Personalised Stationery Notes Introduction These notes are designed to provide reinforcement material for tutor led training sessions in Microsoft Word. These revision exercises assume that the necessary program has been fully and correctly installed on your computer. However, in Word, some features are not installed initially and a prompt to insert the Office CD may appear when these features are accessed. Aim To provide instruction on creating stationery items using Word. Objectives After completing the exercises the user will have experience in the following areas: Create, enter information and edit a word processed document Format the text appropriately Insert and manipulate images, text boxes and shapes Adjust colours to suit style

Personalised Stationery Notes Chapter 1 ~ Create a letterhead template Letterheads are most useful if they can be stored as TEMPLATES and called up whenever you wish to write a letter to save typing in all the details again. FILE, NEW, BLANK DOCUMENT Change the margins if required. FILE, PAGE SETUP and change to 2cm at the TOP, BOTTOM, LEFT AND RIGHT margins. Click OK. Type in the address for the letterhead Highlight the address and click and drag the markers on the rulers to the right
Keeping the words highlighted, select the FORMAT menu and then FONT. Change the style of writing (font) and the colour Click OK. Type in Our ref: Your ref:
Insert an automatic date and then whenever the template is opened the machine will automatically insert that date. Select the INSERT menu, DATE and TIME. It is usual for the second option down to be used but use OPEN PUNCTUATION ie without commas.

Insert a picture To bring in the image: INSERT, PICTURE, FROM FILE. Change to the folder and select the image. INSERT. The image needs to be given instructions how to behave around text therefore carry out the following instruction carefully… Click on the picture and handles will appear. On the PICTURE TOOLBAR, select the TEXT WRAPPING icon and click on TIGHT. Now the image should not be affected by any other elements on the page. CROP the image to remove any white space around the edge. Click on the cropping tool, move the mouse pointer over the edge of the picture frame and drag the sides in. Move the image into place. Save normally, and print to check everything is in position. If all is correct, SAVE AS change the SAVE AS TYPE section to DOCUMENT TEMPLATE (.dot) name it and click SAVE. Close the document. FILE, NEW and your template should be showing…..!

Personalised Stationery Notes Chapter 2 ~ Compliment Slips Compliment slips are usually one third of the size of an A4 piece of paper (three will fit on a page). Therefore if the page is 29.7cm tall, a compliment slip will be one third of that ie 9.9 cm deep. Therefore, first set the page with guidelines as follows: FILE, NEW BLANK PAGE Resize the VIEW of the page to show WHOLE PAGE.
Pick up the SQUARE tool on the DRAWING toolbar and draw a rectangle approx. one third of the page deep. Right mouse click on the square and select FORMAT AUTOSHAPE. Ensure the SIZE tab is to the front and change the HEIGHT to 9.9cm.
Ensure the square is selected and click on the FILL COLOUR tool on the DRAWING TOOLBAR. Select NO FILL.
Right mouse click in the middle of the square and select COPY and then PASTE. Move the square to the bottom of the page. Now the page will have two dividing lines to mark the precise position of the compliment slips.

Personalised Stationery Notes To insert the three elements of the compliment slip, TEXT BOXES will be used. Select the INSERT menu and click on TEXT BOX. Draw a box in approximately the correct position and type the heading. Centre the words, change to point size 16, blue and BASKERVILLE typeface. Draw another text box and type in your address. Centre the text and change to ARIAL, BLUE and point size 8. Draw the third text box and type the words 'With Compliments' in ARIAL, 12, BLACK. To remove the border from the text box, right mouse click near the edge of the text box and select FORMAT TEXT BOX. Choose the COLOURS AND LINES tab and change the LINE COLOUR to NO LINE.

You will notice that the handles are all staying. Select the DRAW button on the DRAWING TOOLBAR and click on GROUP. The five items are now working as one. Click on COPY and then PASTE. Move the copied group to the middle position and repeat for the third slip. © Sarah Mason

Personalised Stationery Notes Print to check the position of the items. Remove the guideline boxes if required or change the line to pale grey.

Personalised Stationery Notes Chapter 3 ~ Business Cards An average business card is approximately 9cm wide x 5.1cm high and therefore an A4 piece of paper will hold 10 cards. First one card will be designed to the correct dimensions and then copied and pasted into place. Open a new blank document - FILE, NEW BLANK PAGE Change the margins in FILE, PAGE SETUP to top and bottom 2cm and left and right margin to 1.5cm Select the INSERT menu and click on TEXT BOX. Draw a rectangle in approximately the right place roughly the correct size.
Right mouse click on the edge of the text box and select FORMAT TEXT BOX.
Ensure the SIZE tab is to the front and change the height and width to 5.1cm x 9cm respectively.
Select the POSITION tab and change the HORIZONTAL and VERTICAL position to 0cm. (Only available in Office XP)

Personalised Stationery Notes Type your details into the text box. Format as desired.
Draw a border within the business card. Click on the RECTANGLE tool and draw the rectangle. At first it will cover up all the writing - don't panic! Ensure the square is selected and click on the FILL COLOUR tool on the DRAWING TOOLBAR. Select NO FILL. Now, the rectangle is transparent. Lastly, find a suitable picture or even several graphics to enhance the card. TIP: Draw the graphics or insert the picture away from the text box. Resize and then RIGHT MOUSE click in the middle of the picture, select ORDER, then BRING IN FRONT OF TEXT.
Move the picture into place. Group the separate elements together. Click on one element, hold the SHIFT key down and then select the other items. Right mouse click and select GROUPING, GROUP. Now they work as one item.
