Change Happens...Let’s Give You An Update

As neighbors around you come and go, technology continues to evolve and the world around us is growing at tremendous rates, the Activities office is also changing. Our office is adjusting to event trends, being budget conscious as the cost of goods and services continues to rise and we are currently reviewing a new website that we feel will greatly improve the online event ticket sale ordering process.
Venue Name Change
The Farmer’s Market area in the Freedom Park parking lot has been renamed to the Solivita Market area. You will soon notice the name change in the newsletter and on SolivitaHOA.com

Online Ticket Sales Website
Since the transition in August 2023 to the new Club Management company, Castle Group, our bank account and the credit card processing “gateway” also changed. Our current ticket sales website accepts credit card payments only through a few select “gateway” processors. In order for us to accept credit cards as a type of payment, and to save us a large amount of ticket sales transaction fees, we are reviewing a new ticket sales website. This will greatly improve the efficiency for the Activities Team and for residents who will not need to come into the Activities office to pay (unless they prefer to pay with cash or check); a win/win for all. We are looking to roll out the new ticket sales website by this summer. More information will come soon.
Changes in Services Offered to Clubs
In years past, Stonegate Golf and the Activities Department have shared the responsibility and cost of hosting these popular activities in Mosaics. Because of changing budgets and Mosaics Restaurant opening on more days through the week, these events have fully come under the Activities Department umbrella. The dates and information for these activities has now moved to the Reflections newsletter Event Pages monthly insert.

However, due to an increase in the amount of events, the opening of the Mosaics Restaurant on most days during the week, clubs in the Ballroom or Mosaics may now opt to take up to two (2) of their own coolers and get ice from The Palms ice machine in the storage room at a fee of $10. We will continue to provide and deliver tap water to the Ballroom and Mosaics at no charge when ice is paid for. The Palms will continue to supply ice and water for events at The Palms.

2. Helium: Due to incredibly high increases in the cost of helium, a $30 fee will be charged to clubs who request the use of the Ballroom or The Palms helium tanks. The price is in comparison to the Wal-Mart tank that fills 30 balloons. For events in the Ballroom or Mosaics, clubs need to prepay and sign-out the helium nozzle from the Activities office during office hours. If your event is at The Palms, you can pre-pay and get the helium nozzle from their front desk.
Activities Staff Promotion
We are pleased to announce the promotion of Brandon Payne from an Activities Audio Visual (AAV) Specialist to an AAV Lead in January 2024. Brandon started working in Solivita at The Palms front desk in 2015 and was quickly identified as a great asset where he was then transferred to the Activities office in 2016. In 2019, Brandon was selected as

Solivita “Employee of the Year.” If you have ever interacted with Brandon, you know how hard he works. He has the patience of a saint and his knowledge has grown from the basics (simple VGA and HDMI laptop to projector connection) to much more. On his own initiative, he researched and learned complex audio visual setups such as live streaming/live video with multiple microphone connections/switching inputs, video editing and so much more. Brandon not only answers resident club audio visual questions, but he also assists with the setup of the HOA live videos, checks and makes minor audio visual repairs in the Club facilities and reviews, orders and installs new A/V equipment. His customer service is continually appreciated and acknowledged by residents who interact or work with him.

SPEED ENFORCEMENT
The HOA, Security, and the Polk County Sheriff’s Office receive multiple complaints of speeding each week from residents within the Solivita community. The Sheriff’s Office has been asked for their assistance in speed enforcement. Receiving a speeding ticket is not only financially costly, but can lead to much more serious results. Did you know, a driver is six times more likely to have an accident when traveling at 25% above the posted speed limit?

Operation Clean Sweep

Solivita has more than 250 clubs contributing in many exciting ways to the quality of life in our community. However, few have the immediate positive impact as the good work sponsored by the Solivita Fishing Club. Their new project named, “Operation Clean Sweep” asks their members to take a rake and a trash bag with them whenever they go out to their favorite fishing location. This idea, which began in February of this year, has resulted in the collection of trash along the shoreline, beautifying each area. Members pick up litter that they find on the ground and rake in debris floating nearby. Their efforts restore the area to its original beauty while saving homeowners the labor expense associated with having paid staff members do the work.
The club asks each member to take their filled trash bags home to “weigh in” and then send a photo to record the results. This allows the club to measure their level of success and celebrate the extra effort made by each club member.
The next phase of Operation Clean Sweep is called “AdoptA-Pond.” Volunteers enter into an agreement with the Solivita Fishing Club, pledging to conduct litter removal efforts at regularly scheduled intervals around the shoreline of their own specially designated pond. Solivita Fishing Club has assigned names to their 29 favorite ponds. These will be the first ponds adopted. This leads the volunteer to a feeling of ownership, personalizing the experience and allowing these civic-minded residents to make a continuing positive contribution in their respective neighborhood.
The new program enhances the already established “Fish for Trash” bi-annual club event, allowing those participants to focus on ponds not in the “Adopt-A-Pond” program. The combination makes for a more effective and efficient process.

