From my vantage point as an observer within the Canadian corporate meetings industry, it has always amazed me how meeting and event planners are able to transform a cacophony of individual event components into a symphonic masterpiece of organization and harmonious execution. In many ways, the process reminds me of the Chinese concept of feng shui, a somewhat mystical ability to create harmony and channel posit ive energ y si mply t h rough t he proper arrangement of objects in particular room or space. Anyone who has had to stage a home for sale is likely familiar with this concept. Event planning, while not exactly a metaphysical experience for most people, requires many of the same talents, skills and insights useful to feng shui practioners. In addition to so-called right-brain qualities such as creativity, intuition, imagination and social intelligence, planners must also rely on left-brain skills such as resourcefulness, reason, logic and objectivity. Achieving a delicate, harmonious balance of these two generalized skills sets is never an easy task yet most planners seem to do it with aplomb. Tell us about yourself. I was born in England and also lived in Jamaica for five years as a child. We immigrated to Canada in the early 70’s. By the time we immigrated to Canada, I had already completed college – an Administrative Assistant program. I used that as my starting point. When I walked into BDO’s head office back in 1974, (G.H. Ward & Partners at the time), I had a very casual interview with the office manager and I voiced my dismay that I’ll never get the “Canadian experience” employers were asking for unless someone hired me first! She called that afternoon and offered me a clerical position. Tell us about your work: As Director of Meeting and Conferences Services, I am responsible for sourcing, recommending locations/venues, co-ordination, execution and delivery of the firm’s conferences, meetings and training programs. How did you get to where you are today? I started out as an office clerk in BDO’s head office doing various odd jobs. I then moved into a secretarial role to the CEO/Office Manager, followed by a stint in Human Resources, where my meeting planning experience began. I then moved into information technology services as an IT Co-ordinator, a role in which I learned so much about computers and software available to us at that time and just loved it. Finally, after a major merger of our firm, I was asked to take on the role of Meeting Planner, supporting a partner who handled IT and meetings, conferences and training. After a couple of years, the partner retired and I was left with trying to juggle both roles and decided to hand over all the IT tasks, then made a career out of meeting planning. Why are you good at what you do? I am organized, professional and have a calm demeanor even when I’m totally stressed out. I’m committed to making sure my clients and attendees have a good experience wherever they go so they’ll look forward to the next program they attend. I also love what I do and enjoy the people I work with. 8 | www.corporatemeetingsnetwork.ca

What are some of the challenges you face? One of the challenges I’ve been faced with recently, especially since the recession, is working with limited budgets even though rates and everything else are increasing from year to year. This is where I have to become more creative or have a seat at the table to come up with strategic ways to make the programs happen with limited funding, while at the same time meet our goals and provide the same experiences. Is there anything you would change in our industry, given the chance? I would like to see hotels standardize their contracts and banquet event orders. Also, I think that planners should be able to create their own BEOs directly from the venue’s site by pulling up the BEO template, selecting the items required from dropdown list with a section for specific notes and once it’s completed, the CSM would pull it up review it and make any necessary adjustments and the planner can sign off electronically. Not a piece of paper printed! I despise signing BEOs that are over a dozen pages. I now only sign the first and the last page of a lengthy BEO, electronically. When planners arrive onsite we should also be receiving a copy of the BEOs on an iPad along with any other relevant information or documents required. Sign them out/in for the Convener (one hotel already has their Banquet Managers using them on the floor). It’s an awesome idea!

Today, I do what I need to get done from 8:00 am – 5:00 pm in the office and rarely have to take work home; my Blackberry goes into my purse as soon as I leave the office and it’s set to shut off by 7:00 pm (30 minutes after I get home) and comes on at 8:00 am. I don’t check it on the weekend unless I have people travelling to a program on a Sunday and it NEVER goes on vacation with me! A great resource I started using many years ago is a third-party site selection company. Once I discovered the value of using this service I jumped on the wagon. When you connect with the right company who takes the time to learn all they need to know about your business and programs as well as your needs and wants, sourcing becomes a breeze.

