Vicki is the general manager of Worman’s Mill Community Conservancy, Inc. She has been engaged in the management of community associations as a senior portfolio manager since 2003, before transitioning to on-site management in February 2015.

Vicki is a member of the Chesapeake Chapter’s Expo Committee and serves as chair of the Education Committee.

Elizabeth works for Community Association Services, Inc. She is the activities director and website administrator for Clarksburg Town Center Homeowners Association. Elizabeth has been working with this homeowners association since 2007.

Successful Community

A

ctivities and events are a vital aspect of community living. They create enthusiasm, get residents involved and acquainted with each other, and provide a safe and fun environment that fosters a feeling of togetherness…of community. However, most importantly, activities are at the cornerstone of what evolves a community from a bunch of buildings with people living in them to a bunch of homes with friendly and happy neighbors.

Community events and activities can range in scope from a simple ice cream social, where a few volunteers help dish out ice cream and provide toppings to young and old alike, to a full-blown Street Festival, where the street is closed off, vendors display and sell their wares, and the public is invited to attend. The size of your community should not limit the activities or events you can offer.

Community events can be as easy as holding a Fourth of July Bike Parade. Invite the children to decorate their bikes with red, white, and blue streamers, balloons, and more.

Hold a parade and have a volunteer group select the best patriotic bike in different age categories and present them with a trophy.

Serve cookies and juice to all participants.

This is a recipe for a fun kick-off weekend!

Other examples of activities that are easy and fun are an Easter Egg Hunt, Game Night for the Family, or Game Night for Adults.

Hold a monthly First Friday Social, a community Happy Hour with beer, wine, and light fare for a small donation to offset the cost. Each month, ask different volunteers to sponsor and host the event. This is a great way to socialize and meet your neighbors.

Schedule an off-site Monthly Ladies Luncheon. Provide the date, time, and place, and invite residents to meet for lunch. Take me out to the Ballgame by arranging and publicizing an outing for the family to a local sporting event, offering a reduced ticket rate.

These are effortless events that promote and help build friendships.

A Family Fun Fest event can be as simple as offering grilled burgers and hot dogs, potato salad, and chips with games for the kids such as ring toss and three-legged races. Or, you could expand on this event by adding face painting, a moon bounce, a magician, and perhaps a DJ to entertain kids and adults alike.

Invite local vendors to set up tables to display their wares and ask them to provide prizes for the attendees. Everyone loves to win something! This is a wonderful event where the entire family can get involved and enjoy the outside and (hopefully) the sunshine!

Hold a Family Camp Out and Movie Night. Invite your residents to bring their tents and set up in a large common area and show a family-friendly movie. Set up simple and fun activities such as horseshoes, bean bag, and corn hole toss. You could have a potluck dinner and provide a grilled entrée and ask everyone to bring a simple side dish or dessert.

Partner with your community and hold a Film Festival in conjunction with your local library. On the first Tuesday in August, hold a National Night Out event. National Night Out is an annual community-building campaign that promotes police-community partnerships and neighborhood camaraderie to make our neighborhoods safer, more caring places to live. Include the local fire department and ask them to bring a fire truck to display. Provide a civic service by conducting a children finger-printing campaign

to aid law enforcement’s ability to locate missing children. National Night Out enhances the relationship between neighbors and law enforcement while bringing back a true sense of community. Furthermore, it provides a great opportunity to bring police and neighbors together under positive circumstances.

One of the homeowners’ perennial favorite events is a Pumpkin Festival. Each October, an estimated 400 residents and their guests enjoy a day outside enjoying all the fun of the autumn season. The Pumpkin Festival revolves around pumpkin carving. Residents enter the pumpkin patch to select their favorite pumpkins, which are purchased from our local farmer. After finding that special pumpkin, residents make their way to the pumpkin carving stations. Once their finely crafted jack-o‘-lanterns are carved, they are placed on the main steps leading to the clubhouse. At sundown pumpkin spice scented candles are lit in hundreds of jack-o‘-lanterns on the multitiered staging area. It is simply stunning!

Besides pumpkin carving and the impressive light display, young residents enjoy a large hay maze, moon bounce, pony ride, face painting, and obstacle courses. The local Girl Scout troops sell apple cider donuts from the local farm, soft pretzels from the local Amish market, and candy apples and decorated baked goods from the local store. Parents enjoy the beer garden, sponsored by the local Bennigan’s and everyone enjoys delicious meals served by our two resident caterers and the great selection of music played by our favorite DJ. Best of all, the Pumpkin Festival is fully run by resident volunteers, who look forward to participating in this outdoor community event.

