MOVE-IN AT A GLANCE

MOVE-IN TIMES

Students will schedule a move-in appointment via the Housing Portal. Move-in week will begin Tuesday, August 20, until Thursday, August 22. There will be a select number of time slots per building each day.

Sign ups start early August. Students will receive an email, notifying them that the sign up process has begun. Appointments will be chosen on a first-come, first-served basis. For more information, please check your ODU email.

If your anticipated date of arrival differs from your selected movein appointment, please notify HRL of this at housing@odu.edu prior to your arrival. Students who do not notify HRL that they are not attending the University are financially responsible for the room.

10 TIPS BEFORE YOU ARRIVE:

Talk with your roommate(s) about what shared items to bring, and pack light!

Bring or download your ODU ID card from the Monarch Card Center to Move-In.

Read the Housing & Residence Life’s Guide to Living On Campus and the University’s Student Code of Conduct.

Review your family’s insurance policy or obtain property insurance to protect your belongings.

Log into the Housing Portal to select your Move-In time slot.

Inform your friends and family of your new campus address (See pages 16-17).

Plan to attend your first mandatory floor meeting on 08/25 at 7 p.m. Here, you’ll be introduced to community standards, leadership opportunities, and much more!

Pack your belongings in reusable crates and storage containers to avoid waste and make life easy during your move.

Connect with your roommate(s)/suitemate(s) by opting in to share your directory information in the housing portal.

CHECK IN

During your designated check-in time, you will pick up your room key or download your digital key to your mobile device. You must have your ODU ID card in order to receive your room key. Check in is at Chartway Arena.

While you’re on campus, remember that ODU’s dining facilities will be open and available for you to enjoy!

Housing & Residence Life has implemented a brand new digital signage system that displays on the tvs located in the lobbies of each residence hall. We share all of the need to know information and upcoming events in HRL as well as other parts of campus.

BOARDS AND FLYERS Our RHDs and AHDs (Residence hall directors and Assistant hall directors) use the bulletin boards to communicate with residents of their perspective residence hall. Flyers are placed on the various bulletin boards in the hallways/lobbies of each hall.

A-FRAMES Keep an eye out for the 24’ by 36’ sized A-frames that are used indoor and outdoor of our residence halls.

MONARCH MOVIES Did you know that you can watch free movies at https:// monarchmovies.odu.edu/? HRL also shares important information through this streaming site to keep you entertained and in the know!

FRONT DESK Our student- staff employees are trained to guide and support you with all housing & residence life related questions and processes. Stop by M-F from 8am to 5pm.

NEW POWHATAN OFFICE UNDERWAY Great news! We will soon have a second HRL office opening up in Powhatan apartments to support in all residence education programs, stay tuned!

PEOPLE TO KNOW!

Resident Assistants (RAs) are assigned to live on each floor of the residence halls. Apartment communities have RAs assigned to each building. RAs are carefully selected and trained undergraduate and graduate students chosen for their commitment to helping and advising a group of their peers. Each RA is trained in assisting and/ or referring students with academic and personal concerns to the appropriate person or office. The job of the RA combines many roles: activities organizer, resource person, counselor, administrator, residence educator, community leader, disciplinarian, adviser, and friend.

Desk Receptionists (DRs) staff each community desk. These students are selected and trained to assist peers with residential needs. DRs assist residents with checking out hall equipment, signing for temporary keys, and reporting facility problems.

In addition, they provide information and services, including visitation and checking guest(s)/visitor(s) into the building. The DRs are supervised by the hall staff for their community.

Night Desk Receptionists (NDRs) One of the front-line representatives of the residential communities during the hours of 12 a.m. to 6 a.m. The NDR is often the first contact to residents, visitors, and persons outside the ODU community. They work at the community desk, assisting in the administration service of the residence hall.

Residence Hall Directors (RHDs) are full-time, master’s level, professional staff members who live in an on-campus apartment. RHDs are assigned to each facility and are the university’s front-line staff members who handle all aspects of the student residential experience. RHDs may be responsible for one or two buildings, in addition to supervising the AHDs, RAs, and DRs within their community. The RHDs promote community development through staff supervision, student development activities, programs, and referrals for outside assistance, behavioral interventions, and student conduct resolution.