What are some of your most memorable events and why? In 1990, prior to our merger, we held our first AGM outside of Canada, which included families, in Orlando at a property right in Disneyworld. It’s now 2013 and they still talk about it! My most challenging program was our 2001 AGM which started on the very day of 9/11. The majority of our group arrived the night before and were in sessions that morning. How do you keep your group focused and motivated after such an event? The day after, we had a general session with an amazing speaker, none other than Michael “Pinball” Clemons, who just captured their attention with his warm, inspiring, positive and engaging speech. That’s what saved that meeting.

Walk us through a typical day at work. As you will hear from many meeting and event planners, no two days are typical for us. One of my biggest challenges is staying on top of emails. After that, I could be pulling together program details for multiple programs, reviewing BEOs, AV requirements, transfer services, rooming lists, budgets, internal meetings, site visits, FAMs, supplier partnership conferences, local seminars/events/monthly meetings (when I can fit them in). I also spend a lot of time onsite with my groups, ensuring that the program runs smoothly from all aspects. Whew! What have been some of your biggest achievements? On the personal side, one of my biggest achievements was obtaining my CMM (Certified Meeting Management) designation in 2007. It was a very challenging process, but it really highlights how to manage your meetings at a more efficient and strategic level. What do you like best about the meetings industry? I like the relationships I’ve built over the years with my suppliers and other business contacts and I strive to maintain these relationships. I enjoy attending industry events and networking with other planners and sharing our best practices. I also like the opportunities we have to learn so much about the industry whether attending half-day seminars or international conferences. How do you deal with the challenges of work-life balance? Many years ago, I would put in 10 hours or more a day in the office and up to 16-18 when onsite. One year I started out with 13 weeks of vacation on the books from carrying forward weeks from year to year. This simply meant that I was not taking enough time for myself. Since then, I’ve made sure I take a couple of vacations each year, even if it’s a “staycation.” corporate Meetings & events March 2013 | 9

The Power of Consistency When you’re knee-deep in the logistics and execution of an event, are you keeping the company’s brand, values, and image top of mind? When it comes to planning a successful corporate event, there is no question that a great deal of attention must be paid to the details, such as choice of venue, food and beverage, team activities, and conference logistics. However, a common flaw we see in the rollout of corporate events, is the disconnect that exists between these essential details and the strategic objectives of the event itself. The question we recommend you ask, and focus on throughout the entire planning process is: What is the reason for bringing all of these people together? The answer may be to inspire and motivate people to reach a specific target or goal, to get them excited about an upcoming change, or to recognize them for a specific accomplishment and encourage them to reach even loftier goals. Whatever the reason may be, keep it in mind throughout the planning process. Align Meeting Objectives What we are seeing, far too often, is a disconnect between the sales and marketing teams and the planning teams—all of whom are working on the same event but with a different focus. If you’re going to make the investment to bring people together, you want to ensure the strategic objectives of the event—and the corporation, for that matter— are at the forefront of the entire planning and implementation process. As we like to tell our clients: Design your event with the attendee in mind. What

choices will you make that solidify your brand and message in the minds (and hearts) of the attendees? How will you strategically align all peripheral messaging, activities, and themes so that they drive home your message in an impactful way? And, how will you utilize logistics, including venue choice, coffee breaks, social functions, and teambuilding opportunities, to effectively represent the message of your brand? Look for Touch-Points This is where we can’t stress enough the value of sitting down as a team and mapping out the entire event — looking specifically at all of the “touch-points” where you’ll have the opportunity to connect with and engage your attendees. These touch-points may include anything from meeting rooms, to registration stations, to coffee breaks, to transient areas, to pre-and-post event communications, to the music you play between speakers. Nothing you do should be accidental or haphazard. All of these are opportunities to align with your message and create an experience that drives home the company’s strategic objectives. At each of these touch-points, ask yourself: Will this enhance my brand and message, or take away from it? We typically recommend that planning teams also consider the following: Besides traditional objectives, what are the top three things you want your attendees to walk away with from your event? And, from those, what

