How Trinity Purchasing helped Buswells Hotel achieve €120,000 in savings

BACKGROUND
As a member of the Original Irish Hotel Group, Buswells Hotel is a prestigious independent 67-bedroom hotel located in the heart of Dublin, Ireland, next to Trinity College and within a stone’s throw of St Stephen’s Green.
It has consistently upheld a tradition of exceptional hospitality, earning itself a reputation for boutiqueclass hospitality offering a traditional warm service.
Paul Gallagher, the General Manager, has been leading the hotel for 27 years with a clear vision to provide first-class customer service standards. In addition, Paul has also held a Non-Executive Director position with Dublin’s iconic Convention Centre, as well as Chair Central Marketing Partnership for Tourism Ireland and a Vice Chair Board of Directors for the Original Irish Hotels, which includes more than 50 hotels –including Buswells.

A PARTNER IN PURCHASING
With a commitment to advancing financial efficiency and streamlining operations, the management initiated an in-depth review of the hotel’s creditors ledger. The primary objective was to identify avenues for cost reduction,

“Since working at Buswells, I’ve witnessed a lot of changes. For example, I remember when bookings were made via telex and fax! While the service people expect remains a constant, the reservation process and general operations have evolved. Technology plays an increasingly important role in the guest experience, and of course, the overall management of the hotel has become far more digitised. We are also seeing inflation creating pressure on operational spend, which requires a close eye, and importantly, opportunities around participation in a group purchasing scheme.”

Confirms Paul: “Following some early conversations with the Original Irish Hotels group, where we share

a centralised marketing department, we could see the advantages of combining further resources and knew we would be able to realise savings if we did this with our purchasing. We were aware of Trinity Purchasing, an Avendra Group Company, and its hotel procurement specialism so we got in touch.
It was at this time that I invited the team from Trinity to come in and really get under the bonnet of our operations, learn about our supply chain, meet our head chef, understand our purchasing patterns and review our overall expenditure to see where efficiencies and savings could be made. With many outside factors driving price increases, you sometimes feel powerless of being able to make any financial savings, however, I knew that the best starting point would be the ‘big ticket’ items, including food & beverage, energy, telecoms, insurance, and laundry, and so we got to work.”
Examining
spending trends and supplier partnerships
The process started by collecting and analysing creditor ledger reports and supplier invoices. Simultaneously, the Trinity team conducted vendor evaluations to assess product quality, pricing competitiveness, and service delivery.
An examination of expenditure patterns revealed trends and areas of
potential opportunity. Expenses were categorised, billing cycles scrutinised and contract terms evaluated for accuracy. On top of this, supplier relationships were closely examined to understand existing levels of communication, responsiveness and issue resolution. This involved engaging department heads and staff, including Executive Chef Niall Whelan, all of whom were able to provide valuable insights to enhance the assessment process.
Plugging into energy savings Trinity experts conducted the energy analysis component in collaboration with Radius Energy, and it delved into both Buswells’ electricity and gas consumption. This assessment highlighted the significance of accurate usage monitoring in the face of inflationary energy markets.
“When it comes to managing energy costs, I think everyone I talk to in the industry agrees that it is very hard to compare ‘like for like’ as the prices quoted appear to differ from day to day. It can be a minefield,” explains Paul. “As such, energy costings are so complex and difficult to project that having help from Trinity from day one and its energy specialist partner Radius Energy, was very welcome. They immediately helped us to unlock savings by going to the market on our behalf, saving us in the region of €75,000 per annum, which is an

enormous saving for a hotel of our size. I trust the team and felt at ease with their recommendations, and I’m delighted to have identified such significant cost savings for the hotel’s financial sustainability.”
Food and beverage & non-food
The next phase of the work involved analysing our food, beverage and nonfood purchases against Trinity’s group purchasing pricing.
Paul confirms: “Trinity’s price analysis has identified a potential further €45,000 per year savings on these costs, if we utilise all of their

recommendations. It’s great because these savings can be made either with existing suppliers or switching to an alternative. Our Head Chef has built confidence in Trinity and their team due to the fact that they work in partnership with us and want to understand our needs fully. Plus, through their robust supply chain, we have certainty over the quality of products and service delivery and are progressively making savings over time.
Moving forward, Trinity will renegotiate contracts as necessary to ensure competitive pricing is aligned with current market rates. We will also benefit from a centralised procurement system to streamline the majority of our supplier management.”
Working with Trinity has created some substantial cost savings, as well as operational efficiencies for our business. All savings fall into our net profit, which is something I’m sure all hoteliers would like to benefit from.

