How to Organise Your Emails Like a Boss We’ve all been there. You switch on your work computer at 9am, load up Microsoft Outlook or the Mac Mail app, and an offensively high number of emails stare back at you leaving you feeling overwhelmed and unsure where to begin. Rather than tackling the emails one by one, you drag them into a folder and forget about them. Or, if you’re slightly more pro-active, you’ll just work through the ‘unread’ emails and leave the other hundreds/thousands/millions of emails from previous days to deal with another day (or lifetime!). However, on the other side of the coin, if you’ve felt the sheer enlightenment of having less than ten emails in your inbox, then
you’ll know that it’s a feeling you want to experience again. Fear not, no matter how many emails you have taking up gigs on your drive, a tidy and organised inbox is actually attainable. Check out our tips below on how you can have a clear inbox, and consequently, start your working day with a clear mind.
Tip 1: Press Delete If you’re an email hoarder then it may be time to let go. Scroll to the very, very bottom of your inbox (yes, we’ll wait). Chances are, the emails sitting down the bottom are
emails that are no longer relevant. Perhaps you’ve flagged them because they’re super important and need to stay around, but if they’re not flagged, it’s a likely scenario that they’re no longer important. If they were, the sender would have followed up, your boss would have asked you about them or you would have received a phone call. So, bite the bullet and pick a time limit. Be it one month, six months or one year, and any emails you received after that date - delete!
Tip 2: More folders doesn’t necessarily mean more organisation. Yes, folders are great and yes, nearly every organised person utilises them in some manner. However, too many folders can lead to more clutter than no folders at all. Think of it this way, if your room is really messy and you stash most of the clothes under the bed, your room looks a lot cleaner, right? But it’s not actually cleaner, in fact, it’s probably going to be in a worse state than before because those clothes will likely sit there for months and be forgotten about. Inboxes and folders work in the same way. Instead, if you have emails that you’re not sure about, but not ready to delete, just make one ‘hold’ folder. Make it a weekly task to go through this ‘hold’ folder and figure out exactly what is important, and what can be erased. Try and make it a repeating task at the same time each week, e.g. Tuesday 11am, this way you won’t let an ostentatious amount of unactioned emails build up.
Tip 3: Allocate Email Time With a million and one different tasks in your day, taking time out to dedicate solely to emails can seem impossible. However, emails can potentially mean new business, so neglected potential customers can be catastrophic to your business and ultimately lose you money. Depending on your daily duties, set aside a certain time frame for each day so that you can reply to the emails that are of urgency, then once tackled, these can be moved out of your inbox; leading to a less overwhelming inbox and as a plus, more
possible business.
Tip 4: Cull (almost) all subscriptions. You know the kind of email we’re talking about, the kind that comes monthly, weekly, or *shock horror* sometimes daily and has you skimming it for a few seconds before hitting the delete button. Not only is this taking time out of your highly productive work day (which you could be spending on sorting out your inbox) but it will dramatically cut down the amount of unread emails flashing in your inbox each day, leading to a less overwhelming morning. Of course, there are some emails which are important, for example a financial trader the morning market report, or for a journalist, the daily news. But, as a rule of thumb, if you haven’t read or found an email from the company interesting in the last six weeks, then it’s time to hit that unsubscribe button!

In 2003, he opened his first set of night clubs, ‘40/40’, and was one of the first rap artists to do so at the time. He opened the first club in New York and soon moved to
Atlanta, Las Vegas and has plans to take his clubs internationally. He likes to take chances on people and ideas that others may not have found profitable or ideal for his image. Through his persistence and vision, he has created successful ventures and continues to bring new artists into the Hip Hop genre.

This is exactly why business systems are so important for all business but, in particular, for small businesses. By incorporating successful business systems you will significantly cut down the amount of time you spend on tedious (but necessary) tasks, freeing you up to dedicate your time to more important things.
That all sounds great, but what exactly are business systems? Business systems are a whole lot simpler than they actually sound! They basically mean working out a strategy, procedure or process that will help you deal with a business problem in a more efficient manner. For example you may implement a program that automatically triggers a response when an invoice is emailed in and then allocates
it into a certain folder with other invoices. This removes the step of you manually going through the email, replying to the sender and then allocating the invoice to a pile with the others.
1. Make a list of ten tasks that you find yourself constantly procrastinating over and pushing to the back of the pile. Things that are simple but that you hate doing.

If they’re visiting your work place, showing them with confidence what you do and answering questions they may have will again create a deeper understanding and appreciation for your work. Before you step out of the office and into your customer’s world, knowing exactly what you’re heading into is imperative. Creating a customer profile to better understand your market is crucial. To do so, you’re best off starting by defining what your ideal customer would be. You can bring it down to what they wear, what their hobbies are and what their family is like. Creating these fictional ‘characters’ may seem
tedious, but it can create a visual picture of what your customer is like. By doing this you can step into their world and not hesitate to ask or answer questions they have, clear up problems or give detailed information suited to that customer’s situation. Once you know exactly the kind of customer you have, step into their shoes for a day. By learning empathy and understanding your customer’s day-to-day life means you can better understand how your business can progress. Designing programs that can place you in their work environment can be beneficial, give you a better understanding of your market and let your customers know you are reliable, and someone they can go to with questions. As a business owner knowing your customer and what they go through is essential to the running of your business.
