esse & Event: Welchen Einfluss hat die Digitalisierung auf das Messewesen?

Martin Roy: Je mehr Zeit die Menschen vor dem Computer verbringen, desto stärker steigt das Verlangen nach dem persönlichen Kontakt auf Messen. Jetzt gilt es, beide Seiten zu verknüpfen und die Stärken des Digitalen auch für das Messewesen zu erschließen. Wir als Veranstalter müssen nicht nur viel Publikum auf die Messe bringen, sondern 1:1-Kontakte herstellen. Wir ar-

beiten derzeit an entsprechenden Tools. Im zweiten Schritt geht es darum, wie wir als Dienstleister für unsere Kunden noch mehr Value bieten können.

Digital oder emotional, was wird künftig entscheiden?

Roy: Auf Messen hat sicher der emotionale Faktor mehr Einfluss. Das ist die zweite Komponente, auf die wir, neben dem Digitalen, verstärkt setzen. Wir müssen die richtigen Gefühle für eine emotionale Welt schaffen, in der sich der Besucher wohlfühlt,

Wie wichtig ist es heute für eine Kongresslocation, technisch up to date zu sein?

Renate Dobler-Jerabek: Das Thema Digitalisierung ist längst angekommen. Während die einen sich über eine App freuen, sind die anderen schon dabei, Internetstreaming und Hybrid Meetings sowie Tools für vernetzte Kommunikation und Teilnehmerinvolvement zu offerieren und damit Branchen-Vorreiter zu sein.

Geht es da um gratis WLAN? Dobler-Jerabek: WLAN ist heute eine Commodity. Wir hatten voriges Jahr einen Groß-Kongress mit 18.000 Personen, die alle mit zumindest zwei Devices unterwegs waren. Der Veranstalter hat uns ein Pflichtenheft geliefert, das wir Punkt für Punkt umgesetzt haben. Seither haben wir auf unserem Gelände eine der modernsten WiFi-Infrastrukturen in Europa.

Welche Chancen eröffnen sich durch das Streamen von Kongressen?

Dobler-Jerabek: Es ist definitiv ein Thema und hängt zusammen mit der gesamten generationsbedingten Veränderung innerhalb der veranstaltenden Gesellschaften. Die physische Anzahl der Teilnehmer am Kongress mag vielleicht etwas kleiner werden, aber ich erreiche dank Streaming wesentlich mehr Menschen mit meinen Inhalten.

Werden Kongresse noch mehr zu Communities?

Christian Mutschlechner: Tatsache ist, dass die Gesellschaften hochprofessionell, hochkommerziell und hochgewinnorientiert sind. Allerdings: Es ist inzwischen unbe­stritten, dass das Live-Erlebnis, die Face-2-Face-Interaktion, weder durch die

Mediendigitalisierung noch durch sonst irgendwas ersetzt werden kann.

Wie wichtig ist der Standort für einen Kongress?

Mutschlechner: Der Standort ist sicher von wachsender Bedeutung im Sinne der Erreichbarkeit, des Angebotes und auch vom Faktor Sicherheit. Die Politik des jeweiligen Landes ist heute ebenfalls ein Entscheidungskriterium für Veranstalter.

Stefan Walter: Wien ist von den Umständen her, von der Infrastruktur und den professionellen Partnern vor Ort, die einfach funktionieren, meiner Einschätzung nach sehr gut aufgestellt. Wir kommen in Europa ganz viel herum und überall höre ich, Wien ist vorne dabei.

Mutschlechner: Wir sind in der angenehmen Situation, in Wien drei Kongresszentren zu haben, plus zusätzliche Infrastrukturen. Wir haben genug Hotelzimmer, die es erlauben, auch ein paar Zentren parallel zu bespielen.

esse & Event: What impact is digitalisation having on the industry?

Martin Roy: The more time people spend in front of a computer, the more they feel a need for face-to-face contact at events. Now it’s time to bring the two things together, and capture the strengths of digital technology for conferences and exhibitions. As an event

organiser, we don’t only want to attract a large number of visitors to an exhibition – we need to set up one-on-one contacts. At the moment we’re working on tools for this. The next step will be to look out how, as a service provider, we can add even more value for customers Digital or emotional – what will be the decisive factor?

