From The CEO Greg Strachan CHIEF EXECUTIVE OFFICER

Kia ora, Happy New Year!! Hopefully with the wonderful summer that’s been, you managed to have a break to refresh and recharge. 2022 I am sure, will throw some curveballs at us all, however as a collective it does feel like Kiwis are ready to embrace “getting on with it”. As we progress into 2022 we are seeing signs at last that we may well have a year that could be… normalish. I certainly hope so. Moving away from all things pandemic, this Total Solutions publication contains great articles that will assist many schools to save money, all the while ensuring things run smoothly. Some great reads in this edition include providing options for outcomes through leasing, digital trends in the classroom and cloud transformation. Voice over Internet Protocol ( VoIP ) Saving money, is something that we are all interested in, this edition we cover the use of VoIP. Telephony utilising your N4L fibre connection is the way forward without a doubt (especially since copper phone lines are to be decommissioned in the near future). The cost savings are huge and the functionality is amazing compared to traditional phone systems. This really is a must do for schools. New Era Technology is a very proud sponsor of Secondary Principal’s Association of NZ (SPANZ) and the School Business Managers Association (SBM). This edition we highlight the importance of the relationships between Principals and School Business Managers. Lastly before signing off, I would like to take the opportunity to thank all of our clients for their continued support over the past two years. The past few years have been extremely difficult for all organisations and we at New Era are no exception. However with the client base we have, and the positivity we have received has gone a long way for us as a business and to our individual team members. It’s been greatly appreciated. All the very best for 2022 Nga mihi

Greg

King’s High School Saves More Than $50,000 Over 3+ Years Summary

Case Study

King’s High School, based in Dunedin, New Zealand, provides a comprehensive education for boys from Year 9 to 13. With a goal to build men for life, the school encourages its students to strive for personal excellence across academic,

Infrastructure management for school devices and BYOD program

Following a rapid growth from around 600 students to 1000, King’s High School with the transition from traditional ‘chalk-based’ learning to digital learning, this meant the school recognised it needed additional support and could no longer manage its IT and networking needs in-house.

Solution With an existing knowledge of New Era Technology through another school in the area, King’s High School approached the Company to complete a small project to get a sense of what could be possible. This then led to an evaluation of options with New Era Technology and other local providers. King’s High School now has a full-time on-site network technician provided by New Era Technology. This option gives the school access to the latest technology and IT skills that is able to grow with their needs, without needing to invest in the continual upskilling that an inhouse team would require.

06

Process A major goal for King’s High School is to be at the forefront of technology adoption in the education space. Ensuring that it has a robust network infrastructure to introduce changes, without sacrificing teaching and learning outcomes is a key requirement. Opting for an on-site technician, backed up by the support available from the broader New Era organisation, means that King’s High School can have a seamless delivery of digital learning. Teachers are able to work collaboratively with the on-site network technician to discuss the implementation of technology into lesson plans, and have full confidence that no class will be interrupted due to tech fails. According to Mark Greenfield, Assistant Principal, King’s High School, “Staff really appreciate that we have on-site tech support. It means there’s always someone to call on and no waiting for a day or longer if we need help. The on-site tech is treated like staff and seen as part of the team, fully integrated into the school culture and environment. Everyone we work with at New Era Technology has been approachable and happy to help, and that makes a big difference

“In my last Board report, I calculated that we saved more than $50,000 through the Ultra Agreement. From day-today support, the little incidental projects during the year, through to major infrastructure upgrades, knowing that we have budget certainty is a huge benefit. The Ultra Agreement has probably paid for itself three times over,”

Says Greenfield. King’s High School has also used New Era Technology to implement a BYOD program, including wireless network management. Thanks to robust network infrastructure, the school has not had to mandate specific devices, allowing families to select devices that suit their means. Students can connect to Wi-Fi using any tablet or laptop, with mobile phones excluded from the network. In addition, the school manages a fleet of more than 100 Chromebooks that can be loaned to students who do not have their own device.

Outcome With a solid working relationship developed over three years, King’s High School has recently extended its partnership with New Era Technology. As well as day-

and time for major projects like network upgrades and migrations. This means the school only needs to budget for materials, with all project management time inclusive in the existing agreement. Over the past three plus years, the school has used the Ultra Managed Services Agreement to complete many projects, including: •

Upgrade of five computer labs

INSIDE GLANCE

A Day In The Life Of An ICT Tech

Terry Jensen

Toni King

We interviewed two New Era Technology team members, Terry and Toni to learn more about their roles and daily activities as On-site Technicians.

What site/s do you work at? Terry: Mercury Bay Area School in Whitianga. It’s a very interesting school that has around 1000 students from years 1 - 13, many siblings get to go through their education together here. Toni: I started working for New Era not that long ago. Since I started, I have worked at Oamaru Intermediate, Waitaki Girls High, Geraldine High (for a project) and I mainly visit Waimate High and Waitaki Boy’s High.

