CHECKLIST

planning checklist 12-18 MONTHS BEFORE ο

Start a wedding folder or binder. Begin leafing through wedding, lifestyle, fashion, gardening, design, and food magazines for inspiration. Browse Pinterest and Instagram for ideas. Check out the Real Weddings and Inspiration styled photoshoots in this guide for additional ideas from local vendors!

Work out your budget. Determine how much you have to spend, based on your families’ contributions and your own.

Pick your wedding party. As soon as you’re engaged, people will start wondering who’s in the wedding party.

Start the guest list. Make a headcount database to use throughout your planning process with columns for contact information, RSVPs, gifts, and any other relevant information.

Hire a planner, if desired. A planner will have relationships with, and insights about vendors. Even if you are only going to use them for day-of coordination services, it’s wise to hire them at the beginning of the planning process. Learn more about local planners starting on page 21!

Reserve your date and venues. Decide whether to have separate locations for the ceremony and reception, factoring in travel time between the two places. Find your perfect venue starting on page 60!

Book your officiant.

Research photographers, bands, florists, and caterers. Keep their contact information in your binder or spreadsheet. Use this guide to learn about all the vendors to make your wedding the day of your dreams!

Throw an engagement party, if you wish. But remember that your invitees should be on your wedding guest list as well. Visit our Celebrations + Dining Section starting on page 290 for the perfect options for your party needs!

planning checklist 8-12 MONTHS BEFORE

Hire the photographer and the videographer. No need to talk specifics yet, but be sure that the people you hire are open to doing the shots you want. Find local photographers and videographers starting on page 176.

Book the entertainment. Attend gigs of potential acts to see how they perform in front of audiences, then reserve your favorite. For all of your entertainment needs, visit page 249.

Meet caterers. If your wedding venue does not offer its own catering service, look for one now and hire the service. Schedule tastings with your fiancé to pick your menu. Visit page 150 to learn more about local caterers.

Select your attire - tuxes and dresses. You’ll need to schedule time for at least three fittings and alterations. Don’t forget to include the cost of alterations into your budget. Shopping for accessories can be postponed for another 2-3 months. Find all the latest wedding attire starting on page 193.

Reserve a block of hotel rooms for out-of-town guests. Pick three hotels at different price points close to the reception venue. It’s great to try to get one of the room rates to sit right around $100 if possible.

Start a gift registry with a minimum of three retailers. Create your perfect registry starting on page 281.

Launch a wedding website. Create your personal page through a free provider such as PerfectWeddingGuide.com. Note the date of the wedding, travel information, accommodations, and registry information. Then send to the link to invitees.

Send save-the-date announcements. Don’t forget to include your wedding website on your announcement!

planning checklist 6-7 MONTHS BEFORE ο

Select and purchase invitations. Hire a calligrapher, if desired. Addressing cards is time consuming so you need to budget accordingly. Visit page 238 to find your stationery!

Start planning your honeymoon. Make sure that your passports are up to date and schedule doctors appointments for any shots you may need. Find the best travel professionals starting on page 271!

Send your guest list to the host of your shower.

Meet with the officiant. Map out the ceremony and confirm that you have all the official documents for the wedding (these vary by county and religion).

Book a florist. Florists can serve multiple clients on one day (depending on the complexity of your floral design needs), which is why you can wait a little longer to engage one. You’ll need to be firm on your color palette prior to booking. Find your perfect florist starting on page 223.

Arrange transportation. Consider limos, minibuses, trolleys, town cars, or vintage cars. (Note that low-to-the-ground vehicles can make entries and exits challenging if you’re wearing a fitted gown.) For all of your transportation needs, visit page 297.

Start thinking about shuttle services for your out-of-town guests. Is this a service you would like to provide? If so, start talking with the hotels you have contacted and see if they have any special relationships or deals for these services.

Start composing your day-of timeline. Draw up a schedule of the event and slot in each component (the cake cutting, the first dance, etc).

planning checklist 4-5 MONTHS BEFORE

Book the rehearsal and rehearsal dinner venues. Select the menu and determine the guest list.

If you’re planning to host a day-after brunch for guests, reserve the venue.

Check on the wedding invitations. Finalize all the information on your invitations, details card, and RSVP card.

Select and order the cake. Some bakers require a long lead time. Attend tastings before committing to any baker. Find your cake starting on page 167.