Assistant Hall Directors (AHDs) are graduate students who manage a variety of responsibilities under the direction of the Residence Hall Director (RHD). AHDs live in an on-campus apartment within their residential community. One of their key responsibilities is hiring, training, and supervising the student staff. AHDs are also involved with community councils, program planning, personal and academic counseling, and student conduct issues. AHDs have regularly scheduled office hours

and are available for residents who need support or have questions about campus resources.

HRL Office Staff Members The office staff is in charge of managing operational, business, and residential educational tasks. Everything pertaining to the students’ living on-campus experience, including room assignments, housing and dining contracts, and facilities management for the residence halls. Furthermore, HRL staff members are in charge of choosing and training the residents’ hall staff, creating social and educational activities, and creating policies and procedures for living oncampus. Additionally, our team is in charge of managing communication channels like the web, social media, emails, and phone calls as well as communicating with students about events, significant dates, maintenance, etc.

Maintenance & Housekeeping Staff serve an integral part in the success of the HRL program by upkeeping residences and quickly responding to and resolving work orders submitted by staff and students.

STUDENT HEALTH IMMUNIZATION REQUIREMENTS

The staff at Student Health Services would like to welcome you to Old Dominion University! To help make your transition to college smooth, we want you to know about the mandatory university immunization requirement.

Virginia state law requires that all first-time full-time graduate, undergraduate, and transfer students submit a completed Health History and Immunization Documentation form to the university. If this form isn’t submitted by August 1, an immunization hold will be placed on your second semester’s registration. This hold will begin late September and can only be removed upon receipt of your documented records. If you don’t know where to find your immunization records, your high school usually keeps these records for several years after graduation.

The Front Desk model will serve students in all residence halls with comprehensive and consistent services and communication. With availability 24/7, students will be able to contact the Desk Receptionist and Night Desk Receptionist.

The following services are available at all Community Desks:

• Assist with general inquiries regarding the building, housing, and the university.

• Reports facility issues or safety/ security concerns in the building and on campus.

• Check out hall equipment such as games and cleaning supplies.

• Check out loaner keys.

• Receive letter mail.

RESIDENTIAL NETWORK

ResNet provides high speed internet access, local phone service and cable television to students living in residence halls and University Village Apartments. These services are supported by professional and student staff in Information Technology Services (ITS).

WIRELESS INTERNET

Wireless internet is available across campus in all residence halls. Log in to the eduroam network with your ODU email address and MIDAS password, or to MonarchODU with your MIDAS ID and password. WIRED INTERNET

Each dorm room has one ethernet port per bed. Bring your own ethernet cable to connect a desktop computer, game console or media device directly to the network. (Owens House and Whitehurst Hall are completely wireless, but each room has an access point with an ethernet port on the bottom that you can plug into.)

GAMING & MEDIA DEVICES

Register your game console or media device and connect it to the wired network port (or access point) in your dorm room or to DeviceODU, our dedicated wireless network just for devices. Additional information at: www.odu.edu/housing/residents/ computing/devices

CABLE TV

Cable TV is available in all residence halls, apartments and residential community spaces, providing 100+ channels and an ODU information channel. There is one cable jack per room; bring your own television and coaxial cable. (Owens House and Whitehurst Hall are completely wireless; your neighborhood desk can help you request a streaming box.)

MONARCH MOVIES

This streaming video service is available across campus on devices connected to any ODU wired or wireless network. New movies are added every month at monarchmovies. odu.edu.

LAUNDRY AND VENDING

LAUNDRY

Each semester, students receive 60 individual starts per semester, which will now be loaded digitally on a mobile app. A start is equivalent to one wash or one dry. The machines are serviced by a private vendor. All inoperative machines should be reported to your community desk, noting the number of the machine that has malfunctioned so that a repair request may be submitted. For laundry machine refunds please contact cardcenter@odu.edu

All laundry swipes expire July 31 each year.

