Hello and welcome back to Term 4 By the time you receive this message, it will be under ten weeks until Christmas, which I have to say I am very much looking forward to. This really has been a year we all will never forget, and I suspect most of us would like to see the back of. Moving forward, we have finally been able to get back to some normalcy and have been busy supporting and attending major conferences such as SPANZ and ABSNZ (Association of Boys’ Schools NZ). SPANZ was cut a little short due to the 2nd lockdown implemented across Auckland, but overall it was a great event and had the highest delegate turnout ever. In other news, we have collated and reviewed the feedback provided by our recent surveys, and we are looking at ways in which to improve and streamline our service delivery. Some of the feedback we received was around reporting. Partly due to this feedback, we have actively been developing new reporting features that will give clients far more insight into ticket volumes, trends and high need users. With the end of the year not far away we are prepping for the craziness of the Christmas break. We complete a vast amount of change for schools before, during this time. One thing I can’t emphasise enough is that if you are planning significant projects around your school’s ICT, then act now and get things in place. Many of the international vendors of computer hardware run stock levels very low around December and January, and in the past, we have had clients wait until last week of term before deciding to procure hardware. This has dramatically impacted on delivery times and in the worst-case scenarios computer hardware not arriving at schools until February. This can be very stressful for all concerned and potentially impact the delivery of some programmes in the New Year. Lastly, New Era continues to strive to be the very best in what we do and what we deliver to schools in New Zealand. I remember pulling the family PC to bits in primary school - a very understanding computing teacher was called in to rescue the situation.
We had a classroom computer in Primary School which we took turns at using. Kid Pix and Zoombinis were a personal favourite when it was finally my turn.

What do you hope to achieve in the next 6 months? Over the next six months we are looking to reignite the social catchups that were missed over the lockdown period, have a restful Christmas break ready to knock 2021 out of the park.

Client Story: Mangere College embraces 3CX VoIP for flexibility, resiliency and low cost-per-line A
cross New Zealand, schools, households and businesses of all sizes are being encouraged to reduce their reliance on copper-based telecommunications and move their phone systems to fibre or wireless technology. Compared to copper, fibre and wireless are safer, faster, more affordable and set the stage for digital transformation. Voice over Internet Protocol (VoIP) is one such technology that offers New Zealand schools the opportunity to connect better with students, provide unified communications for teachers and reduce the risk for administrators.

“New Era installed the 3CX Phone System over the 2019/2020 holiday break,” says Tom Webb, Principal at Mangere College. “We weren’t using all of the features before lockdown but the system quickly became very useful to help our communications when we all had to work from home.” “Teachers and staff were able to download the 3CX app onto their mobile phones,” he continues, “and that provided two major advantages. First, they could monitor their school phones from home and answer any voicemails. This was particularly important as a method for our community to contact us during lockdown. “Secondly, staff or teachers calling from their mobile phones using the 3CX app gave us the ability to keep our personal numbers private while calling families or students. Plus the call would come in from the school
Mangere’s timing was perfect. “Our old PBX was becoming a bottleneck,” says Helen Faamoe, Operations Manager at Mangere College, “and we were exploring options to move forward last year. Judi McNie, our New Era account manager, suggested that we look at VoIP as a potential solution. New Era carried out a fairly comprehensive audit of our phone systems – switches, handsets and cabling - and presented a solution for VoIPbased phone system that offered flexibility, resilience and low cost-per-line.” “We trust their advice,” continues Ms Faamoe. “We have a New Era Ultra Gold support package in which a skilled technician is on-site two days a week. Their team is knowledgeable, Judi is up on the latest technology and their help desk is always responsive. Plus they always provide a range of options with the pros and cons of each.”
“Talking to teachers and staff is part of our audit process,” says Ms McNie. “This way we can ensure buy-in from the start. Mangere rang around other schools of similar size for references and helped us refine the scope of the upgrade package. In the end, Mangere decided that the 3CX VoIP system would be the most appropriate solution.”
Fast implementation For such a major transition, the actual implementation went very smoothly. “Since we already manage many aspects of Mangere’s ICT requirements as part of our Ultra Gold package, we were able to install and configure 3CX over the 2019/2020 holiday break,” explains Ms McNie. “When the teachers returned to work at the end of January, the new VoIP system and handsets were in place,” explains Ms Faamoe. “We were just in the process of adapting to something new when the virus hit. Needless to say, during lockdown, making the most of our new remote capabilities was a godsend in respect to our ability to cope with all the telecommunications demands.” Ms Faamoe appreciates the ease of use for the new phone system. “The phones are easy to operate and have a set of standardised functions,” she says. “This makes training and management much easier.”
The new normal Now that Level One is the new normal (hopefully) and they can move forward, Mangere College is putting more and more of the advanced functionality of 3CX to work. “We are in discussions about integration with a campuswide paging and intercom system,” says Ms McNie, “and have been helping them customise the system for specific tasks.” Principal Webb sums it up nicely. “We have been very pleased with the general move to the 3CX system in school and the added functionality was invaluable during lockdown.” Advanced functionality, expert support and affordable operations. Insights: Who are the People in Your Neighbourhood? A look at Network Security. Network security is one of the biggest concerns affecting schools and business now and, without being too dramatic, it is really serious.
For some time as individuals and businesses, many of us had assumed our digital stuff is safe and that the free Virus Checker we got when we bought our computer in 2005 is still doing its job. My question is, would we take the same blasé attitude to the security of our own homes? Unlikely. The unfortunate fact is that there are dozens, if not hundreds of bad people constantly walking around your digital neighbourhood, at any given moment. There are literally factories of people who make it their job to exploit the vulnerabilities of your network through malicious techniques such as DDoS, phishing, and other orchestrated techniques of Cybercrime. The following are some important considerations that you should make when thinking about your school’s network security, in a way that most of us can relate.
Your home address Having an “unlisted” home address, in network terms, can make it harder to find and therefore harder to attack. The less public facing it is, the better. Keep in mind that this is different from things like your website, which are more than likely hosted somewhere completely different and have little or no direct connection to your network.
Keys to the doors It is not uncommon for temporary access to be granted to individuals within a school to third parties to complete work that is relevant to their network product or service. However, this may be like handing over a set of master keys. Having an internal system to ensure that these “keys” are handed back or that the locks are changed on the door they used, is critical to ensure that an entry is not left open. This is a perfect example of critical operational procedures that have a variety of fail-safes. Traditionally schools have been very trustworthy not only with the use of the physical facilities but with the network. As New Zealander’s we have often viewed ourselves as living in a safe place, but in terms of our global network footprint, traditional geographies are irrelevant - cybercriminals do not care if you are in New Zealand and certainly do not care you are a school. Types of locks Having a lock that is robust and difficult to replicate is essential. Passphrases are now replacing complex passwords - these are often easier to remember and contain more characters, like teeth on a key. In the digital world too, it is also essential to change the locks regularly as people can test your locks out with you even knowing. Additionally, you can create settings in your network that allow accounts to locked out once they have been tried too many times. This is now standard practice across a variety of everyday services such as Spotify, Netflix, and Office 365.
Making your network as unattractive or invisible as possible means there is a greater likelihood of a cybercriminal moving onto the network “next door”.