Roy: At trade fairs, the emotional factor is definitely bigger. This is the second aspect that we’re focusing on more, alongside digitalisation. We need to inspire the right feelings to create an emotional world in which visitors feel good and want to spend more time, and which in turn brings greater benefits to exhibitors.

How important is it today for a congress venue to be up-to-date technically?

Renate Dobler-Jerabek: Digitalisation has already been around for some time. While some companies get excited about an app, others are out there leading the way by already offering web streams, hybrid meetings and tools for networked communication and participant interaction.

Is the key aspect free WiFi? Dobler-Jerabek: WiFi access is a commodity now. Last year we had a large congress with 18,000 people, each carrying at least two devices. The organiser gave us functional specifications, which we implemented to the letter. Since then we have had one of the

What opportunities does conference streaming open up?

Dobler-Jerabek: It’s definitely important and it’s part of the entire generational change taking place within the companies that organise events. The physical number of

participants at conferences might be getting a little smaller, but thanks to streaming, your content can reach many more people.

Will conferences continue to move towards becoming online communities?

Christian Mutschlechner: The fact is that the companies are highly professional, highly commercial and highly profit-oriented. But it is now accepted across the board that live experiences and face-to-face interaction can’t be replaced by digitalisation of media or by anything else.

How important is the location of a conference?

Mutschlechner: Location is definitely becoming more important in terms of how easy a place is to get to, overall attractiveness and the issue of safety. The political situation in a country is another decisive factor for event organisers today.

Stefan Walter: Vienna is very well positioned in terms of the general situation, the infrastructure and professional service partners, which simply work. We travel around Europe a lot, and everywhere people tell me that Vienna is out in front.

Mutschlechner: We’re in the fortunate situation that we have three congress centres in Vienna, as well as other infrastructure. There are enough hotel rooms to allow a number of conference venues to host events at the same time.

Komplexe Prozesse im Körper laufen im Verborgenen ab. Dasselbe Prinzip gilt auch für Großveranstaltungen. Ein Blick hinter die Kulissen des Jahreskongresses der Euopean Hematology Association. In the human body there are countless complex processes going on behind the scenes. And the same principle applies to large-scale conferences. A look behind the scenes at the European Hematology Association’s annual congress.

er Blutkreislauf hält den Menschen am Leben. Genauso verborgen wie dieser den Körper mit Sauerstoff versorgt, ziehen die vielen Mitarbeiter von Reed Exhibitions Messe Wien nahezu unsichtbar die Fäden, damit eine Großveranstaltung funktioniert: Von 11. bis 14. Juni drehte sich alles um Hämatologie, der Lehre vom Blut und den blutbildenden Organen. 10.000 Besucher aus ganz Europa waren zum 20. Kongress der European Hematology Association (EHA) nach Wien gekommen, um sich über den neuesten Stand der Hämatologie und medizinischen Onkologie zu informieren.

Rund 110 Aussteller präsentierten die aktuellsten Entwicklungen und Produkte.

Vier Tage Kongress bedeuteten sechs Jahre Vorlaufzeit. Im Jahr 2009 nahm Martina Candillo von der Reed-Salesabteilung zum ersten Mal mit der EHA Kontakt auf. Um den jährlich stattfindenden Kongress bemühen sich bei jeder Ausschreibung zahlreiche international hochkarätige Destinationen.

Bereits 2007 war die EHA in Wien zu Gast, 2014 fand die Veranstaltung in Mailand statt, 2016 geht sie nach Kopenhagen. Zwei Jahre lang verhandelte die Sales-Mitarbeiterin über Flächen und Raumaufteilung, Mietsowie sonstige Kosten. Sie führte Gespräche mit den wichtigsten Partnerfirmen und schnürte nach ihrem Besuch des EHA-Kongresses in Amsterdam letztlich ein Paket, das den Veranstalter überzeugte. Ende 2013 wurde der Vertrag unterzeichnet.