is the top one? This one thing should be made the focus of every conversation you have throughout the planning process. All too often, planners get excited about an idea for a social function or team building activity that they’ve heard about and want to shoe-horn into their event. Before investing in something like this, the planner should ask: Will this elevate the event’s message? Does this align with our corporate values? And, does this align with our ultimate corporate objective? If you answer “no” to any of these questions, and find that the idea actually has no connection to your message whatsoever, or worse still, takes away from your message, then it’s certainly not worth the investment—despite the fact that it would probably be a lot of fun! Bring People Together The most successful events will be those in which every aspect aligns with corporate goals and values, driving home your message in a meaningful way. It’s often these teambuilding activities or social events that really give you a chance to bring to life your corporate values and philosophies. If, for example, your company is committed to corporate social responsibility—find a teambuilding activity that allows employees to make a difference, get their hands dirty, and really accomplish something they can be proud of. A great example can be seen in an event we did recently with a client. Because we were in Detroit and the company was a strong supporter of community involvement, volunteerism, and giving back, we found a way to leverage this by sending groups of employees into the community to engage in friendly competition and teambuilding while cleaning up and working to revitalize local parks. It’s important to note that this teambuilding activity didn’t exist in isolation, it also linked to and reinforced the event objectives and messaging, therefore serving as another touch-point to propel the event forward. Other opportunities to align with corporate philosophies and values can be found in venue or destination selection and food and beverage menu choices. Think of these as other touchpoints that will connect attendees with your values and strategic objectives. If you’re in the business of promoting health and well-being, for example, consider a new twist on the traditional coffee break. Replace coffee and sweets with healthy, organic snacks and fresh juice. Remember, even breaks can be used as an opportunity to continue communication through media and messaging.

All of this being said, I do recognize that there are certain restrictions like budget, group size, and date requirements that can make it impossible to implement some of the above suggestions. However, what is vital, no matter what, is to keep as closely aligned with your overall corporate objectives as possible. Try—no matter how entrenched you are in the logistics and details—to keep the company’s brand, values, and image top of mind. Venue Selection Matters When choosing an event location, try not to plant your attendees in a city or venue that’s not aligned with your brand. Using the same health and well-being example, consider finding a city and venue that support active, healthy lifestyles (think: fitness and yoga classes on-site, access to nature, etc.) and makes it easy for attendees to walk to and from meetings and social events.

Seeds of Success Preparing to take on today’s important industry issues By Bob Parker, Chairperson BEICC As spring is on the doorstep, thoughts move to planting seeds for the much anticipated growing season. It is time to groom, fertilize, and prepare the fields for the opportunities ahead. The business meetings and events industry in Canada is perhaps one of the most diverse economies in this country, impacting many sectors; and deciding which seeds to plant and fields to nurture is a most challenging task. The foundation of the Business Events Industry Coalition of Canada (BEICC) in the early days of 2009, was no question reactionary. It was a reaction to the downturn in the economy, and hoped to serve as a unified voice for an industry that at sometimes appears to have diverse messages. The 2008 MPI Canadian Economic Impact Study had just been released, and we now had concrete evidence that not only was there a significant impact directly by the meetings industry on Canada’s economy, but an overwhelming indirect impact. It was time to react. Planning is Key Strength never comes from working in an environment of reaction, unless you have planned and prepared well to meet what challenges might come your way – any good meeting planner will tell you that! When you have planned well, you can then respond to unforeseen problems and even take initiative to impact those challenges you anticipate coming your way. In our initial years at BEICC, we have worked to address issues that have impacted parts of our industry, and have done so as a reaction to influence the impact these concerns m ig ht h ave on ou r i ndu st r y. I n r e a c t ion mo de, b o t h ambiguity and emotion can run high, making collaboration an even greater challenge. T here i s a g reat dea l of com m it ment b eh i nd a l l t he members who make up BEICC to ensure that it has a viable place in our industry. We are excited to welcome our newest board members: • Bev Hill - PCMA • Lynda Hoff, CMM, CMP – MPI Toronto Chapter • Rose Timmerman Gitzi - CanSPEP With gratitude we thank Heidi Wilker, CMP, and Sandy Biback, CMM, CMP, as their terms expire, for their long-term service to the BEICC board. They have provided countless, unselfish hours and commitment. We appreciate their continued support of our coalition. As Rita Plaskett, CMM, CMP, takes on the Past Chairperson’s role, we are also thrilled that Joe Orecchio will take on the responsibilities as Vice Chairperson.

