Dear Alumni, Parents and Friends Since our last Annual Report, the economic crisis has impacted all individuals, families and institutions. While improvements in the economy can give us hope that the worst is behind us, we pray that you have been able to weather the storm and we all look forward to more prosperous times. In the meantime, the Board of Regents, The School Faculty and Administrative teams, and the Monastic Community have collaborated to ensure that your investment in Portsmouth Abbey School is secure. In particular, I am deeply grateful to Jim DeVecchi and his team for their hard work and sacrifice during the past fiscal year. Most of all, I thank all of you for your continuing generosity to both our Annual Fund and Capital Campaign. Both of these showed solid results in trying times. I am pleased to report that as a result of effective cost controls, we ended last School year with an operating reserve. In addition, although we had feared that the economic problems would trigger reduced applications and re-enrollments, we opened School in September with a record 375 students. This underscores the timeless value of a Portsmouth Abbey education and should result in an operating reserve for the current School year. These reserves are important hedges against the possibility of further problems with the general economy. In addition, we are using some of these monies to ensure that financial aid continues to be available to students who need it. Our endowment suffered an approximate 20% reduction in the value of our investments. This means that, while we have fared better than the majority of institutions, there will be pressure on our operating budget until the endowment bounces back to prior levels. Since we have no way to project when this will occur, we will continue to be thrifty to do our best to generate operating surpluses to help needy students. We begin the current School year with the largest financial aid grants in our history. As Father Damian never ceases to remind our Board, the ability

2009 Annual Report

to attract talented kids is what a successful school is all about. We are in great shape in that regard. Despite the necessary focus on financial matters in the past year, we were able to conclude several important changes to our physical plant. Foremost amongst these was the spectacular renovation of the Church of St. Gregory the Great. I wish to thank all of you who contributed to the full funding of the Church renovation and other projects. In addition, we were able to complete several smaller projects such as the addition of the solar house, construction of an outdoor basketball court and picnic area, and an improved Tuck Shop food service. Special thanks to the Parent’s Committee and Auction participants for providing the funding for the latter two improvements. Finally, we look forward to several important initiatives that will continue to transform our school for the better while ensuring that we never lose the Catholic and Benedictine tradition that underscores our mission statement. These initiatives include improved faculty housing, a new boy’s dorm, expanded science facilities, endowment of faculty chairs and increases in general scholarship funds. The successful Portsmouth Institute will return again in 2010 with an always-stimulating theme. We welcome your input and participation in any of these initiatives. The intellectual, athletic, and spiritual aspects our School are renewed every September when the students return for the new year. I invite all of you to visit the campus and experience it’s physical beauty and the energy and spirit of our faculty and students. And I thank each of you for your support of Portsmouth Abbey School. Best Regards,

John M. Regan, III ’68, P ’07 Chairman, Board of Regents

❖ Portsmouth Abbey School celebrated its 79th Commencement exercises on the Holy Lawn on Sunday, May 24th, to the delight of the 84 members of Portsmouth’s Class of 2009, their families and invited guests, their Abbey schoolmates, and the Monastic and Lay Faculty. The class was honored to have as its speaker the former Ambassador to the Vatican and Mayor of Boston, Raymond Flynn. A leading Catholic figure and long an admirer of Portsmouth Abbey School, Ambassador Flynn did not hesitate in accepting an offer to address Portsmouth’s Class of 2009. Ambassador Flynn engrossed the gathering with his life story and with two very important messages: “Treat everyone with respect,” and “With God, everything is possible.” The graduating class was well-represented by Valedictory speaker Dan Flanigan (son of Tim ’75 and grandson of Peter ’41), who reminded his classmates that they had been well-prepared for college and beyond, to cherish their friendships, and to have the courage in life to “dare.” Particularly gratifying was that the Class of 2009 included seven second-generation Portsmouth students and three third-generation Abbey grads — Parker Barry, grandson of Gordon McShane ’41; Dan Flanigan, grandson of Peter ’41; and Susan Skakel, granddaughter of George Skakel ’41 and, again, Peter Flanigan. The occasion of the graduation of three Class of 1941 grandchildren was a wonderful opportunity to cite this most exemplary of Portsmouth Classes for its dedicated service and generosity to Portsmouth over the decades. This year’s Commencement ceremonies were also an opportunity to recognize and thank Dom

