The Oxford Dictionary defines “community” as: 1. a group of people living in the same place or having a particular characteristic in common; 2. a group of people living together in one place, especially one practicing common ownership; and/or, 3. a feeling of fellowship with others, as a result of sharing common attitudes, interests, and goals.

Each of our members live and/or work in a community. They spend their days working to make sure their communities are the best they can be.

Managers work with business partners to ensure the landscaping looks perfect each season, the pavement is smooth for cars, and the community’s finances are managed properly for growth and maintenance. Homeowner leaders spend their free time, after work and after family time, working alongside their neighbors to create a neighborhood – a community – that they are proud to call home.

I have been managing condominiums for most of my adult life and have learned a lot over the years, but I have to admit that I did not do it efficiently. ow that you’ve made the decision to be a part of the WMCCAI Annual Conference and Expo, you will want to get the most value from the investment.

We exhibit at many similar trade shows as well, for other associations. Trade show success is measured by how much effort you put into it.

Prepare Prior to show day, spend significant time determining who will attend the show, and what style of communities they manage or reside. Know what needs both property managers and board members may currently have, such as current building code upgrades or changes in state laws governing multi-family communities. Be a resource for your prospective clients by being current on any new regulations or impending regulatory changes, with regard to multi-family communities.

Create an Engaging Booth Your 10 x 10-foot spot of real estate on the show floor is your opportunity to present your company as professional, dynamic and current. Your booth should be inviting and engaging. You should not create a physical barrier from your clients, such as 14 | QUORUM

Your staff should be extremely well versed in your product, and should be able to field any questions a client may have. Your booth should explain your goods or services very clearly and simply.

You have about two seconds to capture the attention of the people walking the show floor. First impressions are everything. Your booth should be bright, professional and clean.

Promotional items are a great way to send your customers and prospective client home with a reminder of your business. Choosing the right item can be a challenge. Try to find something unique, useful, eye catching, yet inexpensive. It’s not an insurmountable task, but one that must be taken with great consideration. Marketing companies can be useful in finding the newest or most appropriate item for your business. Clients may not take or read your literature, but they will take your promotional item.

Follow Through We have found that banning food and beverages from our trade show booth has made a significant improvement to the professionalism of the booth.

Provide Literature & Promotional Items Your company literature must convey the same message as your trade show booth display. Your literature needs to be professionally printed. It should be bold, concise and include photos with captions. There is little

Monday morning is always hectic as you put your booth away, and sort through your leads and interested clients. While going through your notes and cards, be sure to note all requests for additional information, requests for proposals and requests for presentations. Monday morning is certainly not the ideal time to attempt to contact your leads, they are also pouring over the information they picked up at the show. We strongly discourage the “Monday morning email blast”. Few to no people read emails blasts, and it makes you look like a pest.

With that said, being the professional that you are, you must follow through on every lead. Clients expect you to reach out to them. They are not likely to call you, when they have asked you to call them. Responding to your clients’ needs in a professional and helpful manner, without sales pressure, has proven to be successful to us.

Presentation Teach what you know. If you have a topic that is current and informative to property managers and board members, offer to teach about it at no charge. The Conference makes a call for presentations several months prior to the show. If you would like to be a presenter, complete the application. This gives you the chance to speak before a large group, and teach about your topic. You then become the authority on your subject. Be sure to do your research and teach to your audience. Only offer to teach if you thoroughly know the material. When making a presentation, you are given the chance to distribute more detailed information and answer more specific questions than you would at your trade show booth.

If you don’t want to apply to present at the Conference & Expo, but you still have a great class to offer, use the trade show time to offer “Lunch & Learn” classes in your client’s office or in your office. You can provide the information necessary for your clients to remain current on topics pertaining to our industry.

Purchasing a booth at the WMCCAI Conference and Expo is only a portion of the investment in successfully participating in the trade show. There are many preparations to be considered to maximize your trade show experience. The key to presenting yourself in the most professional manner at the show is planning, and a positive attitude.

The previous two Conference & Expo events I attended were highly educational – enjoyable, too. Seminar presenters overall were articulate and knowledgeable. Chatting with vendors in the exhibition hall helped me learn about the range of services and contractors available to HOAs like mine. Below I have outlined how I think community association volunteers can get the most out of their Expo experience:

Before Conference & Expo is a full day. Review the schedule before you go. Multiple seminars will be offered concurrently in three different time blocks, but none will be repeated.