Anticipating Challenges With these changes to our board, we have begun to look at how we can create a structure that will enable us to anticipate future challenges in our industry, and mobilize our efforts to meet them before they cause undo problems that distract us from our individual businesses. Our industry Town Hall that we hosted last fall, was part of our strategy to look forward and gain some insight into what issues are on the horizon. We are grateful to those who attended and shared their insights, and we are committed to continuing this dialogue with everyone that is impacted by this industry. From this event, we learned important insights that will help us in our planning. We need to: • Leverage the key insights that we learn from the upcoming MPI Economic Impact Study and communicate these to business partners and all levels of government; • Develop stronger connections to various levels of government to better influence strategy; • Foster stronger and more connections within our industry partners. You will continue to see us asking for your input and ideas, as they are most welcome and needed. The Board of Directors Strategic Planning session in the early spring of 2013 will help us to further move BEICC out of our initial reaction phase, which was necessary, and allow us to groom our field, so we can plant the seeds for future growth of our industry. You c a n a l s o a nt ic ipate BEICC b u i ld i ng add it ion a l relationships to strengthen and broaden our impact; develop working groups that will focus on key result areas in the industry, and continue to provide clarity on issues that affect our industry and the Canadian economy. The meetings management industry has experienced rapid growth and development in recent years. There is now a vast network of external resources available to help you develop and deliver your meetings program. This includes third-party contractors with advanced expertise in meeting management. If your business is not fortunate enough to have a high level of internal meeting expertise, contracting a meeting professional may be a strategic option. While you may perceive some disadvantages, there is a compelling case you can make for outsourcing. The following are several points that should be considered. access to skilled resources – An experienced meeting professional has specialized knowledge and expertise. They can help you more effectively deliver your meetings program. The right contractor will have certifications, strategic insight, an education program and a knowledge base upon which to draw. They will also bring with them relationships with skilled suppliers whom they have identified as leading experts in their fields. access to advanced tools – Your business may not have the infrastructure and technology in place to enhance the meeting management experience. There are many advanced tools available to help you more efficiently and effectively deliver your meetings program. Selecting the right meeting professional will grant you access to these technologies. Such technologies will improve your registration and evaluation processes, project management and reporting, and financial management. It may also enhance your reservations and housing, as well as your travel management processes. focus on core activities – Assess whether your meetings program is essential to the core of your business. If not, outsourcing can eliminate distractions and force your team to concentrate on your primary activities. After all, it is these activities that made your business successful in the first place. This can be done without sacrificing the quality or delivery of your meetings program. Consider engaging a meeting professional in peak periods or times of rapid growth when your team’s focus needs to be on your product or service outputs. avoid WorkPlace Politics – One advantage of outsourcing that is often overlooked has to do with office politics. Strained relationships and bureaucracy can hamper the progress that needs to be made on managing your meetings program. These roadblocks may be significantly reduced by an outside meeting professional allowing for increased efficiencies and shorter timelines. The only connections a contractor will likely

have to your workplace are with those to whom they report. This will allow for greater freedom in progressing through the meeting management process minimizing red tape and the influence of overbearing personalities. risk Mitigation – There is a perception of increased business risk that comes with outsourcing. This may be true when trying to assess the competency of an outside meeting professional. You must, however, consider the reduction of risk that comes with outsourcing to the right contractor. They will bring with them access to industry knowledge, best practices and management tools which can be used to identify and mitigate risks. Meetings professionals will bring you expertise in risk identification and mitigation strategies, data management, supplier contracting, security assessment and compliance management. neW and innovative ideas – Meeting professionals are passionate about meetings management and are driven to excellence. They make it a priority to identify industry trends and new approaches to delivering meetings. They also give greater consideration to efficiency and effectiveness. A contractor may bring strategies and new ideas to your meetings program to help you deliver your content in more engaging ways. If your business is fortunate enough to have an advanced level of internal meeting management expertise, then outsourcing may not be a viable option for you. If it is an option, hopefully these points will help you better weigh the advantages against the disadvantages. When you do decide to outsource there will be a meeting professional ready to help you take your meetings program and your business to the next level. Glamorous casino slot machines and gaming tables offer the thrill of a lucky number as well as fine dining, snazzy entertainment and high-roller shopping. Relax with fine regional cuisine and premium Niagara wines or soar on a scenic helicopter ride; de-stress at a spa or