A Friendly Reminder from Your Solivita Architectural Review Office

With spring in full swing, the Compliance Department would like to encourage everyone to keep Solivita beautiful by freshening up around your homes and bringing in the new air of a great year to come. We would like to simply remind everyone that any changes made to the exterior of the property require prior Architectural Review Committee (ARC) approval. The ARC is part of the Association and maintains the standards established in the governing documents and the ARC Standards of Procedure to help protect property values.
As you inquire about what kind of documents or what additional information is needed when submitting your application, let me help by going over the most common ARC application requests we receive and what you will need to provide upon submitting. Although each ARC application is unique, the most common are repainting your home, landscaping, screen enclosures, fences, yard art, wall art, and extending the walkway, just to name a few.
ARC Applications
When submitting the signed ARC application by the Property Owner or Power of Attorney to the Compliance office, you will need to provide the following (as needed):
» Paint change must include paint color samples or swatches.
» All Landscapes must include drawing(s) or sketch with the size or dimension(s) of the change(s) or addition(s) and a copy of the Official Property Survey or Polk County aerial map marked with the location of the landscape change(s).
» Official Property Survey or Polk County aerial map marked with the location (fences, pools, extending a screen enclosure, new landscape beds, curbing, extending walkways, and any additions).
» Picture showing the color, dimensions, location, samples of pavers, rocks or curbing, types of plants, flowers, yard art, etc.
» Proposal with specifications from the vendor completing the work and detailed scope of work - the height, materials, shape, color(s) name, and samples including drawing(s) or sketch of the change or additions.
The HOA has up to 30 days to process an ARC application. Subsequently, because of the large volume of ARC applications submitted, the Architectural Review Meetings are held on the first and third Mondays of every month (except for schedule changes based on the reserved holidays). Your request must be submitted no later than 4pm on the Wednesday or Tuesday prior to each ARC meeting. After the meeting, you will get a notice from Evergreen Lifestyle Management to the email you have listed in your HOA account, and a letter follows in the mail.
Please keep this in mind when turning in an application for approval and wanting to know the outcome of such. It’s understandable that many homeowners want to know the outcome the same day that the meeting takes place, but unfortunately there is a process to follow. ARC applications are first recorded in the system, an email is sent from the system and then letters are generated and mailed to the mailing address on file.
Steps to Submit an ARC Online
» Log in to your SolivitaHOA.com account.
» Click on the “HOA” icon located on the top right side of the website.
» Scroll down and click on the “Compliance” icon.
» Scroll down the page until you see the fillable Application for Architectural Review Committee. Proceed to fill out the online form, digitally sign by clicking the left mouse button, attach the required picture and click the “Submit” button when completed. You will receive a generated email from the website.

Paint on Home
Paint notices are one of the most common notices we send since every seven years homes are required to be repainted. There are a lot of homes in Solivita and a limited amount of paint vendors. Some of the vendors are booked months in advance which can cause the painting of homes to be pushed back past their deadlines. If you know that your repaint date is coming soon, try to contract with a vendor in advance to avoid missing your deadline. If you don’t know when you are
due for paint again don’t hesitate to call our office to find out. You can view the approved Solivita colors by logging in to your SolivitaHOA.com account. When you are on the Compliance page, click on the link towards the left-hand side of the page as shown below. The link will take you to the page where you can view the current approved Solivita colors and the last updated painters list. You can also contact the Concierge desk at 863427-7146 if you need to obtain any vendor contact information for your home repairs.
Pressure Washing
Pressure wash roof and pressure wash driveway/walkway are two of the more common non-compliance issues we handle. If you see that in certain areas your roof or driveway is dark, it may be time to have it cleaned. It can be difficult to see the slow buildup of dirt on these surfaces when looking at them on a day-to-day basis, so try comparing what it looks like now to a photo from years prior, if you have one.
Mailboxes
Mailbox notices are on the rise recently. The mailbox tends to be a forgotten detail of the home but, please look at your mailbox to determine whether it needs attention. Some of the things we see often is mold build up, fading, chipped or peeling paint, and missing or damaged decals. The vendor PIP Marketing can provide you the custom V logo, white address numbers, and new mailbox. They can be reached at 407-847-5565. You may also purchase a new mailbox from a home improvement store, just be sure that it is the same size and style as your current mailbox.

