CHECKLIST

12-18 MONTHS BEFORE

Start a wedding folder or binder. Begin leafing through wedding, lifestyle, fashion, gardening, design, and food magazines for inspiration. Browse Pinterest and Instagram for ideas. Check out the Real Weddings and Inspiration Photoshoots in this guide for additional ideas from local vendors!

Work out your budget. Determine how much you have to spend, based on your families’ contributions and your own.

Pick your wedding party. As soon as you’re engaged, people will start wondering who’s in the wedding party.

Start the guest list. Make a headcount database to use throughout your planning process with columns for contact information, RSVPs, gifts, and any other relevant information.

Hire a planner, if desired. A planner will have relationships with, and insights about vendors. Even if you are only going to use them for day-of coordination services, it’s wise to hire them at the beginning of the planning process. Learn more about local planners starting on page 22!

Reserve your date and venues. Decide whether to have separate locations for the ceremony and reception, factoring in travel time between the two places. Find your perfect venue starting on page 56!

Book your officiant.

Research photographers, bands, florists, and caterers. Keep their contact information in your binder or spreadsheet. Use this guide to learn about all the vendors to make your wedding the day of your dreams!

Throw an engagement party, if you wish. But remember that your invitees should be on your wedding guest list as well. Visit our Celebrations + Dining Section starting on page 295 for the perfect options for your party needs!

8-12 MONTHS BEFORE ο

Hire the photographer and the videographer. No need to talk specifics yet, but be sure that the people you hire are open to doing the shots you want. Find local photographers and videographers starting on page 170.

Book the entertainment. Attend gigs of potential acts to see how they perform in front of audiences, then reserve your favorite. For all of your entertainment needs, visit page 262.

Meet caterers. If your wedding venue does not offer its own catering service, look for one now and hire the service. Schedule tastings with your fiancé to pick your menu. Visit page 147 to learn more about local caterers.

Select your attire - tuxes and dresses. You’ll need to schedule time for at least three fittings and alterations. Don’t forget to include the cost of alterations into your budget. Shopping for accessories can be postponed for another 2-3 months. Find all the latest wedding attire starting on page 187.

Reserve a block of hotel rooms for out-of-town guests. Pick three hotels at different price points close to the reception venue. It’s great to try to get one of the room rates to sit right around $100 if possible.

Start a gift registry with a minimum of three retailers. Create your perfect registry starting on page 287.

Launch a wedding website. Create your personal page through a free provider such as PerfectWeddingGuide.com. Note the date of the wedding, travel information, accommodations, and registry information. Then send to the link to invitees.

Send save-the-date announcements. Don’t forget to include your wedding website on your announcement! 11

6-7 MONTHS BEFORE

Select and purchase invitations. Hire a calligrapher, if desired. Addressing cards is time consuming so you need to budget accordingly. Visit page 253 to find your stationery!

Start planning your honeymoon. Make sure that your passports are up to date and schedule doctors appointments for any shots you may need. Find the best travel professionals starting on page 277!

Send your guest list to the host of your shower.

Meet with the officiant. Map out the ceremony and confirm that you have all the official documents for the wedding (these vary by county and religion).

Book a florist. Florists can serve multiple clients on one day (depending on the complexity of your floral design needs), which is why you can wait a little longer to engage one. You’ll need to be firm on your color palette prior to booking. Find your perfect florist starting on page 235.

Arrange transportation. Consider limos, minibuses, trolleys, town cars, or vintage cars. (Note that low-to-the-ground vehicles can make entries and exits challenging if you’re wearing a fitted gown.) For all of your transportation needs, visit page 300.

Start thinking about shuttle services for your out-of-town guests. Is this a service you would like to provide? If so, start talking with the hotels you have contacted and see if they have any special relationships or deals for these services.

Start composing your day-of timeline. Draw up a schedule of the event and slot in each component (the cake cutting, the first dance, etc).

4-5 MONTHS BEFORE ο

Book the rehearsal and rehearsal dinner venues. Select the menu and determine the guest list.

If you’re planning to host a day-after brunch for guests, reserve the venue.

