Please be sure that the proper number of tables and chairs are requested for your event. When reserving a room please allow time for setups and cleanup. Major events may require more time. Take into consideration inclement weather; please discuss with Events and Conferences a secondary plan to insure the success of your event.

Five-Day Advance Notice Please advise us at least five Business Days in advance of your function, so that we can provide you with the most successful event possible. A five business day advance notice enables us to purchase the freshest ingredients for your menu, schedule an appropriate staff and coordinate deliveries. You will receive a confirmation catering contract sheet by e-mail, fax or through our campus mail delivery to advise you of the details of your event. Unexpected Events on Short Notice We realize that sometimes you may need our services on short notice; we will make every attempt to accommodate short notice requests. Without sufficient notice Ramapo Catering may not have the ability to supply specific menu items or services. Occasionally, our prior commitments may not make it possible to accommodate sudden event requests, therefore, Ramapo Catering reserves the right to refuse such events.

Guest Count and Guarantee Policy Our guarantee policy states that all guest counts must be final 72 hours, three (3) business days, before the event, not including the event day. This time frame allows Ramapo Catering to plan; purchase and bill according to the number of guests that you indicate will attend, so it is important that your guest count be accurate. This number may increase within those three days, but it cannot decrease. Billing is based on the final guaranteed or the amount served whichever is greater. We will be prepared to set and serve an additional 3% over the guaranteed count. For example, for events of 100 guests, we will prepare an additional three meals for a total of 103 meals.

Cancellation Policy There is no charge for an event canceled or postponed at least five (5) business days in advance of your event date. Events not cancelled or postponed within this time frame will result in a 50% payment due, based on the estimated guarantee contracted.


Pricing / Billing / Payment Guidelines In most cases, the pricing guide lists items for meals on a per person basis. Custom menus can be arranged and priced by contacting the Catering Director at 201.684.7772. No gratuity charge will be added to your bill. Billing is based on the final guaranteed numbers or the amount served, whichever is greater. After you have given the guarantee you will be held responsible for all applicable fees. All catered functions must have secured payment prior to the day of the event. Payments must be received by the day of services. College Accounts, Checks, or Cash are all valid payments methods. We cannot extend credit to outside affiliates. Non-College groups should contact the Catering Director. All checks should be made payable to: Ramapo College of New Jersey and sent to: Ramapo College -Dining Services Attn: Catering Department 505 Ramapo Valley Road Mahwah, NJ 07430 If you have a College Account on-campus, you will need to have the correct six-digit account number available when placing your order. If you are a student group and you are using SARM please make sure that you pick up a SARM purchase order before you place your order with Catering Services. Effective January 2, 2007, a 7% sales tax will be charged on food sales and services to all faculty, staff, community members, and groups using dining services. Therefore, all catered functions are subject to a sales tax. Exemptions are students with a valid Ramapo College ID card, student groups with a valid college account number or SARM organization, and tax exempt organizations with a valid exempt form ST-5.

Standards of Service Black Plastic Service is used for a majority of “drop off” catering or less formal food functions on campus. Prices include all plastic disposables: plates, cups, utensils, paper napkins and linen tablecloths for food service tables. China service is $1.50 per person. China can be provided for catered events held in the Scott Student Center and Trustees Pavilion. Prices include china plates, glassware, utensils and linen tablecloths and linen napkins. Standard linen is provided on all dining and serving tables.

Linen As a standard we provide tablecloths for the tables used specifically for food service. Linen for seating tables are included only with full service meals of breakfast, lunch, dinner and buffets. The standard colors are white, burgundy or rose, tablecloths and napkins; other colors may be available with advance notice. Exceptions may be made for informal meals where paper tablecloths are used. Rooms for meals are traditionally set with 60” round tables, seating eight to nine guests each. If you would like linen placed on guests seating tables for breaks, or tables for materials, etc. a charge of $3.00 for white cloths, $3.50 for colored cloths, $.30 for linen napkins. Any linen not returned or returned damaged will be charged at full replacement cost.

Catering Equipment Non-disposable equipment, such as chafing dishes, coffee pots, serving utensils, etc., are the property of Ramapo College Dining Services, and must be kept secure by the client until they are picked up by Catering Services. All service items are to remain at the location the event was held. Items missing or damaged will also be billed for full replacement or repair costs.

Specialty Items China, linen, flowers, décor, equipment and all other specialty items may be arranged and rented at an additional cost. These services carry their own charges and full replacement costs are associated for items not returned. Please consult the Catering Director for additional arrangements.

Staffing To ensure that your event is a success, catering wait staff will be provided for all served meals and buffets the first two hours of service. One wait staff per 20 guests will be assigned to your event. At client request additional wait staff can be assigned at the charge of $20.00 per hour. Staffing is scheduled according to beginning and end times of functions; please take this into consideration when planning your event. Catering attendants are available daily for “drop off” catering such as receptions and breaks at the initial drop off, and check ups thereafter for assistance and pick-up only. We recommend that you have an attendant for every 75 guests for large receptions and breaks. Events held off campus and events scheduled before 7:00 a.m. or ending after 9:00 p.m. will be charged an additional labor fee of $20.00 per hour per wait staff person.


Meals There are several types of meal service available to you for your special event, meals may be “plated” or “buffet style.” Plated service means that all courses are “served” to the guests at their tables. Buffets require a minimum of 20 people. Buffets offer variety and faster service. Please allow enough time at your events for people to eat leisurely, network with colleagues and enjoy the presentation, if any. We maintain the quality of food during the scheduled times. For the safety of our guests, food must be consumed at the scheduled time and location of the event. If you suggest food to be taken out or to another location, we will have you sign a Waiver of Liability form.

SERVICES

Traditional Bar Should your program include alcoholic beverages, the Catering Director will be glad to assist you with all arrangements and offer suggestions for the most appropriate service for your type of event. The Catering Services at Ramapo College does not have a license to sell alcohol. However, you can purchase your own alcohol and our service staff will serve it to your guests. An alcohol permit is required, at no charge, and can be obtained at least one week prior to the function by calling the office of Events and Conferences at 201.684.7590.

Bar Setups The charge for a bar setup is $1.00 per person based on the guarantee. Setup includes cups, mixers, soda, fruit, garnishes, napkins, ice and stirrers.

Bartenders A Catering Services Bartender must serve all alcohol at scheduled events on campus. One Bartender is required for every 75 guests. A labor charge of $115.00 per Bartender applies and is for a minimum of five hours; and $20.00 charged for each hour thereafter. Any event ending after 9:00 p.m. will be subject to a staffing charge of $35.00 per Bartender per hour. Proof of age may be required at any time. Bar service to an individual or group may be terminated at the discretion of the Catering Service Bartender.

Mocktail Beverages An assortment of exotic non-alcoholic beverages is available for $4.95 per person. Bartenders and Bar Setup fees may apply.
