MAKING YOUR MILES COUNT Robert D. Scheper
Success Requires Intentional Choices! Many couples have sat in my office asking about purchasing a highway tractor so that they can be an independent operator. Their concerns are well founded as a significant number have found the experience costly. There may be a great many operators who have credited the independent operator industry for securing a strong financial future, but not everyone has that story. Many feel they do not have any control of their future. When consulting with first time operators I am forced to simplify the procedure and circumstances for their success. It can be condensed into four or five primary keys. First, what is the cost of the truck? Purchasing a truck will always have some bottom-line cost per year. It does not matter if it’s leased or owned, there is always a liability carried by the operator. For a great video on understanding the difference between leasing and owning, as well as some associated costs of a truck, visit our website and watch the “Lease versus Own” video (30 minute and 15 seconds) (https:// makingyourmilescount.com/podcasts/). Second is fuel consumption. The highest variable cost of operating a truck is paying for the fuel. If you notice that I stated fuel consumption and not fuel price you know that my position on consumption is that it is more important than the price of fuel. Consumption is something every operator has direct control 8 • OVER THE ROAD
over. They cannot eliminate it, but they sure can minimize it. It starts with purchasing a truck with the right specs and continues all the way to proper acceleration practices from a stop sign. An operator controls consumption. There is nobody to blame but the guy behind the wheel. Good operators master the art of minimal consumption. Third is maintenance. Maintenance on a highway tractor is critical to success. An operator needs proper purchasing choices and must also treat the truck with respect. Purchasing a truck with minimal or no unnatural pollution control risks is paramount. I have seen too many very fine operators run $30-40k a year in pollution control maintenance. These costs do not increase the value of the asset; it only keeps the truck operating. Minimizing this minefield through smart purchasing can save years of wasted miles. It is a tricky part of the business. I once polled over a thousand operators and found that 70% of them ran pre-emission trucks (in a time when pre-emission trucks were all over 5 years old). Operators do not risk being the guinea pigs when their own money is on the line. They let someone else test the new technology. Operators must understand their equipment maintenance issues. Fourth is sale price of the truck. See ownership (Lease/Own video). At the end of the life of

all about this topic “Making Your Miles Count: taxes, taxes taxes”. Using non-taxable benefits versus the TL2 simplified method produces a 40-65% reduction in taxes. If your accountant still asks you for your logbooks at year end… you are using the TL2… you are NOT using NTB. Chances are your accountant does not know the difference. It is unfortunate that after 12+ years of my book being available, those who prepare taxes still have not read it. My guess is if they have not used it until now… they probably won’t in the future. Shop around, find a tax preparation expert that does - it’s not a scam… it may seem more complicated at first but a $12,000 a year tax reduction brings significant value to your annual after-tax wealth building. This too is in your control.
your truck, what will it be worth? How long can you keep the truck rolling after it has been paid for? In my 2015 book “Choosing a Trucking Company”, I compared carrier contracts from 1996 against those of 2012. I found that operators made the most return on investment AFTER it was paid for… no matter what century they were operating in. This means that the longer you hold onto a truck, the higher the return on investment will be (on average). Every operator must think through the probable value of the truck at the end, when they will be selling/disposing of it. The higher its residual value over the cash flow it brings in reveals its worth to you. Here is another example. I know a guy who bought a truck for $6,500 and drove it for just over two years. It was then sold for parts ($1500). The cost to run that truck was $2,500 for the year. He got average fuel and maintenance cost and it contributed $15,000 annually above his wages. This represents a fantastic annual return on his investment... 600%, even though he only got $1500 from the scrap guy. The sale price is only important as a ratio of the original purchase price. Business minded operators think purchase and sale price over the life of the truck. Buying for the right price is usually more in the control of the operator than selling for the right price… however, combined, both are extremely important.
About the Author: Robert D. Scheper is a leading Accountant and Consultant to the Lease/Owner operator industry in Canada. His first book in the Making Your Miles Count series “taxes, taxes, taxes” was released in 2007. His firm exclusively serves Lease/Owner Operators across Canada. His second book “Choosing a Trucking company” is the most in-depth analysis of the operator industry available today. He has a Master’s degree (MBA) in financial management and has been serving the industry since he and his wife came off the road in 1993. His dedication, commitment and strong opinions can be read and heard in many articles and seminars.
Finally, it is taxes. Too many operators still think that they have little to no control over taxes. They think the more you make, the more you will pay. Though true in a broad sense, it makes a HUGE difference which SYSTEM of tax reporting you use. My first book (2007) was

