Introduction Purpose In the modern, competitive, multi-unit restaurant industry, every business needs technology solutions that give it an edge. The tools that help in providing excellent customer service also need to help in more effectively manage costs, production, and employees, all with the reliability you demand from a mission critical system. The software requirements specification (SRS) will provide a detailed description of inventory of restaurant, employee’s details, account management and much more. The current scenario of the market is changed. Every restaurant owner requires the automatic system to manage all tasks from one point. The maximum restaurants today use paper based manual system to operate their business. Thus it is the motive to develop a single system for all need of a restaurant.

Scope The software product to be produced is a restaurant management system which will automate the major restaurant operations. The proposed Restaurant management system is a desktop application which helps restaurant owners in easy administration. The system will store the information regarding expenses, employees and also manages the billing. With the transformation in computing, the automate systems take place of the offline manual system. As it comprises the all information under single platform thus it will be useful for maximum restaurant beyond their service class.

Definition The proposed system provides more reliable, usability, maintainability and dependability functions. By creating quality, easy to keep track management of all departments of the system, so that it can streamline all the works by a simple click. By develop the restaurant management system can reduce the unnecessary cost such as in account management, billing, inventory records etc. Our restaurant system also easy to keep track for the maintenance (e.g.: staff or customer information) and overall sales & deficit. Overall description This section will give an overview of the whole application. The application will be explained in its context to show how the module interacts with other module and introduce the basic functionality of it. It will also describe what type of users that will use the application and what functionality is available for each type.

This application is used solely for administration purpose. The application will not serve the customer, as it manages only the restaurant and its resources. It is LAN based desktop application. The application initiates with the login page where every user has to login. Each user has own username and password according to their accessibility. When a user put the authorized username and password then user able to login for the application and that time show the message “you are successfully login”. If user don’t have authorized username and password so user cannot able to login the application, and that time show the error message like” you are not authorized user”. User characteristics The application follow the 3-tier architecture .In this application we have three users super user, inventory manager and billing manager.  

super user have all rights of application like retrieve information from the database, insert data, update data and delete data The second user of application is inventory manager. The manager can handle all the operations that are related to inventory. It manages like receive items for organization, expenses items of organization, items storage, consumption of items etc. The third user of application is billing manager. It handles the all transaction of billing that is related to customer or according to user requirement.

Product function The login page is used for user’s login. In login form every user have own username and password. When a user put the authorized username and password then user able to successfully login. We have three users for login.   

Modules The system will be developed in a four modules that are as follows   

Home Inventory Masters (details) Report

Home module - This module will contains the basic details and functionality of the software. This module has sub parts that are company information, change password and log out. The company information will allow its user to make personalize this software. The change password will allows user to change their passwords. The log out is introduce to provide security. As the system will be developed with different accessibility option for various users.

Expenses heads used to store expenses of restaurant like salary, electricity, material etc. it is divided as it is used to store the opex (operational entity) of the restaurant.

Employee details- It will store the details of the employees in the database i.e. name, address, gender, designation etc. Menu details- This form allows users to insert the menu book details of foods. It depends on the restaurant. Our system will allow admin to manage it with the details of menu items with category and pricing. It is directly connected to the billing form and use for bill generation. Consumption item details- This form is used to save bill details and the consumed item details. The drinks and other quantify item’s calculation is managed by this form. It is directly related to inventory system to manage product life cycle. Employee salary details-This will stores the employees bank details, for every employee, record is maintained. The amount of salary will be deducted from the credit amount in software. The billing will be the credited amount in virtual bank account of the company. Expenses entry details- It will store the daily costs of the restaurant and can be used for long time. It is used to manage the virtual account of the company. Payment Details- this will manage the payment method used by the particular customers i.e. cash, credit card or debit card. This will used in accounting and cash management for the restaurant. Customer details- this is form for billing information. In customer detail we include customer name, payment of amount. The bills will have the customer details. The customer details will be stored for future purposes that are discounts and other information can be sent directly to the customers via sms/ email.

This module is the part of each module, as for printing each report it requires to fetch data from separate forms of separate modules. .It will contain the following details:    

Billing report – It is related to customer that includes the order no, bill no, vat, tax, total and subtotal etc. Company a/c report – In company a/c report we include date wise, weekly, month wise, year wise report is generated.it shows balance report of the restaurant. Employee salary report – It shows the salary details of every employee like salary, bonus, incentives etc. Expenses head report – In this report we shows the company expenses date wise.
