A secretary has many responsibilities under her charge in the
company; therefore, she must have specific characteristics and skills to carry them out. Among the characteristicas that a secretary should have are: good look, friendliness, courtesy, professionalism, excellent writing and spelling, verbal facility,
pro-activity, organized, outgoing, discreet and focused on providing support to all departments
It is important that a secretary also has mission, goals and principles. The role of a company’s secretary is to support her boss with assigned tasks and collaborate with the supervision of different business processes. The qualities that are desirable in a secretary are: professional competence, cultural knowledge and humanity.
As important principles desirable in a secretary we find dignity, integrity, and professional secrecy. Dignity to abstain from anti ethical behavior and serve with honor and integrity to act with loyalty and good faith, secrecy to be confidential in the facts and news that concern the company.
It is desirable that wvery secretary possesses advanced knowledge of Michrosoft programs and internet which cill help her to optimize her time and improve her work in the company.
She should also support
the activities with other departments, truing to coordinate the best
way to joint activities with other departments of the organization.
Similarly, the secretaries should direct their efforts and optimize their time and resources assigned by the company in order to achieve a positive impact on her work area and where possible reduce cost. The interpersonal relationships are
important because they facilitate teamwork and give emphasis to a healthy work environment, which contributes to better manage work under pressure.
The capacity of planning, leadership and decision making are valuable qualities secretaries because through these activities, the boss delegates responsibilities and important business commitments. Ethic in a secretary is prized for its punctuality, responsibility, communication level to develop good work and discretion with regard to the, company.
It also implies to avoid making unnecessary comments about any officer or department of her company, report the boss calls, commitments and other matters that emerge in his absence, carry out the activities assigned and persist for continuous learning and improvement.