Trunk or Treat is not only a fun activity in itself, but it’s also a safer alternative to door-to-door trick or treating. Ask residents to decorate their car trunks in the Halloween spirit and set up in a central community area. Have a contest for best-decorated car trunk. Hold a costume parade and have the ghosts and goblins strut their stuff.

Add a Chili Cook-Off for the adults. Make certain you have Alka Seltzer handy for those spicier versions! Welcome all children to trick or treat from one decorated car trunk to the next.

Dedicated volunteers can help elevate the type of activities and events you can offer to the community. A local association Garden Club holds an Annual Fashion Show and Luncheon at an offsite venue. Resident volunteers model the clothing and accessories donated by local businesses. All proceeds from this event benefit the local community college scholarship fund. This is an example of helping your neighbors both in your association and within your community.

Schedule a Doggie Swim! This particularly fun event requires very little preparation and is held on the last day of the pool season for obvious reasons! Invite residents to bring their dogs to the pool to swim. Bring your camera and capture the fun!

An active Social Club can present such fun events as a Murder Mystery Dinner, where volunteers act out a skit and attendees are invited to figure out “who done it” while enjoying a meal with their neighbors, to a Kentucky Derby Party where residents can gather together and watch the Run for the Roses on a large screen. mood by asking the ladies to come dressed in their best hats and serve refreshments such as mint juleps and hors d’oeuvres.

Volunteers are the backbone of any community.

They offer their time and effort to enhance the community for one and all.

Schedule a Volunteer Appreciation Dinner to celebrate their contributions to the association. Develop a fun party theme, provide dinner, and entertainment. The entertainment can be as simple as piped-in music, to a DJ and a photo booth, to an extravagant fire dancer show, and audience participation. Ask all volunteers to vote for the resident who, in their opinion, deserve the recognition of Volunteer of the Year. Present that volunteer with a gift and engrave their name on a Volunteer of the Year plaque placed in a prominent location in the community to be seen by all residents and acknowledging their contribution throughout the years to come.

Last year, my association’s theme for the Volunteer Appreciation Dinner was to “Join us in Margaritaville.” We invited our volunteers to come dressed in Jimmy Buffet casual attire and dine on our “Margaritaville Terrace” by the pool. The mood was set by decorating the pool area with colorful parrots, lighted paper lanterns, palm trees, and filling our pool with battery operated tea lights in the center of pink flamingos! As our residents entered, we greeted them with leis

and margaritas. Jimmy Buffet music was piped in until after dinner when the entertainment started. We offered a frozen T-shirt contest, which was a hoot. We froze colorful t-shirts and handed them out to the brave contestants. The first contestant to unravel the frozen t-shirt and put it on won a prize! Next, we held a hula hoop marathon. This is where the coordinated and not so coordinated are discovered!

We concluded our fun-filled night with a show presented by the Pacific Rhythm Island dancers and Fireknife show. The entertainers were a family consisting of a mother, father, and six children ranging in ages from 5 to 12. The entertainers involved our party goers by inviting them up to learn an island dance. Everyone had a phenomenal time and wondered how we were going to top it!

A full-bodied community calendar of activities and events can bring association residents together in a unique way, which can help residents build supportive, lasting friendships, and provide a happier, healthy community. A successful community association is made up of more than a group of homes. Dedicated residents help make a community successful and dedicated residents are made up of happy, connected neighbors. Moreover, a robust activities program can promote your community to the outside. It may even (and likely will) factor into a family’s decision to become a part of your community. The activities program in your community will attract people to it and will make them want to be a part of it, thereby, keeping the property values up. Everyone wins!

Communities can use these interest focused events to connect neighbors together – at the end of the event, new friends are made with similar interests. People want to be exposed to new things but in their own comfort zone. For instance, an art show combined with wine tasting brings in the artist community but also the associated foodie and winos crowd. An outdoor concert that includes a moon bounce and activity station creates a family-friendly environment for people to bring their kids to play while they enjoy the local cover band.

Fun community events ideas: Block Party – the good ol’ block party is always a hit. The key to its success is the ease of access for neighbors of all kinds. Kids can decorate driveways with sidewalk chalk in an “everyone wins something” contest. Food trucks can park in a makeshift food court to eliminate the need for catering organization. And the adults can mingle with each other at a local brewery tasting table.

