Social Media is one of the most engaging tools in the present scenario. The engagement levels are both, internal and external, and we encourage the participation of its stakeholders in the online platforms to express their thoughts and opinions. Though this is a great way to communicate, participate, engage, and understand the participants, company, and the clients, yet there are some pointers that are to be taken into consideration while we represent ourselves in the social media outlets to remain consistent with the brand image of the organization. Blogs, Wikis, Facebook, Twitter, Slide Share, You tube, LinkedIn are some of the social media platforms we are all well versed with. Each of these and several other such tools have a proper way of usage and communication which we should be mindful of. It is immensely vital to understand what are the do’s and don’ts, what is expected of you to discuss when it comes to our corporate image and topics related to the company or topics which affects the brand image of the company. Hence, it is the innate responsibility of all the employees to follow the company’s Social Media Policy. Any sort of violation in this regard may lead to punitive action. The Social Media Policy intends to provide a set of guidelines which are to be used at Sameva and Freyr. These guidelines are a representation of the company’s personnel behavior while participating and engaging in the company’s social media outlets, being the representatives of the company. This policy is applicable to Sameva and Freyr globally and to all personnel of both the entities. The company’s personnel encompass all the partners, staff members, interns and temporary or contractual employees who have a professional relationship and association with the company.

Social Media Guidelines: 1: Be Who You Are If you are writing about your work or anything related to the company, use your real identity when using social media as it is easily identifiable of what is true and what is not. Though you are transparent, still you need to maintain the confidentiality that is required. 2: Maintain Relevancy and Add Value There are a number of ways in which you can engage in conversation, comment on posts or write about. In such cases you would need to make sure that the content that you are publishing is relevant and gives some insight or adds value to the conversation as a whole. 3: Speak Positive about the Brand Being the stakeholders of the company, you are the representative of the company. Hence, you need to make sure that whatever you do online which is related to the company in some or the other way, you need to be mindful the brand reputation is neither degraded nor disrupted. Speak positive about the brand and the work you do which enhances the brand value of the firm. Do not promote other brands in relation with your own (meaning non promotion of the competition). If you have any issues related to the company or the work you do, make sure to speak in private with the relevant colleague or superior.


4: Avoid Negative or Offensive Statements or Rumors Respect your audiences and your colleagues. There is a very fine line between professional and personal outlook and you should be mindful of entering into any discussion which is based on personal grounds like religion, social values, caste, sex, or personal beliefs. Do not post any negative comments online. If there is a post or comment based on a rumor or is a rumor in itself, refrain from accentuating it. 5: The Linking Practice and Respecting Copyright Laws If you are referring anything related to the company core message or a post, be sure to link the article or post back to the original for reference of the audience. If you are posting someone else’s words, work, pictures, or thoughts, be mindful to link it back to the original or quote the source or the writer/author. 6: Correct Mistakes and Take Liability for it In case you have misquoted any information or have made an error, make sure to acknowledge the error made and to correct it at the very first instance. You are expected to take personal liability of anything which you have blogged, commented, posted, or written. In case of any comment, blog post, tweet, or publishing of any company material which may defame the company, is of obscene characteristic, or is proprietary, you will be solely held responsible for it. 7: Protect Confidential Information Confidentiality is of prime concern to us. By no means should you disclose any information which is crucial to the organization like customer’s details, names, the core strategy or anything which may harm the functioning, restrict or harm the growth of the company. 8: Balance Your Time Use your time wisely while you are at work. Though we supports and encourages employees to use social media, it should be taken into consideration that the work is nowhere affected. 9: Seek Approval and Clarity If you are posting on behalf of the company, sharing some new information which is vital to the company’s health, or responding to any criticism, make sure that you have prior approvals for the same. Also, if you do not have the appropriate information, please make sure that you do not write something which is incorrect and which may subsequently hamper the company’s reputation or subject it for selfclarification. Social Media to Use: With a wide range of options available online you can use any one or many of the following (Examples in italicized): 1: Social networking – Add friends, share content and send messages via these sites. (Facebook, Twitter, MySpace, Pinterest, LinkedIn, Ning, etc) 2: Social bookmarking –Share your favorite online content while creating online bookmarks. (Digg, Delicious) 3: Blogs–These are like journals where you write about any interest and share content from other social media sites like YouTube and Issuu by using the embed codes. (Wordpress, TypePad, Blogger as well as non-branded blogging platforms) 4: Wikis – A wiki refers to online content created as a result of multiple users developing the same content, at different times and from different places. (Wikipedia) 5: Photo sharing–Upload photos to share either privately with only selected users or publicly. (Flickr, Photobucket) 6: Video Sharing – This is similar to photosharing. Users upload video content to a site for sharing privately or public. (YouTube, iMemories) 7: Presentation Sharing – Share your presentations and PDF files online which can be shared easily via embed codes or by email. (Slideshare.net, Scribd, Issuu)
