ADVERTISING IN THE CONFERENCE PROGRAM Our CICE Program Guide is full of information, schedules, speaker biographies and Expo map for the conference. Each attendee receives a printed copy in their Welcome Bag and they refer to it throughout the conference. PHOTOGRAPHY EXPO / MARKETPLACE The Expo will take place at the Hotel Grand Pacific Pender Ballroom on Sunday April 7 from 10am-4pm. Open to the general public all day, there will also be two hours of dedicated Expo time during the conference where delegates will be urged to attend the Expo and visit each vendor. Attendees will be professional and emerging photographers and photo illustrators, computer graphic artists and advanced amateurs. PRODUCT & SERVICES DONATIONS Put your company name, products and services directly into the hands of our attendees, grow your brand and create loyalty for your company.

Silent Auction Companies wishing to display and promote their goods and services can do so by donating a prize item to our event silent auction. This auction takes place during the gala banquet and awards ceremony. The proceeds from the auction help defray some of the conference expenses. We’re open for any donation. Smaller items may be placed in larger “packages” while items over $400 will be auctioned on their own. Items can include both photography related goods and items to promote local businesses and services.

Treasure Chest The treasure chest is a fun way to encourage attendees to not only visit your Expo booth but to purchase directly from you at the show. For every $50 that a visitor spends at a booth in the exhibition, they receive one draw prize ticket. Prizes will be drawn throughout the Expo on Sunday encouraging more people to join the fun. We gratefully accept donations of goods or services of any value.

Door Prizes Who doesn’t love a freebie? We’d love to offer door prizes during each of our speaker presentations to add to the excitement of the weekend. Photography related donations and promotional items are another great way to highlight your brand and generate excitement; and, we are also looking for donations from local businesses – goods, discount coupons or other promotions will help encourage our attendees to visit local businesses while in the area.

Volunteer Committee Swag PPOC is a not-for-profit association run largely by volunteers and this conference is no exception. The bulk of the planning committee are volunteers who are also holding down full- time jobs. While they all enjoy the satisfaction of hosting a successful event, they pay their full conference fees and travel as do all other delegates. A little thank you, goes a long way for these hard-working people, and puts your company in the forefront of their minds.

DELEGATE WELCOME BAG MATERIALS We will be putting together welcome bags for each attendee containing conference information, promotional flyers and items to enhance enjoyment of the weekend. We welcome any donations. TERMS & CONDITIONS 1.

