be fully completed at least 30 minutes prior to the opening of the Show. Failure to adhere to this requirement could restrict Exhibitor’s entry into any future shows produced by GCNKAA. Any space not claimed by 3:30 p.m. on Monday, March 14, 2022, may be resold or reassigned without refund. All exhibits and booth materials must be removed by 9 p.m. on Tuesday, March 15, 2022. 7. EARLY REMOVAL OF EXHIBITS NOT ALLOWED No exhibit shall be packed, removed or dismantled prior to the closing of the Show without written permission from GCNKAA. If the Exhibitor acts in breach of this provision, it shall pay as compensation for the distraction to the Exhibition’s appearance, an amount equal to one-half of the total space charge for the Exhibitor’s allocated area, in addition to all sums otherwise due under this Agreement. 8. EXHIBITOR APPOINTED CONTRACTORS (EAC) Any exhibitor using an EAC agrees to notify GCNKAA of such appointment and agrees to indemnify and hold harmless GCNKAA, the exhibit facility, and their respective officers, directors, staffs, employees, and agents and all official contractors from any and all liability or losses for any act, complaint, damage, or loss to any other Exhibitor, the exhibit hall, the property of any contractor or any consequential damages arising out of any such act of loss from the time the independent EAC first arrives at the hall until the final move-out is complete. The Exhibitor further agrees that GCNKAA may prohibit the EAC from working in the hall if the EAC does not fully comply with all rules and regulations set forth for them at this event. Any Exhibitor using an EAC agrees to advise its EAC of all rules and regulations. 9. PROHIBITED ACTIVITIES A. All demonstrations, sales activities, and distribution of circulars and promotional material must be confined to limits of the Exhibitor’s booth. B. Exchange of money or consummating the sales of goods or services on the exhibit floor is prohibited. Orders may be taken for future delivery only. C. Exhibits which include the operation of musical instruments, radios, sound motion picture equipment, public address systems, or any noise-making machines must be operated so that the noise resulting from there will not annoy or disturb adjacent Exhibitors or their patrons. Exhibitor represents and warrants
that no musical work protected by copyright will be staged, produced or, otherwise, performed via either “live” or “mechanical” means, or by or on behalf of Exhibitor, unless Exhibitor has previously obtained written permission from the copyright owner’s designee (e.g., ASCAP, BMI, or SESAC) for such use. D. Exhibitors are prohibited from displaying any devises or objects in the booth that exceed the height of the back wall (9 ft.) without prior written approval from GCNKAA and the exhibit hall. No backdrops or booths higher than five (5) feet in height are permitted along the sides of the booth. Booth displays cannot block neighboring booths. E. Exhibitors are not allowed to conduct any activities that could be considered an illegal lottery under Ohio law. F. Electrical equipment that is not UL approved may not be used in the exhibit hall. No wiring, installation or spotlights or other electrical work shall be done except by the electrical contractor authorized by GCNKAA or exhibit hall. G. Approval for distribution of food items must be obtained by the Sharonville Convention Center prior to the event. H. Sharonville Convention Center prohibits the use of glitter, confetti guns, fireworks and helium balloons inside their facility. I. Live animals (except service animals) and firearms are prohibited inside SCC. 10. CANCELLATION BY EXHIBITOR The Exhibitor specifically recognizes and acknowledges that GCNKAA will sustain losses if the Exhibitor cancels its exhibit space after it has been assigned and confirmed by the GCNKAA. Due to the difficulty of determining said losses, the Exhibitor agrees to pay the following amounts as liquidated damages, and not as a penalty, all cancellations must be received in writing. Booth cancellations received after November 1, 2021, and prior to February 15, 2022, will be issued a refund minus a $100 administrative fee. Booth cancellations after February 15, 2022, will forfeit all booth fees and will be responsible for full booth payment. Upon cancellation by the Exhibitor, GCNKAA has the right to resell the space and retain all revenue collected. 11. CANCELLATION OR POSTPONEMENT OF SHOW In the event that any unforeseen occurrence shall render the fulfillment of this Agreement impossible by GCNKAA, the parties shall mutually amend or terminate the agreement at GCNKAA’s option. The Exhibitor hereby waives any claim against GCNKAA for damages or compensation. GCNKAA may return a portion of the amount paid for space after deduction of any amounts necessary to cover expenses incurred in connection with the show. Such expenses include, but are not limited to all expenses incurred by GCNKAA as a result of contracts with third parties for services or products incidental to the show, and all overhead expenses attributable to the production of the show. No monies will be returned should the dates or location of the show be changed by GCNKAA, but Exhibitor will be assigned space that the Exhibitor agrees to use under these same rules and regulations. GCNKAA shall not be liable in the event the show is interrupted, canceled, moved or dates changed except as provided herein. 