Drivers join your company because they believe they will prosper with you. The main reason they leave a company is the breakdown in communication and promises unfulfilled.
Proven Results. PDA is an extension of your driver support system. Our people develop a meaningful relationship with your newly hired driver from Day 1. We proactively call them, on a scheduled, weekly basis, to learn about their experience with their new company: Are they satisfied? Is it what they expected? SPEAKING FROM EXPERIENCE Ray J. Haight
Need or Want? I heard a phrase the other day which set my mind to dig deeper into the thought. The individual I was with spoke about his wife’s shopping addiction and he stated that she was a “want person and not a need person.” I did some quick research on the internet on compulsive shoppers and found that there is a small amount of endorphins and dopamine released into the system when something is obtained or purchased. A feeling of accomplishment is felt by most of us. Unfortunately, some of us enjoy the feeling so much and it is so short-lived that it is easy to get hooked on it and become compelled to have the feeling repeat itself repeatedly; it is very destructive. Hearing that phrase immediately sent me to a flashback situation when I was speaking with a new truck driver at a truck dealership. This fellow, just new to the industry as a licensed AZ driver, was determined to become an Owner Operator ASAP. As we chatted, I noticed he was eyeballing a couple-year-old conventional that was tricked out to the wazoo. Next to that beautiful beast was a more conservative, aerodyne truck that was obviously going to be a far cheaper truck to operate and had much less bling. Having been through the bling time of my life some years ago when it came to large cars, I was trying to impart my years of wisdom and inform the newbie in no uncertain terms what the best decision would be for him as a brand-new Owner Operator, at this point in his career. I went 14 • OVER THE ROAD
so far as to suggest that the net profit of the more aerodyne vehicle with less chrome would pocket the same net dollars in four years as it would take him to earn in five years in the “bling mobile” - if he were lucky. As I have said in the past, I am no salesperson. I do not have that skill and I admire those that do. I mention it because, this person listened to all the things I could throw at him that would help him make a good decision. I went at him with things like; 20% better MPG, ease of maintenance with less bling and less unnecessary chicken lights, less capital expenditure, better cash flow and a lighter vehicle that will allow more payload. He looked at me and said, ya, but I have a young son, and I’d like to enter into some of the show and shine events with him this summer. What could I say? I wished him well and hoped that he has great success as an Owner Operator. I then went on my way. This person knew what he wanted and the fact that it was way more than he needed meant nothing to him. So, what type of person are you? Need or Want? Suppose you strip it down and look at the famed Psychologist Abraham Maslow’s hierarchy of needs. In that case, you start with food and shelter, then move up the pyramid to things related to safety and security, then onto belonging, esteem, and finally self-actualization. https://en.wikipedia.org/wiki/Maslow%27s_ hierarchy_of_needs JULY 2021
do you communicate? Do you try and involve the drivers’ families? Do you have functions and opportunities for them to participate in? If you do, I’m going to guess that you feel your turnover is manageable. You feel like this because your turnover rate is at or around published industry averages.
Interestingly, as I overlay this line of thinking onto the current situation of driver turnover, it seems that many companies with high turnover struggle to supply what a driver of today needs, let alone the want that is at the basis of driver retention. Let us break it down a little; according to Maslow, the base of his hierarchy pyramid is the need for food and shelter. To me that means steady income. With that steady income, a driver buys food and shelter for his family. That is not too complicated. If you don’t give me work or miles, I won’t stay here as you aren’t satisfying my basic needs.
If you are a company that has mastered the first three steps and are also valuing your people and recognizing them regularly, I’m betting that you are on the low side of the turnover equation. If you are past this point and assisting your folks to be everything they can be in their careers, then you are likely best in class. Your employees and your entire management team have built a company whose strategic advantage in the marketplace is its people. Congratulations to you. I’m sure that you are dealing with best-in-class numbers also; 20% and lower would be my guess.
The next level is safety. Can you provide a safe vehicle for me to drive and provide a safe work environment for me to work in, provide good lanes and customers, fuel spots, etc? If I do not feel safe and secure, I’m out of here. Why stay? I have options that won’t put me in harms way and that will pay the same as your job or better.
The need in driver retention is income and safety; these are the hard things. Transiting from there to fulfilling the wants, belonging, esteem and finally, self-actualization is where best-inclass companies win the game.
If you are a company that does not have the first two driver needs nailed down and nailed down hard, you are likely a very high turnover company. I would guess that you are likely well over a hundred percent. You over promise and under deliver, you don’t pay at minimum market rate and your safety record is in question. Your trucks are likely being pulled over regularly by DOT because of it.
Safe trucking, Ray J. Haight TCA Retention Coach ray@tcaingauge.com www.tcaingauge.com
It is the next few steps that I believe eludes most trucking companies. The next step is belonging. Does your company make folks feel like they belong to a community? How do you create that sense of community? Do you communicate through newsletters, social media, etc., and what JULY 2021