Check on the wedding invitations. Finalize all the information on your invitations, details card, and RSVP card.

Select and order the cake. Some bakers require a long lead time. Attend tastings before committing to any baker. Find your cake starting on page 162.

Purchase your accessories and begin any necessary fittings and alterations. Bring your shoes along to fittings.

Schedule hair and makeup artists. Make a few appointments with local experts to try out different looks. Snap a photo at each so you can compare results. Check out all of our beauty experts on page 273!

Choose your music. Are there any must-have songs? What about songs NOT to play? Listing out these items can give the DJ great direction in your music preferences. Also start thinking about: first dance, father/daughter dance, mother/son dance, anniversary dance, and bridal party dance songs.

Start planning for your first dance by enrolling for dance lessons.

3 MONTHS BEFORE

Finalize the menu and flowers. You’ll want to wait until now to see what will be available since food and flowers are affected by season.

Order favors, if desired. Some safe bets: monogrammed cookies or a treat that represents your city or region. If you’re planning to have welcome baskets for out-oftown guests, plan those now. Another favor that’s always a hit is wine or beer glass take-aways. Think of all the local Kansas City brewery, winery, and food options!

Make a list of the people making toasts. Which loved ones would you like to have speak at the reception? Ask them now!

Finalize the readings. Determine what you would like have read at the ceremony and whom you wish to do the readings.

Purchase your undergarments. Schedule your second fittings, if necessary.

Finalize the order of the ceremony and reception.

Order menu cards, if you’d like, as well as ceremony programs.

Purchase the rings. This will give you time for resizing and engraving.

Send your event schedule to your vendors. Giving them a first draft now will allow ample time for tweaks and feedback.

2 MONTHS BEFORE ο

Touch base again with all the vendors. Make sure any questions on your first draft timeline have been answered.

Set up your timeline meetings with your wedding planner.

Meet with the photographer. Discuss specific shots, and walk through your wedding venues to note spots that appeal to you.

Review the playlist witih the band/DJ. Though you probably won’t be able to dictate every song played, you should come prepared with a wish list.

Send out the invitations. The rule of thumb: Mail invitations six to eight weeks prior to the ceremony, setting the RSVP cutoff at three weeks after the postmark date.

Submit a newspaper wedding announcement. If you’re planning to include a photograph, check the publication’s website for rules and guidelines about photo submissions.

Enjoy a bachelor/bachelorette party! Arranging a night out with your friends generally falls to the maid of honor/best man. But if it hasn’t been planned yet, feel to ask if a celebration is in the works!

Schedule all spa treatments for the week of wedding, including massage, facials, and mani/pedi.

1 MONTH BEFORE

Enter your RSVPs into your guest list database. Phone those guests who have not yet responded.

Get your marriage license. The process can day up to six days, but it’s good to give yourself extra time. If you’re changing your name, order several copies.

Mail the rehearsal dinner invitations.

Visit the tailor for your final fitting. For peace of mind, you may want to schedule a fitting the week of your wedding. You can always cancel the appointment if you try on the dress and if fits perfectly.

Stock the bar! Now that you have a firm headcount, you can order accordingly.

Confirm times for hair and makeup and all vendors.

Email and print directions for drivers of transport vehicles. This gives the chauffeurs ample time to navigate the route.

Assign seating. Draw out table shapes on a layout of the room to help plan place settings. Write names of female guests on pink sticky notes and male guests on blue sticky notes so you can move people about without re-sketching the entire setting.

Purchase gifts for your wedding party. You’ll present them at the rehearsal dinner.

Write vows, if necessary. This process can take longer than you think!

Get your final hair cut and color, if desired.

2 WEEKS BEFORE ο

Give the final head count to the caterer and baker. Confirm all set-up instructions and menu items. Also finalize payment at this time.

If you’re having a receiving line, determine the order you want everyone to stand in (i.e. parents, grandparents, important family members, etc.).

Prepare your wedding toasts or thanks to friends and family. Hint: Traditionally the best man, maid of honor, and father of the bride give toasts at the reception. If you’re concerned about length, consider setting a time limit for speeches, or have more of them at the rehearsal dinner.