12. ERRORS AND OMISSIONS GCNKAA assumes no responsibility or liability for any of the services performed or materials delivered by official show contractors or other suppliers to the show, their personnel, or their agents. 13. LIABILITY AND INSURANCE A. All property of the Exhibitor remains under its custody and control in transit to and from exhibit facility, during installation and removal, and while it is within the confines of the exhibit facility. Neither GCNKAA, the service contractors, the management of the Sharonville Convention Center nor any of the officers, staff members, or directors of any of the same are responsible for the safety of the property of Exhibitors from theft, damage by fire, accident, vandalism or other causes. The Exhibitor expressly waives and releases any claim or demand he may have against any of them by reason of any damage to or loss of any property of the Exhibitor. B. Exhibitor understands that neither GCNKAA nor any sponsor carries business interruption and property damage insurance coverage for loss or damage of Exhibitor’s property. The Exhibitor agrees to obtain adequate insurance during the dates of the trade show, including move-in and move-out days, and shall be prepared to furnish a certificate of insurance to GCNKAA. 15. ENFORCEMENT OF REGULATIONS GCNKAA has full power to interpret and enforce all regulations of the show and the power to make amendments and/or further regulations, orally or in writing, that are considered necessary for the proper conduct of the show. Such decisions shall be binding on Exhibitors. All Exhibitors agree to be bound by terms of GCNKAA’s agreement with the facility in which the show is held. 16. CONFLICTING MEETING AND SOCIAL EVENTS In the interest of the entire Show, the Exhibitor agrees not to extend invitations, call meetings, or otherwise encourage absence of members, Exhibitors, or invited guests from the educational sessions or exhibit hall during the official hours of the sessions or show. Hospitality suites may not be reserved without prior approval of Show Management. 17. WAIVER Waiver by either party of any term or condition or breach shall not constitute a waiver of any other term or condition or breach of this agreement. The rights of GCNKAA shall not be deemed waived as specifically stated in writing and signed by an authorized representative of GCNKAA. 18. SEVERABILITY In the event any provision of this Agreement is held invalid or unenforceable then neither the remaining provisions of this Agreement nor other applications of the provisions involved shall be affected thereby.

Electric Connections Rates quoted for electrical connections cover only the bringing of service to the booth in the most convenient manner and do not include any special wiring. All wiring and electrical work on exhibitor’s display will be charged on a time and material basis. All equipment must be properly tagged and wired with complete information as to type of current, voltage, phase cycle, horsepower, etc. It is the exhibitor’s responsibility to avoid overloading circuits. All connections will conform to the National Electrical Code, City Code and Building Regulations. Electrical power for lights and displays will be turned on one hour prior to show opening and turned off at show closing. I am counting down the days until Spring and ready to see the sun! And, let’s not miss the opportunity to celebrate our hometown team - the Cincinnati Bengals - on their incredible achievement in their division. I have LOVED seeing all the orange and black each week supporting our local team. Megan Lawhon As we are continuing our move into 2022 and still wrapping up some initiatives from 2021, I feel it’s important to acknowledge the incredible contributions that were made to our wonderful AAO partnerships in 2021. The Board of Directors approved and contributed the following dollars: Rent Assistance received $140,000; Food Pantry Donations received $100,660; Summer School Supply Donation received $13,536; our Emergency Fund donated $3,176; we provided $2,438 in Education Scholarships; and lastly, contributed $975 to our Senior Events. THE POST-COVID EVOLUTION OF AMENITIES By Andrew Ruhland
The way the multifamily industry operates during the pandemic continues to evolve, and community amenities are no exception. From presenting online cooking classes to reconfiguring amenities spaces for social distancing compliance, rental housing and the amenities within the industry are changing. Are operators adapting as they should be? As with everything, the pandemic has forced the industry to re-evaluate what amenities communities offer and become more creative with which amenities are not only appropriate for the times but will last beyond COVID-19. However, that’s not necessarily a bad thing. It has opened new opportunities that weren’t even considered before, and in many ways, this is the industry’s time of enlightenment. During the 2021 Apartmentalize session, “The PostCOVID-19 Evolution of Amenities,” industry leaders discussed how they adapted quickly to the continuous changes, while keeping residents safe and engaged in our new normal. Three areas that operators can effectively adjust fit the times are by creating community spaces within buildings, making upgrades to apartment homes and providing community activities to instill a sense of camaraderie among residents.

