Wedding planning tips & tricks

2020

R

ecently engaged couples are often so swept up in the excitement surrounding their engagements that they can be forgiven for initially overlooking all the wedding planning that awaits them. Planning a wedding is no small task, but many couples very much enjoy all the hard work that goes into making their special day a success. It’s hard for newly engaged couples who have never before planned a wedding to know what awaits them; but the following tips can help make the wedding planning process go smoothly.

Find your organization method

Organization is the key to pulling off the wedding of your dreams. Whether your organizational style is best served by jotting details like dates and deposit deadlines down in a notebook or utilizing an online spreadsheet or smartphone app, choose your method early on. Keeping information and reminders in one place can make it easier to manage all the tasks that lie ahead.

Take your time

There’s no rush to the altar. Feel free to extend the engagement long enough to keep stress levels down and get the location and ceremony of your dreams. Many recently engaged couples feel pressured to get married right away. Stretching out the engagement to save money or give yourself more time to plan can make for a wonderful wedding day.

Discuss the budget openly and honestly

Did you know a New York City wedding can cost $77,000, according to Money magazine? A small wedding in the islands could cost as little as $5,000, while the sky’s the limit on how much it could be. The average wedding cost $38,700, according to WeddingWire — that’s including an estimated $5,000. Wedding costs can vary widely, and couples should sit down together to decide what they can afford and are willing to pay for.

Decide on a guest list Planning decisions are often based around the projected number of guests. You’ll need to have a ballpark figure regarding guests before you can choose a venue and make other decisions, such as where guests will stay. And if the majority of guests are coming from a certain area, such as your hometown, you may want to bring the wedding to them instead of asking them to come to you.

Create a priorities list

2020

5

Make a list of at least three things that are most important for each of you. It may be the ceremony location, the food or another factor. Knowing what is important can help you negotiate prices and understand what to look for when planning. These are some of the considerations couples should make while planning their weddings. While it’s important to consider these factors and others, it’s also important that couples have fun when planning their nuptials.

Planning checklist 1 year prior Get inspired! Use Pintrest to pull inspiration from brides around the world. Choose a color scheme! Work out your budget. Remember to prioritize what is most important to you on your wedding day. Select your wedding party. Start your wedding guest list.

Register at your favorite brands — don’t forget to include this information on your website! Book the officiant.

7-6 months prior Purchase your invitations. Finalize your guest list and request addresses. Start planning your honeymoon.

Hire a planner.

Choose the bridesmaids’ dresses.

Reserve a date at your dream venue.

Reserve lighting components, portable toilets, generators, etc.

Research photographers, bands, caterers, florists, rentals and officiants.

Reserve any rentals you may need (chairs, tents, linens, etc.).

Start a wedding binder to keep all of your quotes, brochures, and notes in one place.

Arrange Transportation.

8 months prior Hire your wedding photographer and videographer. Take your engagement photos. Buy your dress! Create a wedding website. Meet with caterers. Reserve a block of hotel rooms for out-of-town guests.

Book a florist. Send out save-the-dates!

5-4 months prior Time to order your cake. Go cake tasting! Send your bridal shower guest list to your host. Check on the status of your wedding invitations. Book the rehearsal and rehearsal-dinner venues.

6

W ed d i n g s i n t h e S a n J u a n I s l a n d s

Schedule hair and makeup artists. Choose your processional music and reception playlist. Go to your first dress fitting, and pick up some accessories while you’re at it! Purchase or rent the groom’s attire. Book accommodations for your wedding night. Provide guest lists to maid of honor and best man for bachelor and bachelorette parties and bridal shower.

3 months prior Work with your caterer to finalize the menu for the reception. Print menu cards. Meet with your florist to finalize the florals for the event. Purchase the rings. Finalize the event schedule and start creating the day-of timeline. Print programs. Order your wedding favors. Meet with officiant and coordinate readings from friends and family as well as anything else to include in the ceremony.

2 months prior

2020

1 month prior Get your marriage license. Attend your last dress fitting. Send out rehearsal-dinner invitations. Purchase alcohol and finalize your signature cocktails if needed. Confirm times for all of the vendors, and send out your day-of timeline again. For the reception, create your seating chart. Purchase wedding party gifts. Write your vows. Enter all RSVPs you have received into your guest list. Call guests who have not yet RSVP’d for final head count.

1 week prior Touch base with all vendors and ensure they have the day-of timelines. Outsource any small day-of tasks you can to family and friends. Ensure everyone in your wedding party has your wedding day timeline. De-stress at the spa. Send the final guest list to the caterer.

Meet with your photographer to discuss day-of plans and specific shots you would like.

Have extra checks ready for dayof payments.

Review the playlist with the band and DJ, provide them with “don’t play” and “must play” lists.

Pack for your honeymoon!