Who is home?
Multiple entrances
When someone knocks at your door at home, the first instinct is to peek and see who it is. If you recognise them, you usually open the door, unconsciously checking to see how they look, if everything is OK and asking, “why are they here?”. If you do not know who they are, you might keep the door chain on, ask them how you can help or ignore them entirely while filming them through an outdoor camera.
Like your house, it is impossible not to have different ways to get in and out but limiting these is good practice. A classic example is the way that your staff remotely connect to the school. Ensuring that these entrances are not publicly visible and require some robust ways of getting in, is a big step in making things secure. Although it can be unpopular, using multi-factor authentication (like all banks now require), can provide a layer of protection you can’t get with a single username and password. Additionally, having a secure tunnel that connects the remote user to the server, also makes things safer, See Remote Connection Security, MultiFactor Authentication
Your network should do the same thing. If being approached digitally, it should use checks like certificates and credentials to ascertain that you are there for the right reasons. Think of asking for a badge number or a number you can ring to confirm the charity and person is real… Finally, you should consider some User Education. It would be impossible to stop everyone knocking at the door, particularly when we require some people to visit. But just like we teach “stranger danger”, the people in our network need to understand their role in keeping things safe. Being able to do something like identifying a suspicious email or
From a computer itself to the core network structure, regular monitoring and alert systems ensure that there is some process in letting you know when things are not right. It may happen in the background like a good anti-virus programme, firewalling, or backup monitoring, but it can also be something that can alert a person when required. Making sure this alarm system is correctly installed, monitored and not merely a series of “watch out” stickers on windows, may prevent anything happening at all. This is the ideal scenario - the crooks see the cameras and alarms systems and just walk on by. See Monitoring, Review Administrative Rights
Regular Maintenance A single computer or server with either outdated or unsupported firmware and/or software can pose
a significant risk to your network. Additionally, any other network-attached device may hold vulnerabilities. Ensuring that there is a regular process of keeping things up to date and supported is like checking the locks are not corroding or the windows are becoming loose. See Software and Firmware Updates
Insurance This goes without saying. Just like your home and valuables, having good insurance sorted is a must. Many schools are covered up to $250,000 a claim under the Ministry of Education Risk Management Programme (http:// www.lumley.co.nz/keepsafe/cyber-cover.html), but equally a number are supplementing this or choosing another provider of their own. Regardless, this warrants a regular review, as the changing landscape of the not only the nature of the attacks, but the complexity of recovery is immense.