CONCLUSION
When reflecting on the relationship with Trinity, Paul confirms: “Working with Trinity has created some substantial cost savings, as well as operational efficiencies for our business. Moving the ‘big ticket’ items to Trinity has really made a big difference, and all savings subsequently fall into our net profit, which, given the tough market conditions, is something I’m sure all hoteliers would like to benefit from.”
So far, the efforts have translated to an estimated 7% in savings, which is equivalent to over €120,000 for the hotel. The partnership has resulted in actionable recommendations that fortify supplier relationships, secure favourable terms and enhance overall operations.
Concludes Paul: “If I were asked “why should I talk to Trinity” by another hotelier, I would tell them that I thought our prices couldn’t be beaten, and that we already had good relationships, but in fact, the savings we’ve seen by partnering with Trinity speak for themselves.
When you consider the challenges that hoteliers face – we are generally fairly time-poor, we have inflation knocking on the door which keeps pushing up costs. Having support from professionals who are on your side makes a difference. Why let suppliers
eat into your margins? I would say consider your largest spends areas – even if it’s just energy to start with – and you will be astonished at the savings that can be made – all of which can be reinvested back into making sure you deliver the exceptional hospitality and service that your customers expect.”

Describe your background in the industry. I bring extensive industry knowledge and expertise to the team, gained through my 10-year tenure with a competitor. I held various roles during this time, including Category and Sourcing Director and Chief Procurement Officer.
What attracted you to pursuing a career in procurement?
I initially fell into procurement during my university degree placement year. I spent the year in procurement for British Nuclear Fuel and loved everything about it. I then did my dissertation focused on procurement, and the rest, I guess you could say, is history.
I love every aspect of procurement, and it fits my personality perfectly. I would love for more people to pick a career in procurement at university.
Why did you choose Trinity? I chose Trinity because I was excited about the growth opportunities for the business in Europe. I was very impressed by the people I met during the interview process - their warmth and their desire to make sure that the company excels for Trinity members every day.
What are you most proud of at Trinity? I am proud of our teams, specifically how we have aligned our purchasing teams to bring greater value to our clients. Most importantly, I am proud of all the hard work that we are about to launch to the market. Our goal is to leverage the total scale of our organisation to provide the best technology, innovation and, first and foremost, client-led solutions in the market.
What have been your highlights?
My highlights are the time that I have spent out in the business, meeting our teams, connecting with our clients, and immersing myself in the various cultures where we operate. I am sharing this from 40,000 ft as I am heading off on a business trip to share best practices with another Avendra Group Company in Canada!
I am proud of our teams, specifically how we have aligned our purchasing teams to bring greater value to our clients.
What do you enjoy doing outside of work? I have a young family with two daughters (aged 8 and 5) that takes up most of my time. If I’m not with my family, I love to play golf and watch sports.

Concrete steps towards sustainability While we’ve made strides in cutting Scope 1 & 2 emissions via solar panels, renewables, and energy efficiency, the bulk of our emissions are from Scope 3 sources. In 2023, we began our first Scope 3 project targeting flour, teaming up with local farmers for sustainable practices. Our goal is to slash CO2 emissions from flour production by 30% by 2030, aligning with our Climate & Nature program for greener supply chains.

What is your role within Trinity?
I am the newly appointed Relationship Manager for West Netherlands within Trinity. My main role is to support our members in reducing their costs, increasing operational efficiencies, and generally improving their guests’ and customers’ experiences.
Tell me about your work background before Trinity. I have 15 years of invaluable experience in the dynamic hospitality industry, beginning my journey as an intern at Van der Valk Exclusief Vianen, a distinguished hotel in the heart of the Netherlands. I became an F&B Manager, and then later transitioned into the position of Sales Executive. Through my experience, I gained a complete understanding of the intricacies of the hotel sector while nurturing my professional growth. After dedicating 13 years to the establishment, I felt compelled to embark on a new chapter, seeking fresh challenges and opportunities.
What are you most excited about in your new role at Trinity?
I look forward to learning more about our services and new emerging trends and insights so I can assist our members with cutting-edge solutions to enhance their operations. I also love to meet new people and am eager to foster strong partnerships
with our members, upholding Trinity’s reputation of delivering kind and helpful service.
Can you tell me a fun fact about yourself?
I have a deep passion for music, particularly rock, and I thoroughly enjoy attending concerts, especially those with harder sounds. This usually comes as a surprise for people!

What’s your dream travel destination?
My husband and I love exploring Europe in our van, but when it comes to a dream destination like Madagascar, that requires going overseas and leaving the van behind. I once had the incredible experience of travelling on a sailboat with friends, and it left me longing for more. A journey to Madagascar by boat would be absolutely amazing.
Are you a cat person or a dog person? When I turned 25 and got my cat Pip, I discovered a newfound love for feline personalities. Cats have their own unique ways and characters. Pip, for instance, is a true diva who communicates her likes and dislikes with distinctive meows.