Movie Night – throwback to the drive-in movie days for a nostalgic but fun event. Create open seating for those who want to get out of their car but also allow families to park their minivan and sit back safely inside the car during the movie. Technology is required for this event – is there an area company who can supply the screens and setup? You can have the audio played via radio and speakers so that everyone can enjoy the movie in their own space. Don’t forget about the U.S. Copyright Act – look into motion picture licensing before you announce the movie title!

Parents Night Out – grab the neighborhood teenagers, reach out to the scout troops in the neighboring schools and create a night in for the kids and a night out for the parents. Partner with a nearby restaurant to encourage the neighborhood adults to enjoy the eve-

ning together while their kids play with new friends at babysitting central. Since this is an indoor or outdoor activity, you can offer these multiple times a year.

Professional Networking – you may not think of it, but sometimes your neighbor could be the key to your professional growth.

Networking is essential in both your professional and personal life – why not bring it to the neighborhood?! Communities can host professional networking events to connect residents to each other outside the neighborhood. Create different events for various industries, add name badges, and set up a professional speed dating event on a weeknight with casual dining.

Talent shows and contests – reality-talent shows rule the tv schedule, so bring them to your community. Hire some dance instructors and hold a lesson night. Guests can participate or come to watch their very own community’s Dancing with the Neighbors showcase.

Hire the local high school dance team to be your judges. It’s entertainment, exercise and community building all in one evening.

The key to a successful community events program is variety and accessibility – make it easy and fun to participate throughout the year.

Neighbors want to live on the “fun street” – let them! Provide opportunities for the community to get involved in the planning of the events. Neighbors creating experiences for other neighbors instantly bonds them as they work together on a common goal – celebrating in their community.

sentiment I love to hear from residents in regard to planned community events is, “I look forward to this every year.” The best community events can be so well-run and useful that they come to define the community, or they may simply be great opportunities for engagement and interaction. Whether a Memorial Day pool party, a community shred day, a garage sale, or end-of-summer doggie swim, one key to a successful event is creating a strong to-do checklist.

Checklists should address aspects such as group coordination, event logistics, communication, and event follow-up.

There are many good things in life, and the best of those are committees—at least from a manager’s perspective. If you are lucky enough to be able to assign event planning to a committee, then your job becomes much easier! It is said that although the earth still moves if you don’t touch it, it’s much better if you touch it. This is an apt metaphor for guiding committee work. It’s important to keep your committee members engaged and on task, and one way to accomplish this is to show appreciation for their work throughout the process. Be prepared to purchase a pizza or two for the planning committee. Pizza solves a lot of problems. Place “Planning Committee Pizza Appreciation Party” committee on your checklist.

Selecting and booking a venue to host your event, preparing and disseminating notices, meeting with caterers and other vendors, gathering necessary supplies, event setup, clean up, and sending out thank you notes are just some logistics that may have to be taken care of and could be included in an event checklist. Logistics can seem complex but are easier to tackle when broken down into their component parts. Whether your role is to advise a committee in creating a checklist for logistics, or writing the list yourself, identifying and specifying your logistical needs is a high priority. If available, it’s a good idea to review the logistical aspects of the checklists used for prior events to make sure you do not forget anything essential. No need to reinvent the wheel (I love that cliché).

Communication: To keep all the wheels of a wellplanned event turning, communication is the grease. Make sure your checklist includes planning for communications with all event stakeholders, most importantly the members of your community. Believe me, you don’t want to hear a resident report, “there I was in my pajamas getting my newspaper, only to discover it was community yard sale day.” Remember to tell the community in as many ways possible with enough advance warning. This could include social media posts, email blasts, signage, mailers, and word of mouth as part of other community gatherings.

Other aspects of follow up may also be logistical. For instance, if a common amenity is used for the event, make sure to have everything cleaned, repaired, and ready for the next event as soon as possible. In closing, community events can contribute to a feeling of group cohesiveness. So, planning for a job well done is highly important. A comprehensive checklist can help ensure that your event is more than just good intentions, but a smooth and successful operation.