Purchase your accessories and begin any necessary fittings and alterations. Bring your shoes along to fittings.

Schedule hair and makeup artists. Make a few appointments with local experts to try out different looks. Snap a photo at each so you can compare results. Check out all of our beauty experts on page 259!

Choose your music. Are there any must-have songs? What about songs NOT to play? Listing out these items can give the DJ great direction in your music preferences. Also start thinking about: first dance, father/daughter dance, mother/son dance, anniversary dance, and bridal party dance songs.

Start planning for your first dance by enrolling for dance lessons.

planning checklist 3 MONTHS BEFORE ο

Finalize the menu and flowers. You’ll want to wait until now to see what will be available since food and flowers are affected by season.

Order favors, if desired. Some safe bets: monogrammed cookies or a treat that represents your city or region. If you’re planning to have welcome baskets for out-oftown guests, plan those now. Another favor that’s always a hit is wine or beer glass take-aways. Think of all the local Kansas City brewery, winery, and food options!

Make a list of the people making toasts. Which loved ones would you like to have speak at the reception? Ask them now!

Finalize the readings. Determine what you would like have read at the ceremony and whom you wish to do the readings.

Purchase your undergarments. Schedule your second fittings, if necessary.

Finalize the order of the ceremony and reception.

Order menu cards, if you’d like, as well as ceremony programs.

Purchase the rings. This will give you time for resizing and engraving.

Send your event schedule to your vendors. Giving them a first draft now will allow ample time for tweaks and feedback.

planning checklist 2 MONTHS BEFORE

Touch base again with all the vendors. Make sure any questions on your first draft timeline have been answered.

Set up your timeline meetings with your wedding planner.

Meet with the photographer. Discuss specific shots, and walk through your wedding venues to note spots that appeal to you.

Review the playlist witih the band/DJ. Though you probably won’t be able to dictate every song played, you should come prepared with a wish list.

Send out the invitations. The rule of thumb: Mail invitations six to eight weeks prior to the ceremony, setting the RSVP cutoff at three weeks after the postmark date.

Submit a newspaper wedding announcement. If you’re planning to include a photograph, check the publication’s website for rules and guidelines about photo submissions.

Enjoy a bachelor/bachelorette party! Arranging a night out with your friends generally falls to the maid of honor/best man. But if it hasn’t been planned yet, feel to ask if a celebration is in the works!

Schedule all spa treatments for the week of wedding, including massage, facials, and mani/pedi.

planning checklist 1 MONTH BEFORE ο

Enter your RSVPs into your guest list database. Phone those guests who have not yet responded.

Get your marriage license. The process can day up to six days, but it’s good to give yourself extra time. If you’re changing your name, order several copies.

Mail the rehearsal dinner invitations.

Visit the tailor for your final fitting. For peace of mind, you may want to schedule a fitting the week of your wedding. You can always cancel the appointment if you try on the dress and if fits perfectly.

Stock the bar! Now that you have a firm headcount, you can order accordingly.

Confirm times for hair and makeup and all vendors.

Email and print directions for drivers of transport vehicles. This gives the chauffeurs ample time to navigate the route.

Assign seating. Draw out table shapes on a layout of the room to help plan place settings. Write names of female guests on pink sticky notes and male guests on blue sticky notes so you can move people about without re-sketching the entire setting.

Purchase gifts for your wedding party. You’ll present them at the rehearsal dinner.

Write vows, if necessary. This process can take longer than you think!

Get your final hair cut and color, if desired.

planning checklist 2 WEEKS BEFORE

Give the final head count to the caterer and baker. Confirm all set-up instructions and menu items. Also finalize payment at this time.

If you’re having a receiving line, determine the order you want everyone to stand in (i.e. parents, grandparents, important family members, etc.).

Prepare your wedding toasts or thanks to friends and family. Hint: Traditionally the best man, maid of honor, and father of the bride give toasts at the reception. If you’re concerned about length, consider setting a time limit for speeches, or have more of them at the rehearsal dinner.

Put together the reception seating plan if you’re having a seated reception meal. Hint: Leave two blank seats for every 50 guests. This will be for unexpected guests that happen to show up.

Designate someone to collect the wedding gifts and cash/cards brought to the reception. Coordinate with this person where they will bring the gifts after the wedding. Hint: This person could also take care of the guest book, since they will be in contact with many guests.

