t is difficult to overestimate the importance of suppliers in the staffing sector. A recruiter that signs up with a company providing IT services that do not include customer support or automatic software upgrades risks landing itself in a heap of expensive and timeconsuming trouble.

Or, a staffing company that partners with a non-compliant umbrella company faces the risk of having its reputation tarnished if those workers are paid below the National Minimum Wage or are otherwise exploited. And organisations that use a recruitment process outsourcing (RPO) company to do their hiring are totally dependent on the quality of the service provided by the RPO to supply their most valuable resource. Choosing the right supplier from the many companies out there that want to sell you everything from office stationery to psychometric assessments can be tricky enough. But in addition to sourcing a supplier, there are two further stages in the relationship life cycle between recruiters and the companies that supply them with goods and services. Before signing up to a formal contract, recruiters must be prepared to enter into indepth and perhaps protracted negotiations over important details such as rms price, payment terms and other aspects of service. It is true to say that the devil tail. really is in the detail. Finally, there is the ongoing challenge of maintaining a long-lasting and healthy working relationship with your chosen suppliers. With all these considerations, here are some top tips and practical his advice covering this important area off business.

Sourcing a supplier When looking to source a supplier, there is no point reinventing the wheel. Why not ask your business associates and peers for their recommendations or ask trade associations for their advice? Find out what companies have a great reputation in the industry, and then take into account factors such as the size of your company and the sector in which you operate. A company that supplies a large company such as Michael Page International might not be the right business partner for a smaller company. Trial services before you commit to them Before you commit to a long-term relationship with a supplier, why not ask suitable firms to provide their services at reduced cost for a trial period? Firms that jump at the opportunity will have demonstrated a genuine interest in your business. You will get the chance to see if they fit the bill, and the freedom to walk away if things don’t work out. Loo Look for flexibility and adaptability Re Recruitment is a fast-moving, cy cyclical business, so make sure th the suppliers you choose are fle exible and adaptable. price can backfire in the form of poor quality goods and services. Work out what your priorities are and make a judgement accordingly. A supplier that indicates they are flexible on price leaves the door open for negotiation on other aspects. Cultural fit Make sure the suppliers you choose fit in with your organisation’s outlook and the way you like to do business. Ask yourself if you would enjoy working and dealing with this company on a regular basis. The best way to find this out is meeting all potential suppliers face-to-face first.

Negotiating Start early Negotiating contracts can be time consuming, so get ahead of the curve by starting early, especially when a formal tender process is involved.

Don’t fixate on price No business wants to pay more than it needs to for any goods or service, so cost is clearly important when choosing a supplier. However, it is not the only consideration, and for many businesses service levels or payment terms, and a host of other factors, can be just as important. Indeed, choosing a supplier simply on the basis of the lowest

Know what your ‘do not cross’ lines are Know what your boundaries, or red lines, are in any negotiation and communicate these to suppliers as soon as possible. If necessary, be prepared to walk away from the table. And don’t ignore extra charges, such as supplier fees or rebates. Be honest and transparent Let potential suppliers know how much money you have to spend with them in the long run, and that you are in discussions with other vendors too. Being upfront about this will establish trust and allow a supplier to offer you the best possible deal they can.

An outcome in which both parties believe they have got something out of the negotiations is likely to prove longer lasting than one where one side feels hard done by. Make sure the supplier is incentivised by allowing them to make a fair profit. Be prepared to be flexible. For example, if your cashflow can stand it, why not offer better payment terms in return for a lower price? Build in regular reviews Contracts and relationships with suppliers don’t always operate smoothly, so ensure that regular reviews and opportunities for renegotiation are built into the contract, and that there is a clear process to resolve any disputes.

Maintaining good working relationships Dedicate resources Suppliers want to feel they are contributing and making a difference. Help them by providing points of contact who will enable them to have a better understanding of your business, and a liaison person to work with to resolve any issues. Communicate with your suppliers The adage ‘people do business with people’ applies when establishing good relationships with suppliers. Set aside time to meet your suppliers on a regular basis. time allows suppliers to understand your business strategy and respond to your business’s evolving needs. Pay your suppliers on time Nothing poisons your relationship with a supplier more than not paying them on time. If your payment terms are 60 days then make sure you stick to that. If you foresee not being able to pay a supplier on time, let them know. If they value your business, most suppliers will accept delayed payment from time to time, but not telling them is a sure way to sour the relationship.

See your suppliers as business partners Seeing your suppliers as business partners allows you to build a relationship based on mutual trust and respect, rather than one simply based on contractual obligations. You won’t always see eye to eye with your suppliers but relationships built on transparency and deference for each other’s position are more likely to prove sustainable and beneficial to both parties.