Event Follow Up: The best time to review and make suggestions for improvement for similar future events is soon after the event has concluded, and again, a checklist can be created at this point to facilitate planning and discussion. Don’t wait too long to debrief. Expect to receive many requests and questions from the residents at the event. Make a note of these questions and suggestions, and flag them for follow up. This is a great opportunity to shine if you are able to communicate answers or actions as soon

Watershed Cleanup U

nder blue skies and a shining sun, over 200 volunteers in two states, five counties, and nine communities throughout our region participated in the Washington Metropolitan Chapter’s first Watershed Cleanup Day on April 14, 2018. The Chapter partnered with the Alice Ferguson Foundation who has been leading Watershed Cleanup efforts for over 30 years. Volunteers brought their families and friends to wear gloves, pick up trash, and help keep our “Nation’s River” clean. Several service hours were logged for local schools and Scouting Troops by the rising leaders of our communities.

The Potomac River’s entire basin encompasses 14,670 square miles over four states: Pennsylvania, Virginia, Maryland and West Virginia, and the District of Columbia. Approximately 5.35 million people live in the Potomac Region. Every day 486 million gallons are drawn from the river for water supply in the Washington area; therefore, making the “Nation’s River” a major source of drinking water for the Nation’s Capital and its surrounding communities.

Every year over 8 MILLION TONS of trash ends up in our oceans, much of it comes from rivers upstream. At this rate if conditions do not change, there will be more plastic than fish swimming in the deep blue seas. Our chapter members

agreed that this is not acceptable and as a community we can do better and the seed was planted to organize our first Watershed Cleanup Day. Our first Watershed Cleanup was a huge success with over 8,000 pounds of trash collected! Aquafina water bottles were the most common item found along. Over 300 plastic shopping bags were rescued. The strangest things found at our sites included a gun, (yes, a gun), a car, surgical gloves, several tires, a plastic drum, and a boat trolling motor. One of our volunteers even found a $10.00 bill.

THE BIRTH OF

Westridge Community Day

E

ach year, Westridge celebrates “Green Day”- a derivative of Earth Day where we clean up our neighborhoods, educate on environmental issues, and provide shredding and large item trash collection.

This year was something special because we joined forces with the Westridge Elementary School PTA’s scheduled outdoor carnival as a combined event.

(ACTS) and Woodbridge HUGS (Help Us Grow Strong) were collecting donations of canned goods and used clothing. Despite the inclement weather, the crowds showed up for the revelry. The carnival atmosphere got people excited. This was truly a three-ring circus and a great success for all.

We plan to repeat this event with the PTA again next year. It was a huge success for everyone and there is excitement for how to make 2019 even better. If you have read this far, now you know how “Green Day” evolved into Westridge Community Day. We couldn’t be happier about it.

We learned several valuable lessons this year:

When we noticed that the school was having their event on the same day as ours, Westridge’s new Social Committee approached the school’s PTA and suggested they collaborate so as to not “poach” the community and force it to choose which event to support.

The PTA was happy to give us a special area at the carnival and welcomed our supporters to their event. This benefited everyone because Westridge’s environmental agenda reached a wider audience and there were lots of activities for the kids.

1. Teaming with another organization in the neighborhood, like Westridge Elementary School PTA, increased the visibility of our own community. Not all the school’s students are Westridge residents. We were able to show the pride we have in our community.

Special thanks to the Westridge Elementary School, its PTA, our General Manager, Deborah Carter, the Westridge Social Committee, and all the volunteers, vendors, and supporters who turned a rainy day in May into a successful community event.

The day started out rather gloomy with rain and drizzle, but the organizers sprung into action by moving the entire event into the school auditorium. While Girl Scouts and volunteers were picking up trash in the neighborhoods and around the lake, the PTA and Social committee transformed the school into an epic carnival environment.

There were bouncy houses, slides, vendors, games; gardeners, face-painters, Daisy the Associa Green mascot, promotional freebies, and a DJ. Outside were food trucks waiting with delicious offerings. While all this was going on, American Disposal and Eco-Shred were at our HOA Clubhouse parking lot open for business and representatives from Action in Community Through Service

3. Sharing a common goal allowed the organizers to make new friends and alliances.

Many members serve on the PTA and are also active residents of Westridge.

2. Westridge Elementary School is seen as an important integral part of our community. It is not simply located in Westridge, but it is a vital part of Westridge.

4. Many planners and helpers are much better than a few people who have to do everything. Really? We knew that already, but sometimes you have to ASK for help or look for a collaboration partner.

5. Today’s children are tomorrow’s citizens. Include them. Make it fun. Make it memorable and lead by example. Oh yeah, and, take plenty of photos!

