b r i da l Countdown to Your Perfect Wedding A step-by-step guide to help keep the stars in your eyes, your feet on the ground, and your wedding plans on track. Women who tackle wedding planning pragmatically — as if it were a work-related project — tend to survive the process with greater ease. Think of yourself as a project manager. Establish an overall framework for completing the work, and set specific intermediate deadlines, schedules and goals. Taken one small step at a time, the detail-laden job becomes less overwhelming. Here is our suggested timetable for the steps you should take in the months, weeks and days leading up to your wedding. 9-12 months before your wedding • Choose your wedding date. If you plan to be married in a church, temple or mosque or in a religious service at home, clear the date and time with your clergy. • Announce your engagement in local newspapers. • Set your budget. Take time for a heart-to-heart talk with your fiancé about the budget and style of your wedding, reception and wedding-related parties, and who pays for what. • Enlist help. Consider hiring a bridal consultant. If your budget won’t stretch that far, ask relatives and close friends to assist you in specific tasks – selecting a dress, interviewing caterers, locating a reception site – especially in areas where you feel you need support. • Compose your guest list. Let out-of-town guests know your wedding is in the works so they can make travel plans. • Reserve your reception site. • Choose your wedding attendants. • Select your wedding gown, shoes and accessories. • Decide on bridesmaids’ dresses. • Determine the theme or mood you’d like to establish with the food, table settings, flowers and entertainment at your reception. • Interview caterers, musicians, florists, photographers, videographers and bakers. Get written estimates of their costs. Keep track of your discussions and their bids in a notebook or with wedding-planning software. 6 months before your wedding • Choose your caterer. • Choose your musician(s). • Send out Save-the-Dates • Book your photographer and/or videographer. • Select your baker and order the cake. • Choose your florist. • Decide on your color scheme. • Shop for wedding rings with your fiancé. • Decide on your honeymoon destination. Work with a travel agent to book your travel and accommodations. • Select your wedding invitations. Don’t forget to purchase personal stationery for the thank-you notes you’ll need to write. 4 months before your wedding • Register for gifts at one or more bridalgift registries. • Help both mothers to
coordinate and shop for their wedding-day attire. • Select music for your ceremony and reception. • Choose readings for your wedding and write your wedding vows. • Plan a rehearsal dinner for members of your wedding party, your family and out-of-town guests. Reserve the location. • Arrange hotel accommodations for members of the wedding party who live out of town. Reserve a block of rooms for other out-of-town guests, and let them know the rooms are available. Remember to ask for any group discounts or special packages. • Reserve your wedding-day transportation and any other wedding-day rental needs. • Make appointments for gown fittings. • Check the requirements for a marriage license. • Make sure contracts and arrangements are complete with all of your service providers. 3 months before your wedding • Carefully prepare directions, including simply drawn maps, if necessary, to help guide guests to the wedding and reception, and to hotels. For guests who will travel a long distance to your wedding, consider assembling an information package on fun things to do and see in your area. • Begin addressing invitations and announcements. Select a special stamp at the post office. Invitations should go in the mail six to eight weeks before your big day. • Give the caterer or other food suppliers a close idea of the number of guests you expect. • Make sure all reservations are in place for honeymoon travel. • Check with bridesmaids to make sure they have their gowns and are getting them adjusted. • Shop for gifts for your bridesmaids. Offer to help your fiancé select gifts for his attendants. • Select your “going away” outfit and special items for your trousseau. • Make a date with your photographer for any formal portraits you desire. • Make an appointment to have your hair done just before your portrait session and again the day or so before your wedding. Consider including your bridesmaids in a “day of beauty” before your wedding, with manicures, hair styling, massages and makeup sessions. 2 months before your wedding • Mail out your wedding invitations and announcements. • Have wedding portraits taken. • Send bridal portrait and wedding announcement to newspapers for publication. • Finalize the music that will be played during your wedding ceremony. • Meet with musicians who will provide entertainment during your reception and orchestrate precisely what you want and when you want it played. • Don’t be shy to voice your preferences, down to the volume, favorite songs you’d like to hear or even songs you don’t want played. • Plan your rehearsal dinner and a brunch or fun activity for out-of-town guests to enjoy on the day following your wedding. • Purchase special accessories for your wedding-day attire. • Plan a luncheon for your bridesmaids. • Make appointments for a hairdresser, makeup artist and manicurist. • Finalize honeymoon plans. If you’re traveling overseas, check again that your passports are current and that you have any necessary visas. • Gather necessary birth or baptismal certificates you may need for your wedding license. 1 month before your wedding • Get your wedding license. • Have a final fitting of your gown and make sure your attendants have theirs. • Check that your menu selections and service plans are locked in place with the caterer. • Purchase a special book to keep track of wedding gifts as they arrive. • Keep writing those thank-you notes on a daily basis! • If you plan a formal dinner for your reception, it’s time
to draw up a seating plan and make up place cards. • Check with your florist to confirm dates and times of flower deliveries. • Review your wedding-day transportation plans and make sure drivers are clear about addresses, times and number of passengers. • Make name or address changes official on documents, including driver’s license, Social Security forms and financial accounts. Fill out change-of-address forms at the post office. • Meet with your photographer to specify the formal shots you want taken of the bridal party, as well as specific, candid shots you’d like taken during the reception. • Review the video plans with your videographer. 2 weeks before your wedding • Keep writing those thank-you notes for wedding gifts! • Pick up your wedding rings. Make sure any special engraving appears precisely as you wished. • Begin packing for honemoon. 1 week before your wedding • Make final checks with all your vendors: officiant, musicians, florist, photographer, videographer, limousine or other transportation provider, caterers and baker. • Ask a friend or family member to arrange for wedding gifts that may be brought to your reception to be delivered to your home or another safe spot. • Wrap gifts for bridal attendants and have them ready for the rehearsal dinner. • Reconfirm honeymoon travel and hotel plans. • See that checks are written and ready to be handed out to vendors at the agreed-upon time. • Inform your caterer of the final number of guests. Confirm that out-of-town guests are set with hotel accommodations, transportation and wedding-day directions. The day before your wedding • Take time to relax and enjoy a massage, manicure and pedicure. • Traditionally, this is the day for your rehearsal ceremony and rehearsal dinner. Have fun! • Turn in early for a good night’s sleep. Your Wedding Day • Allow plenty of time for dressing, makeup and hair styling. • If you plan on photography before the ceremony, allow ample time so you’re not rushed. • Relax, and remember: This is your special day, the result of all your careful planning. Now it’s time to enjoy. Take a deep breath. Refuse to let any glitch get to you. Savor every moment of this sacred day. Let your joy and happiness shine through. Best wishes!

