VENDOR GUIDELINES AND INFORMATION The Organicfest Marketplace is the heart of the Organicfest celebration! Organicfest Marketplace categories: Organic, Green & Eco-Friendly, Home & Garden, Fiber & Fashion, FUN Fitness, Farmers’ Market, Healthy Wellness, Natural Arts & Crafts and All for Good (non-profits). VENDOR SET-UP: Set up begins at 6:30 am. Vendor arrival and set-up time is based on their booth space number. Specific details will be sent via email one week prior to event. Please be sure to read these carefully planned out guidelines for a smooth set-up. Contact Debi Athos debi@organicfest.org IF you do not receive the Organicfest Set Up Guidelines by September 1st. BOOTH SPACE: All booth spaces are 10 x 10. Some booth spaces are on the street and some booth spaces are on the grass. If you have a preference, please let us know. CORNER BOOTH SPACE REQUESTS: Vendors may request a corner booth space for additional $25.00 added to your total vendor fee. ELECTRIC: We have select spaces with electric. Please let us know if you require power. There will be an additional fee of $10 for sites with electric. TENTS, TABLES & CHAIRS: Vendors must supply their your own tent, table or chairs or rent them with their vendor application. Rented tables are 8 feet long. We highly recommend that you bring table cloth coverings for the rented tables. IMPORTANT TENT / CANOPY SAFETY: All tents must be weighted down on all four corners of tent legs with heavy weights. No stakes allowed in pavement OR grass. The Fire Department will be checking all vendors prior to opening the festival. Any vendor without weighted tents will have to take down their tent so the festival can open to the public. VENDOR SIGNAGE MERCHANDISE SECURITY: There will be no structures to hang signs on. You may hand signage on your tent, tables, personal set-up structures. Tents, signs and merchandise must secured in case of challenging weather.
VENDOR INFO FOR RETAIL SALES VENDER RETAIL SALES: IMPORTANT NORTH CAROLINA TAX ID ~ NOW REQUIRED The NC Department of Revenue is now requiring all vendors who SELL product/s at Festivals to have a North Carolina Sales & Use Tax ID Number or “Certificate of Registration” number. Vendors are responsible for collecting and reporting their own tax. If vendor has an existing Sales & Use Tax ID Number, a Certificate of Registration Number is not required. The application (Form NC-BR) can be completed electronically or by mail. The application is free. If you apply online, you will receive your Certificate of Registration number as soon as you complete the application. If you use snail mail, within 10 days. For more information and the form, go to www.dornc.com/electronic/registration/index.html. A copy of the Tax ID Number or Certificate of Registration Number is required when submitting the vendor application. Again, this is a State of North Carolina Department of Revenue law that the Organicfest must now enforce.

PRESENTING A LOW-INPACT GREEN EVENT
GREENING ORGANICFEST Help us to present a low impact green community event. We have partnered with Asheville Greenworks to recycle paper, plastic and glass throughout the event area. Let’s leave Pack Square Park better than when we arrived. The City grades events and we want an “A”.
CLOSING DOWN & CLEAN UP
BOOTH CLOSURE / BREAKDOWN Vendor booths must remain open until 6 pm. No early departures are permitted. We will include detailed breakdown instructions via email one week prior to the event. Please be sure to read these carefully planned out guidelines for a smooth breakdown. Thank-you! CLEAN UP Please clean up your entire booth space when festival closes. Recycle papers, plastic, cans, food...Remove any and all weights used to hold your canopy/tent down. We will bill $50 for any clean up or material removal from your booth space.
SUNSHINE OR RAIN EVENT
WEATHER NOTE The Organicfest is a sunshine or rain event. However, the weather will be monitored throughout the event and in the case of dangerous weather the Organicfest will be closed for the safety of all.

FOOD / BEVERAGE VENDORS ORGANIC EATS: In keeping with the theme of the event all foods and refreshments served are to be made with organic ingredients. Ingredients do not have to be certified organic. Absolutely no GMO ingredients: canola, soy, corn oil... GREEN / ECO-FRIENDLY: As a green event, we request that food/beverage vendors use recyclable food service containers. No products may be sold in glass containers. SAMPLINGS AND GIVEAWAYS Product samplings and giveaways are a great way to draw folks to your booth. However, please note that any company providing food or beverage samplings must provide the Certificate of Insurance required for all food/beverage vendors. (See Food & Beverage Section) ORGANICFEST DRAWINGS & GIVEAWAYS Please consider making a donation of your organic products, basket of your organic goods and goodies, or gift certificates for the Organicfest’s Drawings and Giveaways. This is the most popular part of the Organicfest celebration for our organization and helps us to raise much needed funds to present this special event as well as funds for new organic projects in the works! TEMPORARY FOOD ESTABLISHMENT/TFE COMMISSARY PERMIT REQUIREMENTS 15A NCAC 18A .2665 TEMPORARY FOOD ESTABLISHMENT AND TEMPORARY FOOD ESTABLISHMENT COMMISSARY PERMIT REQUIREMENTS (a) A permit shall be issued by the regulatory authority to each temporary food establishment and temporary food establishment commissary that complies with Rules .2665 through .2669 of this Section. Temporary food establishments and temporary food establishment commissaries are not eligible for transitional permits. A single permit shall be issued for a temporary food establishment that does not operate consecutive days as long as the total number of days does not exceed 21. The permit shall be posted in a conspicuous place designated by the regulatory authority. The permit shall include: (1) Name and location of the temporary food establishment and temporary food establishment commissary; (2) Permit holder; (3) Name and location of the event; (4) Dates of operation; and (5) Any other conditions necessary to remain in compliance with this Section. (b) No food preparation shall occur prior to a permit being issued by the regulatory authority. (c) When affiliated with a temporary food establishment for an event where the food will be served, a temporary food establishment commissary permit for prior food preparation may be issued for advance or off-site preparation. A temporary food establishment commissary may commence operation no more than 7 days prior to the event and operate for the length of the event up to a time period not to exceed 21 consecutive days. (d) Temporary food establishments and temporary food establishment commissaries shall make application to the regulatory authority no fewer than 15 calendar days prior to commencing operation. This 15-day requirement does not prohibit the submission of applications for substitute vendors provided that these applications are submitted no fewer than 3 business days prior to the event. Applications shall be submitted to the regulatory authority and shall include the following: (1) Name, mailing address, and telephone number of the permit holder of the temporary food establishment or temporary food establishment commissary; (2) Name and location of the event at which the temporary food establishment operated immediately prior to the current event for which applying, if applicable; (3) Name, mailing address, and telephone number of the event organizer; (4) Event name, location, dates, and hours of operation; (5) Proposed menu, food handling procedures, including anticipated food volume and sources; (6) Food equipment list; (7) Proposed water supply; (8) Provisions for sewage and other waste disposal; and (9) Any information necessary to ensure compliance. (e) The regulatory authority shall require documentation to verify any provision of Rules .2665 through .2669 of this Section. (f) The regulatory authority may condition the permit to ensure compliance with Rules .2665 through .2669 of this Section.