Put together the reception seating plan if you’re having a seated reception meal. Hint: Leave two blank seats for every 50 guests. This will be for unexpected guests that happen to show up.

Designate someone to collect the wedding gifts and cash/cards brought to the reception. Coordinate with this person where they will bring the gifts after the wedding. Hint: This person could also take care of the guest book, since they will be in contact with many guests.

Grooms: Get your final haircut. Hint: Don’t get your haircut the day of the wedding - you want to give your fresh ‘do time to settle in.

Fill out escort cards, or give typed names to the stationer or calligrapher.

Plan any additional night-before activities with friends and/or attendants and proper accommodations for out-of-town wedding party members.

Designate who (i.e. reception site manager, coordinator, or close friend) will meet, greet, and handle each vendor on the wedding day. Hint: Usually your coordinator does this. 17

WEEK OF WEDDING

Delegate small wedding-day tasks. Choose someone to bustle your dress, someone to carry your things, someone to be in charge of gifts (especially the enveloped sort), someone to hand out tips, and someone to be the point person for vendors.

Send a timeline to the bridal party. Include every member’s contact information, along with the point people you’ve asked to deal with the vendors if problems arise.

Pick up your attire or make arrangements for delivery. Make sure to try on attire prior to the wedding day in case last minute alterations are necessary.

Call your reception site manager and make sure your vendors all have access to the site when they need it. Confirm final payment, if necessary.

Distribute final wedding-day directions, schedule, and contact list to all parents, attendants, and vendors.

Confirm delivery locations, times, final payments, and arrangements with florist.

Call transportation providers for a day-of schedule and addresses for pickups on the wedding day. Confirm final payment, if necessary.

Confirm details and final payment with photographer.

Confirm details and final payment with videographer.

Confirm date, location, time, playlist, and final payment with all musicians for the entire day (i.e. live music and DJ for ceremony, cocktail hour, and reception).

Make a day-of schedule for you and your fiancé. Make sure to include time for hair, makeup, and transportation to and from your appointments to your photo session.

Put final payments and cash tips for vendors in marked envelopes and give your wedding planner or a designated friend or family member to distribute on the wedding day. Give the final head count to the caterer and baker. Confirm all set-up instructions and menu items. Also finalize payment at this time.

Put together an overnight bag for your wedding night and designate someone to deliver it to the hotel for you.

Leave a copy of your honeymoon itinerary with someone in case of emergency

Give seating chart to caterer, venue manager, host or wedding coordinator.

Determine any wedding-day assignments for members of the wedding party, and make lists/info sheets as needed.

Check in one last time with photographer. Supply him/her with a list of moments you want captured on film.

Attend spa treatments, mani/pedi appointments. (You might want to get a stress-relieving massage, too.)

Break in your shoes.

Pack for your honeymoon.

DAY BEFORE THE WEDDING ο

Arrange for someone to drop off the guest book and pen and other important pieces at the reception site. Hint: This can be done at the rehearsal, if it’s in the same location.

Rehearse the ceremony with officiant and wedding party and other important people.

Pull together your attire, accessories, shoes, and put them in one safe place.

Put together a day-of emergency kit. You never know what may happen and it never hurts to be prepared. Give this to the most trustworthy guest, such as the mother of the bride or maid of honor/best man.

Confirm those people you expect to give/lead toasts at the reception.

Designate someone to take and freeze the top tier of the wedding cake to be eaten at your first anniversary celebration. Hint: Save some cocktail napkins, programs, place cards, and other mementos, too.

If you are going on a honeymoon right away, ask a bridesmaid to pick up your belongings at the hotel after you have left. Have fun and relax at your rehearsal dinner. If your wedding is in the morning, set your alarm. Hint: Arrange for backup just in case. Relax, take a bath, and get some much-needed sleep (8-plus hours!) if you can.

DAY OF THE WEDDING ο

MOST IMPORTANT: Relax, smile, and enjoy the day!

Eat breakfast and other small meals throughout the day. Make sure to drink plenty of water and use the restroom before the ceremony.

Enjoy your hair and makeup time with friends and family.

Take a moment to thank your parents and tell them you love them.

