Administration Administrative Assistant Based in North Central Programme Unit – NCPU (Anuradhapura) and provide transport facilities to Plan Staff in NCPU and North PU as well as Grants project staff in the North.

ROLE PURPOSE

To ensure that the passengers of Plan International Sri Lanka are transported to the locations with safety, security and comfort in accordance with Plan’s policy requirements, safety and security measures and travel procedures and guidelines.

DIMENSIONS OF THE ROLE Under the overall guidance of Provincial Manager, North and the direct supervision of Administrative Assistant/Programme Support Officer, the Driver will provide reliable and safe transport facilities to Plan staff in Country Office/Programme Units and ensuring high standards of discretion and integrity, sense of responsibility, protocol and security measures. The Driver also demonstrates a friendly approach, courtesy and ability to work with people of different nationalities and cultural backgrounds.

ACCOUNTABILITIES Key Results Areas (KRA) of the position:

1. Ensure that the passengers of Plan International Sri Lanka are transported to required locations with safety, security and comfort. Indicators for Success  Drive vehicles to relevant destination as instructed by the supervisor.  Drive vehicle safely and provide comfort transport within the route guidelines provided.  Exercise defensive driving while on the road to prevent accident.  Pre- plan the routes and requirements by studying schedule or ad-hoc requests by the office.  Follow the travel time policy of Plan International Sri Lanka


    

Inspect vehicle on daily basis and alert with any unknown parcels and devices etc. Ensure drinking water, first aid medicines, umbrella, touch light and other essential items are in the vehicle Follow proper procedures and fill necessary documents when transporting NonPlan Staff in Plan vehicle Maintain passenger confidence by keeping information given or captured during the service strictly confidential. Contact the Admin. Assistant/PM of CO/PUs before departure and get the updates on the security situations/security advisories

2. Routine vehicle maintenance and keep the vehicle technically and aesthetically sound. Indicators for Success  Keep the assigned vehicle always clean and in good condition.  Conduct routine check-up of the vehicle’s brake functions, lights and tyre conditions etc.  Monitor fuel levels, lubricant levels, water (coolant), temperature, AC function, etc.  Alert the supervisor of any malfunction, routine service etc. and do the needful with immediate effect.  Maintain vehicle service records properly 3. Ensure high level of discipline and adherence to the company policies, values and also the country’s traffic rules, regulations and security procedures Indicators for Success  Maintain a high level of professionalism.  Observe at all time the traffic rules and demonstrate positive and exemplary driver behaviour.  Monitor expiration and renewal of driver’s license and have them renewed at the correct time.  Be polite with Police and Security Forces at the check points and follow all security requirements and procedures during the field visits 4. Ensure protecting the reputation and respect of the organization and maintain good relationship and contact with staff, beneficiaries, government officers and other Plan stakeholders. Indicators for Success  Always consider the reputation and image of the organization when engage with local communities and external events.  Keep communications and contacts with members of the public and other organizations, highly professional, confident and within work limitation.


Speak with staff polite and treat them as internal customers and work towards fulfilling their needs and requirements within the role framework. 5. Support programme implementation and administrative functions of Programme Unit. Indicators for Success  Support transporting the goods and equipment for project implementation areas.  Fulfil requests of the office by picking up and delivering items as directed from the shops, programme venues and government offices etc.  Ensure all the goods, equipment and training materials taken from the office to the programme venue are return to the office.  Always inform security point of the Plan offices regarding the destination of the moment and details of passengers before starting the journey  Maintain running chart properly and get the signature from the passengers immediately after the journey. Also maintain fuel records and submit to the Admin. Assistant regularly. Other Responsibilities:  Carries out any other duties that may be assigned by the Supervisor within the scope of the job.  Provides support and assistance to the PU/CO outside regular hours as and when required.  Working effectively with multiple cultures and languages. 

Ensures that Plan International’s global policies for Child Protection (CPP) and Gender Equality and Inclusion (GEI) are fully embedded in accordance with the principles and requirements of the policy including relevant Implementation Standards and Guidelines as applicable to their area of responsibility. This includes, but is not limited to, ensuring staff and associates are aware of and understand their responsibilities under these policies and Plan International’s Code of Conduct (CoC), their relevance to their area of work, and that concerns are reported and managed in accordance with the appropriate procedures.

TECHNICAL EXPERTISE, SKILLS AND KNOWLEDGE

 Passed GCE A/L or equivalent qualifications  Valid Driving License to drive all vehicles.  At least 8 years of experience working as a driver of all types of vehicles, preferably with UN, International Organisations/NGOS.  Knowledge and skills of mechanical; to identify vehicle repairs and troubleshooting mechanical problems.  Knowledge of Sinhala and English is essential. Working knowledge of Tamil is also required.  Ability to communicate in a polite and clear manner.  Ability to follow instructions accurately and meet deadlines.  Good knowledge of the area and the road networks of the country, notably in North Central and Northern Provinces.