Choose the seminars that interest you most.

Expect the first round of seminars to start at 8:30 a.m. and the last to end at 3:30 p.m. The schedule is available online at www.caidc. org/conference-expo.

The online floor plan will show you the companies exhibiting at the show, so you can create a list of “must see” vendors before you arrive and plan your route.

Register early to get helpful email updates from WMCCAI. These emails include information about exhibitors, activities on the show floor, education opportunities, and resources to make your conference day successful. The Conference & Expo App link

will be included in those emails. Be sure to click the link to download the app. Use the app to build an itinerary with the sessions you plan to attend, consult the app’s show floor map to locate any exhibitor’s booth, and more!

During Arrive early. Pick up your registration materials and put on your name badge. Wearing badges is mandatory, but they are also a social courtesy that will help you meet people.

Seminar presenters often bring handouts, but rarely enough copies.

Look for handouts at the back of the room when a session starts. Some presentation materials can be downloaded via the Conference & Expo App as well and saved to a cloud service. If you want a copy, ask the presenter after their session. Or, get their business card and request it later. Many speakers will happily email their material if you ask.

Do make time to visit the exhibitors. NEW in 2019, sessions will be held in the Exhibit Hall, so you can maximize your time between education and meeting exhibitors.

Talk to vendors. Learn about their companies and industries. These conversations will make you better informed about essential community services. They may help you ask smarter questions about your board’s next improvement project or contract award.

S

o, how do you go about getting your Community to read your communications? Delivering information to your Association is often a cumbersome task. The reasons for communicating on behalf of an Association is to accomplish something — whether it is to encourage them to follow through with a course of action, correct a violation or informing them about events in their community. This is a necessary and vital component of our jobs.

Given that e-mail is the number one form of communication today, capturing your residents’ attention, given the multitude of junk email and spam an addressee receives, can be a challenge. When managing a new or even existing community consider asking yourself a very important question: What sets this Community apart?

Understanding why the community’s population chose to live and remain there may have a significant impact on both how you address and manage them and provide an insight into understanding their needs. It may make the difference between your residents deleting or scrolling through a correspondence or reading it and relating to you.

We all have a document file folder full of template emails that can easily be cut and pasted with the change of an Association’s name. These correspondences are great starting points, but we may benefit from taking the time to dig a little deeper. I have managed communities where the owners purchased for prestige, luxury and/or location. Effective communication to this type of property may be best served with frequent language or references that appeal to the surrounding area where they purchased their home. Highlighting area events, new amenities, or the latest technology improvements can usually spark interest. Dialing into the specific aspects of the Community that they do and do not like can also help you to formulate effective communication that garners response.

It’s also valuable to determine if the majority of homes were purchased as investments or primary residences. Are there recurring periods of absences from the community, as in student housing or vacation homes?

Will your communications fall on deaf hears to certain segments of the community or during certain periods of the year?

I am currently working in an active adult condominium community. And, it’s been enlightening to learn that this maybe the residents’ first time living in a multifamily unit, and thus were not anticipating many of the various issues that can arise with having neighbors above, below and next to them. In my correspondence I have had to take them back to basics, as you would with first-time

homeowners. The catch is to be respectful of the fact that many are well-educated previous single-family homeowners. Therefore, you should be wary of avoiding condescending language, and rather convey information in an upbeat and positive manner. Encouraging them to embrace new aspects of their new home while noting the issues that they may not have thought of is vital to their comfort within their community.

Additional ownership to consider include those who didn’t foreclosure or short sale due to the residential market crash and are still waiting in the shadows to sell. In this case, highlighting the features of the community that are being improved and stressing the importance of curb appeal and property value appreciation will most likely hit home. Additionally, mentioning local vendors who are offering group-rate discounts on maintenance services can be an attention grabber.

Taking the time to customize your communities’ communications will hopefully engage them to take the time to read your correspondences. This, in turn, may make your residents feel more connected to their managing agent and their community.

He has represented both large and small association clients in litigation and administrative proceedings involving developer warranty issues, foreclosures, covenants and rules compliance, and contract disputes. He also has experience in litigating matters including: employment discrimination matters, employment contract matters, premise liability matters, defamation, and general breach of contract actions.

