MOVE OUT PROCEDURE Here are some helpful hints to make move-out as smooth as possible for you. If you have any questions, just ask a member of the Reed Gift Fairs Team or contact our Operations Manager, Christiane Beck on 0459 487 630. The fair closes at 3pm on Tuesday, at this time the area is deemed an exhibition work site and the following procedures must be followed: All exhibitors must wear high visibility safety vests Closed in footwear and exhibitor badges must be worn at all times No alcohol is to be consumed during move out Children are not permitted in the halls during move out QUICK GLANCE TIMETABLE – (All times are approximate only) Tuesday 6 February 2018 3:00pm Please finalise business at this time and help us speed up the move out process by putting on your safety vest. Vests are available for $5 from Customer Service outside Entrance Door 3. 3:30pm Bi-fold doors to the loading dock will only open once all retailers have vacated and exhibitors are wearing their safety vests. All stand power will be switched off. (WHS requirement) 3:30pm – 10pm Removal of portable exhibits and displays. 6:00pm Exhibitors’ vehicles may now queue for loading dock access. Access will not be permitted until all storage has been returned. However we are expecting to be earlier than 6pm. 8:00pm All shell scheme lights will be removed & hired furniture will be collected. Freight companies and contractors are permitted loading dock access. Please advise your appointed contractors of this time. Until this time, the car park is to be used and access is via the front doors. 10:00pm All shell walls will be dismantled and removed. Wednesday 7 February 2018 7am – 12noon Dismantling of stand builds. 12 noon Removal of exhibitor banners, freight and stand build material.
FURTHER INFORMATION
All freight must be removed from the venue by 12noon on Wednesday 7 February 2018. After this time any uncollected freight will be removed from the venue and held at Agility’s storage depot in Melbourne. A charge will apply before the freight is released. Reed Exhibitions does not take responsibility for the return of these items. For any questions regarding logistics, Agility will be on site from 12noon today. They can be contacted via Customer Service outside Entrance Door 3. Please do not walk on to the Loading dock whilst storage is being returned as forklift activity must stop during this time. This is a directive from WORKCOVER Returning storage takes time. Please allow 3-4 hours, weather permitting. As part of Reed WHS guidelines, forklift activity inside the halls will be restricted during the process of returning storage. All storage will be returned by pallet jacks, trolleys or pushed in if they are crates on wheels. Any item requiring a forklift will not commence immediately after the close of the Fair. All stand build crates will be returned after the empty stock crates/pallets/boxes. To aid the return of storage, please keep your waste on your stand. Be mindful of blocking aisles, we are required to have access to walk from the front to the back of the halls in case of emergencies. Exhibitors are responsible for the security of their own products and displays. Reed Exhibitions is unable to accept responsibility for the loss of any items. Exhibitors are reminded that goods will be at risk during move-out and that stands should not be left unattended until all items/ equipment have been collected.