Send out invitations. Let loose at your bachelor or bachelorette parties. Send out as many final payments as you can. Touch base with all vendors. Make sure groomsmen attire has been purchased/rented.

Dance around in your shoes! Relax!!!

After the wedding & honeymoon Pay all remaining balances to vendors. Write thank you cards. Look into purchasing life insurance.

Planning for a picture-perfect hairdo

A

wedding is a tough time to experience a bad hair day. Clothing styles, time of day and weather all can dictate a wedding hairstyle, but one of the most important factors in a wedding hairstyle is finding a stylist who understands you and can execute your vision. A patient, understanding stylist who is open to viewing different photographs and drawing inspiration from various places, as well as running through a few trial styles, can help brides (and grooms) look their best. In fact, trials are a must to ensure a chosen style will work with your hair texture. If you plan to get your hair colored, professionals recommend doing so about three weeks in advance of the big day so it looks natural and any potential snafus can be remedied beforehand. Your stylist may suggest a light trim prior to the wedding so that the ends are fresh and healthy. And since you’re putting your faith in a qualified stylist, trust their expertise and vision. Keep an open mind to their suggestions. You may fall in love with one of the options you hadn’t considered.

Cater your wedding menu to guests’ dietary needs

G

Robert S Harrison Photography

one are the days when wedding reception menus were limited to the one-size-fits-all offerings of meat, chicken or fish. Thanks to modern diets, couples hoping to accommodate guests may need to provide a wide array of food choices. It is impossible to pinpoint an exact number, as there are no definitive surveys classifying all dietary preferences, but there are believed to be around 7.9 million people in the United States who follow a vegetarianbased diet. Of those people, around one million are strictly vegan, according to data in The Economist. In addition, NYU Langone Health says one-third of Americans are trying to avoid gluten. The Gluten Free Agency says some nine million people in Canada are going gluten-free now for medical or personal reasons. Toss in the scores of people with peanut or other allergies and even more caution is needed when designing wedding menus. Savvy couples who have guests’ health and comfort in mind recognize the importance of offering a varied meal plan for wedding-related parties and receptions. The following are some ideas to consider when planning wedding menus. < Consider a buffet-style service. Although couples might like the tradition and flair that a seated/plated meal offers, it creates a much more limited selection of meal options. Buffet-style dinner service often provides couples with multiple choices, and it’s much more likely they can come up with a combination that caters to any food allergies or dietary restrictions guests may have. < Opt for food stations. In lieu of one long buffet table, a modern approach is to have staffed food stations. Foods as well as their ingredients can be clearly stated on food table placards so guests can make appropriate choices.

< Offer alternatives for dessert. Wedding cake can be a challenge to someone with a gluten sensitivity or an egg or nut allergy. Make it a point to offer an alternative to cake. Perhaps a groom’s cake can be revamped into gluten-free cookie bars or a nut-free trifle.

A Roche Wedding

Stephen & Amanda Lloyd

M

By Kyle Harris

y wife Gail and I got married at Roche Harbor on San Juan Island in May. I’m certain my opinion is biased, but our experience was nothing short of fantastic. We had 120 guests and the venue was the perfect fit for us. Leading up to the wedding we made two trips to meet with wedding planners at Roche, pick menus and meet with Tyla who was our primary point of contact for the team. Tyla was extremely helpful and responsive. She and the team at Roche were very professional and helpful through the whole process. The day of the wedding started with enough rain to overflow the gutters. We had to adjust some of our plans for getting pictures taken around the property and ended up doing our “first look” on the hotel terrace. These ended up being some of our favorite pictures. For how much of the venue is outdoors, we were quite happy with the mix of awnings, umbrellas and covered areas to have our family pictures done despite the rain. In the minutes leading up to the wedding, the rain was finally showing signs of breaking. We made the last minute decision to go forward with the garden location for the ceremony and it could not have worked out better. The rain broke as everyone was seated and somehow we got sun for our ceremony. The food was definitely a highlight,. We went with the prime rib searing station, scallops and seared tuna and every dish far exceeded expectations. Looking back it’s impossible to pick a favorite but the cooking blew us away. After our first dance, right before Roche Harbor’s evening colors ceremony, we were able to head down to the docks and get sunset pictures. The angry sky turned to a bright pink color and we were able to get some of our favorite photos with a spectacular sunset background. We even got a few on the classic motor scooters we had brought to get around the island. The whole wedding weekend was an amazing whirlwind of unforgettable moments only the islands can provide.