Pickleball has grown over the years due to the simplicity of the rules, which allows beginners to learn quickly and begin enjoying the game.

A game is played to 11 points, and must be won by 2 points. However, the serving team is the only side which can score. A typical game lasts about 15 to 25 minutes. The size of the court is 20 x 44 feet and is comparably smaller than a tennis court (36 x 78 feet), which allows players with less mobility to participate. The court is lined like a tennis court with two service boxes, but both singles and doubles play on the same side of the court. The height of the net in the middle is 34”, which is slightly lower than the height for tennis at 36”. A point starts with a serve, but the

motion of the swing, by rule, is underhand and contact between the ball and paddle cannot be higher than the waist. The first shot for each team must be off a bounce; then players can move towards the net and volley the ball or in other words hit the ball before it bounces. The one caveat is a player can’t volley within 7 feet of the net. This non-volley area is referred to as “the kitchen.” If the ball bounces within “the kitchen” a player can move into the area to hit the ball. This simplicity and likeness to tennis has generated interest with existing tennis players and players new to a racquet sport.

A number of recreational programs have expanded to include pickleball to promote the social aspect of the game and it allows residents to stay active. As the community develops a 55 and older community, pickleball becomes an alternative activity for health-conscious residents. To support the program, associations may line tennis courts for pickleball using a different color for the lines to differentiate boundaries between tennis and pickleball. This should not cause confusion or pushback from tennis players because it is the same idea that tennis programs use to line courts for the smaller 60 feet courts for junior players. Also, associations may invest in paddles and balls, which allows us to promote social outings for new players to experience the game.

During these introduction sessions, training will be held to teach players the basics of the game and how to hit the ball. As tennis instructors, these sessions would be similar to teaching new tennis players. Ample information can be gathered from websites on how to structure these sessions. As in any training or lesson, the key to retention is organization and making it fun.

Donate candy or die!” commands the sign that appears along with a 20-gallon cauldron, next to the mailboxes in the Grand Foyer of 1705 Lanier Place, NW, every October. By October 31, the cauldron is full, and by November 1 it is empty again, and the residents of the 30-unit cooperative are all recovering from the celebration that has transformed their building into a haunted mansion and united them in co-op and neighborhood solidarity. Halloween on Lanier Place is truly something to see.

1705 Lanier Place, NW, is an English Tudor-style building with a red and white half-timbered look that is three stories high from the street front, and a wrought iron fence around a small front yard. It is one of the third-oldest original co-ops in the District of Columbia. For more than 80 years it looked basically the same all year. Then, about 12 years ago, according to former Board President Sheila McCormick, a group of residents created the first “1705 Lanier Haunted Graveyard” by filling the yard with some foam tombstones for Halloween. The decorating habit took off, and now the display includes giant spiders hanging from the building, bloody zombies lounging on the outdoor furniture, a guillotine, and a light-up electric chair. It’s designed to be gruesome— there are no smiling ghosts or happy jack-olanterns here, and the trick-or-treaters love it!

“We have had people warn us that the building looks too scary for little kids,

but many of them return year after year to see what’s new,” McCormick said, adding that it might be the parents who get scared.

The primary architect of this transformation is a long-time resident Una Fletcher who is something of an artist-in-residence at the co-op. She created the candy cauldron using insulation foam, paint, and other materials. Every year she adds something new: a spooky dead tree, a boa constrictor with a distended belly, a caged window into the ground with hands grasping the bars, a pair of legs sticking out of a pile of guts as though an unfortunate soul has fallen from a great height.

One year, building unit owner and resident Lynda Laughlin asked Fletcher for help to dress up as the “pizza rat” from a viral video, and she produced a three-foot wedge of foam with cardboard mushrooms and peppers. “It totally made the costume,” says Laughlin, “I love being part of a building where people are willing to help each other out.” Fletcher begins putting things out several weeks before Halloween, and each year’s display grows steadily and organically to its ultimate expression on the 31st.

The entire Halloween display has become enmeshed with the building’s culture. The coop corporation’s fiscal year and annual unit owner’s meeting is in early October, and Mc-

Cormick started drumming up excitement from the building at that time and further encouraging people to start buying candy.

The tradition helps reinforce the building’s sense of community.

The tradition also offers a practical way to allow the unit owners who wish to give out candy the ability to do so without the difficult logistics of letting people into the actual building.

