Newsletter Introduction These notes are designed to provide reinforcement material for tutor led training sessions. These exercises are based on using Microsoft Word 2003 and the Vista operating system.

Aim

For students to learn basic techniques in Word for creating a newsletter.

Objectives After completing the course the user will have experience in the following areas: Set up an A4 page with headers, footers, columns Adjust an A4 page to become an A5 booklet Using text boxes, graphics to add interest to the newsletter Manipulate images

Newsletter Chapter 1 ~ Introduction A newsletter can we one of the most effective public relations tools that exists for drawing attention to a business or organisation. By sending out a quality newsletter on a regular basis you can keep customers or members updated about your group. Frequency of mailing builds familiarity and familiarity inspires return visits. Plus the effort of creating a newsletter itself speaks volumes about your commitment to the subject. It also positions you as an expert and a valuable resource.

A newsletter is an information sheet or brochure delivered regularly through e-mail or snail mail on a specialised topic to readers that have subscribed or shown a particular interest in that subject. Paper quality is usually higher than that of newspapers but not the glossy feel of a magazine.

1.1 ~ How To Write The Newsletter Make the newsletter succinct, timely and up to date Target your audience and their level of expertise Let the subject matter dictate the style – serious for a health newsletter, funny for a social group etc. Research the market to see what the competition is doing. Use a clear readable font. You may want to mix fonts but the end result should look clean and easy to follow. Remember to add eye appeal with small graphics, headers, subheads etc. They also break up the page. Get experience in writing in a journalistic style – buy a book, take a class etc

Newsletter Chapter 2 ~ Create a A4 double-sided newsletter 2.1 ~ Insert files Open a new Word document From the INSERT menu locate the FILES to insert.

Change all the text to FUTURA LT BT if available, if not choose a font of your choice. Select POINT SIZE 12. Justify the text.

2.2 ~ To Add A Header/Footer From the VIEW menu, select HEADER AND FOOTER From the TABLE menu, INSERT a TABLE with 2 columns and 2 rows, click OK Merge the cells on the first row by highlighting the rows, then TABLE, MERGE CELLS.

Newsletter Type in the HEADING Clevedon Craft Club Change to FLATBRUSH (if available) size 48.

In the second row of the table, enter the Edition 100 in the first cell and then May 2009 in the second cell.

Right align May 2009 Remove the borders from the second row. Select the FORMAT menu and then BORDERS AND SHADING. On the PREVIEW, click on the lines to remove. Click OK. Highlight the first row and give the top row a coloured background of your choice. Select the FORMAT menu and then BORDERS AND SHADING. Choose the SHADING tab and then choose a pale colour of your choice. Switch between header and footer using the toggle switch on the header toolbar. Type in the footer details as shown on the example.

2.3 ~ Using The Line Tool Draw a line to separate the main body from the footer. Ensure the DRAWING toolbar is showing. To show the drawing toolbar, select the VIEW menu, TOOLBARS, DRAWING.

Click on the LINE tool. To ensure a perfectly straight line, hold the SHIFT key at the same time as clicking and dragging with the mouse.

Newsletter To format the line, right click on the line and choose FORMAT AUTOSHAPE. Experiment with different WEIGHTS, COLOUR, STYLE.

2.4 ~ Insert Page Numbers Select the INSERT menu and then PAGE NUMBERS Choose the placement and FORMAT of the number as appropriate. Click OK.

2.5 ~ Format Painter

Highlight the first sub-heading DOLLS’ HOUSE MINIATURES. Change the point size to 14, make it BOLD and ITALIC. Double click on the FORMAT PAINTER option. Sweep the mouse over the other sub-headings one at a time . Notice that each time this is done, the words take on the characteristics of the first subhead. Change all sub-heads to UPPER CASE. Use FORMAT, CHANGE CASE.

2.6 ~ Add Columns To Document Select the FORMAT menu and then COLUMNS. Choose 2 columns then OK.

Newsletter 2.7 ~ Inserting Pictures

From the TOOLS menu, choose OPTIONS and then from the EDIT menu choose to INSERT PICTURE AS TIGHT. (previous versions of Word) From the INSERT PICTURE, FROM FILE.

Locate the picture as shown in the example and place accordingly.

Resize if necessary and change to TIGHT if not already.

2.8 ~ Insert Callouts

Type in the text and format so it stands out from the rest of the text.

Place a RECTANGLE around the writing. Format the RECTANGLE by right clicking on the edge of the rectangle and choose FORMAT AUTOSHAPE from the selection. Choose BEHIND TEXT from the LAYOUT tab. Click OK.

Newsletter 2.9 ~ Insert Breaks To insert a COLUMN BREAK, press the CTRL, SHIFT and ENTER keys together. To insert a PAGE BREAK, press the CTRL and ENTER keys together.

2.10 ~ Insert Text Boxes

Select the INSERT menu and then TEXT BOX Resize as appropriate. Insert the last file 7dates. Format appropriately Change the border on the text box by selecting the LINE STYLE option from

the DRAWING TOOLBAR.

2.11 ~ Creating An A5 Folded Booklet

From the FILE menu, click on PAGE SETUP and then click on the MARGINS tab.

In the MULTIPLE PAGES list, select BOOK FOLD Change the MARGINS TO 1.5cm all around the edge including the GUTTER. In the SHEETS PER BOOKLET list, select 8 pages for the booklet. Ensure the page numbering has altered accordingly and ensure there are 8 pages for the publication Print double sided.