2009 Annual Report

Edmund Adams ’57 on the occasion of his retirement from teaching. Portsmouth, however, will still have the benefit of D. Edmund’s presence as our newly appointed School Chaplain. The 2008-09 School year started in as grand a fashion as it ended. In addition to our pride in having a record enrollment and the joy and excitement of beginning a new school year, we were pleased last September to celebrate the completion of Phase I of Growing in Knowledge and Grace—The Campaign for Portsmouth Abbey School. Phase I was a $23,000,000 effort that included: ❖ Construction of St. Brigid’s Dormitory for Girls ❖ Renovation of the Abbey Church of

St. Gregory the Great ❖ Endowment growth in the areas of

Faculty Chairs, Scholarships and Unrestricted Endowment ❖ Sustained Growth in the Annual Fund

The Summer Bulletin 2009 features the renovation and re-opening of the Abbey Church. After being closed for almost a full year, our School community was delighted to be back in the radiant glory of its Church for the 2009 Easter Retreat and Vigil. The Church renovation, including the marvelous restoration of its signature Lippold Wire Sculpture, the Trinity, was a most significant accomplishment for our Monastery and School. During this past year the impact of the economic times, however, presented considerable challenge for

5

Portsmouth — as it did for all schools. Fortunately, Portsmouth finished the 2008-09 year strong in all areas, due to careful planning, good management and fiscal discipline by the Board and School Administration, cooperation and dedication by Portsmouth’s faculty and staff, strong support from all parts of Portsmouth’s constituency for the 2009 Annual Fund, and an unfailing commitment to an Abbey education by our current and new families. Particular note should be made to the importance of the Annual Fund in these challenging economic times — indeed, the success of the 2009 Fund was crucial to our 2008-09 successes, and the 2010 Fund will be crucial to next year. Also of note is the huge success of Portsmouth’s wind turbine. In addition to covering more than 40% of our total electricity expenses and gaining untold “green leadership” and “goodness” exposure for our Monastery and School, the wind turbine, which went on line in March 2006, will complete its pay-back period sometime this fall! With a stable and dedicated faculty, what surely appears to be another record enrollment, and continued support from all areas of our constituency, confidence within our School community is strong and the prospects for 2009-10 are excellent.

6

From outstanding scholarship to good citizenship to success on the athletic fields, our students distinguished themselves in every way in 2008-09. Simply put, we have very good, smart and hard-working kids at Portsmouth who are doing well and always (or at least, respectfully, almost always) looking to do the right thing! This year’s college placement was a bit unusual due to economic realities at the college level producing much more wait-list activity. However, in the final analysis, our students did very well again this year, with 33% receiving acceptances to Barron’s “most selective colleges” and 75% to “most, highly or very selective colleges.” The Class of 2010 is comprised of more than 100 talented and hard-working students, and we anticipate another strong year on the college placement front. Through our professional development resources, our faculty continues to pursue professional interests outside of the classroom. From conferences on Irish History, to summer enrichment abroad in places like Great Britain, France, Spain and China, to taking full advantage of many of the regional and national educational opportunities available to independent school educators, to supporting graduate study for our most talented and promising young faculty, the resources provided by our endowed professional

Po r t s m o u t h A bb e y S ch o o l

development funds and the Annual Fund are keeping our faculty enriched and energized, and keeping the very best faculty at Portsmouth! Our student-athletes distinguished themselves once again this year with three league championships and two New England championships in addition to many, many individual honors. Our athletic program continues to pride itself on participation as well as achievement, led by a 6th Form with 25% of the class earning three varsity letters, and 90% at least one varsity letter, in their 6th Form year! Also of note during the 2008-09 School year was the completion of an extensive marketing initiative, inspired by Regent Neil McGinness ’58 and coordinated by Crane MetaMarketing of Atlanta, Georgia. Using our Mission Statement as a springboard, this year-long process of focus groups and concept papers produced a set of First Principles that led to a Promise Statement, an institutional theme of “taking root,” and, ultimately, to a new Portsmouth Viewbook and set of marketing materials and strategies that will define our admissions outreach efforts for many years to come.