WOMEN IN TRUCKING Ellen Voie
Frequently asked Questions Although the Women In Trucking (WIT) Association was formed over fourteen years ago, there are still many people who don’t understand our mission and who we represent. This article will answer the top, most frequently asked questions we receive. First, let me remind you of our mission. The Women In Trucking Association is a non-profit organization that was formed to encourage the employment of women in the trucking industry, promote their accomplishments, and minimize obstacles faced by women working in the trucking industry. #1. Does WIT only represent drivers? No, we’re not “Women in Trucks,” we’re “Women In Trucking!” Our members include drivers, but we also have trucking companies, truck dealerships, trucking academies and schools, insurance companies, other associations, suppliers, and manufacturers as members. Our over 5,000 members can be individuals or organizations. #2. Can men join? Absolutely, we are not just FOR women in the trucking industry, we are ABOUT women in the trucking industry. Typically, about fifteen percent of our members are men who join because they support our mission. #3. Are your members only in the United States? No, we have members in twelve countries. Many of them join to get access

to our resources, like data, research and our publications and webinars. #4. If WIT is a non-profit, how do you make money? We are a trade/professional organization, the IRS designation of a 501(c)(6) non-profit. This means our members are both individuals and companies who pay dues to become a member. #5. Where is your office? We are incorporated in Wisconsin, and our post office box is in Plover. However, we do not have a corporate office, and all our team members work out of their own home offices. #6. Who runs your organization? Ellen Voie is the President and CEO and the founder, but the association is led by a Board of Directors who oversee the activities and set the strategic plan. #7. How big is your staff? We have five employees: a President/CEO, Vice President, Director of Programs, Director of Membership, and a Driver Ambassador. However, we are supported by an association management firm which also provides an additional five team members who report to their CEO. #8. Why should I join? We want our members to join Women In Trucking Association because they support our mission to increase the percentage of women employed in the industry. However, there are tangible benefits in joining as well.

by a separate leadership team and has its own Board of Directors. The foundation provides scholarships to women seeking training as drivers, technicians, safety professionals or to advance their career in supply chain.

We want to keep you informed as well as to provide educational and informational opportunities for you to be a well-prepared professional. We also provide networking thorough our website, our social media channels, and our annual events, such as the Accelerate! Conference and Expo and our Salute to Women Behind the Wheel celebrations.

We also have unique resources at Women In Trucking, from a Girl Scout Transportation Patch, a truck driver doll, a Diversity & Inclusion Index initiative, Driver Ambassador Program and Image Team to name a few. Our recognition programs include a Member of the Month, Influential Woman in Trucking, Distinguished Woman in Logistics and Driver of the Year plus numerous other programs in our magazine.
If you are looking for financial benefits, there are dozens of “members only” offers including discounts or premiums from our corporate members. If you are looking for industry related resources, we have a recruiting and retention guide, an anti-harassment guide and best practices information only available to corporate members.
For more information on these programs visit www.womenintrucking.org.
#10. How do you communicate with your members? The primary way to get information out is through our weekly e-newsletter, but we also have a magazine, Redefining the Road and a platform we call, Engage, where our members can interact and socialize. We have a weekly radio show on SiriusXM’s Road Dog Channel 146 every Saturday. There are also monthly webinars with various topics that appeal to different members.