How many days are you on site and for how long? Terry: Monday to Friday, on average 40 hours a week but normally when it’s busy I dedicate my own time to catch up on jobs to avoid longer delays in helping someone. Toni: I work 8 hours each day, Monday to Friday. Although

the day that’s when I generally check over computer labs and tidy up things. Toni: A typical day for me involves arriving on-site, signing in and saying Good Morning/Afternoon to the office staff, then making my way to the server room. Checking my tickets is the first thing I do once there. I then read through them, making a priorities list and starting with the most urgent tasks. Depending on the job, I usually go and meet with the Teacher or student and start on the issue at hand. My breaks are often not at the same time everyday and some days I do work a bit later, but that’s all part of being a Tech, adaptability.

What are some issues you see all the time? Terry: Students printing can be an issue at times due to the wide range of devices that they use. The main problem is based around troubleshooting as there can

other schools across New Zealand allows us to share

Terry: Server checks are done first thing in the morning, physical and virtual. Followed by talking to the Senior Leadership Team and the Principal to see if there are any concerns or questions they may have. Then, I look over the ticket board and plan my day on what jobs I would

like to get done, this changes though depending on what the day brings - so two days are never the same and keeps work interesting. Once staff and students leave for 08

neweratech.com | 0800 438 428

How do school staff contact you when there is an issue? Terry: Staff have a shortcut called ‘technician help’ on their computer’s desktop. Once the request has been completed, it then goes into our internal ticketing system which allows us to prioritise them based on how many people are affected by the issue or urgency required. Otherwise, the request is made by email or in an emergency by cellphone. Toni: As Terry mentioned, it’s all based around the tickets usually, but some people will approach you directly. Even

The plane students build

when approached directly, we still need to input it into the ticketing system.

What are the interactions like with staff and students? Terry: Staff and students are very friendly here and will often stop for a chat when they see you. Though we are employed by New Era Technology, schools will often welcome a Technician in as part of the family rather than see us as merely an outside provider. This really helps in dropping down barriers and allows a more welcoming environment. Toni: In terms of work, most interactions are easy. The discussions with the schools ICT contact and Principal are more technical about what’s happening all round and making things happen.

Any interesting stories whilst working at schools? Terry: I am lucky enough to be part of a project where students can build an actual plane! It has been running for 10 years now and is operated by a group of mentors who are experienced pilots and volunteer their free time to the cause. The plane parts arrive as kits from America and are sponsored by an individual who would like to

What do you enjoy the most about working on-site at schools? Terry: Being able to help a teacher solve an IT issue. I can only imagine what it must be like with a full class, and something stops working in the middle of a lesson with pressure to get the work completed and keep the students focused. Walking through the door and seeing the teachers face light up is a great feeling for me and helps motivate me to learn more so I can resolve jobs faster in the future. Toni: I think the best thing is the interactions, teachers are people too and have good stories to tell. I also love learning new stuff all the time!

purchase the finished result. Once built, it has an official aviation inspector go over everything, the process takes between one to two years start to finish. The students also get to fly the plane for 10 hours to give them a taste to see if they wish to pursue a career in being a pilot. Toni: I got a ticket the other day about a kid putting something into a disc drive, it was a 10c piece! I got it out by tipping the machine upside down - simple fix, but it made my day! 09

Docking Stations Made for the Future of Education The eruption of COVID-19 required many teachers, parents, and students to rapidly adjust to new modes of learning. Globally, around 87% of the world’s population have been affected by school closures, resulting in remote learning.1 This increased digital implementation into classrooms has made teaching and learning more accessible for everyone, from anywhere.

As education leans to a hybrid structure, teachers and students need to be prepared to cater for a more digital presence. But what does this look like? HP offers a range of versatile docking setups, tailored specifically for education that allow for more agile teaching, bridging the gap between portability and having a stationary place to work.

When asked how he fits into his SLT, Troy said, “I work alongside the Senior Leadership Team in providing advice and support around the areas of my responsibility without unnecessarily crossing over into their areas of responsibility.”

We recently sat down with the President of the Secondary Principals’ Association of New Zealand (SPANZ), Vaughan Couillault, and the President of the School Business Managers’ Association, Troy Gerbich to explore the key elements of this critical working relationship. As

His responsibilities as a Principal include providing professional leadership and creating a learning environment that fosters a school culture on enhancing learning and teaching. Troy is the SBM at Palmerston North Girls’ High School. In his role, he supports the Principal and School Board in operating a safe and effective learning environment for students and staff. This involves but is not limited to managing finance, property, human resources and health and safety operations. 16

He went on to explain that in other schools, his colleagues sit on the SLT and that works well for them. This is the case for the SBM at Vaughan’s school, where the SBM is a member of the SLT. “It’s important to acknowledge the direction the school Principal chooses to lead and to compliment that with our specialist skill set” said Troy.