Furthermore, Kevin provides advice and counsel to non-profit and for-profit employers on all phases of the employment relationship to ensure compliance with applicable state and federal laws. Kevin serves as the Chair on the WMCCAI Education Committee and was recently recognized as the 2018 WMCCAI Educator of the Year.

Todd joined Hann & Hann Construction Services in January 2006 and since his hiring has worked in a number of capacities. He helped launch the Kitchen & Bathroom division, then moved to being a commercial account executive two years later. In 2011 he was named director of business development and was promoted to vice president of sales & marketing in January 2017. His first paid construction work dates back to summer of 1987, painting the historic Antrim Mansion in Taneytown, MD. Some people have childhoods, but Todd jokes he served an apprenticeship under his engineer father. After serving in the US Army, Todd put himself through college doing renovation and remodeling and at the same time graduated from Canisius College, Cum laude with a BA in International Relations. In October of 2015, he was awarded Patent US 9156613 B2 for the invention of an insect control lid on a waste receptacle.

he Education Committee of the Washington Metropolitan Chapter of CAI is excited about providing another year full of quality educational opportunities for our colleagues. The classes offered throughout 2019 will present a wide range of topics by experts in their respective fields.

Thanks to the numerous experts that work within CAI’s largest chapter, the Education Committee is able to provide meaningful and professional seminars that assist managers, business partners and homeowners in obtaining a better understanding of the issues and trends facing the community association industry.

The education year kicks off with an opportunity for managers to explore ways to proactively manage large cost building maintenance items which allows for more strategic budgeting and planning. The following months provide instruction on how to properly respond to accommodation requests to avoid fair housing complaints, as well as training for board members and managers on how to more effectively communicate

with association residents. Later in the year, managers and homeowners will have the opportunity to develop a better understanding on how to address dysfunctional boards, how to handle the discovery of mold, as well as how to address the growing concern of assessment collection in the present economy.

It’s important to note that the Education Committee makes every attempt to provide educational sessions that benefit members in all of our jurisdictions. At separate times throughout the year, seminars regarding the latest legislation that has been enacted will be provided in Maryland, D.C. and Virginia. The sessions educate attendees not only on what legislation went into effect, but the sessions also review legislation that is introduced that impacts associations but that fails to secure enough support in the legislature. Understanding what legislation failed but is still being considered again allows CAI to effectively lobby their legislators and prevent unnecessary and costly legislation from impacting the community associations industry.

Lastly, the Education Committee works hard to confirm that it’s providing educational opportunities that are both relevant and convenient to its CAI members and business partners. Last year, the committee successfully completed a handful of well received webinars and plans to continue to provide access to online education throughout 2019 that recognizes the time constraints managers and homeowners face while still providing the interaction and feedback essential to a successful learning environment. The committee also listens closely to the community feedback it receives and provides seminars in the most comfortable and interactive formats possible. The education roundtables offered throughout the year also provide an excellent opportunity for managers and homeowners to share their experiences and learn from the many scenarios and difficult issues that our industry regularly faces.

Steve is the general manager at Odyssey Condominium. He has been a member of the Virginia Legislative Committee since 1999, received the Rising Star Award in 2004 and the Outgoing Board Member Recognition award in 2018. Steve has been in the community management field since 1975 managing cities and residential properties. As a consultant, as well as portfolio and site manager, he has managed everything from high-rise to single-family condominiums, cooperatives, and homeowners’ associations of all sizes and descriptions. Stephen holds a bachelor’s degree in business administration.

Ted is the owner of TRC Engineering and holds 30-plus years of experience in mechanical systems; Navy trained, he has been locally groomed in heating, ventilation and air conditioning, computerized mechanical systems monitoring, and boilers. Ted is active in various trade and professional associations and is a frequent speaker on energy management at industry conferences and trade shows. He is an instructor for the National Association of Power Engineers Educational Foundation and the Building Owners and Managers Institute. He was recognized

by WMCCAI with a Rising Star in 1999, Chapter Appreciation award in 2002 and 2014, and an Outgoing Board Member Recognition award in 2018.