Auf Blutzellen sitzen. Im Frühjahr 2014 begann Projektleiterin Karin Katlein mit den operativen Vorbereitungsarbeiten. Mit dem Caterer reiste sie zum Kongress nach Mailand, um sich einen Überblick über die Veranstaltung und ihre vielfältigen Anforderungen zu machen. Katlein nahm dabei viele Anregungen mit, sah aber auch jene Besucher, die mangels Sitzgelegenheiten auf dem Boden Platz nehmen mussten. Für Wien hatte der Veranstalter 1.000 Kartonhocker bestellt, auf die er Blutzellen drucken ließ.

Tischtücher mit aufgedruckten „bloodcells“ gab es auch im Cateringbereich. Insgesamt wurden für den Kongress 500 Laufmeter Posterpanels bedruckt, 6.580 Meter Elektrokabel verlegt, was exakt 1,34 Mal der Länge der Wiener Ringstraße entspricht. Elektriker richteten 212 Stromanschlüsse von 2,2 bis 60 Kilowatt ein. Der Stromverbrauch der vier Messetage betrug übrigens 25.000 Kilowattstunden. Das ist in etwa der Jahresverbrauch von acht Einfamilienhäusern. Zusätzlich zum Congress Center wurden in die Ausstellungshallen fünf Session Rooms für bis zu 2.500 Personen eingebaut.

Kühlen Kopf bewahrt. Nicht vorhersehbar war, dass beim Kongresstermin in Wien tropische Temperaturen herrschen würden.

Bei 38 Grad Außentemperatur liefen die Klimaanlagen und auch Klimatechniker Karl Aicher auf Hochtouren, was die Besucher jedoch nicht bemerkten. Während es für sie angenehm kühl war, musste der Mitarbeiter

schon einmal in Rohre kriechen, um alles am Laufen zu halten. Dass die Besucher aufgrund der Hitze lieber im Messegebäude blieben, beschäftigte letztlich den Caterer und seine Mitarbeiter: Während des Kongresses wurden 13.000 PET-Halbliterflaschen Mineralwasser getrunken, 4.400 Kilo Obst gegessen und 30.000 Snacks verzehrt.

Die sportlichen unter den Teilnehmern wagten sich dennoch vor Kongressbeginn am Samstag zum „EHA Run“ ins Freie.

Wir kommen wieder. Letztlich fanden Teilnehmer und Aussteller beste Bedingungen vor. Die geografische Nähe Wiens zu den osteuropäischen Ländern habe sogar eine neue Besuchergruppe angezogen, betont Projektleiterin Katlein. Die Rückmeldungen der Teilnehmer seien durchwegs positiv gewesen. „Die Messe Wien ist, was die Größe, die Lage und natürlich die Flexibilität der Mitarbeiter anbelangt, perfekt für einen Kongress wie EHA“, sagte Veranstaltungsplaner Naud Becker von MCI Amsterdam.

Als Location für medizinische Kongresse hat sich die Messe Wien bereits in der Vergangenheit einen hervorragenden Ruf erworben.

Das sieht man bei der EHA offenbar ähnlich.

Denn die Frage der Messe Wien-Mitarbeiterin, ob man in den kommenden Jahren einen Termin reservieren dürfe, wurde mit Ja beantwortet. Der Hämatologenkongress kommt also definitiv wieder nach Wien. Nur das Jahr ist noch nicht fix.

And similarly to the way in which it keeps the body supplied with oxygen, the employees at Reed Exhibitions Messe Wien are there pulling the strings in the background to make sure that events go off without a hitch. From 11-14 June haematology, the study of blood-forming organs, set the agenda at the Messe Wien. 10,000 visitors from all parts of Europe met in the Austrian

capital for the 20th Congress of the European Hematology Association (EHA) to find out about the latest advances in haematology and medical oncology. Around 110 exhibitors presented the latest advances and products.

Preparations for this four-day conference started six years ago when Martina Candillo from the Reed sales department initiated contact with the EHA. Each year the annual congress is put out to tender, with top-level international destinations competing for the honour of hosting the next installment. The EHA Congress last took place in Vienna in 2007. In 2014 it took place in Milan and in 2016 it will be Copenhagen’s turn. For two years Candillo was busy settling key details such as space requirements, layouts, rental fees and other costs. She was also in talks with all of the venue’s main partners, and by the time she attended the EHA Congress in Amsterdam was able to present her proposal, which the organisers accepted. The contract was finalised in 2013.