As a result of Fletcher’s over-the-top gore, the display ends up being a huge hit with the neighborhood. 1705 Lanier Place is a bookend on two blocks of Lanier Place that close to traffic on Halloween night so that trick-or-treaters can come from all around and walk safely. The streets teem with Iron Men, Elsas, Doras, and assorted monsters.

The 1705 Lanier Place residents gather outside the entrance, with many in costume, flanked by the decorations, with beers or leftover wine from the unit owner’s meeting, and take turns handing out candy. Visitors take pictures with their favorite decorations. Then, when the police start re-opening the street around 8:30, the coop residents wander back inside or depart to later Halloween parties. The next day they begin stowing the stocks, and cutting down the giant spiders, to store away until the cauldron comes out next year—the candy is nowhere in sight.

HOW TO HOLD A

No-Cost Film Festival

M

any community managers shy away from movie events, due to cost and copyright concerns.

That’s a shame because they are real crowd pleasers. One solution may be to offer to host such an event for a nearby business or institution that would like to organize it but lacks the venue. Such community partnerships can greatly benefit all involved.

This year, the stars are all aligned for our outdoor summer film series, complete with sponsors, impressive pre-film activities, and volunteers to keep things running smoothly. The best part is that we did not organize it at all. “How?” you ask in disbelief. Well, I’d love to tell you all about it.

Library staff begins making plans each winter for the next summer series. They carefully choose four popular, recently released, family-friendly films to showcase. Four teams are created, assigned one film each, and get busy planning pre-show activities to match the themes of their film. They have so much fun finding just the right characters, games, crafts, and other activities to delight and enrich participants. For example, last year there were Polynesian fire dancers to introduce Moana. Their show amazed the crowd and will not soon be forgotten. Local performance groups are often offered the spotlight just before show time, giving them attention and the crowd a chance to gather and settle in.

Some years ago, the local county library system, Frederick County Public Libraries, proposed to us the idea of running their summer activity series on our community center property. In return, we would be listed as an event sponsor, and have wonderful community summer events literally in our front yard. At the time, it was a music festival. A few years ago, the library changed their summer series to a movie festival, and that is how the Starlight Film Festival came to be. It has been gaining in popularity ever since.

This year, The LEGO Ninjago Movie will be preceded by Lego building, coding and play with LEGO® WeDo Robots, ninja character visits from the movie and virtual reality kit trips to Mount Fuji. Before Trolls there will be face painting, dynamic hula hoop performance, a troll hair craft, a salon will be on site to color hair, and troll characters will be greeting visitors. To introduce Coco, a Latin dance group will perform, the library will introduce their memory lab archiving history sources, library volunteers will facilitate a Day of the Dead sugar skull craft, and there

will be luminary decorations and a photo booth. Cars 3 will invite participants to enter a cardboard box car show sponsored by a local auto repair shop, jump on a Cars moon bounce, and race around with matchbox and remote controlled cars on our grounds.

For the movies, a huge inflatable screen will be erected on the front of our property, leaving room for families to set up chairs or blankets on the slightly sloped lawn, so all can comfortably enjoy the show.

Sponsors are also lined up early in the planning process. Sponsors get their logos on all the promotional materials for the festival and can have a presence on the grounds during movie nights. One of the sponsors, a local church, is often here handing out cotton candy before the show. Many of the others have tables with various promotions and activities, giving each evening’s pre-film hours the look and feel of a community fair. plans by checking with us to make sure we are still willing to host the film festival. And of course, we are! Our responsibilities include providing building access for restroom use, extra outdoor trash receptacles, reserved parking for sponsors and attractions, and attending a couple of planning meetings to ensure successful coordination. These meetings are held in our office, to make attendance easy for us. Library staff members are truly a pleasure to work with.

The Starlight Film Festival has many benefits for our community. Most obviously, it brings four tremendous activities right into the heart of the neighborhood, just when our staff is burdened with the busy summer season. These events make our staff look good, as many residents think we have arranged them, though we are sure to give credit where it is due whenever possible.

Since the festival is advertised to the entire county and is an open, public event, it attracts visitors from the greater area, giving us an opportunity to promote the community as well.

fast-growing large-scale association, Loudoun Valley II HOA is in one of many newly developing areas of Loudoun County. Neighbors are still getting to know one another, and people continue to experience a sense of newness since there remains so much ongoing construction all around them. With so many new homes and so many newly arrived residents, a great number of them from overseas, the area is still forming a sense of community. And community turns out to be the keyword—in particular, community service. Start with a simple mantra: give to others and do good in the world! Sounds easy enough, and it certainly seems to be the right thing to do. But

what if you are not just one person but one of the thousands in a brand new community?