Hideaway desks, swivel lighting and sound-reducing materials are becoming in-demand features to support those who work from home. Altering lighting is an easy way to change the mood in a room and allows residents to have a “different” space, even while in the same room. In fact, searches for “vibey lighting” have increased by 400%, illustrating the desire people have for that in their home.

COMMUNITY ACTIVITIES Having a sense of community enhances the quality of life for all residents. This can be done in a number of ways, including online classes and activities, sport courts, outdoor living spaces, community gardens and large open spaces for residents to congregate. When creating outdoor spaces, be sure to install heating lamps and shaded areas, making it comfortable year-round. Operators are finding that if you provide it, residents will use it. “Getting people the stuff that equates to what their backyard would have, be that grilling areas or the community garden or just a fire pit, that’s what people are looking for,” said Holli Beckman, Vice President of Marketing and Leasing Operations at WC Smith. “On the community gardens, we’ve installed these at multiple communities, and we actually have to have a lottery now for the plots,’’ she added. Residents working from home and spending more time at home will continue for the foreseeable future, so investing in practical, useful amenities will remain relevant well into the future. “Market based on what consumers say, but operate based on what consumers do,” said Beckman.

THE STATE OF MENTAL HEALTH, WELL-BEING IN THE APARTMENT INDUSTRY Results of a national survey on the state of mental health, well-being in the rental housing industry now available. Mental and emotional health are always important topics, and they have become even more vital during the pandemic and the resulting staffing challenges elevating pressures on multifamily team members. The National Apartment Association (NAA) and its Mental Health subcommittee partnered with Swift Bunny to evaluate employee wellbeing via a national survey. The goal of the study was to raise awareness of this critically important topic, identify areas which require attention and allow NAA to provide member resources. Despite this survey dealing with personal and sensitive topics, the reaction from the industry was significant. More than 2,300 employees responded, including corporate office personnel, regional operations team members and onsite employees, who represented 73.5% of respondents. The results were analyzed and mental and emotional health were discussed in a December 2021 webinar, “NAA’s Mental and Emotional Health Survey: Challenges Facing Today’s Workforce.”
One of the more shocking findings was that nearly a quarter of respondents said they are unsure if employee well-being is a priority at their company. And just over one out of four employees are unsure or unlikely they will be with their current company within the next 12 months. The study used an Agreement/ Importance (A/I) algorithm to score employees’ feelings on a particular topic. The lowest ranked topic was, “Overall, I feel less stressed than I did a year ago,” with less than 36% of respondents agreeing. Employees were concerned with the labor shortage, wages and unrealistic deadlines. Despite it ranking second highest in importance, “In the last month, my mental and emotional health has not interfered with my personal life,” only a third of respondents agree or totally agree with the statement. Other topics included workload stress, work-life balance, the relationship between mental health and productivity at work, company culture and working more than 40 hours per week. Simply communicating new policies and procedures is not enough; companies must also be able to measure adherence. It was one of the many headspinning aspects of life in the rental housing industry during the early days of the pandemic: The need to continually update policies and procedures because of health concerns and remote work. And while policy changes may not be happening at the same lightning-fast pace as they were in March 2020, they continue to occur regularly. According to panelists on the “Emerging Issues: Best Practices for Employee Communication & Engagement in Policy Compliance” session at Apartmentalize 2021, the swiftness of these updates can leave associates feeling overwhelmed and at risk of not following important new procedures that are designed to protect them and residents. “In the early days of the pandemic, some companies reported that they were seeing 39 policy procedure changes just in one week,” said Daniel Cunningham, CEO of Leonardo247.