MCCAI’s Conference & Expo offers exhibitors and attendees many opportunities to connect and learn. But how do you fit all that you want to see and do into the 7-hour event? During an Exhibitor Success 101 presentation provided at the Chapter office this past December, two long-time attendees, one manager and one exhibitor, were interviewed by Executive Director Jaime Barnhart, CMP. Each shared their best practices for making the most of their Conference & Expo day.

Steve: A week before the show, I review the education schedule on the website to predetermine which sessions will benefit me, both for my own education and needed credits. I also share recommendations with my attending board members on what would benefit them. I look at my work load for the coming year and identify the exhibitors that I will want to contact for proposals. I create a list and visit them to verify that their capabilities meet my needs. The online floor plan makes this process very easy.

Steve: Plan ahead – look at the education schedule and make plans to be at the sessions you are most interested in. The list of exhibitors is available to you early, so browse through it to find the booths you want to visit. It also helps give you an idea of how to navigate the show floor before you arrive. When you get to the show, talk to other attendees. Creating new business relationships is one of the greatest benefits of the event.

: How do you prepare before the Expo date for the event?

Ted: And that is why the online floor plan is so important! We make sure that our online booth profile is complete so attendees can see what our company is about and also ensure our contact information is included so attendees can reach out before the show. We spend time as a staff our booth space so everyone is on the same page when the show floor opens.

: What is your best tip for a new attendee for the day of the show?

Q

: Why do you attend this event every year?

Steve: When I talk to my board of directors about Conference & Expo, I tell them I expect to save them between $40,000 and $50,000 every year by meeting and using new or renewed acquaintances with exhibitors. This savings can be with one exhibitor or 10, but it is always there.

Ted: Every year, we leave the show with new contacts and having reconnected with cur-

rent clients and friends. Within a couple weeks of the show, we always have new contracts that came directly from our time at Conference & Expo. The contacts we make at the show are not just with managers – we also create excellent relationships with other business partners.

Q

: Post-show, what do you do with all the knowledge and connections you created at C&E?

Steve: Following the show, I sort through the literature and cards received at the show and file those of continued value. I exchange cards with exhibitors that I want to talk to further and from whom I want to hear. I keep the Resource Guide as a reference to use all year when I am looking for services for the community.

Ted: Our staff meets after the show to talk about the successes of our booth and to talk about ideas for next year. We create a list of all the contacts we made and assign staff to follow up with every one of them in the coming weeks.

: Any general advice for attendees/exhibitors on making the most of the show hours?

Steve: Exhibitors - Please dress your booth in such a way as to generate my interest. I do not stop at a booth where I must ask what they do. Giveaway items are good to have, but particularly a business card that clearly identifies the company, contact and service is ideal - use the back if needed! Be on your feet and interested in your audience.

The most important thing is to follow up with us. I generally hear from less than ten percent of the exhibitors I visit. It is difficult to get interested in a company that is not interested in me. Attendees – plan ahead to get the most from the day! And make a point to meet and greet other attendees. You never know what new connections you will create at the Conference & Expo.

Ted: Exhibitors – look alive! Attendees will come to your booth if you are showing excitement in what you offer.

Stand up – get those chairs out of your booth! Attendees – talk to exhibitors that you may not have an immediate need for; you never know when you will. It will increase your professional network and you will look like a rock star when your community has an emergency and you have a contact ready to call.

or the Event Manager (and the entire chapter staff and C&E Committee), Conference & Expo isn’t a one-day event. Contracting with vendors, working with exhibitors to find the perfect booth space for them, managing the registration process for attendees, and organizing speakers for over a dozen education sessions starts long before the first attendee checks in.

On average, Conference & Expo takes 18 months to plan, start to finish. As you read this issue of Quorum, the 2020 Conference planning has already begun.

For the team, Conference & Expo begins at 7 am on Thursday and ends when the last truck leaves the loading dock late Saturday night. When attendees arrive at the convention center Saturday morning, the hall is full of exhibitors, activities, signage and structures, and the sounds and lights of the show are on. But what does it take to get there?

Thursday When staff arrives, Hall C is empty – 128,000 square feet of concrete floors, cinderblock walls, and a vision on paper of what it will be.

