Two Portal links are provided to you so you have access to the most up-to-date information available and to help answer all of your fair related questions. Your Exhibitor Portal is where you will find all required and optional paperwork and fair references. Your Finance Portal is where you can view and pay all of your invoices, payments, and a statement of your account, as well as store bank and/or credit card information for future payments. �REQUIRED PAPERWORK

Booth Order Form

Due on March 7, 2025: The below information is a guide to help you fill out that form. This information and more can be found on your Exhibitor Portal.

All booths are built from 8’ Pipe and Drape on 3 sides with wall to wall carpeting - we will be using the refinished Armory floors in the aisles - See page 11 for more information and regulations.

ORDER FORM INSTRUCTIONS

EVERY EXHIBITOR IS REQUIRED TO SUBMIT A BOOTH ORDER FORM, EVEN IF SHARING.

When filling out your form, you MUST indicate the quantity of the items that come included with your booth that you would like to be waiting for you in your space when you arrive. For example, if you are in a non-shared booth, please let us know if you want only 2 out of the 3 bookcases that come included with your booth.

If you need more of an item, you can add them to your booth for an additional cost, plus NYC sales tax (8.875%). The prices for additional items are listed on the order form.

TABLES

Two (2) tables are included in non-shared booths. One (1) table is included per exhibitor in shared booths. Tables are available in the following sizes:

• 4’ (1.2m) long x 24” (0.61m) wide

• 6’ (1.83m) long x 24” (0.61m) wide

• 8’ (2.44m) long x 24” (0.61m) wide

All tables are 30” (0.76m) high, covered in white vinyl and skirted.

Extra tables can be ordered for $TBD. Black table cloths are available for $135 each.

CHAIRS (CHAISES)

We recommend a maximum of 2 chairs per booth (1 chair for single size booths), but if needed, additional chairs can be requested. A maximum of 4 chairs are allowed per booth (not per exhibitor).

WOODEN BOOKCASES (BIBLIOTHÈQUES)

Three (3) bookcases are included with non-shared booths. Two (2) bookcases are included PER EXHIBITOR with shared booths. Bookcase dimensions: 11.5”D x 27.5”W x 38”H (29.2cm D x 69.9cm W x 96.5cm H)

Extra wooden bookcases can be ordered for $70 each.

PEGBOARD PANELS (PANNEAUX PERFORÉS)

Pegboards panels are 4’(1.2m) x 8’(2.4m) and are not included with your booth. They can be placed horizontal or vertical. Pegboards can be ordered uncovered for $TBD each or covered in fabric for $TBD each.

Fabric color options are: Dark Gray, Light Gray, White and Black. Please note for planning that the pegboard legs stick out 12” (0.3m) on each side of the pegboard for stability. Because of this, please be aware of your neighbor when planning your layout.

DRAPES (RIDEAUX)

All booths come with three (3) 8’ (2.4m) high wall drapes (the back and right and left sides).

If agreed upon with your neighbor, the side drape may be removed; thereby giving the appearance of a larger booth (at no additional cost), pending approval of management. Two Premium booths may not be conjoined by drape removal and drapes may not be removed between Standard Plus booths in the central aisle.

Please note for planning purposes, drape stands have metal plates that will sit inside your booth on all four corners. Please plan accordingly.

ELECTRIC POWER (ELECTRICITE)

One (1) electrical outlet is included for EACH BOOTH. This goes for shared booths as well.

If you order more than one (1) showcase with American Fixture / Levin, there will be a separate electrical fee in order to power your showcases (vitrines).

Your showcase order with American Fixture / Levin does NOT include electric power.

For showcase orders between 2-4 showcases PER EXHIBITOR, the electrical fee is $175. For showcase orders between 5-7 showcases PER EXHIBITOR, the electrical fee is $210. For showcase orders for 8 showcases or more PER EXHIBITOR, there electrical fee is $250.

SHOWCASES (VITRINES)

To order your showcases, please download the American Fixture / Levin order forms in your Exhibitor Portal.

Your showcase order with American Fixture / Levin does NOT include electrical outlets. If you order more than one (1) showcase PER EXHIBITOR, there will be an electrical fee applied to your final invoice.

Badging Form

Due March 7, 2025

On this form you will indicate the name of the book shop (as it should appear on the badge and booth sign) as well as list the names of all personnel who will be working in your booth for opening night and the run of the fair. We will have a station available at the Lexington Avenue entrance, where you will receive your badges and other materials pertinent to the fair.

