Protect your valuable data! By Aggie McCutchion, Solution-I Design Ltd

o matter how small or large your business, no doubt you are storing a vast amount of data on the computers, maybe some important documents, files or your client database. What would happen if you lost all this important information?

These days power cuts happen more often which can affect your systems and make things to go wrong. You or your employees are probably surfing the web for information; have you got protection against malicious viruses attacking your computers. A virus can cause havoc with your systems and possibly damage or delete important files. What if you accidentally delete a file or a document you have been working on for a long time? How many hours or days would it take you to recreate it if your data is not saved? The good news is that you can put some simple protective

measures in place to prevent the data loss and save yourself the unnecessary stress. Here are a few tips on how you can prevent data loss: • When you are working on a document/file make sure that you are saving it every so often. Some systems can do it automatically, so make sure that the option is enabled and set a time you would like the system to save it i.e. every 5 minutes. • Your PCs can be protected from power spikes in electricity or power surges caused by storms which can destroy your computer and subsequently you might lose data. To prevent problems plug the PC power cable in to a surge protection power block. • If you are a business with a network and a server, save your data onto the server rather than onto your laptop or PC. The server will probably have protective measures in place and your network administrator will be able to retrieve your file

from backup. Obtain professional advice if you have a server and are not sure if it has a backup schedule. • Make sure that your PC or laptop has antivirus and internet security on it to prevent any malicious viruses attacking your computer and deleting files. • You can save a copy of your data to an external hard disc or flash drive if no other backup method is available. • There are also many companies which offer, for a fee, to store your data or even software for you externally. There are also companies providing online applications through which you can save your files via the internet to their servers. This is termed as "cloud computing". This will not only allow you to retrieve your data if lost but will also save on storage space on your system. Follow these basics and your IT will support your business as long as you do !

LANDLORDS BEING FINED! The Letting sector is under constant scrutiny from the Government and being up to date with legislations is not only vital but could cause you being fined thousands of pounds. In this feature I would like to draw your attention to Gas Safety Certificates. This is a legal yearly requirement and all gas appliances must be tested. You may not be aware, but 30 people a year die from carbon monoxide in the UK and if death is caused by a Gas Safety Certificate not being in place then it is a criminal offence and you could be charged with manslaughter. Last year a Landlord who owned a number of properties had allowed one of his Gas Safety Certificates to lapse. He was fined £4000 and £3719 in costs. Last year a tenant (in London) smelt gas and telephoned Transco. It transpired that the Landlord had fitted the boiler himself and was not a Corgi registered engineer. He was fined £6000 and £4,478 costs. The Government are keen to make sure that Landlords adhere to the right regulations and there is talk of Landlord Licences coming in. Protecting Your Business From Others’ Insolvency By Susie Smith, Dickinson Manser

T

he insolvency of contractors, customers or tenants can have a devastating impact on businesses. This article aims to highlight some things you can to help shield your business from the effects of such insolvencies. You should always consider what financial position the other party is currently in before agreeing to the deal. It is wise to seek references and obtain credit checks where ever possible. You should also consider whether it is possible for you to obtain some form of security for the performance of the other party’s obligations. For instance the following forms of security are common in many situations:• Guarantees from parent or group companies or from directors or third parties. • Performance Bonds • Rent Deposit Deeds. The availability of such security will depend on the situation of each party and the transaction itself. You should seek legal advice on the terms of such security and its suitability. The terms of the contract governing the business relationship will also determine the impact any insolvency has on the other party. If the contract is to run for a period of time or there is to be a delay between payment and delivery of goods or services, the contract should always specify what will happen

should an insolvency arise. For instance must the solvent party continue to make payments under the contract? The contract can also be used to encourage the other party to make payments promptly by including incentives for early payment and making it clear that interest will be charged on late payments. Where goods are involved, there are additional issues which the contract should address, such as when the ownership in the goods passes. At common law the ownership of goods normally passes upon delivery. Therefore, if goods are delivered before full payment is received ,it may be wise for the supplier to ensure that a retention of title clause is included so that they can claim back the goods if the purchaser enters insolvency proceedings before paying in full. It may also be wise to obtain an off site materials bond if the goods are being paid for but stored by the seller after payment. Whether you are relying on an individually negotiated contract or the standard terms and conditions of one of the parties you should always consider whether the terms of that contract are adequate, suitable and legally enforceable. Taking legal advice before the contract is entered into can save a lot of time, money and stress should a dispute or insolvency arise!

