Payment Processing Security Overview

• Secured payments facility. Background checks of all staff involved with experience in lockbox operations. All staff including developers are given examination and exercises to demonstrate their proficiency.

• The building is open from 7am to 7pm weekdays except for national holidays. Outside these days and times an entry code in required to enter the building.

• The entire office space is continually monitored by a security system and requires an additional entry code for access into the Lockbox Zone.

• The operational space is recorded by a video camera. The contents of the video camera are uploaded to Renovo’s SSAE 16 SOC 1 Type 2 Audited website on a continuous basis while the Operational Space is in operation. The Lockbox Zone has an area for work to be processed, work in progress and work completed.

• Post office lockbox customers at either the North Carolina or South Carolina post office PO Box. Delivery of the mail is delivered to Lockbox Zone by a licensed and bonded courier at dates and times as agreed to by the lockbox customer and availability of the courier.

• HIPAA (Operation)

• PCI – Electronic Transactions (ACH, Credit/Debit Cards)

• Additional Security Documents and Certifications are available upon request

• Notifications are sent when a contact sensor, motion detector or any part of your alarm system is triggered including tampering with the devices. If there is an emergency, local authorities are contacted via Cell Towers. Renovo monitors the entire security system via Cell phone.

• Lock box Area: This area is videoed and locked and has three main areas of work.

• To Be Processed - Mail that delivered by the courier is delivered to this Lockbox Zone.

• In Process – A unit of work is being opened, scanned and processed

• Processed – A completed unit of work

• Full processing work-flow can be documented and customized to your needs.

Customer-Facing Portal

Portal

• We developed a web-based platform for our magazine customers. This portal acts as a control center database to house/manage customer data. Customers can utilize this portal to purchase/edit a subscription, gift a subscription, change address, or view their account. Management can use this portal as a turn-key customer service tool. On the back end, management has access to edit/view customer data as needed. Multiple types of reports can be custom generated, or we can deliver them periodically.

• Press subscribe to renew a subscription or send on as a gift

• Users can also change their mailing address, view subscription status, or change their password.

Live daily revenue can be displayed on your portal dashboard so you can view real-time subscription activity on a day-to-day basis.

Database Search

• The portal allows you to search for customers based on a variety of different fields. This is extremely helpful when you have a limited amount of information and need to track down a subscriber.

Subscriber Options

• From here, customer service can view a user’s subscriptions, address history, edit address, purchase/give gift subscription, add notes to their account, view details, etc.

• Each subscriber has a dashboard that displays all their specific information. This screen shows subscription status, deliverable address, expiration date, last order date, etc.

• The order section of the portal shows order history. This helps customer service with confirming whether a payment was received or not and the source of the payment.

• From the portal, customer service can mark a subscription expired, cancelled, suspended, deceased, etc. as needed

Expiration/Renewal Mailings

Renewal Mailing form, customized to your needs. This contains a payment stub and OCR line for accurate payment processing. Back of form contains place for gifting subscriptions.

Magazine Marketing Campaign

• Marketing mailings are subdivided by expirations and renewals. On the odd months, we focus on expiration mailings. This list ranges from subscribers that just expired to subscribers that expired two issues in the past.

• On even months, we focus on renewal mailings. This list ranges from subscribers that are about to expire to subscribers expiring in 2 issue.

• This marketing approach allows us to give subscribers the opportunity to renew way ahead of time. If they missed the first renewal mailing, they would have another opportunity through the expiration mailing.

Renewal/Expiration Form

• This form is a notification/payment tool. Upon receival in the mail, customers can tear off the bottom of the slip, fill out what subscription level they would like to order, and mail back to our lockbox service with a check where it will be processed and uploaded to the portal. They can also go to the portal’s website and renew their subscription online with a credit card.

• Through variable data processing, a subscriber’s gift recipients would automatically be added to the back of the form. If they would like to renew their giftee’s subscription as well, all they must do is check the box beside their name and return payment.

• Provide multiple subscription types (printed magazine, emagazine only, or both).

Address Management

TSG is able to manage address data by performing NCOA (National Change of Address) reports. As we input your data into our system, we can run NCOA to instantly provide any updated addresses. NCOA is also run prior to every mailing we send out including marketing mailings and magazine mailings. When people move, they typically arrange the address change with the United States Postal Service. Prior to our mailings, we run customer data through the USPS database. As addresses change, we update them in the system so your data stays accurate. This greatly reduces the amount of return mail you receive, and costs associated.