All badge photos for exhibitor personnel should be passport quality (300dpi) and be uploaded onto the Badging Form. No hats or sunglasses are permitted in the photographs. A maximum of 8 badges are allowed per booth. Please advise management of any additions or changes no later than Friday, March 14, 2025.

BADGES MUST BE WORN AT ALL TIMES. SECURITY STAFF WILL REMOVE UNAUTHORIZED PERSONNEL. THIS IS FOR THE SAFETY OF YOU AND YOUR INVENTORY. PLEASE COMPLY.

Sales Tax Certificate of Authority

Due by March 21, 2025: Submit number or proof of application.

Exhibitors selling merchandise in New York State must have a New York State Sales Tax Registration Number. Current NYC sales tax is 8.875% and must be added to all sales made at the Book Fair. If you need assistance or have questions, you can contact the New York State Department of Taxation and Finance directly. The telephone number is (518)485-2889.

As of 2021, exhibitors will be required to have a Social Security Number, EIN, or ITIN to apply for a NY State Sales Taxes Certificate of Authority.

If you are a foreign exhibitor who does not qualify for a Social Security number or does not have an EIN, you can apply for an ITIN with the Internal Revenue Service (IRS) by dialing +1 (267) 941-1099 between 6am and 11pm EST, Monday-Friday. This process can take several weeks to complete so you should apply as soon as possible.

Please visit the Exhibitor Portal for additional guidance on how to apply for the Sales Tax Certificate of Authority.

Be advised, if you need any assistance or have any questions regarding the New York Sales Tax Certificate of Authority number, please contact either the New York State Department of Taxation and Finance or the Internal Revenue Service (IRS) directly. Please DO NOT contact the office. We are not licensed tax professionals, therefore we are not qualified to provide assistance or advice.

Liability Insurance

Due by March 21, 2025: Exhibitors are required to carry Commercial General Liability Insurance with limit minimum of $2,000,000 per occurrence, $5,000,000 aggregate.

Insurance must name the following as additional insured:

The Antiquarian Booksellers Association of America, Sanford L. Smith & Associates, The Seventh Regiment Armory Conservancy, Inc., NYS Urban Development Corporation d/b/a Empire State Development Corporation, State of New York, City of New York, NYS Division of Military and Naval Affairs, NYS Office of General Services, and their respective officers, agents and employees.

For the certificate holder use Sanford L. Smith + Associates, 447 West 24th Street, NY 10011.

Exhibitors, whether domestic or international, my opt to purchase a general liability policy through RainProtection. More information will be made avaialble in the Exhibitor Portal.

Specialties

Please indicate your specialties by updating your Company Information on your Exhibitor Portal. We switched over to the ABAA specialties list in 2022 so it will be necessary for you to enter your specialties when logging in for the first time.

�GETTING HERE

Domestic/USA Shipping to The Fair

Caladex LLC will once again offer U.S. Exhibitors an all-inclusive price for collection, transportation and delivery direct to the show floor. For rates and further information, please contact Caladex LLC toll free on (800) 643-4315 or via email at info@caladex.com.

U.S. Exhibitors who wish to ship ahead may consign their shipments, freight prepaid, to: Caladex LLC for the NY Book Fair, c/o AIRMAX International, 147-24, 177th Street, Jamaica, New York 11434. The last day to receive shipments will be Thursday, March 27, 2025 Please contact Caladex LLC toll free on (800) 643-4315 or via email at info@caladex.com for rates and further information.

Payment will be required on presentation of invoice at the show site. With the new Armory move-in and moveout rules, we strongly recommend that you use Caladex LLC, as your books will be in your booth when you arrive at the Armory.

International Shipping to the Fair

For all UK and European Exhibitors, we highly recommend the shipping services provided by Caladex LLC. They make shipping easy by offering an all-inclusive price for collection, transportation, customs clearance (where applicable), and delivery direct to the show floor. You can contact Hugh Best and his team from the UK or Europe by calling +(44) 020 7993 8511 Monday to Friday after 14:00 hours or anytime via email at info@ caladex.com, or fax +(44) 20 7681 3435.

If you wish to ship directly to New York, please ensure that you or your freight agent is aware of U.S. Customs regulations and charges. U.S. Customs may require Bond Fees, duties or other taxes on any import shipment. Neither Caladex LLC nor Sanford L. Smith + Associates will act as importer for shipments. We strongly recommend that you use Caladex LLC to avoid any transportation issues.