This application for Exhibition Space shall not become a binding contract between the exhibitor and PPOC until the application has been accepted by PPOC. 2. PPOC agrees to provide on request a standard display booth or display table without additional cost to the exhibitor. Exhibitors shall be responsible for the set-up and breakdown of their own exhibit. 3. No other than the official contractor as designated by PPOC or such contractors as have been approved in writing by PPOC shall connect, or disconnect utility service, install wiring, spotlights, or do other electrical or carpentry work. All such work will be at the exhibitor’s expense. All operation of electrical equipment used in the exhibit must have CSA or equivalent provincial power authority approval. 4. No exhibitor shall exhibit or permit to be exhibited in the space allotted to him any merchandise or service together than that specified in the application. The space shall not be sublet without the written permission of PPOC. The sharing of space or use of the space by persons or in a manner not authorized by PPOC is prohibited. 5. PPOC shall have the right to adopt such rules and regulations as to the conduct of parties prior to, during and after the show as in its discretion it deems to be in the best interests of the show and the exhibitor agrees to abide by and be bound by all rules and regulations of general application that may be issued by the Montreal Airport Marriott In-Terminal Hotel and all its bylaws, rules, directives, orders and regulations of the Host City. 6. The exhibitor’s property shall be placed on display and exhibited at its own risk and neither PPOC nor Montreal Airport Marriott In-Terminal Hotel shall be held responsible therefore, not for the death or injury to any person or for damage, including consequential damages, or loss of property of the exhibitor, its officers, agents, employees, or invitees resulting from any cause whatsoever and the exhibitor hereby indemnifies and holds PPOC and Montreal Coast Canmore Hotel & Convention Centre harmless from any suit, action or claim arising out of any action or failure to act by the exhibitor. The exhibitor shall secure and furnish upon demand evidence of comprehensive general liability coverage. 7. If the exhibitor fails to comply in any request with the terms, conditions, rules or regulations of this agreement, all rights of the exhibitor hereunder shall cease and terminate. Any payment made by the exhibitor on account hereof shall be retained by PPOC as liquidated damages for breach of contract and PPOC may thereupon re-rent the space. Once the application has been accepted, the entire rental fee for the space becomes payable hereof. 8. All and any monies paid are non-refundable. 9. Should any contingency interrupt or prevent the holding of the show including but not limited to acts of God, strikes, lockout or other labour or individual disturbances, riot, failure to secure materials or labour, fire, lightning, tempest, flood, explosion, terrorists, provincial health order or any other cause, PPOC shall in no way whatsoever be liable to the exhibitor, other than to return such portion of any amounts paid as may be determined to be equitable by PPOC in its sole opinion, after deduction of such amounts as may be necessary, in PPOC’s sole opinion, to cover all expenses incurred by PPOC in connection with the show and/or promotion and publicity. If for any reason PPOC determines that the location of the show should be changed or the date of the show postponed, no refund will be made but PPOC shall assign to the exhibitor in lieu of the original space, such other space as PPOC deems appropriate and the exhibitor agrees to use such space under the same rules and regulations. 10. The exhibitor will exhibit in proper manner and will keep the exhibit space open and staffed at all times during the show hours. PPOC reserves the right to restrict exhibits to maximum noise level and to suitable methods of operations and display. PPOC shall have decision as to what constitutes a proper exhibit and such decision shall be final and binding. If for any reason an exhibit or its contents are deemed objectionable by PPOC the exhibit will be removed without refund of any amounts paid. This provision includes person, things, conduct, printed matter or any item or attire, which PPOC may consider objectionable to the show’s intent. PPOC further reserves the right to relocate exhibits when in its opinion such re-locations are necessary to maintain the character and/or good order of the show. 11. The exhibitor shall not insert nails, tacks, hooks or screws into the walls and floor of the building and the exhibitor shall be liable for any damage caused to the building floors, walls, or columns, drapes, chandeliers or to the property of other exhibitors. The exhibitors may not paint, laquer, adhesive or other coatings to building columns nor shall use any flammable decorations or coverings for display fixtures and all fabrics or other materials used for decoration or coverings of tables and/or risers shall be flame and fire proof. 12. No signs or advertising shall be displayed in areas of the building other than those set aside for such purposes and all such signs shall be subject to the approval of PPOC. 13. The exhibitor shall abide by the terms and conditions of any and all agreements and/or contracts between PPOC, Coast Canmore Hotel & Convention Centre and each and every union and/or labour organization relating to the staging of the show and to obtain any clearance required by any union or trade organization having authority with respect to the show or work performed in the building. 14. The exhibitor shall not commit any nuisance. 15. The exhibitor shall not cause any unusual noxious or objectionable smoke odor to emanate. 16. The exhibitor shall not use its space for lodging or sleeping. 17. The exhibitor shall not do anything, which would interfere with the effectiveness of any utility, the heating, ventilating or air-conditioning systems in the building and interfere with free access or passage to the public areas of the building or areas joining thereto. 18. The exhibitor shall not interfere with the effectiveness of or accessibility to the escalators in the building or the electrical, plumbing, gas or compressed air systems. 19. The exhibitor shall not do or permit to be done any act which might invalidate any insurance policy carried by PPOC or of the Coast Canmore Hotel. 20. The exhibitor shall not take up a collection. 21. The exhibitor shall not use, exhibit, display or store any combustible or inflammable liquid or material. 22. In the event the exhibitor has not brought in its display prior to the time set out by PPOC then PPOC has the sole discretion to determine whether the exhibitor may be deemed in breech of this Agreement and may be prohibited from entering into the building and setting up its display. PPOC may at its sole discretion retain the monies paid as liquidated damages. 23. The exhibitor will confine its activities to the exhibit space and will not solicit beyond the boundaries thereof. 24. All goods shipped to the show must be individually and clearly marked with the name of the exhibitor and numbered per piece and showing total number of pieces being accepted by PPOC or the Montreal Airport Marriott In-Terminal Hotel. 25. PPOC will assume no responsibility for loss or damage to goods before, during the period of the show, nor after its closing. 26. The exhibitor shall be fully responsible to pay for any and all damages to property owned by the Coast Canmore Hotel & Convention Centre, its owners or managers which result from any act or omission of exhibitor. The exhibitor agrees to defend, indemnify and hold harmless, the Coast Canmore Hotel & Convention Centre, its owners managers, officers or directors, agents, employees, subsidiaries and affiliates, from any damages or charges resulting from exhibitor’s use of the property. The exhibitor’s liability shall include all losses, costs, damages, or expenses arising from, out of, or by reason of any accident or bodily injury or other occurrences to any person or persons, including the exhibitor, its agents, employees, and business invitees which arise from and out of the exhibitor’s occupancy and use of the exhibition premises, the Hotel or any part thereof. 27. Exhibitor booth set-up time begins on Friday April 21 at 4:00-6:00 PM and Saturday, April 22nd 6:00-10:00 AM. Booth must be ready by show opening at 10:00 AM on Saturday. Take down commences immediately after close of show on Monday April 29. Booth and area must be cleared by 5:00 PM of the same day. Any charges issued by the Coast Canmore Hotel & Convention Centre relating to the late take down of booth or clearing of immediate areas will be passed on to the offending exhibitor.