ride a jetboat that zooms right up to the roar of the Falls. Toronto, Canada’s largest city and Ontario’s capital, is style forward and very cosmopolitan. It is also Canada’s most visited city, with the largest available convention spaces and most hotel rooms. Tourism Toronto President and CEO David Whitaker sees the blend of conventions and leisure visits as a factor in Toronto’s visitation success, noting, “we’ve been working to complement our existing core business by increasing our visitors, be they meetings delegates or international travellers.” Daring, dramatic architecture also attracts visitors and many of the latest hotels have been leaders in design and the arts. In addition to the recent luxe properties like the Ritz Carlton, a brand new Four Seasons and the Shangri-la, Toronto’s independent hotels have also increased their number with the recently opened Hotel Ocho, a former textile factory turned affordable loft, and the Templar Hotel, which tops the hipster wish-list. The Toronto International Film Festival (tiff), now operating out of the tiff Bell Lightbox, attracts all the stars but the real celebrities in Toronto are the

Test your nerve at the iconic CN Tower and don a zipline harness to walk around its sky-high edge. Celebrity-watch in Yorkville cafés or explore the boutiques for that elusive objet d’arte. Indulge in a downtown day spa and emerge refreshed and ready to take on the night life. Provocative theatre, blockbuster musicals, and adrenaline-pumping professional sports are all hot tickets. Bars and nightclubs feature hundreds of live acts and DJs in the Entertainment District rock the beat until dawn. Now in its 16th year, the Canadian Society of Professional Event Planners began in 1996 as IMPAC (Independent Meeting Professionals Association of Canada). Its founder and first president, Joy Fox, CMP Emeritus, created the association out of a need to gather independent planning professionals as a strong group of entrepreneurs. The organization’s first meeting was held at the Westin Harbour Castle in Toronto where the 24 planners in attendance developed a mission to “promote, support and educate independent meeting and event planners and create public awareness around our profession.” Just a year later, in October 1997, we held our first conference at Grandview Inn in Huntsville, Ont., and continued on for the next decade under the IMPAC name. In 2007, IMPAC rebranded as CanSPEP. Today, we are a community of more than 100 event professionals from across Canada who design, manage and implement sp e c i a l eve nt s, con fe r e nce s, g a l a s, incentives, tradeshows, product launches and more in the corporate, association, non-profit and government sectors. Ca n SPEP i s u n ique i n t h at a l l of our members are small planning and consult i ng busi nesses, with sta ff at each business limited to 10 employees. Many meeting planners would describe themselves as type 'A' personalities and aim to control everything. However, there are times when the unexpected does happen. Here are some strategies to help you prevent a few of those last-minute challenges. 1) Use your resources Your vendor part ners are your 'lifeblood' and if you are respectful when working with them, they will be there for you when you need them most. Over 34 years, I have been blessed with wonderful vendors that make it a joy to plan meetings and events. I had been planning a conference for a regular client in another city and there was to be one major off-site themed reception and dinner. The venue was chosen and they had a recommended caterer. Prior to the convention, I was in the same cit y produci ng a nother con ference. Followi ng the convention, I had arranged for a taste testing with the proposed chef. It was one of the worst taste testings that I had ever experienced. The food and presentation were neither current nor up to standards. I then contacted my favourite caterer who was a member of NACE (National Association of Catering Executives) and requested the very best caterer in the event city. We hired them instead of the recommended chef and the event was a success. 2) Experience the program first hand if at all possible Meeting planners are responsible for the recommendations for all vendors and therefore must anticipate everything possible about what the attendee will experience. In order to do so, the planner needs to experience the program in advance. For one program, we had a dinner and theatre package contracted for a client event. Fortunately, we were able to see the show prior to our program and realized the production was totally inappropriate for our client. We received a full refund from the vendor and immediately contacted another venue and a theatre production company and created our own show for the same price. When we contacted the client to advise them of the recommended change, they were not concerned as all was in place. We make it a policy to never call the client with a change to their program until we have an alternate plan in place.