CUSTOMS

If you are shipping international merchandise to the United States, please check with your shipping agents who will be familiar with requirements of the United States Customs Service. We have been advised that it is imperative to supply invoices on your own stationary for each item, IN ENGLISH, giving value, description and circa date. Please also have firm, clear plans for packing up and moving out with your shipper. Please have your shipper call if there are any extenuating circumstances.

Park

Avenue Armory

Park Avenue Armory is located at 643 Park Avenue between 66th and 67th Streets. There is a variety of public transportation and parking lots available close by.

The following rules will be strictly enforced and damage to the floors will be the responsibility of the Exhibitor who will be charged for any damage:

1. There is absolutely no screwing, nailing, stapling, or taping on the Armory Floor.

2. You may not have any open drink containers in your booth. All water, coffee, teas, etc. should have lids. Any spill must be cleaned up immediately.

3. If one of your showcases needs to be moved, notify a member of American Fixture / Levin and they will send a crew member over to do so. Under any circumstances are you to move the showcases on your own and run the risk of damaging the floor.

4. Notify your shipper that all dollies MUST HAVE NON-MARKING WHEELS and must be in working order. Dollies are not to be dragged along the floor.

If any exhibitor, vendor, shipper, or their staff is found doing any of the above they will be banned by the Park Avenue Armory from participating in any future events at the Armory and will be responsible for any repair costs, as per their new policy. We strongly recommend reaching out to your shippers and other staff to notify them of these regulations.

Move-In Times & Instructions

Move-in times will be posted in your portal two weeks prior to the Fair. This scheduled time is provided for an orderly move-in. If there is a problem with your allotted time, please email the office no later than a week prior to the fair to request a new time.

Please arrive at the Lexington Avenue freight entrance and check-in no less than 15 minutes prior to your allotted move-in time. The freight door is between 66th and 67th Streets on Lexington Avenue.

THERE IS ABSOLUTELY NO DOUBLE-PARKING AT ANY TIME.

The Park Avenue Armory does not allow double-parked trucks on Lexington Avenue or 66th Street. Trucks may be unloaded at the curb on Lexington Avenue or inside the freight entrance of the Armory upon the instructions of our staff. Drivers waiting for a spot on Lexington or in the Armory must wait on the north side of 66th Street near Park Avenue. Our staff will notify drivers when there is a space available on Lexington Avenue or inside the Armory.

UNLOADING IS NOT PERMITTED ON 66TH STREET.

UNDER NO CIRCUMSTANCES MAY ANYONE PARK OR UNLOAD ANYTHING ON PARK AVENUE, IN FRONT OF THE ARMORY.

Please follow these instructions. Double-parked vehicles will be ticketed by the police and towed.

*Note that if you have a booth in the back quarter of the show floor your move-in time is later in the schedule. Do NOT leave your loaded vehicle unattended at any time.

�WHILE YOU’RE HERE

Tickets & Will Call TICKETS

To receive Book Fair tickets, please indicate your preference for either digital or paper tickets on your Exhibitor Application.

If you choose paper tickets, you will receive 20 tickets by mail (10 for Opening Preview + Run of Show Admission and 10 for General Admission) to distribute as you wish.

If you choose digital tickets, two digital ticket links will be available through your Exhibitor Portal (one for Opening Preview + Run of Show Admission and one for General Admission). Each digital link allows you to redeem up to two tickets.

You may distribute as many tickets as you like, but please note that after the fair, you may be charged a discounted rate of $10 per guest for each ticket redeemed beyond your original allotment.

WILL CALL

There is an electronic system for our Will Call service desk. You will not be able to leave any envelopes or tickets at the Will Call desk. Details will be shared mid-March. To make the attendance experience positive, we truly urge you and your guests to arrange for tickets in advance using your digital ticket links.

Exhibitor Entry to the Fair

No one will be permitted on the floor of the show during set-up except exhibitors participating in the fair and their authorized assistants, as named on the registration form. Only in special circumstances, and with permission of the Book Fair Committee, can assistants of exhibitors be anyone other than full-time employees or family members. Under no circumstances may the assistant of a exhibitor who is not regularly employed by the exhibitor make purchases or enter other booths prior to the opening of the Fair. It is our firm belief that part of the booth rent is for exhibiting exhibitors to have sole and exclusive right to “pick” the show prior to the opening. This rule will be strictly enforced, and any exhibitor attempting to bring someone onto the floor of the show, an outside dealer or a collector, will be denied contracts to future shows. If you see a person on the show floor who does not belong, please contact one of the show staff immediately.

