It’s Conference Season! Welcome back school for 2018. Hopefully, you have had a great break and are fully recharged to take on the New Year. At New Era, we have been very busy over November, December and January assisting our client schools with numerous ICT projects across the country. Moving schools to the cloud is a daily occurrence for our technical team. We have been working closely with the Ministry of Education, Microsoft and Google to ensure the very best solutions are put forward and delivered to schools. Beyond implementing and managing a lot of projects for schools, I am proud to say we have grown our client base (and our team) significantly though 2017. As an example, we have had nine schools join the New Era client family in January 2018 alone. We wish to extend a warm welcome to our new clients this year. Our success is based on ensuring our clients are provided sound advice with a pragmatic “Can we do it? Yes, we can” approach that delivers the best outcomes for your school and its students. With technology now being so pervasive and incredibly important in the running of a school, it is critical to understand that no single person can ever have enough knowledge to fully support the myriad of technologies they now utilise. This is why when a school becomes a New Era client they are not just provided with a technician. We wrap layers of support around our client, including technicians, technical team leaders, service desk, engineers and very importantly a dedicated client manager that can translate ‘techo’ into plain English. Throughout 2018, we will again be heavily supportive of educational conferences such as SPANZ, APPA, Interface and the Google GAFE Summit at Aorere College to name but a few. A
orere College has been serving its local community for over 50 years. Seeing the modern classroom as extending beyond the school and it’s timetable, they have a vision for “Globally connected leaders & learners”. As a leader in digital learning, it’s important for students to be able to access learning anywhere, anytime and on any device.
Early Challenges Prior to 2015, connectivity issues continued to cause disruption and hindered the uptake of digital tools in the classroom. Frustration and downtime meant that staff and students no longer trusted wireless infrastructure and were under-served by new tools available for learning. Business Manager Sandra Bisman puts it more bluntly: “I think I likened it in one meeting to a car without wheels.” “I was getting hammered to spend lots of money on equipment and at the time our Wi-Fi wasn’t good. So I wasn’t prepared to put more equipment into the school when I was going to get more emails.” A fundamental change was needed and a group of staff got together to do something about it. From there, Aorere Digital’s mission was born. “We started from the Wi-Fi, and from there it’s just grown.”
The Solution Investing in Connectivity “We’ve now got what we call Wi-Fi beyond the gate,” says Deputy Principal, Stuart Kelly. New Era IT worked closely with the school to implement school-wide Aruba Wi-Fi. Students now have anytime, anywhere access to the Internet while at school through the Network for Learning, with Internet filtering and safety provided by a FortiGate Unified threat management gateway.