Sitting on blood cells. In spring 2014 project manager Karin Katlein got to work on the operational side of things. She even travelled to the Milan conference with the caterer to get a feel for the event and its unique requirements. Katlein returned to Austria full of ideas, vowing to get things right after seeing some delegates having to sit on the floor, due to an absence of proper seating.

Determined to do things better in Vienna, the organisers ordered 1,000 cardboard stools with blood cells printed on them. The theme continued elsewhere in the venue, with

the tablecloths also picking up the design.

In total the event called for 500 metres of printed poster panels, and an additional 6,580 meters of electric cabling – enough to go round Vienna’s Ringstrasse boulevard one and a third times. The team of electricians also set up 212 power points with outputs ranging from 2.2 to 60 kilowatts. Over the course of the four days, the event used a total of 25,000 kilowatt hours – equivalent to the annual consumption of eight family homes.

In addition to spaces in the Congress Center, a further five session rooms for up to 2,500 people were set up in the exhibition halls.

Keeping a cool head. Despite all the forward planning, no one could foresee the sustained tropical temperatures that would hit Vienna in June: with outdoor temperatures hovering at around 38°C, the air-conditioning systems and technician Karl Aicher were running at full capacity behind the scenes. Unbeknownst to visitors, he even ended up crawling down a ventilation shaft as he worked to maintain a cool environment. And the fact that attendees preferred to escape the heat and stay indoors placed an additional strain on the caterers: during the conference, delegates got through 13,000 plastic bottles, 4,400 kg of fruit and around 30,000 snacks. Despite the heat, some of the sportier conference goers took part in the EHA Run on the Saturday before the conference started.

Coming back soon. At the event itself, exhibitors and delegates were treated to perfect conditions. And with Vienna so close to

Eastern Europe, it also reached out to a whole new visitor group, as project manager Karin Katlein confirmed. Delegate feedback was positive across the board. “In terms of size, location and the flexibility of its employees, the Messe Wien is tailor-made for events like the EHA Congress,” explained event planner Naud Becker from MCI Amsterdam. The Messe Wien has established an excellent reputation as a location for medical congresses over recent years, and it seems that the EHA concurs. When asked by the Messe Wien team whether they would be looking to reserve a date for the future, they confirmed that they would. So, the haemotology congress is definitely coming back to Vienna. All that remains it to fix the year.

Nach 2007 kam zum zweiten Mal die Europäische Gesellschaft für Hämatologie für ihren Kongress mit 10.000 Besuchern nach Wien.

Modern IT is extremely important, since “Networking and socialising are among the main reasons for people to attend conferences,” as Christian Steiner, managing director of STEINER Mediensysteme confirms.

Steiner has been an IT service partner for Reed Exhibitions for many years.

Experienced in innovations. The requirements of Reed Exhibitions and external organisers range from equipping an exhibition stand with screens for playing videos and audio applications all the way to custom service packages. And not only are standards for audiovisual equipment and presentations changing constantly – interaction and real-time updates from participants have become part for the course at modern events.

Multimedia at the state of the art. “As well as the innovations brought about by LED technology in screens, projectors and lighting, apps have become ubiquitous, playing a part in all aspects of everyday life,” says Steiner. Apps can be helpful in a multitude of ways – when people are planning their visit to an exhibition or congress, for registration and signage systems, and even for participants to get interactive during conference talks.

According to Steiner, this means that the time reserved at the end of presentations for speakers to take questions from the audience is a thing of the past. “Today, visitors can interact at any time using a tablet or smartphone and send messages and questions directly to speakers, as well as participating in votes or surveys and joining group activities,” he explains.

„Superb“e Skoda-Händlertagung Superb Day for Skoda Dealers Zwischen 28. April und 8. Mai trafen einander 4.600 Skoda-Händler und deren Mitarbeiter aus 74 Ländern in der Messe Wien, um den neuen Skoda Superb live zu erleben. Schauplatz waren die Halle A, das Foyer A sowie die Ebene 3 des Parkhauses A. Der Aufbau für das Event dauerte ganze neun Tage.

Between 28 April and 8 May 4,600 Skoda dealers and their employees from 74 countries met up at the Messe Wien to see the new Skoda Superb up close. The event, which took nine whole days to set up, centred on Hall A, Foyer A and Level 3 of car park A.