Exhibitors are allowed on the show floor at 10:00am, each day that the show is open to the public. Café will be open at 11:30am to sell coffee, tea, and pastries. Exhibitors are required to be in their spaces by 11:45am Friday-Sunday.

Storage

Cartons and packing materials may be stored in a designated area on the East 66th St. side of the show floor in the bunkers. Please be sure everything is gathered together and properly identified. No merchandise may be stored in any area other than your allotted booth. Have all extraneous material removed from the show floor ASAP.

THERE IS NO STORAGE OR SECURITY WHATSOEVER FOR INVENTORY. THE BALCONY IS NOT AVAILABLE FOR STORAGE.

Security

Security is provided on a 24-hour basis beginning Wednesday, April 2 at 8:00am through Monday, April 7 at 10:00am. However, you should secure all items and never leave your booth or space unattended, specially during load-in an load-out. Please watch your inventory. No artwork may be stored in the storage rooms, as they are not secure. Security personnel does not guarantee Exhibitor against loss neither does it imply an assumption of liability for Exhibitor’s property by the Venue or Management at any time. Please arrange for an insurance rider to cover your fair inventory. Management will not be responsible for loss or damage to displays or goods belonging to Exhibitor or consigned to Exhibitor or otherwise brought to The Fair by or on behalf of Exhibitor. The responsibility for loss or damage is yours.

REPORT TO THE SHOW OFFICE IMMEDIATELY IF YOU HAVE ANY SECURITY ISSUES.

End of Day

Booth lights and power will be turned off promptly at the times listed for the close of the Fair, however 15-minutes prior to the close of the fair, bells will ring to alert exhibitors and visitors that the Fair will be closing soon. On Sunday, move-out day, DO NOT start packing prior to the close of the Fair.

Posted Prices

Please be advised that the Department of Consumer Affairs requires that all exhibitors price visibly on the merchandise or have a price list of all items on display available for immediate viewing by the public. Please adhere to this ruling to avoid any problems should an inspector visit the show. Fines are substantial.

ALL EXHIBITORS MUST CHARGE 8.875% NEW YORK CITY SALES TAX FOR ITEMS SOLD AND DELIVERED WITHIN NEW YORK STATE.

A) Professional Responsibilities

Every item sold must be accompanied by a written receipt which includes the following information:

1. Complete description of the item sold

2. Name of author

3. Date of publication of book, if known. If not; circa.

4. Complete description of condition, with emphasis on restoration, repairs, and binding.

B) Please note the following

1. No reproductions of any kind will be permitted in any booth.

2. Every exhibitor is required to guarantee any item sold to be as represented.

3. Management and the ABAA reserve the right to remove from the show any item it deems unsuitable for display with no recourse.

These rules and regulations are part of your contract and we require that every exhibitor observe them. Please review your contract before planning your exhibition. Please pay special attention to clause 8 on your 2025 New York Book Fair application, which cites the ABAA Code of Ethics.

We ask you to help us “vet” the show by confidentially informing SLSA or the Book Fair Committee, of any suspect pieces on the floor of the show. Your cooperation in this area will only increase the reputation of the show as the foremost market place for the purchase of fine and rare books.

Sales Receipts

Exhibitors will receive 10 sets of numbered security stickers and an assortment of clear plastic bags to start. More stickers and bags may be picked up in the Show Office at any time.

For each sale:

1. Wrap item in a plastic bag.

2. Fold over bag and secure with a numbered sticker.

3. Place the matching sticker on the customer’s bill of sale/receipt (do not seal the receipt in the bag).

Your customer will be asked to show both the numbered bag AND the matching numbered bill of sale/receipt when exiting the show. Make sure that the sticker numbers are identical on the plastic bag and bill of sale/ receipt.

To protect yourself and your fellow exhibitors from theft, please DO NOT leave security stickers where they might be taken.

Hospitality

EXHIBITOR LOUNGE / WRAPPING STATION

The Exhibitor Lounge is located in the Armory’s ‘Parlor Room’ and access is to the left as you exit the show floor (near the top of the rest room staircase). Please do not cut through the Show Office to access the lounge.