3) It Pays to Use credit cards It is difficult to be reimbursed for deposit cheques that have already been cashed. Credit cards, however, provide an avenue for dispute resolution if contracted services have not been provided. Just prior to a conference in the United States involving a significant amount of decor and entertainment, we were informed that the vendor partner had gone out of business. We had paid the initial deposit by credit card and the second deposit was due. I called my contact who informed me that the company was going bankrupt. I asked him for the names and contact information for all the vendors that had been confirmed for our event. When I contacted those vendors and explained the situation, we negotiated reduced rates that covered our initial deposit so that there would not be any additional costs. We then approached the credit card company and were able to receive a full refund of our deposit. 4) When dealing with speakers, always have a Plan B Travel can be a challenge due to weather, flight delays, etc., and therefore we may wonder what can be done to prepare for a speaker not arriving in time for their session. First of all, ensure that you receive a copy of all speaker presentations in advance of the program. This can often be a planner's greatest source of frustration. If the speaker is a member of the corporation or association, pre-determine who might be able to step in as a substitute if necessary. If the speaker has been hired by a speaker's bureau, the bureau may have a local speaker that can be substituted at the last minute. As an example, on one occasion, I had just finished speaking at a trade show and I was literally taken by the arm and told that a speaker had not shown up. I was then asked to speak on a panel at one of the next sessions. Fortunately I knew the panel members as well as the subject matter and was able to speak without any preparation. We actually received great evaluations!

CM&E: What are some of the biggest challenges you face a s a n i ndependent meeting and event planner in Canada? Angela Zaltsman: Budgets and a shorter turn-around time for meeting and events are my challenges. Budgets dictate the limits w it h i n wh i c h a n e ve nt will be produced, forcing creativity with respect to how a planner delivers and solves problems. Short lead time can affect scheduling for smaller independent meeting planners, whereas corporate plan ners have a larger staff upon which to rely. On the flip side, independent planners have the ability to take on only what they can properly handle and can execute well. Mary Mulligan: One of the challenges is working in isolation. You don’t have someone close by to brainstorm with as you would in a corporate office. As an independent planner, you need to have colleagues that you can trust and are able to brainstorm with, without feeling that they are competitors. As an independent, you always have to market yourself versus a corporation that is well known with more resources.

Heather Baker: The biggest challenge I face is working on my sales and marketing while coordinating and executing the logistics of multiple events. As I have no employees, most of my time is spent working “in the business” and not “on the business.” Corporate planners have only one client with no need to search for other business and usually have much larger budgets in which to produce events. CM&E: What unique planning solutions or strategies does your company offer? Angela Zaltsman: The key to my planning s t r at e g y i s t o m a n ag e t h e c l ie nt 's expectations. I focus on maintaining open channels of communication through faceto-face meetings, by asking lots of questions and by always checking the client's “temperature.” I find clients appreciate my direct and no-nonsense approach. Ma r y Mulliga n: I enjoy working on unique events in unique venues. For many years, I have done bodybuilding trade shows. They have their own culture and are totally different than handling corporate meetings or social events. Heather Baker: Style, sophistication and signature details are my focus for finding unique solutions and experiences for my clients. For example, a client turning 60 owned a Jag so we held his birthday party in the Jag dealership. A corporate client wanted to combine a customer appre c iat ion event w it h t hei r st a f f

Christmas party so we held their event is a former Chinese theatre with catering by Roaming Dragon food truck. CM&E: What current trends do you think will continue to have a major impact on the industry and why? Angela Zaltsman: The two trends that come to mind are technology and marketing for events. Social media is ever-changing and growing fast. I find that as soon as I have mastered the potential uses of one social media outlet, another one pops up. Social media will likely continue to have a major impact on event marketing. I also believe that menu planning and ensuring that menus include a variety of ethnic food choices and healthy options will continue to trend. Mary Mulligan: I think that technology will continue to impact our industry making it easier for us to work from anywhere in the world and at our own time. People are also much more healthconscious and this is making us rethink our menus for events. H e a t h e r B a ke r : Te ch nolog y is t he biggest trend for events with a variety of innovative tools available, such as tablets and smart phones for registration and program updates. New technologies in sound and lighting transform event décor and branding. With food and beverage, more locally produced food and wine, food stations as opposed to buffets and the use of food trucks as caterers for event. Corporate Meetings & Events March 2013 | 23