2009 Annual Report

Other initiatives include Student Center improvement supported by the February 2009 Parents’ Committee Gala and Auction. Included in these enhancements are a more extensive—and healthy— Tuck Shop food service and an outdoor recreation area that will feature basketball and volleyball courts and a picnic area. Also, our Father Bede Fields—especially the Girls’ Varsity Soccer area—have received a significant face-lift through considerable infra-structure improvements, including a new road and the extension of water and electricity to this area, enhanced viewing areas, and a scoreboard and bleachers. Our Abbey campus has never been in better shape!! We began our new School year with confidence in our Mission, our program and ourselves, and with gratitude to our entire constituency for its most kind and generous support for our School and Monastery.

❖ Amidst a year of global uncertainty, Portsmouth Abbey was deeply fortunate that as Phase II of Growing in Knowledge & Grace: The Campaign for Portsmouth Abbey School commenced charitable support from alumni, parents and friends remained steadfast. Donations for the year were $5,032,852 making 2008-9 the third most successful fundraising year (after the $6.8M raised in 2006-7 and $5.1M in 2007-8) in School history on a cash basis. Total contributions (cash and pledges) for the period July 1, 2008–June 30, 2009, equaled $5,974,107. Beyond the numbers, the reopening of the Abbey Church of Saint Gregory the Great (celebrated in the 2009 Summer Bulletin) was a wonderful event for the Portsmouth Abbey community.

The rationale for all that Portsmouth Abbey accomplishes and strives to achieve is people — students, faculty and Monks. We are a School in the Lord’s service endeavoring to foster Reverence, Respect and Responsibility among the members of our community and by extension to provide service and leadership in the larger world. Volunteer leadership is fundamental to Portsmouth Abbey’s accomplishments and this was again true throughout 2008-09. The School is tremendously grateful to the numerous volunteers who contributed the precious gift of time and we are especially thankful to the following individuals for their significant dedication: Chairman of the Board of Regents Mac Regan ’68, P’07 and his colleagues;

External Affairs Committee Chairman Neil McGinness ’58, P ’90; Campaign Chairman Charles Kenahan ’77, P ’12; Annual Fund Chairman John Phelan ’80; Parents’ Committee Co-Chairs Jay and Sheila Buckley ’73, P ’07, ’08, ’12. In Headmaster Jim DeVecchi’s May 2009, letter to the Portsmouth Abbey Community he expressed the sentiment that, “The hand on Portsmouth’s tiller remains steady. Hard decisions remain, but we are confident that Portsmouth will continue to navigate successfully the current turbulent waters that confront the global economy.” The volunteers mentioned above were key reasons that Jim was able to write as he did in May. The School is deeply thankful for the participation of these altruistic individuals. The combination of altruism and generous philanthropy reflected on these pages has indeed kept Portsmouth Abbey’s course true and its ability to execute its Mission high.

❖ financials Fiscal year 2008-09 was a proactive year from a financial and operational perspective. As the market decline continued into January and February and enrollment for the 2009-10 year was unknown, the Board of Regents requested Administration increase the fiscal year ending reserve to $250,000. The intention was to establish an operating reserve fund such that if the School were under enrolled the following year, the contingency would help cover any potential budgetary shortfall. With most all salary and benefits committed, Administration made an across the board 5% (non-salary) budget reduction, froze capital plant replacement spending, and reduced the meal plan when School was not in session. All reductions were made with the constant focus on maintaining Portsmouth Abbey School’s high quality of education and student services without compromise. Meetings were held with all faculty and staff. Needless to say, the support from all employees was awesome. As a result, the School buckled down as a team and brought the operating budget in with a reserve over $250,000. The amount of teamwork from all employees cannot be stressed enough. 2008-09 total enrollment remained at 102 percent of capacity (358) which included another record number of boarders (244). The combination of increased boarding enrollment coupled with a moderate tuition increase resulted in tuition revenues that were 5.5% higher than FY2007-08. Continual active management of our utilities with regard to heating oil, water, and electricity helped the School keep skyrocketing fuel

10

costs in check. The chart below reflects Portsmouth Abbey and School’s audited operating statement for fiscal year ending June 30, 2009. The overall surplus was $48,864 after transferring $250,000 to our operating reserve fund. Portsmouth’s endowment had its most difficult year on record as did all markets and endowments.