Grooms: Get your final haircut. Hint: Don’t get your haircut the day of the wedding - you want to give your fresh ‘do time to settle in.

Fill out escort cards, or give typed names to the stationer or calligrapher.

Plan any additional night-before activities with friends and/or attendants and proper accommodations for out-of-town wedding party members.

Designate who (i.e. reception site manager, coordinator, or close friend) will meet, greet, and handle each vendor on the wedding day. Hint: Usually your coordinator does this.

Delegate small wedding-day tasks. Choose someone to bustle your dress, someone to carry your things, someone to be in charge of gifts (especially the enveloped sort), someone to hand out tips, and someone to be the point person for vendors.

Send a timeline to the bridal party. Include every member’s contact information, along with the point people you’ve asked to deal with the vendors if problems arise.

Pick up your attire or make arrangements for delivery. Make sure to try on attire prior to the wedding day in case last minute alterations are necessary.

Call your reception site manager and make sure your vendors all have access to the site when they need it. Confirm final payment, if necessary.

Distribute final wedding-day directions, schedule, and contact list to all parents, attendants, and vendors.

Confirm delivery locations, times, final payments, and arrangements with florist.

Call transportation providers for a day-of schedule and addresses for pickups on the wedding day. Confirm final payment, if necessary.

Confirm details and final payment with photographer.

Confirm details and final payment with videographer.

Confirm date, location, time, playlist, and final payment with all musicians for the entire day (i.e. live music and DJ for ceremony, cocktail hour, and reception).

Make a day-of schedule for you and your fiancé. Make sure to include time for hair, makeup, and transportation to and from your appointments to your photo session.

Put final payments and cash tips for vendors in marked envelopes and give your wedding planner or a designated friend or family member to distribute on the wedding day. Give the final head count to the caterer and baker. Confirm all set-up instructions and menu items. Also finalize payment at this time.

Put together an overnight bag for your wedding night and designate someone to deliver it to the hotel for you.

Leave a copy of your honeymoon itinerary with someone in case of emergency

Give seating chart to caterer, venue manager, host or wedding coordinator.

Determine any wedding-day assignments for members of the wedding party, and make lists/info sheets as needed.

Check in one last time with photographer. Supply him/her with a list of moments you want captured on film.

Attend spa treatments, mani/pedi appointments. (You might want to get a stress-relieving massage, too.)

Break in your shoes.

Pack for your honeymoon.

planning checklist DAY BEFORE THE WEDDING ο

Arrange for someone to drop off the guest book and pen and other important pieces at the reception site. Hint: This can be done at the rehearsal, if it’s in the same location.

Rehearse the ceremony with officiant and wedding party and other important people.

Pull together your attire, accessories, shoes, and put them in one safe place.

Put together a day-of emergency kit. You never know what may happen and it never hurts to be prepared. Give this to the most trustworthy guest, such as the mother of the bride or maid of honor/best man.

Confirm those people you expect to give/lead toasts at the reception.

Designate someone to take and freeze the top tier of the wedding cake to be eaten at your first anniversary celebration. Hint: Save some cocktail napkins, programs, place cards, and other mementos, too.

If you are going on a honeymoon right away, ask a bridesmaid to pick up your belongings at the hotel after you have left. Have fun and relax at your rehearsal dinner. If your wedding is in the morning, set your alarm. Hint: Arrange for backup just in case. Relax, take a bath, and get some much-needed sleep (8-plus hours!) if you can.

MOST IMPORTANT: Relax, smile, and enjoy the day!

Eat breakfast and other small meals throughout the day. Make sure to drink plenty of water and use the restroom before the ceremony.

Enjoy your hair and makeup time with friends and family.

Take a moment to thank your parents and tell them you love them.

Set aside a private moment together before or after the ceremony to exchange gifts and a sweet congratulatory kiss (or two). It always makes a great photo opportunity to catch this special moment when you see other for the first time, either before or after the ceremony.

AFTER THE WEDDING

Enjoy your new life as newlyweds!

Preserve your bouquet, gown, and other wedding mementos. Hint: This should be done within one week of the wedding. This prevents stains from setting and keeps flowers as fresh-looking as possible. If you are going on your honeymoon right away, you may want to give this task to a close friend or family member.