2024 CAR SHOW RECAP
This year we had 90 pre-registered, 43 more registered the day of the event, a few car clubs and 10+ motorcycles that were all so incredible to see lined up from the Community Garden to the Pro Shop roundabout.
This year’s event was opened by DJ Joe Magic in a new location outside the Bistro Cafe. The Pit Crew girls and the Car Show Tire Man took pictures with everyone. The tattoo parlor was busy. An extensive and well explained modular train display was created by the Model Railroad Club of Solivita. The remote control car track was in it’s new (air conditioned) location in the Ceramics Gallery and was brought and managed by the SolAbility club.
Many thanks go to the volunteers of Solivita Friends Helping Those In Need and the DUO clubs who worked tirelessly selling raffle tickets, making gift baskets, soliciting raffle items, manning the Info Booths and the Raffle table to raise as much money as possible for each of their food pantries. Sales from raffles, car registrations, sponsors, t-shirt sales and the People’s Choice Voting cards came out to an approximate amount of $20,000 for the St. Vincent de Paul St. Ann’s Haines City and the St. Rose of Lima food pantries!

On another note, we would like to give another kudos to the Solivita Smashers volunteers for the Polk Senior Games Pickleball event. Let’s Get Fit
May 29th marks National Senior Health and Fitness Day. The goal is to assist our seniors in their journey to stay fit and healthy. A healthy diet can boost your immunity and energy while exercising regularly helps retain bone mass and lowers the risk of fractures and other diseases and conditions.
Let this day, as well as every day, serve as a reminder of how important a healthy and fit lifestyle is.

9th Annual Cuban Sandwich Festival

St. Augustine’s Food & Wine Festival
The festival will be running from May 8th through the 12th (located at 500 South Legacy Trail in St. Augustine). This is a

Mayfaire by the Lake
The Polk County Museum of Art will present Mayfaire by the Lake located at Lake Morton in Downtown Lakeland on Saturday, May 11th and Sunday, May 12th from 9am to 4pm. Food Supplies for Hurricane Season

June Meeting
If you are interested in CERT or wonder what CERT is and what we do, come to our meeting on June 10th. Our guest presenter is a herpetologist on venomous snakes and other snakes of Florida. There are four venomous snakes in central Floridarattlesnake, pigmy rattlesnake, water moccasin (cottonmouth) and coral snake. Come and learn about these reptiles.
Food Supplies
May is the perfect time to stock up on your food supplies for hurricane season (June 1st to November 1st). Solivita CERT recommends that you start now to get a supply of food together for at least three days without power. Understand you may also not have access to stores at this time. If you put food aside from last year, please check the expiration dates.
Start With These Items - A Few Each Week
» Canned meats, soups, stews and chili, canned fruits and vegetables. Make sure you have a manual can opener. Without electricity, you can heat foods and/or water on your gas grill or a sterno warmer.
» Non-perishable dry foods such as crackers and cereal. Also unsalted nuts, jelly, honey and peanut butter.
» Instant coffee, tea and cocoa, powder drink mixes, fruit
juices, vegetable juices and diet soda.
» Don’t forget your pet’s food.
» Make sure these are food you will eat because you may have no other choice.
As Storms Threaten
(48 Hours Out), Add These Items:
» Fresh fruit like apples, oranges, bananas, peaches, pears and dried fruits.
» Cheeses that do not need refrigeration.
» Bread, muffins, bagels, and cookies.
» Bottled water - a gallon a day per person.
» Ice - make your own ice ahead of time. Put ice in gallon storage bags and freeze them.
Tax Holiday
The State Legislature has created a 14-day “disaster preparedness” tax holiday from June 1st to June 14th. Some examples of “tax free” items include flashlights and lanterns, costing $40 or less, reusable ice costing $20 or less, radios costing $50 or less, tarps and ground anchors/tie down kits costing $100 or less, coolers and power banks costing $60 or less, batteries and fuel tanks costing $50 or less, and generators costing $3,000 or less.