Tape is laid on the floors to mark each booth space and aisle. Large rolls of carpet and drape, stacks of tables and chairs and signage arrive. Each and every sign is inspected. Self-check in registration desks are built in the foyers so we are ready for the arrival of exhibitors the next morning. Systems are checked and tested and updated. By the end of the day, the expo floor is ready for booth move in.

Friday The hustle and bustle begins early and doesn’t stop until late. There is one day to get all the booths moved in and set, all the bags and lanyards and registration materials organized for pickup, and to coordinate the technology for education sessions. More than a dozen vendors are all working in the same space all day. The 54-page logistics guide – always in the event manager’s hand in case reminders are needed – has been shared for months with the team and today is the day it comes to life.

No matter how detailed the planning, something won’t work. For example, the signage has been printed and a logo is fuzzy. So, back to the print shop it goes! The structure planned for the middle of the main aisle just does not work, but if we move it, will the exhibitors around the original location be upset? Where can it be moved? Do we have to dismantle it first or can it be lifted in one piece? Staff and vendors are running all over the expo floor helping exhibitors with missing order items or as an extra set of hands as they pop up their exhibit display.

With over 200 exhibiting companies, the move-in process requires patience and precision. Volunteers and staff check in each company to ensure everyone is there, is aware of the show hours and rules, and has everything they need for their booth. Vehicles are driving across the floor, popcorn machines are being tested, the bells on game boards are ringing as exhibitors set up their

booths to attract new clients. At some point at the end of the day, we wait for the Fire Marshall to inspect and approve the final show floor…and we cross our fingers that there are no issues (so far, so good for the past 4 years!).

Registration is the first impression attendees have of the show. Therefore, all day on Friday, member volunteers are working to prep that area for the mass arrival on Saturday morning. Boxes and boxes full of resource guides and conference bags have to be unpacked and combined. With over 2,200 attendees, this process takes all day. Luckily, there is coffee and snacks for breaks in between clipping 2,200 name badges to lanyards, after unraveling them from their shipping containers.

At the end of a long, busy day, looking over the show floor, everything ready to go, a floorplan on a piece of paper has turned into Conference & Expo.

Saturday This is the longest and shortest day of the entire planning experience. It is dark outside when staff and volunteers arrive at the Expo Hall. After a quick breakfast and team meeting, it’s time to get things started! Staff have cell phones and radios – never out of communication with each other, but rarely able to have a real conversation all day. We have to rely on our planning meetings, logistics guide and professional knowledge of the event to make quick decisions on the spot.

When the first attendees arrive, the excitement explodes. Unveiling the expo floor to the attendees is like hosting an open house in your new home. The iPads at self-check in are working and there are conference bags to hand out. So far, we are in good shape! As technology goes, a printer goes down, so a volunteer springs into action to make sure the attendees in queue get their badges re-printed quickly while the registration vendor works to reset the printer or redirect the badges elsewhere.

It never fails that more coffee is needed or there are not enough specific flavors of soda available on the floor. Catering is confirmed a week ahead of time so decisions on the floor have to be made quickly and with multiple priorities in mind – i.e. how long will it take versus how long the show is open, for instance. Requests take time, so while waiting for one vendor to respond with a plan, another request comes in. Staff coordinates these requests and make new plans over their radios while walking the floor, greeting attendees and exhibitors and sponsors. It is a day of multitasking at its grandest!

Education sessions run all day so not only does the expo floor need constant attention, but five education rooms need technology, chairs, and of course, speakers. Presentations are loaded and tested on Friday, but an update comes Saturday morning. An update on the computer in session room 1 is happening while the projector in session room 4 goes black. Radios aren’t used in the session rooms because the sound would interrupt the speaker, so texts start flying around between staff and the audiovisual team.

All of the sudden, the clock reads 3 pm and the show is wrapping up for the year. The pedometers say over 12 miles were walked that day, all without leaving the building. One last bit of excitement explodes as the grand prize cash is given away from the show floor.

After the attendees leave, exhibitors tear down their booths in half the time of move in. Vendors do the same. It’s dark again when staff leaves the convention center, tired, but feeling great. A day off work to rest and recharge, and then right back at it again to begin planning for next year! Onward to 2020 Conference & Expo we go…

BUILDING CHECK-UP?

A

s buildings age they become more inefficient, which can mean unnecessary, out of pocket expenditures every month; whether it is paying higher utility bills or constantly paying to repair outdated and failing equipment such as boilers and chillers.