Fiscal year end June 30, 2009 net endowment performance was (19.5%). Although a difficult time to maintain the course in investment strategy, the Board maintained its focus which proved successful in the 2nd quarter 2009, gaining most all of the endowment loss back from the first 75 days of the calendar year. The School’s investment advisor, Prime Buchholz helped the School maintain this steady course. Their vast experience advising independent schools and colleges and universities around the country was indispensible. Since switching to Prime Buchholz in May 2008 the School has been able to realign most of its managers within each investment strategy. The remaining managers for the small and mid cap equity sectors will be chosen this fall. The June 30, 2009 endowment portfolio was $26.4 million. Also included within the investment policy is the School’s endowment spending policy. This policy has been to draw 4.5% on the trailing 12 quarter endowment average. With Rhode Island’s adoption of the Federal Uniform Prudent Management of Institutional Funds Act (UPMIFA), all endowment fund growth that was previously permanently restricted is now temporarily restricted. For example, prior to UPMIFA adoption a fund which had a permanently restricted value of $100,000 a year ago would have a permanently restricted value of $103,000 at year end (based on a 3%

2009 Annual Report

annual cost of living index) so that the fund’s purchasing power is maintained. But with the adoption of UPMIFA, the permanently restricted balance reverts back to the original gift value and any other unspent gains within the fund are treated as temporarily restricted until the school releases these funds from restriction through spending (within the purpose of the gift). The timing of this accounting change has also allowed the Abbey and School to meet all bond covenants that many schools and universities across the country are struggling with in this down economy. In addition, the Abbey’s endowment as a whole is not “under water” with regard to total permanently restricted funds versus actual total endowment value. buildings & grounds Portsmouth Abbey continues to be good stewards of our environment and physical assets. The wind turbine generates 40% of our electricity and has nearly paid for itself (cash on cash) since it went on line 3½ years ago. Installation of high efficiency light ballasts & boilers, low flow water fixtures, and solar collectors, have all helped Portsmouth keep our utility costs in check. In addition, Portsmouth Abbey is now the proud owner of an award winning 100% energy efficient house.

11

As you may recall from last year’s report, the main structure was given to Portsmouth Abbey from Rhode Island School of Design (RISD). Although the house has traditional backup systems, the primary source of electricity is photovoltaic panels and the primary source of heat is solar panels. Portsmouth continues to be one of the greenest school communities in the country. As we work with architects on designs for more detached faculty housing, simplicity and energy efficiency are the driving elements of our planning while still giving faculty a comfortable living. Last year the School went trayless and (paper) cupless in our dining hall. The savings for the year was $6,500 in paper products while the cleaning product savings was $3,500. The renovation of the Church of St. Gregory the Great is now complete. The project was 5.5% under budget and there is now an endowed Church Fund that has in excess of $500,000 for ongoing care and maintenance of the building. In addition to the primary thrust of the project which was to stiffen the clerestory, repair damaged beams, and refurbish the Lippold Sculpture, upward lighting was added in the clerestory to highlight both the Lippold Sculpture and the interior of the clerestory (glass & ceiling). The lower roof and exterior of the building were also refurbished. All main entry steps are now uniform as is the patio and the landscaping is balanced. Having the core of the campus in beautiful condition is a significant bonus for all students, faculty & staff and our dedicated constituency who attend regular services. Summer 2009 renewal and replacement projects included renovations to Manor House, repainting the Music Department, and refurbishment of the

12

Araujo Track. The Manor House renovations included installation of a fire sprinkler system, fire alarm upgrades, bathroom renovations, and interior painting. This is the last dormitory to have a fire sprinkler system retro fitted to the building. The Music Department painting included accent colors and framed pictures of our students in concert. The amount of energy and liveliness that is now emitted from this area is awesome. In addition to these projects, several parent projects were completed. These included an outdoor basketball court and picnic area, Tuck Shop (snack bar) upgrades, and Father Bede’s Fields (girls’ varsity soccer) improvements which included an electric scoreboard, gazebo, drinking fountain, and access road improvements. Such projects continue to improve the quality of life of our students and they are ever grateful. We hope you will visit Portsmouth and see the progress we have made this past year as well as see our vision for the future. With continued careful financial planning and continued support of the endowment, all of our goals can be attained. We welcome your comments and your visits.

capital & endowment gifts Portsmouth Abbey School is extremely fortunate to receive donations each year for capital projects and endowment needs. These generous gifts from alumni, parents and friends augment existing endowment funds, advance facilities projects, and provide new permanent funding for the School. The Korea Fund The Korea Fund, created in 2007, recognizes the growing and increasing support from members of Portsmouth Abbey’s Korean community. Focused on specific initiatives each year, the Korea Fund currently serves to aid the funding of a new Boys’ Dormitory to be built in the near future. For this effort, the Korea Fund has contributed $270,700. In addition to the Boys’ Dormitory Fund, gifts to the Annual Fund place the Korea Fund over $310,000. The Korea Fund gift levels, named in honor of the symbols in the Korean flag, recognize cumulative lifetime giving to the School.