You will find extra plastic bags, a wrapping station, coat racks, complimentary coffee, tea, and water, and other supplies you might need. Please be courteous of your fellow exhibitors and do not remove scissors, tape, etc. We have supplies in the show office that we can lend.

COFFEE/TEA/WATER

Complimentary coffee, tea, and water (in water coolers) are provided. Coffee and tea supplies can be found in the Exhibitor Lounge. Water coolers are available in the show office and the exhibitor lounge. To be environmentally considerate, please bring your own water bottles to fill.

MOVE-IN BREAKFAST

A light continental breakfast, coffee, and tea are provided on move-in day starting at 9am.

MOVE-IN LUNCH

The MAC (Mid-Atlantic Chapter) of the ABAA is sponsoring the move-in lunch on Wednesady, which will be available starting around noon at the entrance to the show floor.

MOVE-OUT DINNER

A boxed dinner is provided starting at 6pm on Sunday evening.

SHOW OFFICE

The Show Office has supplies you might need to help make your experience more pleasant. We have extra tape, brooms, paper towels, first aid, hooks, Velcro, hanging wire, and more. There is also an ample supply of candy and mints. If you need to print something, one of the staff in the Show Office will be happy to assist you.

WI-FI

Private but unsecured Wireless Internet access will be available during the show, free of charge with our compliments. Please do not share the password with patrons of the fair, as your fellow exhibitors use the Wi-Fi for their credit card processing. There is a public Wi-Fi at the Armory for guests.

Smoking

Smoking is NOT PERMITTED anywhere inside the Armory or on the front steps of the building. Pursuant to New York’s Clean Indoor Air Act, Article 13-E, all smoking is banned from indoor public facilities, i.e. restaurants, department stores, bars etc. In 2011 the law was amended to make all 1,700 city parks and plazas SMOKE FREE. Please be aware that you may be ticketed and fined if found smoking in or on city parks property.

�LEAVING

Move-Out Instructions

Move-out commences at 6:00pm on Sunday, April 6. No packing material or boxes will be allowed on the show floor prior to closing or until all patrons are off the show floor.

If you are moving yourself out, once you are completely packed (not before) and ready to leave, please contact Jim and the team at the back door and you will be assigned a move-out position based upon your location and the planned traffic pattern.

If you wish to walk your material out, please do so, but ONLY OUT OF THE LEXINGTON AVENUE SIDE. NO DOUBLE PARKING. Please do not bring your vehicle or have your mover show up before that given time of departure. Everyone MUST exit through the Lexington Avenue freight door. Nothing can leave through the Park Avenue entrance to the Armory.

YOU MUST MOVE OUT SUNDAY EVENING BY 11:00PM. NO ONE MAY BE IN THE ARMORY AFTER 11:00PM. THE BACK DOOR PROMPTLY CLOSES AT 11:00PM.

For Items Staying

IF, FOR ANY REASON, IT IS ABSOLUTELY IMPOSSIBLE FOR YOU TO MOVE OUT SUNDAY NIGHT, YOU MUST PACK ALL YOUR MATERIAL AND SIGN OUT BEFORE YOU LEAVE.

You will be required to fill out a form letting us know you are unable to exit on Sunday evening. Once you have confirmed with the show office, you will be directed to move your packed material to a front security booth near the show office. This direction will come from our security staff. We expect this area to be ready some time after 7:30pm. Someone from your booth must wait with your material until this area is ready. Our security staff will then inventory your material and have you sign a release. This step is for your security so please cooperate.

You MUST have a representative from your company attend to your material at 7:00am on Monday morning, and they must remain with the merchandise until it is moved out. If you are not moved out by 10:00am your merchandise will be placed in storage at your expense.

Shipping - FEDEX

If your shipper is FEDEX, there will be a FEDEX shipping station ready to take your materials starting at 6:30pm. The FEDEX station will be located outside the show office. Please have your FEDEX Account Number available and your own packing material prepared. Sanford Smith will NOT be responsible for any shipping costs. THIS MUST BE PAID SUNDAY NIGHT. THERE IS NO UPS. FEDEX will pickup on Monday, April 7 in the morning.

Shipping - Caladex

If your shipper is Caladex, the Caladex team will be on site starting at 2:00pm on Sunday, April 6 to begin processing your orders. They will be walking the floor visiting each client.