You should also make sure you keep an eye out for other indications that the other party is having difficulties and heading towards insolvency. For instance they may contact you to try to re-negotiate terms or you may hear concerns from third parties such as subcontractors or suppliers. If you do have concerns, then it is wise to contact the other party (or their insolvency adviser/practitioner if and when appointed) as soon as possible. It may be that renegotiating the terms of the contract even on a temporary basis will benefit both parties. You should seek early legal advice so that you are clear of your position and know what options are available to you.

How to save money in the long run? By Peter Westwood, Authentic Colour Print Ltd

W

e are all affected by the so called ‘credit crunch’ in one way, shape or form and as such this can seriously jeopardise our decision making when it comes to purchasing some product or service. When money is not flowing into the business we automatically do not want to spend any more than we have to, but unfortunately we are all drawn into the trap of buying on price alone and what we should be doing is buying on the best advice, because in the long run it will save us money! To highlight this point I would just like to tell you a story about a client who wanted to have a full colour Company Brochure produced to promote their business, along with a practical Company Folder to send out data sheets and reports that they produced themselves on their own laser printer, but unfortunately the overall cost worked out to be more than they could afford at the moment. When asked could they just have one of the items produced, they replied this is not the possible as they wanted a

functional folder to run their business and a brochure to promote their business. Through thinking outside the box and coming up with a creative design we were able to combine both items into one document that turned out to be a six page Brochure/Folder with a centre pocket that they could use in both instances. They liked this idea very much and to their surprise the price worked out to be not that much different to the Company Brochure on its own, killing as they say ‘two birds with one stone’. The answer therefore is to buy on the best advice because in this instance it also gave them the best price. Perhaps the only problem with this is where do you find truly independent, impartial and incisive advice? It can sometimes be difficult in finding a printer you can trust especially if they only have certain equipment that can only produce certain items. In this instance they will obviously advise you to have a product that is suited to their press for them to produce in-house. However, this may not be the

uring these times of uncertainty employers are re-evaluating their staffing levels and keeping a close eye on labour expenditure. Accounting for 3% of the UK’s workforce, and growing, temporary workers are an essential resource and provide organisations with a unique flexibility, as employers are trying to fill skill gaps without taking on permanent employees.

Employers often have hard choices to make regarding how their business cuts costs in times of recession. When sales figures are not enough to guarantee company profit, redundancies can become an unfortunate reality. Follow up on your Network contacts By Eleanor Storey, Tasty Marketing

ast issue we looked at ways to help you improve your networking technique, I hope you’ve all been practicing! This month we have some tips on how to follow up after you have met someone at networking. You know how it is, you’ve met someone at networking, you’ve exchanged cards and you know what you offer could help their business. How do you effectively keep in touch without appearing too pushy? The key is to build a relationship with the person. More often than not people buy from people they know and trust, so by creating a network of people you keep in touch with you are ensuring your name is top of their suppliers list. So what can you do? • You could send them an interesting article – this could be something that is relevant to their business or something about a hobby or interest you have in common. • Send a link to a useful website. • You could expand on a topic you discussed, for example, if you talked about the benefits of using VoIP as opposed to a normal phone line, send more

information about VoIP (not a sales letter, this has to be purely informative). • Making an introduction to someone that could be useful is a great way to be remembered. Just make sure you check that your contact is happy for you to share their details!

April/May and events can be both for the good of your business and for the good of your social life! Each meeting takes the same format. Members and guests arrive for 8am, and breakfast is served promptly at 8.10am. While members and guest break their fast, each person is asked to stand and give a 30 second introduction about who they are and what they do. Each session has a 10 minute 4sight slot, where a speaker gives an insight (not a sales pitch!) into their industry.

In this issue we feature 4Networking, which is a nationwide networking club, with groups across the whole of the UK.

Once the speaker has answered any questions, members and guests begin their one to one appointments. These are 10 minute sessions that you book with fellow attendees. You have three appointments per meeting, and they are an effective way of identifying potential clients.

4Networking began as a small group in Bridgewater, but the demand for membership became so great that the team behind 4N decided to take things to the next level. Groups around Yeovil were opened, and it was members themselves that were acting as group leaders.