A Toast is in Order The first official speech comes at the rehearsal dinner after the guests sit down but before the meal begins. According to Tom Haibeck, author of “Wedding Toasts Made Easy” (Haibeck Communications Group, 2006) and founder of WeddingToasts.com, this responsibility falls to the host, typically the groom’s parents, and includes a toast to the new couple and the uniting of two families. The bride’s parents might then respond if they wish.
terribly shy, skip her speech. Or if the best man is the groom’s 5-year-old son from a previous relationship, substitute a good friend. “Feel free to personalize your toasts according to who will do the best job,” she says.
But if both sets of parents are hosting the rehearsal together, the bride’s parents should go first, even if the groom’s family paid more. “If there’s ever a question, wedding etiquette favors the bride’s side first in all events,” says Sharon Naylor, author of 35 wedding books, including “The Bride’s Survival Guide: 150 Mistakes You Should Avoid for the Perfect Wedding,” (Adams Media, 2009). When dinner is done, before coffee and dessert, the bride and groom should offer their own toast, thanking everyone for coming, their parents for their help with the planning and the bridal party for participating. This is typically when you hand out gifts to your bridal party as well. In addition, after dessert when things are winding down, the groom will often stand and surprise his bride with a toast, thanking her for all the work she put into making the wedding happen. At the wedding, after everyone is seated for dinner, it’s the best man’s turn to open with a toast to the bride or the new couple, says Haibeck, followed by the maid of honor. The bride’s father then stands to welcome his new son-in-law into the family and thanks all the guests for coming. At this point, the groom and possibly the bride might respond with another thank you to their parents and an acknowledgment of guests, but this last speech also often comes right before it’s time to cut the cake. “You don’t want too many toasts or it could end up looking like a corporate event, or even worse, a roast,” says Naylor. “Don’t plan more than four a night and try to spread them out throughout each event.” Controlled Chaos Although the above order is traditional, bear in mind that there is no legal requirement or societal bylaw that demands it, says Haibeck. Today’s couples are twisting tradition to fit their own needs, Naylor agrees. If the maid of honor is
Give Direction Being asked to make a wedding toast is one of life’s great honors, and for many people it’s a once in a lifetime experience. They may have no idea what to say, how long to speak, how to use a microphone or even where to stand. “As any event planner will tell you, preparation is the key to success,” says Haibeck, “and that same philosophy applies to anyone who is asked to propose a toast. Brief them in advance and offer them assistance if they need it.” Managing Mishaps Even with an agenda, there’s always a chance that one of your toasters might get toasted and start making inappropriate comments, or a wannabe comedian could get a hold of the mike. If you need to give someone the hook, Haibeck suggests asking the band or DJ to simply bring up the music and cut the microphone. Another option is to warn your bridal party beforehand so that you can signal them to start clapping with a wink or an ear pull if things get out of hand. “People tend to start clapping when others do, which would effectively shut the speaker down,” says Naylor. But before you take these more extreme measures, gauge the audience’s reaction first. If they’re horrified, don’t hesitate, says Haibeck. But if they’re merely uncomfortable for a moment and the speaker is winding down, just grin and bear it. Every wedding needs at least one mortifying/hilarious story!