How can one person make a difference? Well, rest assured; giving back and committing charitable acts is undoubtedly contagious.

our appreciation of our local heroes, the first responders in the area. Well, not much cajoling was needed – in hours the team arranged for a celebration that included a catered luncheon, and invites were prepped and on their way. On the day of the event, anticipation and excitement were the prevailing emotions. What a truly wonderful time! Perhaps the best part was observing the genuine surprise exhibited by the guests (it was clear they need to be shown more appreciation and more often!) coupled with the tentative approach of many residents (many from overseas) cautiously approaching these uniformed officials and offering their words of appreciation. The genuine emotions and the mutual regard shown clearly was felt by all who participated. The new board member was especially aware of the tenderness of the emotions involved…it was not long thereafter that another newly arrived Stateside resident asked if the HOA would host an event for veterans. This time there were so many who stepped up to sponsor the event, a tremendous outpouring of genuine heartfelt appreciation for those who had served to protect these (recently arrived) U.S. residents’ new homeland. Seeing such high regard for these veterans was something that touched the entire team.

The generosity has not stopped. This now gradually established community has clearly begun to establish a tone of philanthropy.

Requests continue; donations to the local food bank, collecting coats for those in need, hosting Alex’s Lemonade Stand in support of

children with cancer, books for local schools, hosting events for local teachers, Toys for Tots and donations to local firefighters. There is a reason why folk who are new arrivals to the States and who seem so tentative, so cautious about so much in their new land still want to show their appreciation for being able to live the American Dream and share their growing wealth with those around them. That reason is that what we call community service or charitable giving really comes from a universal place, a shared value that every member of Loudoun Valley II brings with them—family.

We hope that every new resident feels this way, that they can feel comfortable joining with any of their neighbors to strengthen the community just as one might help a child with homework or pick up a relative from the airport. No one pretends to enjoy every moment of it--anyone who enjoys grammar rules or navigating parking lots should not be trusted--but we feel the love and know we are stronger and happier for it in the long run. We can’t wait to see what next project our family comes up with.

through August, planning begins many months in advance. Expenses are offset both by HOA contributions and sponsor dollars, with the committee working hard to solicit sponsorships from local supporters. Sponsorship information packages outline the aggressive marketing campaign which includes the distribution of 24,000 postcards, a social media campaign with over 1,600 Facebook followers, road signage on main thoroughfares, stage and entrance banners, print and digital newsletters, and website marketing. Sponsorships include booth space at every show, allowing face to face interaction to provide information, promotional items, and demonstrations.

The venue can accommodate 1,000 attendees with offerings appealing to all ages, hosting a variety of musical genres, kids acts, teen bands, cover bands, original artists, and renowned local and regional bands. With music licensing companies scouting local concert venues and requesting burdensome licensing fees, we encourage our bands to play original pieces of work. The committee screens dozens of performers eager to get on stage and has complete control over which acts are signed, as long as they stay within budget.

every dollar spent and received, and electronic files with everything from sponsor logos to vendor and band contracts to permits and licenses.

Food vendors are secured through a contractual agreement, outlining the expectations of both parties, and each food vendor is required to pay a fee to attend. Unauthorized food trucks have been turned away from the parking lot. The committee members enthusiastically engage local businesses by requesting donations for our “swag bag” prize packages to be given away at each show This allows companies who may not have funds to provide large cash sponsorships to donate gift certificates for food, products or services and encourage attendees to visit their storefronts. We partner with a local photographer to provide an in-kind sponsorship where we receive images in exchange for providing photo credit. We also work with local high school teams to offer them fundraising opportunities by selling non-alcoholic beverages and vending items.

While the committee solicits sponsorships and lines up performers, they rely on me to secure vendor contracts for everything ranging from portable restrooms to security and tents.

Obtaining permitting for an event of this size is no small feat, with multi-page applications to the county and state that are required for a variety of things. Each concert date requires separate special events permits, building permits for the stage, and ABC banquet special license permits for the alcohol. The county previously required a professional engineer to review stage plans, ramp up their stability to ensure they could withstand 60mph winds, and inspect and certify installation at each concert, which was an added expense. I must also monitor the ever-changing regulations regarding health permits, temporary food vendors, zoning, outdoor cooking regulations, and tents.