Mail gifts to your parents to thank them for their help and support (if you didn’t give them out at the rehearsal dinner).

Put together an online photo album of wedding photos from friends. Hint: These will most likely be the first photos available, since professional proofs can take weeks.

Send thank-you notes for your gifts within eight weeks of your wedding day.

The venue should be one of your first selections, not only because it is generally one of your biggest line items for the wedding, but also because of availability. Some venues will book out several months if not years in advance so make sure to start your venue search as soon as you begin your wedding planning! Utilize our websites, social media pages, google & reviews as a great way to get a good feeling for the venue. Make sure to pay attention to what a venue offers with their rental rate. Some venues have in-house service providers and preferred vendor lists where as some venues are better for the DIY bride and let you bring everything in. Most importantly make sure that you get a good feeling from the venue staff. From your very fist site visit to the day of your wedding, the venue staff is who will ultimately ensure that your day is everything youâ&#x20AC;&#x2122;d hope for and will interact the most with your guests. Before hiring your wedding photographers you may want to ask yourself a few things: what style are you looking for, can you see yourself being the photographer’s friend, or what other services does your photographer provide? Let’s explore why these questions are important. What style are you looking for? Consider the quality of the photos you like. Do you want to have trendy filters applied to your photos or do you prefer a realistic classic look? When considering this, you will want to consider that you will be looking over your wedding photos for decades to come and sharing them with your children and grandchildren. Do you want a look more typical of the time of your wedding, or something more timeless? Another thing you may want to do is ask potential photographers if they can send you a full wedding gallery. This will let you see photos in context so you know you’re getting a complete view of their expertise. Can you see yourself being the photographer’s friend? Let’s face it, your wedding photographers will be with you throughout the entire wedding. You will want to be able to mesh with their personalities so it is important that you get to meet your photographers in person (or skype if you live out of state) so you can get to know them. You’ll want to “Interview” your photographers by meeting over dinner or hot cocoa. So that you can see how much you feel they will invest in your wedding day memories. Find out if your photographers provide other services you may need. Sometimes your photographer can provide a certain service like save the dates, same-day-edits, custom frames, or video highlights. Planning the wedding details can be incredibly exciting and a definite challenge all at once. Stationery is one of those details. It sets the style and vision of the wedding. The challenge we see most often in stationery is in regards to the timeline of ordering the invitation suites. Often times, wedding stationery suites can take 8-12 weeks to design, produce, assemble and ship. We suggest a three month lead time prior to the mailing date. If samples need to be mailed and specialty items need to be ordered, then the three month timeline allows for that. If you have an idea in mind, provide the designer with your inspiration photographs. If you have a very clear idea of what you want, then a shorter design time can greatly impact the turnaround time. Other situations that might impact the timeline are holidays, shipping delays, back orders on materials such as envelopes and custom handmade papers. We suggest allowing for an extra few days of production if you are using foiling, embossing, letterpress and so on. As a bride and groom the pressure is felt from all angles and the decision making is seemingly endless. Contact possible stationery designers with care and read reviews. If their first response time is quick, itâ&#x20AC;&#x2122;s a good sign they are prepared and responsive. Alleviate the pressures of wedding planning by giving yourself the gift of time.

TIPS FOR CREATING THE PERFECT REGISTRY

Register at a minimum of three different stores. This way if your guests are from out of town, they will most likely have a store nearby. You can also create online registries.

Break registering into multiple days. Trying to get it all done in one day will become overwhelming. Think bedrooms and bathrooms in one day, tackle the kitchen department another day.

Register for gifts in all price points. This way your guests can choose a gift they know you’ll love at a price they can afford.

Be careful not to register for seasonal items. If you are registering nine months ahead of time, they may not have these items when your guests go to purchase them for you.

Think about the style of the exit you want to have. Is it a more formal affair? Then a limousine filled with your entire wedding party is the way to go!

How many people do you need to transport? When your wedding party is very large, you may need more than one vehicle. You might also consider a luxury bus.

Transportation companies will need you to book their services for at least two hours. So put this time to good use. This is a great opportunity to go take some fun pictures with your wedding party off-site.

Some couples choose to arrange transportation for all guests throughout the day. If you are having a lot of out-of-town guests that aren’t familiar with the area, this is a service to consider. Sometimes these shuttles can be organized through the hotel where you have a large room block. Otherwise this is something your planner can help with.