a nd aud iences t he most memorable entrance and exit of their lives. Walk-through projection screens, also known as a fog screens, are an innovative technology that creates a sheet of fog solid enough to display a projected image but diffuse enough to walk through. Fog screens are generally semi-translucent but when struck with a projection image or lighting, they becomes semi-opaque. This misty formation allows people or objects to magically appear through the fog wall, creating a dramatic and unforgettable entrance at a meeting, gala or tradeshow.

Feeling Blue in a World of Green I am going to warn you right from the start: If you live in a world where unicorns roam, double rainbows are a daily occurrence and the air is scented with the smell of caramel corn….perhaps you shouldn’t read this. Things are not as rosy as they seem. Here it goes: “I am a Green Meeting Planner and I think/ am pretty sure/not officially diagnosed yet, that I might be suffering from Green Fatigue.” It’s true. Lately I have been feeling blue in my world of green – lacking motivation, inspiration and generally overcome with a feeling of emotionally charged eco-malaise. Surprisingly, my invisible superwomanesque green meeting planner cape has not protected me from this feeling of malcontent. Reality Check Green fatigue has many definitions: Some define it as being so overwhelmed with the environmental paradox that apathy takes over. Others define green fatigue as a form of hopelessness or guilt. I prefer to define green fatigue as a self-imposed reality check, a manifestation of emotions so intense that you simply cannot avoid them unless you choose to stick your head in the sand (in Canada, sometimes we use snow). Do I make a difference? Am I making an impact? Does anyone care? The realities are clear. Choosing to work in the green meetings industry is choosing a road less traveled. Yes, even in 2013, green meetings are the exception and not the rule. The less traveled road can be lonely and sometimes you feel like no one is listening.

I laugh a little when I talk about the “invisible” cape that green meeting planners wear, but it isn’t that far from the truth. We enter initial meetings with potential clients wearing our invisible cape draped across our broad shoulders; it helps us to defend against stereotypical responses and those who aren’t convinced that sustainable events are a good fit for their organization. We prepare to meet the arguments; and we research case-specific green meeting kryptonite to ward off the very real possibility that we will be told “no, not this year.” After awhile it seems like our cape begins to be less effective. Looking to Peers Convinced that I was the only one out there feeling this way, I reached out to my colleagues, including Nancy Zavada, CMP, Principal of MeetGreen and Co-founder of the Green Meeting Industry Council (GMIC). “Do you ever suffer from green fatigue?” I asked. “All the time!” Nancy exclaimed. “Sometimes I am frustrated and wonder if I have the energy to continue. For me, the solution when I am overwhelmed with the feeling of ‘why bother’ is simply getting back to nature. A couple of hours amongst the trees reminds me of why I do what I do.”

Nancy went on to explain that “meetings are what I know, this is how I can make the most impact,” and reminded me that small wins are just as important as the big ones. Nancy and I both agreed that the enthusiastic GMIC community, and specifically attendance at the annual GMIC conference, were ways to re-energize. the fog lifts Bolstered by the knowledge that none of us are alone in feeling a little blue in our world of green, I began to feel better. I am pretty certain that my fog of green fatigue has moved on, but in case you find yourself enveloped in it when you least suspect it, I have come up with some tips to help cope: • Remove head from sand (or snow) • Remember your “why”: Revisit the reason you first got involved in the sustainable meetings industry. What inspired you? • Remember the “who”: Who got you excited about sustainability? • Take solace in the fact that you are not the only person in the green meeting

industry who feels this way. • Revisit success – remember how you felt after creating your first successful, sustainable event. • Embrace you r com mu n it y – you r com mu n it y w i l l suppor t you, i.e. Eventprofs, GMIC, PCMA, MPI • Give back – volunteer within your community, make someone else feel better.
