Welcome and thank you for your interest in NAHT’s conferences. Our sponsors and exhibitors are integral to our conferences. In 2019 we aim to deliver a more holistic approach, bringing the whole conference together for delegates and helping you make the best of your opportunity to engage with them. We’ve reviewed what we do and we’re offering different packages at different rates, many of which will cost less, recognising that many people would love to exhibit but the cost precludes them. We’ll consider additional discounts on application, as well as bespoke arrangements and contras. We also aim to do more for you: provide more time with delegates, greater engagement, greater footfall, and more incentives. We’ll do this by adjusting the layouts; containing the ratio of exhibitors to delegates; increasing the noise before, during and after our conferences; reviewing our programmes and the way the exhibition times are presented; maximising the use of our venues. We hope you’ll play your part in this too. It’s essential that you continue to deliver interesting, relevant, thought-provoking, high-quality, up-to-date, practical content. We encourage you to engage our delegates in different ways: more interactive displays, testing your products, giving something to our members, doing something different, and so on. We believe the value of networking is often equal to or greater than direct sales generated. Our 2019 conferences will enable networking and opportunities for collaboration both during and after our conferences. Terms and conditions of booking 1. Definitions In these terms and conditions, the term ‘sponsor’ or ‘exhibitor’ means any person(s), firm, or company that has made an application for and been granted a sponsorship, exhibition, or promotional package at an NAHT event, as detailed in this document. The terms ‘package’ or ‘packages’ refer to any sponsorship or exhibition package, as detailed in this document. The term ‘exhibitor manual’ means the manual drawn up and supplied by NAHT in advance of the conference. 2. Request to sponsor or exhibit A request to sponsor or exhibit as part of an NAHT conference or event must be made to and confirmed by NAHT in writing. No booking is confirmed until completed and paid for on the NAHT booking system, currently Eventbrite at the time of printing. No reservations will be held. NAHT has sole discretion and, without giving notice to the sponsor or exhibitor, may reallocate the package to another party and the application will be deemed to have been rejected. Discounts may be available on request, but are dependent on availability and other bookings. All bookings are considered on a first come, first served basis. NAHT may require an explanation of what will be promoted to delegates before accepting a booking and reserves the right to refuse any booking. Once the packages are sold out, a waiting list will be operated. 3. Allocation of exhibition space Reasonable efforts shall be made to allocate to the sponsor or exhibitor the requested stand space. However, NAHT has the right to make changes to the layout and stand allocation at any time. 4. Payment All payments must be made in accordance with the terms and methods of payment set out on the NAHT booking system, currently Eventbrite at the time of printing. In the event the sponsor or exhibitor fails to meet any such payment obligations, NAHT reserves the right to resell or reallocate the stand space and the provisions of paragraph five (below) relating to cancellation charges shall apply. 5. Cancellation (i) If the sponsor or exhibitor wishes at any time prior to the date of the conference to cancel or reduce the package, then written notice, stating the reasons for such cancellation or reduction, must be given to NAHT’s professional development department. For the avoidance of doubt, NAHT shall not be obliged to accept the sponsor or exhibitor’s notice and shall be entitled to resell the package. (ii) In the event that NAHT accepts the sponsor or exhibitor’s notice of cancellation or reduction of package, or in the event that NAHT terminates the contract with the sponsor or exhibitor for whatever other reason, NAHT shall have the absolute discretion (but without prejudice to any other right or remedy available to NAHT and without being under any liability to refund or reduce any payments due under these terms and conditions) to reallocate or resell the stand space allocated to the sponsor or exhibitor and to apply the following cancellation charges:

The cancellation charges may be deducted from monies paid by the sponsor or exhibitor. Any balance shall be returned without interest. If the monies already paid by the sponsor or exhibitor are insufficient, the sponsor or exhibitor shall forthwith pay NAHT the balance of the cancellation charges. (iii) The sponsor or exhibitor hereby acknowledges that the above amounts represent reasonable compensation for the costs incurred by NAHT as a result of the cancellation and that they do not represent a penalty. (iv) In the event the sponsor or exhibitor notifies NAHT of its desire to reduce the booked package, NAHT shall be entitled to resell or reallocate such excess package(s) and to apply the scale of cancellation charges set out above. 6. The exhibitor manual NAHT will only share delegate details from those who have given their consent. Any contacts made on the day are between the delegate and the exhibitor. 7. Undesirable activities If at any point before or during the conference it appears to NAHT that the sponsor or exhibitor may be engaged in activities which are deemed to be contrary to the best interest of NAHT or its conference, or which appear unethical or to be in breach of the law, NAHT may, without being under any liability to refund or abate any charges paid or due herein, cancel any package(s) which may have been made to the sponsor or exhibitor and require them forthwith to vacate, and refuse the sponsor or exhibitor the right to participate further in the conference. 8. Insurance The sponsor or exhibitor shall carry public liability insurance against personal injury, death, or damage to or loss of property by any cause whatsoever. If proof in writing of such insurance is not received by NAHT on request, NAHT, without being under liability to refund or abate any charges paid or due herein, may cancel any allocation of package(s) and shall be entitled to resell or reallocate such package(s). The sponsor or exhibitor shall also ensure they have full indemnity insurance against the usual risks in respect of all loss, damage or injury to goods and person. 9. Cancellation or changes including location and date NAHT has the right to cancel, relocate or change the date of all or any part of the conference or reduce the planned period for the preparation, display or dismantling of the exhibition, and in such event any refund payments to the exhibitor shall be at the absolute discretion of NAHT. NAHT won’t take responsibility if delegate numbers are lower on the day due to things outside of our control e.g. snow.