Investing in the Tools for Learning In 2015, the College encouraged students to bring a device to school that would enhance learning. “Gradually over the last couple of years, we’ve refined that to recommend a Chromebook as the device of choice for our students,” says Principal, Greg Pierce. The Google Suite provides just what the school needs,” says Kelly. “We were looking for an education platform that our students could access that was world class and ideally, low cost or free.” At the end of 2015, the school became a Google Apps for Education Accredited Institution, enabling the school to use G-Suite and access additional resources to aid in their journey.
Investing in People But it wasn’t all about the tools “We had the devices, we had the infrastructure but we wanted to make sure that our teachers weren’t just at ease with the G-Suite… but that they were highly efficient practitioners.” Mr. Pierce says investing in people was important. “Our biggest challenges are up-skilling staff to the level of the Students.” As a result, a differentiated approach to professional development has been applied, with some staff completing the Mind Lab’s postgraduate diploma this year, and others just beginning their digital journey. Aorere College’s influence as a digital leader extended beyond the school’s gates when it was selected to host the 2017 EdTech Team Google for Education summit. Hosting over 500 educators over three days, the summit was a fantastic opportunity to showcase their hard work and innovative approach to learning.
A Team Effort Having a strong team and a clear path forward was important for the school. I
was taught that policy is an organisation’s overarching guidance and principles, which are clearly different from procedures. Procedures, on the other hand, are what we actually use on a day-to-day basis to support policy. Procedures can be refined and redefined as circumstances change.
A classic example of this is Cyber Safety. I have seen countless rewrites of Cyber Safety or ICT “policy”, which to me appear to have actually been rewrites of procedure instead, often to adapt to changes like social media or BYOD. Boards of Trustees are required to review school policies relatively regularly. Depending on how things are going, these reviews may have varying influence over the actual procedure of this policy, and what that looks like at an operational level.
Putting Policy before Procedure My point here is that policy is ‘the real guts of it’. A policy is the ‘why’, the foundation. The policy is a map to go back and check on when we lose our way or are confused by the procedures that we have created to make it a reality. I’ll come back to this, but first, let us briefly talk about humans.
Good, Great, Bad and Worse There is no doubt that we all go through good and bad times in our personal and professional lives. Often this can be when we are put under pressure at school, perhaps when there is an event that places a significant strain on leadership and staff. Of course, it is just my opinion, but this is when we see the real “ilk” of a person or organisation. I love the word “ilk” and although not pure in its use, in this context it speaks to a type of person that remains calm and in control even in the toughest of times. To borrow a musical term, they demonstrate a certain “timbre” - a distinctive tone and manner that differentiates itself from others. This measure applies to teams and organisations too. I have heard some rather wise people comment that a school is best judged by how it deals with the difficult times - how does it support its community, students and teachers when things get tough? On the negative side of this (I hold no judgement here because I have yet to meet an innocent party - including myself at times), we see certain behaviours that are less than desirable from organisations and individuals when the proverbial is hitting the fan. Those of you who have management experience may recognise some or all of the following behaviours or statements: • • • • • • • •
“Not my problem, it’s not in my job description!” Pointing the blame at others including loved ones and ‘the government’ Yelling Crying Yelling and crying at the same time Humming “Little Donkey” quietly in the corner with hands over their ears whilst moving in a rocking motion A complete shut-down and total non-communication My favourite (and most relevant to this article) catch cry is: “It’s not policy!”
A well-thought-out policy has a clear symbiosis with its procedure those moments where you say. “Oh yeah… I see why we do that!”. Is this symbiosis easy to achieve? I’d argue that most of the time it is definitely not. The instinctive reaction that causes procedural decisions to be made based on fear, risk and consequence is strong. It is much harder to stop, consider, filter out the noise, and only then decide upon the appropriate response based on what you fundamentally stand for (which should also be reflected in your policies). As the literature puts it, “double-loop” learning (or the process of fundamentally examining ‘the why’) is time-consuming and often requires individuals and groups to cast aside their preconceptions in order for that learning to be successful. Over the years I’ve seen both very good, and very bad examples in New Zealand schools. Places where procedure rules and policy simply becomes a legislative requirement. However, I have also seen schools that celebrate the fundamental tenets of their school and community values through policy and the resulting procedural decisions that are made to support them.

First, ask the policy questions about everything ranging from procurement to personnel, and then focus on how your procedures will best ensure success. Take the fear, preconceptions and baggage out of it. Asking yourselves “What will best serve our kids and learning community?” can result in some pretty tough decisions, but if we don’t try, we can easily create a ‘groundhog day’ that can not only have massive financial repercussions but a fundamentally detrimental effect on learning outcomes. Dictation in Office—This simple yet transformational tool will help students of all abilities to write freely by using only their voice. Starting in February, Dictation will be available in Word, Word Online, PowerPoint, Outlook Desktop, OneNote Windows 10, and OneNote Online—and in more than nine languages.

New Microsoft Education Updates in 2018
Read Aloud—Allows students to hear the contents of an email while each word is highlighted in sync. It will soon be available on Outlook Desktop in more than 30 text-to-speech languages.
Microsoft have announced a wave of new education updates for their Microsoft 365 Offering for schools. These updates build on the impressive developments that have been made through 2017 with the introduction of teams.
Immersive Reader—To further support students of different backgrounds, Immersive Reader now supports an additional 10 new languages. It is also coming to even more platforms in 2018 and will soon be available on Word for Mac, iPhone, and Android, as well as Outlook Desktop and OneNote for iPhone, iPad, and Mac.