Having a Building Condition Assessment performed by a Professional Engineer or Registered Architect is especially important for aging facilities. It is imperative to the overall health and future of your building and bottom line to conduct a “checkup” every 3-5 years.

This assessment will help identify and prioritize required maintenance, repairs and upgrades to select building systems and prepare an estimated budget. This will allow property managers and building owners to move forward in developing an appropriate work program that maintains and protects the value and integrity of the property. This can translate into various repairs and savings on monthly utility bills.

Site & Grounds It is good not only good practice to keep your facility aesthetically pleasing but maintaining the integrity of your outdoor components could mean a safer, more efficient campus. These items may include: parking lots, garages, sidewalks, landscaping, exterior lighting and signage.

Structural Integrity

It is vital to have the foundation, wall framing, decks, balconies and columns regularly checked. This can help to identify early signs of building settlement or leaks. If these items go undetected it could lead to very costly repairs and compromise the integrity of the building.

Building Envelope The building envelope includes: the roof, windows, façade and exterior doors. The Engineer will inspect the roof and façade systems to make sure there is no damage, cracks or leaks.

Energy Audits Is your building energy efficient and utilizing the most eco-friendly practices and materials? A professional can perform an ASHRAE Energy Audit. Building owners elect to have an energy audit performed typically when they want to reduce energy consumption and costs, replace equipment or systems whose costs may be deferred by energy incentive programs, reduce the building’s carbon footprint and find savings that can be directed to other capital improvement projects.

The energy audit typically focuses on the building’s envelope design (i.e. windows, insulation systems, sealing, etc.) heating, cooling, ventilation systems, lighting and equipment operations. There are four types of energy audits: Preliminary (Benchmark-

ing), Level 1 (walk through survey), Level 2 (Energy Survey and Analysis) and Level 3 (Investment Grade Energy Audit).

Air Quality Having an efficient and properly functioning HVAC system is not only good practice but it ensures a healthy, well-ventilated working environment for tenants and employees; which studies show, have a direct relationship on worker productivity and tenant happiness.

Efficient Lighting & Plumbing Products Lighting and plumbing fixtures have the most direct contact with the end user. Often times these items also increase building operational costs as they age. Reviewing occupant trends and incorporating new technologies may reduce overall energy demand.

High efficiency lighting and plumbing products are becoming the new standard in the building and construction industry and the incorporation of these items will help keep operating costs to a minimum.

An assessment will provide invaluable information that will assist you in evaluating cost-benefit of repairs, lifespan of the common elements and return on investment for the future. It is also good practice to make sure the building is structurally sound and functioning properly to meet the ever-changing building codes and maintain a safe place to work and live.

ecently I had a conversation with another business partner of a slightly older generation than myself. He was appalled at how few people he meets who do not carry business cards. He even said, “It’s just rude!” I gave a little chuckle as I can completely relate to his point of view. However, I ride the fence about whether or not cards are old-fashioned, retro, relevant, or a waste of paper.

I tried to explain to him that with smart phones and other electronic methods many people are going paperless today. He huffed at me and rolled his eyes. I tried explaining to him that managers don’t want to lug 300 business cards to meetings or the Conference & Expo for handing out. In our industry, networking is key in order to work with vendors and establish strong business rela­t ionships that will develop into long working relationships for services. In my experience, managers and board members might car­r y a handful of business cards to give to the vendors who they genuinely have interest in their trade or services.

Business cards have become a trendy hot topic and I decided to do a little research.

What does the World Wide Web have to say about the matter? It proved extremely interesting to me as a career Marketing professional to see thoughts from both sides of the topic. Many of these opinions come from members of the Forbes Agency Council when they were asked what they believe the role of business cards play in our modern

world. I admit as a person caught between “old school” and “millennials,” I can agree with most reasons for and against the use of cards. According to research here are some reasons for the aging versus the traditional business cards: 1. Mobile phones can replace business cards by exchanging instant information.

2. Once you have a name and company you can look someone up on LinkedIn. It’s a digital rolodex.

3. Ten second video clips or “video cards” can offer richer information and visual recognition.

4. Only give out cards when it makes sense.

Why clutter your pockets and desk with cards?