Set aside a private moment together before or after the ceremony to exchange gifts and a sweet congratulatory kiss (or two). It always makes a great photo opportunity to catch this special moment when you see other for the first time, either before or after the ceremony.

AFTER THE WEDDING ο

Enjoy your new life as newlyweds!

Preserve your bouquet, gown, and other wedding mementos. Hint: This should be done within one week of the wedding. This prevents stains from setting and keeps flowers as fresh-looking as possible. If you are going on your honeymoon right away, you may want to give this task to a close friend or family member.

Mail gifts to your parents to thank them for their help and support (if you didn’t give them out at the rehearsal dinner).

Put together an online photo album of wedding photos from friends. Hint: These will most likely be the first photos available, since professional proofs can take weeks.

Send thank-you notes for your gifts within eight weeks of your wedding day.

MEET THE EXPERT Amber Arnett-Bequeaith Historic West Bottoms Event Spaces As the canvas to all of the other elements of your big day, choosing your venue is often one of, if not the, very first steps in the wedding planning process. The choices are practically endless, which can be both a blessing and a curse! As you begin to tour venues, you may notice that Venue A determines its pricing by your number of guests, while Venue B may have a flat fee that is unaffected by your number of invitees. Furthermore, very few venues are truly just a venue: most offer a variety of other services that are package priced, and many have policies that directly impact which vendors that you are eligible to use for other elements of the event, such as a preferred catering or bar service list. With so many variables to consider, it may feel like you’re comparing apples to asparagus! To help you cut through the confusion, sit down as a couple and create a detailed spreadsheet that helps you translate each of your venue options into a common language. As you tour each venue, make sure you have a very clear idea about what is and is not included in the rental pricing. Venue A may have a lower rental fee than Venue B, but Venue B’s rental may include tables and chairs. Go ahead and get a rental quote from an event rentals company to see how Venue A compares to Venue B after adding the separate rental fee for the tables and chairs. While creating a spreadsheet that quantifies the features and value of each option will be an invaluable tool for helping you select your venue, it is also equally important to go with your gut. If you walk into a venue and get goose bumps because it just has that wow factor and you know that it will be the perfect backdrop for the telling of your love story on your big day, follow your heart. Isn’t that what your special day is all about, after all?

What is included and what are the fees involved with the venue rental? Have them give you an itemized list.

Are there any special restrictions? Restriction to access of rooms, music level or timeline, smoking, decorations, or flames? If having anything unique, discuss this with the venue during this time. (example: animals on site)

Is there any decor included in the venue rental?

Can any decor be removed from the venue?

MEET THE EXPERT Ray Tuimauga ICON EVENT GROUP As an Entertainment Host, one of the questions I get asked most often is; “How important is a DJ for a wedding?” My answer is simple; “EXTREMELY IMPORTANT”. The DJ is at the front of your celebration. They are responsible for guiding the guests through your entire event from beginning to end, from Introductions through the Last Dance. The importance of this role should be reserved for a DJ Host that takes the time to get to know you as a couple, learn how you met, the story behind your First Dance Song and what songs make you dance no matter where you are! This personal connection is the difference between someone who is at your wedding versus someone who is invested in your wedding. You are investing in your DJ, make sure they are investing in you! The second question I get asked most often is; “How do I find a good DJ?” The advice I give is, start by talking to trusted wedding industry professionals; Wedding Planners, Caterers, Venues, Photographers, etc. and ask them who they recommend and why! The Perfect Wedding Guide Bridal Show is also a great place to meet and get to know many of Kansas City’s Best Wedding Professionals, all in one place! I never recommend hiring your DJ entertainment at a bridal show after only a 5 minute or less conversation. That is not near enough time to actually know who you are hiring and you should never book based on the “Deal of the Day” or pricing alone. Select vendors that take the time to listen, ask about you and invest in getting to know you, both as a couple, and as individuals. Ideally, you should select people that you feel an emotional connection with and pick the DJ host who will create a memorable and unique experience centered around you! The DJ is the anchor of your event and that goes beyond just playing music. Take your time and due diligence when deciding on the entertainment for your BEST DAY EVER!