Portrait backs Giving a demure and romantic touch to the brides, portrait backs with delicate embroideries, lace frames and peekaboo keyholes are important elements in 2013 wedding gown trends without a doubt. Add a little bit of mystery to your look with some delicate bits of sheer, stretch illusion. We love illusion that’s layered in beading, scrolled, winding embroideries and flyaway feathers, giving a modest (yet sexy) look. Also on the scene for the more daring brides are naked, open, and cut-out backs. Time to tone those back muscles, ladies!
Color Colored wedding dresses are still all the rage for spring 2013, though designers have taken a more subtle approach to color, incorporating blush pink, olive green, and baby blue into 16 • EASTBAYBRIDAL.COM Spring/Summer 2013
many of their collections. Or you can give your dress the golden touch with Spring’s most-loved metallic hue. Los Angeles-based couture bridal designer, Claire Pettibone, adds gold embroidery on fine ivory tulle and gold eyelash scalloped vintage lace to her coveted collection.
Lace Isn’t likely to fade from the scene for quite some time. As Bridal Fashion Director Rachel Leonard states, “There is something about lace that pushes back on the technologydriven society we live it. It’s soft. It’s romantic. It takes us away.” “I have a number of bridesasking lately for lace ball-gowns with sleeves or jackets,” says Southern California couture designer, Kirstie Kelly of Kirstie Kelly Couture. Featuring lace as a layer on top of other fabrics lends volume and dimension to the gowns, but still keeps it light and airy.
Tulle Is giving lace a run for its money this season. Simple light tulle layers will flow over gowns and appear as capes this wedding season. Designers are using

Convertible Gowns Want to dance the night away in comfort, but can’t afford the extra cash for the newly popular second wedding dress? Designers such as Monique Lhuillier, Reem Acra, and Vera Wang have come to the rescue by designing convertible dresses, with removable skirts and trains. So brides can now get the best of both worlds with
Fresh from the couture runways, waist-defining peplums are popping up in all the top collections---giving wedding gowns a dose of high style with both structured and softly draped shapes. “Peplums were huge,” Leonard says. “It’s fascinating how that really picked up this season. It’s a high-fashion look that’s sexy and graphic.” But is there a peplum wedding dress out there suitably tailored to your style & body shape? Experts say you can find the right proportion, be it oversize and asymmetrical, sleek and simple, or cropped and airy. For Spring 2013, designer Amsale Aberra led the runway charge toward fashion-conscious shapes, showing multiple peplums in both structured and delicately draped gowns. While most of the styles were still rather full, many hugged the hips for a sophisticated and elegant effect.

Illuminating Receptions Looking to Take Your Reception from Ho-Hum to Dazzling? Lighting is one of the most important elements for a gorgeous party. Here’s how to make your table shine. Relying on house lighting can only get you so far in creating the right mood. Light switches and recessed lights can’t properly accent the dance floor, the floral arrangements and even the sumptuous buffet a couple may have planned. Hiring an illumination professional can ensure guests will “ooh” and “aah” once they arrive at the ceremony and can help couples stamp their signature on the happy affair. “Lighting helps create contrasts at a wedding in terms of colors, textures and shapes, making a beautiful visual statement,” says Lani Ballonoff, owner of LBPS Events in Santa Barbara, Calif., which specializes in wedding production services. “We’re finding that it’s becoming more popular. Couples are thinking about it ahead of time instead of at the last minute.” Ballonoff, who has a background in theatrical design, suggests accenting some things, but not everything. Washing the room in a certain color, such as amber or peach, can be flattering for skin tones and create a warm glow to make guests feel comfortable. But, the color may not do justice for those orchid centerpieces. And darker 32 • EASTBAYBRIDAL.COM Spring/Summer 2013
shades, such as a purple wash, can make a green salad look gray and un-appetizing. Pin spots, which are focused beams of light that shine directly onto an object, are a better way to highlight flowers, food and even bars and make the items pop. For the dance floor, couples have options that extend beyond the disco ball, whose presence at weddings is more of a mockery these days. Pattern projection, with the help of gobos, or circular stencils capped over a light, can help create a focal point and separates the dance floor from the reception. Couples can choose to have their monograms or messages projected on the dance floor. Images can also relate to the theme of the wedding, such as a vine pattern for a wedding taking place in wine country. The cost for lighting can vary depending on the wedding and it’s size. Ballonoff says his fees for weddings have averaged $3500. He points out that sometimes brides, looking for a venue that can accommadate a lot of people, can choose a less expensive, non-descript place and let the lighting specialists transform it into a memorable backdrop with pin spots and even the draping of fabric. “We can recreate anything into something special,” Ballonoff says.