“Thankfully we’re not quite there anymore. However, one of the things that really came to the forefront is the importance of communicating policies and procedures out into the field and making sure those procedures are received, acknowledged and adhered to.” Making sure that, in a big-picture sense, employees are engaged with their jobs is important to policy adherence, panelists noted, as satisfied associates are more likely to follow procedures and stay on top of
updates. Debbie Phillips, President of The Quadrillion, explained that research she conducted for her Ph.D. dissertation pinpointed three significant drivers of employee engagement and satisfaction. “Number one is, ‘I trust my supervisor,’” Phillips said. “The second one was, ‘I have the opportunity to do what I do best every day.’ That’s when associates are playing in their ‘genius zone,’ when their strengths are matched to the job. And the third one was, ‘I’ve had the opportunity to learn and to grow in my job.’” It’s also impossible to overstate the importance of having software to track employee adherence to policies and procedures, the panelists said. “In the past, the only indicator you’ve had to know if you’ve got a problem in communicating policies and procedures is if you have a problem,” Cunningham said. “You have somebody who complains, you have a piece of equipment that breaks down or unfortunately you get sued. Those are lagging indicators that you have unmitigated risks at your properties and that you probably have some level of non-adherence to policies and procedures. “There’s now software that’s doing a better job at helping you transfer policies and procedures into action,” Cunningham added. “This kind of software has tasks that can be tracked and real-time visibility into whether those things are being done. So now, for the first time, you have leading indicators into whether you have issues at your properties with compliance, with adherence to your policies and procedures, and with training and that sort of thing. That’s a real blessing for our industry.” In the end, simply communicating new policies and procedures is not nearly enough, Phillips emphasized. “It’s not sufficient to distribute the policies and procedures you’ve written to people,” she said. “It’s not sufficient to train people on the policies and procedures you’ve distributed to them. You need to be able to measure adherence to those policies and procedures. RESIDENT TEXTS: BREAK ON THROUGH TO THE OTHER SIDE By Tom Sheahan
Historically, a flyer pinned to a board in the lobby was one of the most effective methods for mass communication to residents. Today, although many boards remain, owners and operators have a slew of additional communication tools at their disposal. While many remain loyal to emails, an increasing number of apartment communities have tapped into texting to connect with residents quickly and effectively. Texts offer a fast, affordable and reliable communication channel. According to research from OpenMarket, 83 percent of Millennials open texts within 90 seconds of receipt. And older research from Gartner revealed 90 percent of all people read texts within three minutes of receipt, with a 98 percent total open rate. That said, there is one downside to texting that is becoming more prevalent: Not all text messages are reaching residents. WHY THE DISCONNECT? Owners and operators intending to reach out to their entire list of residents often are using software that enables bulk text sends. This is convenient and affordable, allowing them to quickly reach hundreds or even thousands of people at a time. However, mobile carriers have a long history of blocking certain messages, and they are continually growing more stringent about the types of texts and the content within them. When carriers see the exact same messages going to hundreds or thousands of phone numbers, it gets there attention, and not in a positive way. U.S. mobile carriers AT&T and T-Mobile are now requiring new fees and processes for any business looking to text groups of people. The rules, which went into effect this summer—called “10DLC” after the 10-digit long codes that businesses use to text people—may make message blocking an even more common occurrence. Often, the person who scheduled the send doesn’t even realize the messages were blocked, because most software doesn’t automatically alert the sender (you can usually only see the message failed if you take the time to log into the software, which not everyone does). HOW TO BREAK ON THROUGH TO THE OTHER SIDE The good news is general advice for sending messages that will make it to their intended recipients enables apartment communities to keep residents in the loop about changes, events and more, without disruption. • Send personalized messages: Personalization is the key to messages that don’t get blocked; look for a texting software that will allow you to easily accomplish this. For property managers and owners, this can mean either including the person’s name within the text, or naming the property within the message. Mentioning a specific payment or date or other detail can also count as personalization. Not all messages that lack personalization get blocked (you’ve probably received many that didn’t), but that’s because carriers don’t catch everything, but make no mistake, they are paying closer attention than ever before. • Show full URLs: Because carriers want to avoid having

their customers receive spam by any means necessary, revealing the URL’s domain name can help alleviate their concern. Avoid using website link shorteners, which may look largely promotional in nature (whether that was the intention or not). Use full URLs when links are required. • Always include an opt-out option: Under Telephone Consumer Protection Act (TCPA) rules, it’s required to receive an opt-in before properties can start sending messages to their residents. Also required is the ability to optout at any time, so preserve that option in every single text. A message like “Reply STOP to unsubscribe” works well. • Send only relevant images: Most texts to residents shouldn’t require an image; however, if there is an image that needs to be sent, ensure it is truly relevant. If the image does not pertain to the text, it could be blocked. • Regularly update your resident texting list: If people regularly opt-out of your messages, it can be a red flag to carriers. Enough red flags, and a sender might become blacklisted from sending messages altogether. To combat this, make sure your lists are constantly updated when people move out or new residents move in. • Keep content clean: This is hopefully obvious, but keep texting content straight forward, informational in nature and clean. The acronym “SHAFT” describes content that is forbidden or subject to additional rules: • Sexually inappropriate • Hate speech or profanity • Alcohol • Firearms and depictions or endorsements of violence • Tobacco (including vaping), or endorsement of illegal or illicit drugs Text messaging is a powerful tool for property managers, when it’s used well. Used too often or to promote irrelevant information, and apartment residents will unsubscribe. Used without personalization, relevant images and full URLs, and carriers will block the messages. When property managers and owners keep these tips in mind, they can continue to utilize text messages to keep residents informed and engaged within their home and community.