Wedding favors

13

W

edding favors have changed — and in many cases for the better. Favors have evolved from the inexpensive trinkets purchased in bulk into more personalized mementos that guests can cherish. Today’s couples are interested in customizing their weddings and offering guests something meaningful, or at the very least, edible, so that favors don’t immediately get relegated to the trash can. According to Heather Jones of Wente Vineyards in California, favors have moved from “goodie bags” toward items that are experimental and fun. Wedding planners from across the country offer these wedding favor trends that couples may want to incorporate into their own celebrations. • Welcome bags have replaced the traditional favor trinket at some weddings. Couples may fill a gift bag with items guests can use or enjoy during their stay — like locally-sourced goods and wares. • Think of experiences to offer guests. A coupon for free drinks at a nearby brewery, a tour of a local attraction or a group excursion. • Set aside a portion of their wedding budget toward giving back. A donation to charity in guests’ names can be the way to go. • After a night of celebrating, guests may need some extra sustenance to make it through a few more hours. Make room for extra food or beverage expenses that can include after-party treats. Wedding favors are changing to keep up with the times and keep guests feeling extra special.

From wedding to full time residents

M

By Melanie Trygg

y partner and I truly “felt the love” on our wedding day, Sept. 4, 2016, at Pebble Cove Farm on Orcas Island. Between the setting, weather and undeniably infectious summertime spirit of the island, we ended our long wedding weekend knowing this island could someday be our forever home. Three years later, here we are, happily reminiscing in line at the Orcas Food Co-op with the purveyor of our wedding venue. We continue to feel the love as we cherish fond memories of the joy our guests created here. We feel deeply grateful

First dance favorites

I

t’s a wedding tradition that has stood the test of time — the first dance as a married couple. Ninety-two percent, according to WeddingWire, which surveyed 18,000 in 2018. The most popular genre for first dance songs, with 21 percent of American couples spinning around the dance floor to it, is country, according to WeddingWire. According to Insider.com, the most popular wedding songs in 2019 were “Speechless,” by Dan + Shay; “Good as You,” by Kane Brown; “Love Someone,” by Lucas Graham; “Thinking Out Loud” and “Perfect,” by Ed Sheerhan; and “God Only knows,” by John Legend and Cynthia Erivo (originally made popular by The Beach Boys). Other songs that have become standard first dance favorites include “Unchained Melody,” by The Righteous Brothers; “The Way You Look Tonight,” by Frank Sinatra; “At Last,” by Etta James; and “Your Song,” by Elton John.

Five ways to cut costs

File photo

W

eddings have a tendency to be expensive endeavors. According to The Knot’s 2018 Real Weddings Study, the national average cost of a wedding is $33,931. Nearly half of that ($15,439) is spent on the reception venue alone. As expensive as wedding receptions can be, couples should know that there are many ways to reduce reception costs without sacrificing fun. Choose foods wisely. Pour over the details of catering costs. The Knot says the average price for catering will be $68 per person. If you opt for an appetizers and cocktails reception, you may be able to shave several dollars off the bill. Look closely at the pricing for buffet versus plated meals. Buffet service often means having a greater quantity of food on hand, which could drive up the cost. Find out if the catering hall can work with your budget to provide cost-conscious options, like familiar comfort foods instead of gourmet fare. Serve a custom-made cocktail. A themed drink, such as punch or a classic spirit with a reimagined, wedding-friendly name can be less expensive than offering full open bar service. Some couples also opt to pay for only wine and beer rather than a full open bar that includes liquor and mixed drinks. Book a weeknight. Weekend weddings are easier on guests’ schedules, but not on couples’ budgets. Couples can save thousands of dollars by hosting weeknight weddings instead of weekend affairs. Book the venue from Monday through Friday, as even Sunday prices have escalated. The further away from the weekend, the lower the prices tend to be. Fake the cake. The Knot indicates a wedding cake runs roughly $530. Consider displaying a mock cake for photos and then serve a sheet cake during dessert hour. Decorating foam tiers to look like an extravagant cake can save a few hundred dollars, and guests won’t know the difference when they’re biting into a delicious, less costly dessert. Skip the extras. Reception venues may upcharge for all the little details, such as linens in custom colors or chair covers. If you can live without these extras, do so. Ask for a list of itemized extras so you can assess what you want to pay for and what you’d prefer to avoid. Wedding receptions are costly, but there are many ways to save money and still enjoy a memorable evening.

Why we carry bouquets

W

File photo

hile flowers certainly add beauty and a wonderful aroma to wedding ceremonies and receptions, there are other reasons behind their inclusion in such festivities. In ancient Rome, brides carried or wore flower garlands because the Romans believed flowers signified hope, fertility and new beginnings. In the Middle Ages, brides did not carry flowers, but rather strong-smelling spices and herbs. The rationale was that the herbs and spices would drive away bad luck and evil spirits. Flowers also served another practical purpose. In eras when bathing was a luxury, different flowers and herbs helped mask body odors. It wasn’t until the Victorian era, when flowers were used to symbolize romantic love, that they became part of wedding ceremonies, according to Modern Weddings magazine.