To comply with ABC requirements, we rope off a beer garden and only allow alcohol in the designated area. Armed security guides are hired to check id’s, provide wristbands, and ensure alcohol stays inside the area for anyone wanting to drink.

Do's and Don'ts for Planning Summer Concerts DO create a map showing where each vendor should set up. Spray paint outlines and assign spaces, so setup is quick and painless.

DO delegate tasks (and keep track of them) to committee members and staff, so everyone knows who is doing what.

DO contact the county to ensure you’ve obtained all necessary permits. They may be required for tents depending on size.

DO have a backup plan in case of inclement weather. 3 of our 4 concerts were rained out in 2017, so we went acoustic and moved indoors.

DON’T shortchange your sponsors. They want to feel loved for their dollars.

Just for fun, a happy mascot circulates, bringing joy to kids and adults alike.

Broadlands LIVE! is a team effort to plan and execute. It brings neighbors together for summer fun and highlights all that our community has to offer.

This statement truly exemplifies my own community that I reside in, Russett Community Association in Laurel, Maryland. My community works tirelessly to promote important issues, events, and awareness to the community. We are a welcoming beacon of hope for new families looking to move to our neighborhood.

A community association is a nonprofit organization formed in a specific geographic community that provides services and enforces the association’s covenants, bylaws and rules. In Russett, the Board Members of the association are neighborhood volunteers who are completely vested in serving and listening to the needs of our community. They work hand in hand with other neighbors and create solutions to meet our community needs. Russett is a network of caring individuals who are deeply concerned about the collective progression of their community.

We have several committees such as knitting club, swim team, security club, holiday club, child activities, yard sale and cleanup day.

Our community is central to both Washington D.C and Baltimore and we offer unique dining and shopping experiences.

In the digital age, social media is used for almost everything. Whether you are staying up late at night watching funny cat videos or catching up with the latest political issues, social media is a useful tool to disseminate info1mation in a timely matter.

While everyone may not be the most tech savvy, implementation of a community

wide social media platform could be simple if done correctly.

The community social media platform I propose would connect the entire community.

Based on the needs and ideas I have gathered from my personal community; social media platform would contain: • The creation of the Russett Community’s webpage. Designed and managed by community members. There would be a new homeowner’ s section, community calendar of events, upcoming Board meetings, neighborhood rep’s information, the bylaws, and a forum to post concerns regarding the community. This would be a password protected website.

• Also, I would implement an app that offered similar features as the website but with additional enhancements. For example, a direct connection to local law enforcement to report suspicious activity and crime. Additionally, this app would have a safety feature for those who feel unsafe while walking in the neighborhood. The user would hold the button for 3 seconds and immediately an alert would notify the police that the user needs immediate assistance.

• The app would have an option for citizens to report issues with the physical environment for example, illegal parking, trash and solicitation.

• An option to seek childcare and home improvement services.

• A feature to distribute community invites for events and activities.

st Utilizing Social Media?

This is just a sample of what the social media app can do to enhance the community’s experience. However, there is a down side to using social media and this app should be monitored responsibility.

There may be a time when misinformation and dissemination of false information can cause chaos and lead to deliberate or indirect racial profiling, and possibly cause fear and bias among neighbors.

The Russett Community Board would have a moderator in charge to delete negative and hateful comments. Reminding the community about social etiquette is also essential. Any online bullying would result in removal of one’s account.

The positives of having this social media platform in place are overwhelming. The Russett Community offers a unique place for neighbors to share and connect, all the while promoting the standard of living in the community. Russett is a great place to live and a social media app would only enhance the already great features of the community.

Special Events Insurance Checklist The following items should be discussed with your insurance agent during the planning stages for your event: ;; Will you serve alcohol at your event? ;; Do you have a system in place to identify (and deal with) underage and intoxicated attendees? ;; Is a caterer serving alcohol/food at your event? ;; Will association volunteers will be serving the alcohol/food? If yes, consider a special events policy. ;; If association volunteers are serving alcohol check to see if you need a liquor license. ;; Will the association charge for entry to the event? If yes, consider a special events policy.

;; Will there be rides or moon bounces at the event? Some liability carriers specifically exclude coverage for these items. ;; Will there be a concert/music/movie at your event? All Vendors, caterers, etc. should provide appropriate proof of appropriate liability coverage (listing the association as additional insured) and a signed hold harmless/indemnification in favor of the association.