RECYCLING AND ENERGY

CONSERVATION AND SUSTAINABILITY

HRL encourages students to “think green.” Conserving energy is an easy way to protect the environment and keep energy costs under control, and is not hard to do!

RECYCLING AND TRASH

• Recycling and trash containers are provided in each room/apartment.

• Larger recycling bins are in the main lobbies of each residence hall or next to the dumpsters.

• Residents should dispose of recycling in the larger recycling bins.

• Dine-in instead of food to-go to avoid using disposable dishes and utensils.

ELECTRICITY

• Turn out lights and electronics not in use.

• Use the stairs whenever possible/as able instead of the elevator.

• Use LED lights or compact fluorescent lamp (CFL) task lighting.

• Use a power strip for all appliances, equipment, and chargers (except refrigerators).

• Turn off when not in use to avoid using phantom energy.

• Purchase EnergyStar certified lamps, TVs, etc.

WATER

• Limit water usage while showering and brushing your teeth.

• Wash full loads of laundry.

• Use a washable, reusable water bottle instead of bottled water.

MAINTENANCE /REPAIRS

Maintenance Support Center’s hours of operation are Monday through Friday, 8 a.m. to 4 p.m. For emergencies occurring during non-business hours, contact the community desk serving the community, an RA, or the RA on Duty within the building.

WORK ORDER SYSTEM (NON-EMERGENCIES)

For maintenance or housekeeping services within the residence hall communities use Maintenance Direct, ODUs online resource (available 24/7) for submitting non-emergency work requests. Nonemergency work requests are generally handled on a first-in, first-out basis and are addressed as soon as possible during work hours. Access their website: https://www.odu.edu/facilities/ maintenance and follow the instructions listed to get started on the process. Maintenance Direct will track submitted work requests and automatically generate email acknowledgments of receiving work requests, in addition to notification of any status changes of requests.

NON-EMERGENCY MAINTENANCE WORK ORDERS

EMERGENCY MAINTENANCE

Handled on a first-in, first-out basis.

• Immediately notify the appropriate RA on duty and/or community desk.

• If it is an emergency, hall staff will coordinate the proper staff to handle the issue.

• If it is not considered an emergency, please fill out a work order (see non-emergency section).

Examples:

• Total loss of power to the entire building

• Apartment or room flooding

• Safety issues, security issues (locks, doors or windows)

• Damage to university property

• Work orders can be submitted at: https://odu.nmrkgcs.com/archibus/workplace

• Online resource to track requests, with status notifications.

• Facilities staff will work on the issues within the next few days.

• Burnt out lights

• Water is too hot or cold

• Sink or tub draining slowly

• Toilet will not flush (when another toilet is in the suite)

RECEIVING LETTER MAIL

A resident’s first and second-class mail will be delivered to their building/complex on a regularly scheduled basis.

MAILBOX LOCATIONS:

Accessed via room keys. Divided per room number, not per resident. All mailboxes are located on the 1st floor of each building with the following exceptions:

• Gresham East/Rogers East: in the Main Halls for each complex

• Ireland: in Virginia House

• Powhatan Village: under the pavilions (large overheads), outside of the laundry rooms.

SENDING PACKAGES ON CAMPUS

All packages are delivered to the ODU Mail Center. Students will receive notification via text and email once the package has been processed and is ready for pick up. Please do not attempt to pick before you receive the notification from the ODU Mail Center. Students must present a valid ODU ID card to collect their package. If ODU ID is not available, a picture ID or driver license will be accepted.

LETTER MAIL AT THE COMMUNITY DESKS

Residents agree to give HRL permission to handle mail including:

• Mail forwarding.

• Letter mail delivered to the residence halls is not insured.

• ODU is not liable for misrouting, disappearance, or theft.

• Building staff should be notified of any issues in receiving letter mail.

All packages addressed to residence halls are received and distributed in the ODU Mail Center.

Packages must be addressed to residence halls, not the Mail Center or Webb Center.

At the end of each residential agreement period, unclaimed first class and secondclass mail is forwarded to the student’s permanent address as listed in their Leo Online records. It is the student’s responsibility to ensure the information is updated and accurate.