Marriage Licenses By Lindsay Gower It’s the must-have accessory for every bride: A Marriage License! So let’s review the basics you need to know about getting licensed to wed.
GETTING THE LICENSE Both bride and groom must go, in person together, to a County Clerk’s office. In California, you can go to the Clerk’s Office in any county; it does not need to be the county in which you are having the wedding. Neither of you needs to be a California resident to apply for a California marriage license. No blood test or medical exam is required and there is no waiting period: You apply, pay, and receive the license then and there.
You BoTH MuST: • Be at least 18 years old. If you’re younger, you need consent of parent or guardian. • Bring a government- issued valid picture ID (such as a driver’s license) that includes your full legal name and date of birth. • If you have been married before, bring Proof of Dissolution. You cannot apply for a marriage license if you are married, even if your divorce is almost final.
WHAT To Do WITH THE LICENSE You receive an unsigned license. Here’s what happens to make it an official wedding certificate: • The license is good anywhere in California, regardless of which county issued it. It’s valid for 90 days. If 90 days pass before a wedding ceremony, you must get a new license. • Before the wedding, give the license to the person who’ll officiate at the ceremony. The officiant is required to review the license before conducting the ceremony. It’s a good id a to bring it to the rehearsal for go over it with the officiant, and of course bring it to the wedding. • After the ceremony, the officiant will complete and sign the license, and have it signed by bride, groom and at least one witness. • The officiant will return the license to the County Clerk’s office within 10 days of the ceremony, so it can be officially recorded. Once recorded, you can buy a copy of your wedding certificate (depending on the county, you don’t receive one automatically).
WHERE To APPLY IN THE EAST BAY In both Contra Costa and Alameda you can apply at the County Clerk’s office during weekdays from 8:00am to 4:00pm. Their offices close at 4:30, so they request you arrive by 4:00 to have time to complete the paperwork.

Hungry couples looking for an innovative twist on wedding grub needn’t look further than their own busy street corner. The growing popularity of food trucks have hooked a nation, spawning a reality TV series on Food Network and a still-booming Twitter craze. And now, they’re taking the wedding world by storm, with food-truck catering quickly becoming a fun way of doing something different. “Hiring a food truck for a late night snack during a wedding sets a much more casual, relaxed tone than a catered event and offers guests a unique dining experience that they’re not likely to have at amost weddings,” says Kate McEachern, Chief Cupcake Officer of Cupkates (CupkatesBakery.com). San Francisco’s first mobile cupcake truck. Couples considering a food truck should first of all make sure it fits the style of their wedding. The atypical nature of food truck catering – guests will essentially be eating street food out of the side of a parked van – means less of a folded-napkins-and-silverware environment, and something more laid back. Since food trucks usually target a unique food audience, owners suggest sticking to safer fare for a bigger guest list. “I recommend large parties go with items that are traditional crowd pleasers, such as … ribeye, barbecue pork and caprese,” says Nida Rodriguez, owner of the Slide Ride, a gourmet slider food truck. But smaller parties with more daring taste-testers will likely enjoy the thrill of the bizarre niche foods some trucks offer. The Fast Foodie is known for its “Globacos,” warm flour tortillas filled with different global cuisines. According to Lucca, the most popular wedding menu Globacos are Jamaican Me Crazy, a Jamaican beef curry with rice, and the Big Sexy, Puerto Rican rice with pigeon peas, marinated pork and fried plantains.