from the director of the annual fund

❖ DEAR MEMBERS OF THE PORTSMOUTH ABBEY SCHOOL COMMUNITY,

On behalf of each and every student, faculty member and monk, I thank the people whose names appear on these pages. 2008-09 was a tough economic year, and we are deeply thankful to the 1,526 alumni, parents, parents of alumni and friends of Portsmouth Abbey School who expressed their faith, loyalty, and support by giving so generously of their time and resources. Annual Fund gifts and participation are critical to the School’s ability to live up to our commitment to provide the best education possible for each of our students. This year gifts to the Annual Fund totaled $1,137,207. 83% of the dollars donated in 2008-09 came from 256 leadership donors who made gifts to the Fund of $1,000 or more. In addition, these gifts prompted many new donors, thanks to various donor challenges they provided. Equally important were the 200 dedicated alumni and parent Annual Fund volunteers. Without their persist-

ence and hard work we certainly would not have experienced such success. The Annual Fund provides direct and immediate financial support that helps to fuel the School’s operating budget making possible everything from faculty salaries and financial aid to classroom resources and athletic team travel. I look forward to increasing our efforts and outreach as well as to even bigger goals in 2009-10 as we strive to maintain our status as one of the country’s premier catholic boarding schools. Thank you very much for your support and loyalty to Portsmouth Abbey School. Sincerely,

Polly Antol Director of the Annual Fund

Parents Auction On Saturday, January 24, 2009 the Parents’ Committee held its second bi-annual Auction, “Unmasking our Future.” The Auditorium and Winter Garden were transformed into a festive scene right out of New Orleans, where party-goers sipped Hurricanes, ate Kings’ Cakes and listened to the jazz sounds of Nat Simpkins ’66 and his fellow band mates. Chuck Kenahan ’77, P ’12 marshaled the parade into the Auditorium for dinner carrying the traditional Portsmouth Abbey umbrella. Tish Behan P ’08, ’11 led the “Bling Thing” game, where a gold and pearl bracelet, donated by Three Golden Apples of Newport, RI, was won by a current parent. After the New Orleans-style feast, Tim Flanigan ’75, P ’06, ‘09, ‘11 expertly led the live auction, using his shoe as a gavel. The evening ended with the presentation of Baked Alaska and bidders making one last dash for their silent auction items. The auction chairs, Cheryl Andreozzi P ’09, Heather Savoie P ’10, ’11 and Darlene Turner P ’07, ’09 were thrilled to raise $60,000 for student activities at the School. A great time was had by all! Proceeds from the auction are being used to upgrade the Tuck Shop (student center) food service area to expand healthy eating at the School. In addition, an outdoor recreation area including a basketball court and picnic tables have been installed near the Squash and Fitness Center.

The Portsmouth Institute The Portsmouth Institute is a summer conference, study, recreation and retreat center for Catholic intellectuals, scholars and all those who are interested in questions pertaining to Catholic life in the 21st century. Over a four day period (Thursday evening to Sunday brunch after Mass), leading experts in spiritual, theological, historical, scientific, artistic, political, sociological, and other aspects of contemporary society, convene talks and seminars on subjects of interest. Where possible, Portsmouth Abbey monks and faculty participate in or lead these sessions. There will be frequent opportunities for informal discussion and recreational opportunities on the campus, at Carnegie Abbey, and in Newport. There will also be opportunities for attendance at Mass, the Divine Office, and “mini-Retreat sessions. We promote the Portsmouth Institute through our own data base and also through such friends as the Ethics and Public Policy Center, First Things, Inside Catholic, National Catholic Reporter, Catholic World News, Commonweal, America, Opus Dei, Legatus, the Knights of Malta, and FADICA (Foundation and Donors interested in Catholic Activities) as well as through the national Catholic Educational Association and other effective groups. Proceedings are published in The Portsmouth Review and on the website (www.portsmouthinstitute.org). Additionally, going forward we will convene Portsmouth Institute events in major cities as part of our outreach to address subjects of concern to Catholics in the 21st Century, and to call attention to the academic and spiritual excellence at Portsmouth Abbey and School.