The day-to-day working relationship As a Principal, Vaughan outlines that he has a meaningful, decision-making based interaction with his SBM at least twice a day. His SBM is also very happy to get involved in the wider life of the school and is a full, active, valuable member of the SLT. Troy also has a great day-to-day working relationship with his Principal. Similarly, Vaughan operates in a similar way with his SBM. “My SBM has a good handle on how we want things to roll around here, so again, this frees up time for me to be more strategic and higher level in my interactions and thinking”

As a Principal, Vaughan finds that having a SBM is not only beneficial from a financial standpoint but also brings a slightly different perspective to discussions as they are not usually viewing things through a teacher lens. Vaughan finds this valuable as his SBM also helps significantly in lightening his workload so that he doesn’t

he said.

“When we get to strategic stuff, we tend to bring more of the SLT on board as we all know the more ‘big brains’ we have looking at an issue the more likely we are to find a suitable solution” he continued.

At its core, the relationship between the Principal and the SBM is based on interaction and communication. The Principal and the SBM work together (with regular and open discussions), often within a larger team (the SLT), to ensure that the best possible student learning outcomes are achieved for the best financial outlay and within the approved school budget. After talking to Vaughan and Troy, it is obvious that having a quality working relationship between Principal and SBM is integral to providing an enriching education for students.

Digital Trends in the classroom

The pandemic insisted change in all industries on a global scale, especially in education. As COVID-19 forced lock downs for many schools, teachers and students had no choice but to adapt to remote learning structures. Subsequent to this, a digital presence grew in classrooms around New Zealand, planting solid technology roots that have transitioned into normal practice for the future. So what trends are we referring to?

Online Classrooms Prior to COVID-19, remote learning was a concept schools merely flirted with. During lock-downs, the New Zealand education sector found there was no other option but to implement online teaching to keep communities safe. Digital connectivity has improved tremendously in education with schools in conjunction with the Ministry of Education, providing students and teachers with devices that cater to their needs and better networking services. Schools and their leaders recognise the importance, more than ever, of a robust online learning delivery mode and ensuring equity and access to devices. The video calling and interactive teaching software required to make them function properly has grown in adoption in the last few years. HP devices have the strength and bandwidth to run a group call with twenty or more people on it to ensure digital classes run seamlessly.

migrating a school’s software and files from local servers to the cloud. As a result, schools no longer need to maintain servers, thus saving money and time with the added advantage of allowing users to work anywhere, from any device. Further benefits are seen as IT staff have more time to focus on strategic priorities rather than day-to-day IT maintenance.

How does cloud-centric learning benefit your school? More savings

on-premises servers, power protection, backup hardware

Historically, storing data was an expensive task. As storage capacity reached 100%, schools used to purchase new servers. Cloud services are more price efficient as most cloud providers only charge users for the capacity being used. In addition, many other expenses involved with maintaining a server room (such as cooling and maintenance) are eliminated with a cloud-based model. Optimise your ICT budget by taking full advantage of the cloud services already funded by the Ministry of Education. With the Ministry funding Google and

Top Tech Tips Here are some popular tech tips, tricks, and shortcuts to make your life a little easier:

Reopen a closed browser tab Hit Ctrl+Shift+T on your PC or Command+Shift+T on your Mac to automatically reopen the last tab you just closed.

Search Google with a rightclick To search a term quickly in most browsers, right-click on the term in your browser and choose the “Search Google” option in the menu. Your browser will open a new tab and show you search results on the topic. The feature works in Chrome, Firefox, and Safari. But you won’t yet find it in Microsoft Edge.

Use your scroll wheel to open a new tab When you want to quickly open a link in a new tab, look to your mouse. After placing your cursor on the link, click down on your scroll wheel. It’ll automatically open the link in a new tab and save you from opening a new tab, copying the link location, and pasting it in your browser.

Use the spacebar to scroll up and down a page Want to scroll to the bottom of a page quickly? Tapping on the spacebar on a web page will allow you to quickly scroll down. If you want to go back up, hold Shift while you tap the spacebar.

Use quotation marks to narrow your search

32

If you’re searching for something in Google but getting bogged down with irrelevant results, consider wrapping your query in quotes. By doing so, Google will only show results that exactly match whatever you might have in quotes.

Use “Site:” to find content on a single site If you’re searching Google but want to look for results in a particular website, try out the search engine’s “Site:” command. From within the Google Search box, type “site:” followed with no space by the site of your choosing. For instance, “site:neweratech.com” without the quotation marks. You can then add a query after the URL and press Enter. Google will then only display relevant results from the site of your choosing.

Use Alt-Tab to rotate through open applications Quickly jumping between applications on your Windows PC or Mac is simple. To quickly go to another app, hold down the Alt key and Tab keys at the same time. Each time you press the Tab key, you can select another app to open. On the Mac, press the Command and Tab keys to get the same effect.

Use F5 to Refresh A Browser Webpage Using your mouse and clicking on the refresh button in your browser is a waste of time. If you want to refresh a web page without the hassle, just tap the F5 key on your PC keyboard. The browser will refresh whatever page is active in your browser.