5. It can be helpful to have a card handy for “Old-School” audiences/networks.

6. Business cards help supplement digital options. The best of both worlds!

7. Collect business cards and then digitize them. This allows you to take notes immediately.

8. The quickest way to exchange information is still swapping business cards.

9. A business card serves as a physical reminder of someone.

10. Actual cards can be meaningful and more personal to some people.

11. Whenever networking, a card offers a higher level of professionalism and it lasts longer.

12. It’s common that a creative or unique card will be memorable. They’re often shared more.

13. When trying to leave an impression, business cards show off your brand and style.

14. The quality of your business card might leave a perception about the quality of your business.

15. Having a personalized card can help employees feel important and part of a team.

16. One key to successful marketing is the redundancy of reinforcing a connection by using cards.

Right, wrong, or indifferent, all of these reasons considered make carrying a business card an individual decision. Perhaps the days of ordering 2,000 cards per print run are over. I for one, like knowing that I have both options to choose from. I often ask if someone has a card on them because it does serve as that physical reminder to follow up. Electronic notes sometimes get deleted and forgotten in my world. Sadly, my memory is getting worse with age and I can’t recall who I just added to my LinkedIn five minutes ago. Throughout my career in Marketing and Business Development I’ve been fortunate to carry some very creative and memorable business cards. If I only had a nickel for every time someone commented on my cards, I might be able to buy myself some lunch. One final thought which is solely my opinion… having a card handy is a solid method of back up in the event that technology fails.

Part Time Operations Coordinator - WMCCAI The Operations Coordinator position at WMCCAI is a professional part-time position with responsibility for managing office operations and to provide support to the Executive Director and program managers, particularly with communications, event registration, and membership. As a valuable member of our team, the position holder will be exposed to a broad range of duties relating to the operations of the association including but not limited to educational programming, networking events, publications and customer service.

The Operations Coordinator performs a variety of support duties that require attention to detail and strong writing and editing skills. Must be creative and enjoy working in a mission-driven, results-driven and community-oriented environment. The ideal candidate will have the ability to work under pressure at times to handle a wide variety of activities and be focused on customer service at all times.

Part-time Schedule: • This position requires hours between 9 am - 5 pm on weekdays. Specific schedule will be coordinated with Executive Director.

• 20-25 hours weekly. During major event times, hours could increase temporarily.

Programs and Registration Support • Provide support in publication editing and social media management to Communications Manager.

• Manage data entry of event and education session registrations.

• Production of registration material to include material packets and badges.

Administrative Support • Coordinate member records updates with Membership Coordinator.

• Create and send correspondence to members and non-members.

• Schedule and calendar support to the Executive Director.

Office Operations • Primary contact for office vendors and building staff.

• Responsible for placing maintenance and repair calls as necessary for computer equipment, phones, postage meter, copy machine, postage machine, and others office equipment.

• Performs general office tasks such as filing, copying, correspondence, and ordering office supplies.

• Provides office orientation to new employees on administration procedures.

General Duties • Greet members and guests to the office.

• Primary point of contact for all phone calls to the office and directs calls to appropriate staff and/or CAI or other resource.

• Reviews incoming e-mail communication daily in general mailbox; forwards emails to appropriate staff or replies appropriately.

• Checks general voicemail system daily; forwards messages to appropriate staff or replies appropriately.

• May assist staff with other administrative duties and special projects, as needed, with approval of Executive Director.

Requirements: • Associates Degree or at least 2 years office experience • Proficient at Microsoft Office (Outlook, Word, Excel, PowerPoint) • Excellent time management and interpersonal skills • Interest in non-profit association management Skills and Abilities: • Strong computer skills including Microsoft Dynamics CRM and Microsoft Office (Outlook, Word, Excel, Power Point).

• Excellent interpersonal skills, time management skills, and communication skills.

• Detail oriented person, with need for minimal supervision.

• Strong organizational skills and ability to handle multiple overlapping duties with accuracy.

• Ability to work under pressure and meet deadlines.

• Skill in solving problems and making recommendations.

• Strong customer service skills, desire to assist members, and ability to work with volunteers.

• Ability and willingness to work evenings and weekends to staff program offerings, if and as needed.

• Physical ability to move moderately heavy materials.

Notes: Hourly pay of $13-$15, based on experience.