For couples going the traditional dinner route who still want the fun of an on-site food truck, try using it for other elements of the wedding. Food trucks can be used for the appetizer portion, the late-night catering as guests leave the party or in-between the ceremony and reception to feed hungry guests. Aside from adding a unique flair to a wedding, food-truck catering is a great way to keep a food budget in check. According to the Bridal Association of America, the average catering bill for a wedding with 150 guests is $12,247. That’s about $82 per person. The Fast Foodie truck, as an example, typically charges $25 per person, depending on the menu. Rodriguez says she charges $3/$4 per slider, and a $150 truck fee. Just remember that not all food trucks are created equal. Size and equipment can limit what can and cannot be done. “The biggest thing I would say to anyone wanting to use a food truck is to find out how flexible each is with what they will make,” says Valent Lucca. “Some trucks will only service what is on their menu. Some will make whatever the couple wants.” She also points out that trucks are unable to acquire liquor licenses, so none of them serve alcohol. It’s possible to bring food truck service indoors, although the logistics are slightly different, and it may increase the price. Valent Lucca, who has catered indoor weddings with her truck, says that added staff is the biggest difference between indoor and outdoor catering. A bigger staff will be needed to transport the food from outside to the venue. “If the person needs servers and a more formal meal, usually a traditional caterer would fit their needs better,” she says. “A wedding is not more difficult than our normal course of business,” adds Rodriguez. “We are a full-catering service – we can and will bring the party indoors if requested.” Copyright © CTW Features

It’s the music that makes the party. Here’s how to pick the best playlist provider for your wedding reception by Anna Sachse With multiple music-making options at different price points to choose from, selecting the method that’s right for your event may seem a little daunting.
DJs Most experienced wedding DJs are excellent emcees and can handle all the important announcements, as well as the timing of events, says Kirkbride.
To help get your planning back in tune, here are the upsides and downsides to the three most popular choices.
As for the music itself, brides and grooms can provide the DJ with a playlist (and do-not-play list) to increase the chances that they will only hear their favorite songs across a wide range of genres all night long, says Eisinger. Couples also can instruct the DJ to accept or not accept guest requests, and the DJ can handle any equipment issues that may develop.

iPods
There aren’t many opportunities in life to have live musicians performing just for you, says WeddingChannel.com editor Amy Eisinger. “With a band you’re really giving your guests a great show, and your reception will likely feel higher-end.” Bands are also typically experts at whatever style of music they specialize in, notes Eisinger.
Filling an iPod with your favorite music is a way to ensure you only hear the tunes you want to hear, and it’s by far the cheapest option if your venue already has sound equipment, says Eisinger. It can work well at smaller, more casual weddings, especially if the couple makes DJing themselves part of the festivities.
On the downside, good bands are the most expensive way to go. According to TheKnot.com’s last annual Real Weddings Survey, the average cost for a band in 2009 was $3,000, and fees can vary widely depending on the city you live in, how long the band plays, and the number of musicians. In addition, most bands are limited to a particular genre and may charge extra if they have to learn a new song, adds Valarie Kirkbride, owner of Cleveland-based Kirkbrides Wedding Planning & Design. “I also find that a lot of bands don’t do as well with the wedding announcements.” 64 • EASTBAYBRIDAL.COM Spring/Summer 2013
But if your venue doesn’t have a nice sound system available, you may have to shell out major bucks to rent one or buy your own. “And it isn’t just press Play and go,” says Eisinger. You’ll have to designate someone to start and stop songs for particular events and adjust the volume if, for example, a speech is taking place. An iPod also can’t read the crowd, which means you may end up with an empty dance floor if your song selections are falling flat. Add to that the possibility of technical difficulties, warns Kirkbride. Who wants to be stuck fiddling with equipment when they should be cutting a rug?

To keep costs in check, as with planning your wedding, decide your honeymoon must-haves (keeping in mind that everything cannot be a must-have) and plan your trip around those details. You both want to spend time lying on a beach watching palm trees sway? Terrific. Realize that you don’t have to go to Hawaii to have that. “Your honeymoon will be one of the most memorable vacations of your life, so don’t
leave any part of the planning to chance,” says Michael Flory, vice president of Classic Vacations, San Jose, Calif. Here are his five honeymoon pitfalls to avoid: 1. More than money. Price should not be your top criterion when planning your vacation. Think instead about how you want to feel and what you want to do. 2. By the book. Don’t wait until the last minute to book the trip in hopes of getting a better deal. Doing so can lead to disappointment, as the best properties and
the most exclusive activities have limited space and sell out early. 3. Remember the crowds. If you’re planning a summer honeymoon, keep in mind that you may be traveling during peak season for family vacations. If you want peace and seclusion, try a less family oriented hotel or destination, or honeymoon during the offseason. 4. Plan plans ahead. Booking at least a couple
of things before you leave means you’ll guarantee your place in popular activities and spend more time enjoying your vacation once you’re there, rather than continuing to plan it. 5. Ask and receive. The choices for destinations, properties and tours are countless for honeymooners. Don’t spend all your planning time looking at brochures. Talk to friends and colleagues for recommendations, and contact a travel professional for assistance in making the right decisions.