My work background before Trinity has been predominantly within the hospitality industry. As a student, I worked in a restaurant in the South of the country, and in 2008, I transitioned to full-time employment at my family’s hotel. After that, I worked for Roltex, a manufacturer of hospitality products and also for a local brewery.
What do you like most about your role at Trinity?
As a relationship manager, I help hotel and hospitality businesses understand their unique requirements and find suppliers who will suit those needs. I particularly enjoy providing thorough support to meet each member’s specific needs.

Waste sorting law
Belgium has taken a significant step towards reducing food waste by implementing a mandatory waste sorting law, as outlined in the government’s plan. Since January 1, 2024, all companies in the country are

Deposits on plastic bottles and cans
To curb the yearly disposal of 150 million cans, the Netherlands implemented a deposit system for plastic bottles and cans. The deposit is €0.15 for bottles and €0.25 for cans, encouraging consumers to return them to assigned collection points or reverse vending machines. This initiative aims to cut littered cans and bottles by 70-90%.
Mandatory marking on products containing plastic
Tobacco items, drinking cups, food packaging, textiles, bags, wrappers, balloons, and wet wipes must now bear mandatory markings. The markings include a logo and text
now required to separate food waste from other waste streams. This initiative follows a broader goal to reduce food waste by 50% by 2030. Companies that do not separate their waste streams will receive penalties from January 2025.

Ban on free disposable plastic items ‘on-the-go’
indicating the presence of plastic and the environmental harm if not properly disposed of. This measure aims to boost awareness and promote responsible disposal. The markings also guide consumers on correct disposal methods.
Extended producer responsibility
Producers are now actively involved in funding waste collection, participating in litter cleanup efforts, and raising consumer awareness. This aims to enhance a circular and sustainable economy. Producers pay fees for each kilogram of plastic packaging, financing collection and recycling. They must also join a collective organisation, like the Plastic Soup Foundation, to coordinate litter prevention. Producers communicate with consumers about the environmental impact of plastic waste and the advantages of reducing, reusing, and recycling it.
On July 1, 2023, a ban on the complimentary provision of disposable plastic cups and food packaging for ‘on-the-go’ was enforced. This ban was followed by a complete ban on these items in direct-use locations like cafes, restaurants, and stadiums from January 1, 2024. Businesses must now offer reusable or biodegradable alternatives.
Modification of waste flow
The categorisation of waste flow, previously identified as PBD (plastic, cans, and drink cartons), has been altered to PD (plastic and drink cartons). This adjustment is a response to cans now having a deposit, aligning with efforts to cut plastic waste. The change simplifies sorting for consumers and collectors, focusing on separating plastic and drink cartons. PD waste is transported to specialised recycling plants, enhancing the quality and quantity of recycled plastic by reducing contamination and leakage.

Ireland’s new deposit return scheme

Starting 1 February, Ireland introduced a Deposit Return Scheme (DRS) for PET plastic bottles and aluminium or steel cans to revolutionise recycling practices.

Here’s what you need to know to stay ahead:
WHY THE DRS?
Currently, more than 30 percent of plastic bottles and metal cans aren’t making it into the recycling loop, leading to an uptick in litter.
Introducing a deposit on these items encourages consumers to return them, helping to increase responsible disposal practices and reduce littering. The initiative targets waste prevention, emission reduction and the conservation of natural resources.
WHAT IT IS
Under this scheme, customers will be required to pay a deposit fee with each purchase, a fee that is then refunded upon the return of the container to a designated collection point.
Most drinks containers made from plastic, aluminium or steel between 150ml and 3 litres in size and have the ‘Re-turn’ logo on them can be returned. The containers should be empty, undamaged and in their original shape, with a readable barcode.
KEY DATES
The official launch of the DRS went live 1 February, 2024, with a transition period extending until 31 May, 2024.
Subsequently, from 1 June, 2024, only stock covered by the DRS will be permitted for sale.
WHO IT IMPACTS
All retailers, including those within the hospitality sector such as hotels, restaurants, bars, cafes, catering companies, takeaways, and event venues, must register with the scheme. If your business sells or supplies inscope products, you are defined as a ‘Retailer’ and are legally obliged to register with the Scheme and adhere to the Re-turn Membership Rules.

TAKE BACK EXEMPTIONS
To facilitate a smooth transition, businesses can apply for a Take Back Exemption after completing the registration process.
This exemption is granted on the understanding that most drink containers are purchased for onsite consumption. These businesses must prominently display a Take Back Exemption notice, providing a QR code and website details for the nearest Deposit Return point locations.

RETAILER OBLIGATIONS
In-store, retailers must prominently display the Take Back Exemption notice for customers. For online retailers, the QR code and Re-turn website link must be visibly presented on receipts.
Moreover, the deposit should be displayed as a separate line item on consumer receipts, with the deposit value also featured on Shelf Edge Labels (SELs) or online pricing where applicable.