Süße Cake World Austria Sweet Cake World Austria Lange war sie den deutschen Nachbarn vorbehalten, 2015 kam sie erstmals nach Wien. Von 11. bis 13. September fand die große Tortenmesse „Cake World Austria“ in der Messe Wien statt. Zuckerbäcker und Liebhaber süßer Köstlichkeiten bewunderten kunstvolle Tortenkreationen, vielfältige Dekomaterialien und alle Arten von Backutensilien.

Long the preserve of our German neighbours, this show came to the Austrian capital for the first time in 2015. From 11-13 September the Messe Wien hosted the inaugural international Cake World Austria. Kitchen whizzes and master bakers were treated to fantastic cakes, the latest generation of decoration materials and a huge range of baking gadgets

Internationaler Leberkongress International Liver Conference Nach 2010 ist der internationale Leberkongress der Europäischen Gesellschaft für Leberforschung im April 2015 nach Wien zurückgekehrt. Weil die Organisation optimal funktioniert hat und von den 10.000 Teilnehmern sehr positives Feedback gekommen ist, wurden auch gleich zwei weitere Folgetermine eingebucht.

The European Association for the Study of the Liver (EASL) was back at the Messe Wien in 2015 with its international conference, for the first time since 2010. And thanks to seamless organisation and overwhelmingly positive feedback from the 10,000 delegates, the EASL has booked another two dates.

UEFA-Meetings in Wien UEFA Meetings in Vienna Nach 1955, 1972 und 1994 wurden im März 2015 bereits zum vierten Mal das UEFA Executive Committee unter dem Vorsitz von Michel Platini sowie der 39. ordentliche UEFA-Kongress in Wien abgehalten. Veranstaltungsort war diesmal die Messe Wien. Die Delegierten aller 54 UEFA-Mitgliedsverbände nahmen an dieser Sitzung teil.

Following on from 1955, 1972 and 1994 the UEFA Executive Committee, presided over by Michel Platini, returned to Vienna for the fourth time in March 2015 for the 39th UEFA Conference at the Messe Wien. Delegates from all 54 UEFA members attended the meeting.

Messe als Set bei ESC-Film Messe Setting for Eurovision Song Contest Film Am 9. April verwandelte sich das Freigelände der Messe Wien in eine Film-Location. West4Media produzierte den Eröffnungsfilm für den Eurovision Song Contest und wählte Reed Exhibitions als Geländepartner. 200 Freiwillige ließen dabei im Außenbereich der Halle A weiße Luftballons in den Nachthimmel steigen.

On 9 April the grounds of the Messe Wien were transformed into a film set. West4Media produced the opening film for the Eurovision Song Contest and chose Reed Exhibitions to supply the location.

For the film a group of 200 volunteers released white balloons into the night sky in front of Hall A.

Aufnahmeprüfungen für MedUni Medical University Entrance Exam 7.000 Medizin-Aspiranten versammelten sich am 3. Juli, um in den Hallen der Messe Wien die Aufnahmeprüfung für das Studium an der größten Medical School der Welt abzulegen. Weil die Studentenzahl in bestimmten Studienrichtungen so groß ist, werden auch andere Eingangsprüfungen häufig in den geräumigen Messehallen abgehalten.

7,000 aspiring doctors converged on the Messe Wien on 3 July to sit the admissions test for the world’s largest medical school. The halls at the Messe Wien are hosting more and more entrance exams as the number of students applying for certain courses continues to grow.

Dobler-Jerabek and her team have been fine-tuning the new look in collaboration with the Viennese creative agency „Hello“ for several months, to find something that is “transparent, light and modern, has the right feeling, and reflects the centre’s architecture”, according to Dobler-Jerabek.

The rebranding will be launched across all customer-facing media. Printed materials, PowerPoint presentations and project folders will all have a light feel with bold images.

Redesigned plans make the venue’s versatility and options for shaping an event clear at a glance. And the links between analogue and digital information, between paper and online, have been significantly strengthened. Inspired by the distinctive interlocking construction of the roof of the Messe Wien building, the new key visual conveys the key messages of openness and strength in innovation. “Making it happen” – the brand slogan says it all.
