An update from Jeff Boateng, Executive Director of Digital Services & Informatics Hi. On behalf of the Trust Digital team, I hope you’re looking forward to Spring and the start of a new financial year here at the Trust. Looking back, it has probably been one of the most challenging years for many of us, and the Trust Digital team have been tasked in many ways to help respond. Looking ahead, the team are keen to: Improve our data networks A data network is an electronic communications process that allows for the orderly transmission and reception of data, such as emails. We aim to make ours more robust and resilient. Encourage staff to move to using the cloud Many of you will already be using OneDrive instead of your personal H drive, for storing your files and documents. C&I will be accelerating the use of the cloud for storage and sharing of documents. You can start your move to the cloud by moving your files and documents from your personal H drive to OneDrive. There are several benefits to this including the ease of retrieving your documents in the case of an IT outage. Also, it’s easy to collaborate with colleagues by sharing links to documents. Moving your documents to the cloud also reduces the load on the Trust’s Data Centres. You can read more on how to move your documents on page 2 overleaf.
Progress our WiFi Improvement programme The WiFi improvement programme has been underway since Spring 2020. Phase 1 has now been completed with priority given to deploying WiFi on Trust sites where there was no WiFi availability, which was causing operational and clinical service disruption. The Trust Digital team are now compiling a business case for Phase 2 for the new financial year which would focus on remaining sites with limited WiFi availability and the fix of any remaining WiFi issues. I’ll finish by commenting on an important project that we’re working on. C&I will shortly be seeking our accreditation to the NHS Digital secure e-mail standard. This means, for the first time, once accredited, we can use our candi.nhs.uk email addresses for external emails as a secure route for sending and receiving confidential and sensitive information, including patient identifiable information. This means we’ll no longer be using NHS mail as our secure email standard. This project is due to complete by end of July 2021 and you can read more about things you can do NOW to help support our plan. How to move your files from your H Drive to your OneDrive Many of you will already be using OneDrive instead of your personal H drive, for storing your files and documents. Now that we are all using Office 365, which we introduced across the Trust last summer, we will be accelerating the use of OneDrive and the cloud for storage and sharing of documents.
What’s OneDrive? OneDrive is the Microsoft cloud service that connects you to all your files. It lets you store and protect your files, share them with others, and get to them from anywhere on all your Trust devices. With OneDrive, you can securely store your files, share and collaborate with others, and get to your files from anywhere - on your Trust computer, laptop, tablet, or phone. We therefore need you to start moving your files and documents from your personal H drive to OneDrive. In light of the recent IT outage and to ensure business continuity, we would appreciate if you could move to OneDrive by 31 May. At that point, the IT team will look to switch off access to the H Drive. There are several benefits to moving your documents to OneDrive including: • the ease of retrieving your documents in the case of an IT outage (your documents are held in the cloud and therefore not dependent on access from one of our data centres). • it’s easy to collaborate with colleagues by sharing links to documents. • Moving your documents to the cloud also reduces the load on the Trust’s data centres. NEWS FROM ACROSS THE TEAM Update from Mahwish Noor, Head of Information
UK GDPR Now that the UK has left the European Union, the EU’s General Data Protection Regulation no longer applies to the UK. The UK GDPR and Data Protection Act (DPA) 2018 are now the primary data protection laws for the UK. On the face of it, the UK GDPR is nearly identical to the EU GDPR, and includes the vast majority of the same requirements. As a result, the IG team have had to review our policies to ensure they’re up to date. IG have published a new Appropriate Policy Document (APD) which is now available on the intranet. We have also updated the Subject Access Request and Information Risk policies to reflect UK GDPR. IG Training Thank you to everyone who has already completed their Data Security and Awareness training (IG Training). We have reached 95% compliance rate for the last week. Update from Karthik Chinnasamy, Associate Director of Performance and Information
The scope of the Informatics Team has been expanding due to emergence of COVID related statutory reporting, merger of five Clinical Commissioning Groups (CCGs) into one (North Central London), Population Health Projects such as Health Information Exchange and HealtheIntent, development of new dashboards, and seamless maintenance of existing dashboards in accordance with service requirements. The Informatics team is working towards adoption of SNOMED CT (national standard for clinical terminology) to capture and exchange clinical information accurately and consistently across all care settings for research, analysis, etc. For more info on Snomed, please see the NHS Digital HERE webpage The Clinical Applications team is also upgrading the current version of Carenotes which will enhance the functionality to capture more richer information of our service users.
Carenotes upgrade – scheduled for 5pm on Tuesday 30 March The Trust Digital team are undertaking the upgrade of Carenotes. This will take place starting 5pm on Tuesday 30 March through to 6am on Wednesday 31 March. Carenotes will be switched off at 5pm sharp on 30 March. Anyone still in the system at that time may lose any work that has not been saved. During the upgrade period, staff needing to use Carenotes should access patient records using the read-only Business Continuity System (BCS). For more info, see our briefing sheet

Surface Hubs – ready! In the December issue of the Trust Digital newsletter, we reported on the introduction of a Surface Hub device, on loan to the Mental Health Crisis Assessment Service (MHCAS) team based in St Pancras Hospital. The Surface Hub is a brand of interactive whiteboard developed and marketed by Microsoft. Wall-mounted or roller-stand-mounted, the touchscreen device has multitouch and multi-pen capabilities and is compatible with Windows 10, which we use across the Trust. The devices are designed to help while collaborating in meetings and videoconferencing.
further training with other amazing things that Surface Hubs are great for, such as sharing Carenotes information on screen across a meeting, and Microsoft Planner which can help with rostering and task management. These are all useful tools which will help clinicians collaborate, plus share data and information in meetings, both with onsite and remote staff’.
Based on the success of the initial pilot, a further 16 Surface Hubs have been ordered, to be rolled out across the Trust. These 84-inch screens will be placed in as many Acute Wards as possible starting early April. Speaking on this, Kyle Hutton, Project Manager in the Trust Digital team, added, ‘Initially we’ll be providing Acute teams with basic training on how to use these Surface Hubs with Office 365 features such as Microsoft Teams and Whiteboard. Once colleagues have become familiar and comfortable with using a Surface Hub, we then plan to introduce
