f you’re looking for the downside for event planners of Charleston’s recent designation as the 2016 #1 destination city in the world by Travel + Leisure World’s Best Awards, here’s the bad news: There just isn’t any. Event planners say planning soirees, bashes, corporate meetings, conventions and weddings in the nation’s hottest market is an endless parade of good news, as long as you like to work. Because the city now sells itself, event planners say, the business is coming to them like never before. “One of the benefits of managing an event venue in the number one city in the world is that we have an influx of inquiries daily. We have already contracted half of next year’s Saturdays for weddings and have several holds for 2018,”

said Graham Ervin, director of events at Mercantile & Mash’s Cedar Room. Hotels, tour companies, the various municipalities, event planners and everyone else in the hospitality and tourism industry -most notably the Convention and Visitors Bureau – are also touting the Lowcountry as part of their individual marketing strategies. The external accolades, combined with great marketing, is stoking the event planning engine. The result is that everyone in the industry is busy. “You used to be able to plan a great wedding in six-to-nine months,” says Lisa Thomas, lead conduit at Ooh! Events. Today, she says, venues, florists, photographers, caterers and other vendors are booked a year in advance. Five years ago, spring

and fall were peak season for weddings and summers were quiet. As brides and grooms have seen their options narrowing during those months, they began opting for dates that were previously offlimits. Today wedding season is year-round. The same has been true for corporate events, says Robert Sullivan, director and managing partner of Absolutely Charleston Destination Management. “This summer we’ve been going 100 miles-an-hour responding to inquiries and running corporate events,” he said. The robust demand has created opportunity for increased supply as well. Thomas has been planning weddings in Charleston for 20 years and says she’s seen the number of event planners grow “by leaps and bounds.”

That’s a good thing for everyone, she says. “I truly believe that the competition makes us all better. There’s so much talent – it’s mind-boggling. What we can do here rivals any major metropolitan area. In fact, I’ve had brides from New York say there are things here they didn’t have available to them there,” she said. Besides the weather, natural beauty, history, architecture and Lowcountry cuisine, Thomas cites

small but meaningful touches that are unique to Charleston. They include having Gullah singers at the wedding, or a local celebrity chef teaching guests how to cook one of the Lowcountry’s signature dishes. Conventions and destination weddings are more than one-day events. With corporate events, organizers seek locations that attendees will want to arrive at a couple of days in advance and stay after the festivities are concluded.

Likewise with weddings, says Thomas, of Ooh! Events. Family members who travel from elsewhere often want to stay at least four days. A single wedding transforms into a week of affairs, from an arrival party to a rehearsal dinner to an after-party to a breakfast event on getaway day. If there’s a cloud on the horizon it’s the possibility of complacency now that Charleston is number one. Robert Sullivan thinks the event planning community is too sophisticated to fall into that trap. Lisa Thomas is concerned that the industry will begin ratcheting up prices to the point where potential visitors will begin considering other destinations. For now, the only issue is that every event planning professional faces is that they are struggling to keep up with demand. The people who make everyone else’s visit to the Holy City special might need a vacation of their own. EPG

From conferences to concerts, Gaillard Center has strong first year

year ago, the City of Charleston raised the curtain on a new performance space and event venue in the heart of downtown. The Charleston Gaillard Center opened with much fanfare and over the last several months has hosted dozens of concerts, fundraisers and performances. “The Charleston Gaillard Center is a place that was designed to feature exceptional, diverse performing arts in a performance hall that allows patrons to experience a performance, whether it is classical music, ballet or classic rock at its highest caliber,” explained Stephanie Shipe, marketing and public relations manager at the

Gaillard. The center’s handsome renovations were unveiled late 2015. The original building was constructed in 1968 and designed in the tradition of Europe’s great opera houses. The center’s inaugural season included both a Broadway and dance series as well performances by the Charleston Symphony Orchestra and event space for DIG South and the Southeastern Wildlife Exposition. The Gaillard also was center stage during Spoleto Festival USA, hosting an operatic production of DuBose Heyward’s classic “Porgy and Bess.” Shipe said the overall goal is to provide an “artistically diverse per-

forming arts program offering something for everyone in the Lowcountry.” Part of that vision extends to the larger community as the Gaillard has made a concerted effort to broaden its educational programs. The Gaillard’s $142 million renovation not only transformed the performance hall but it provided Charleston with a large event space used for conferences, fundraisers, galas and weddings. Since its opening in October 2015, the Gaillard has hosted about 125 events in it ballroom space. The Exhibition Hall’s grand ballroom can seat 1,850 and the outdoor

terrace – usable almost year-round in Charleston’s mild climate – can hold 1,226 seated guests. The ballroom can be divided into three rooms to accommodate registration or reception areas. State-of-the-art audio and visual technology is available along with Wi-Fi and in-house food and beverage service, if needed. Shipe said the Gaillard is in the process of updating and simplifying the event space rental process to ensure everyone from brides to corporate event planners have a seamless and exceptional experience from start to finish. he food that you serve at a special event, whether it’s a wedding or a business meeting, is of utmost importance to create lasting, fond memories. And, being that we’re in the South — a region known for its cuisine — there are plenty of exciting options about what to serve. When it comes to catering your next event, there are a few things to keep in mind. You want to make sure the cuisine fits the occasion — for example, you probably don’t want to serve Sloppy Joe’s at a black tie affair or network-

ing function. You also want to make sure that every guest, with their various eating habits or food allergies, will leave with a pleased palate. It helps to present a variety of options. Fortunately, that can be easy, thanks to a few local catering companies who’ve shared their wisdom. One of the biggest trends in catering is to serve comfort food with a modern twist. As Candice Wigfield, managing director of Hamby Catering notes, “We’ve also seen an upswing of creative culinary takes on ‘old-school, comfort’ items.” She cites the Artisan Donut Station as a popular request, which fea-

tures a lot of variations on the seemingly simple treat. Chocolate icing, with crispy bacon; buttermilk vanilla icing with chopped M&Ms and espresso icing with toasted pecans are among their offerings. As for the main menu, Wigfield says that it’s important to include a few easily-recognizable items on the menu. “Guests embrace cutting-edge culinary creations, but they also gravitate toward comfort foods like tomato pies, tea sandwiches and shrimp and grits.”

Caruso adds that, “anything that is super fresh, in season, and high-quality” is paramount to throwing a good party. “Oysters in oyster season; tomatoes in the summer.” Dave Caruso of Crave Charleston, (which is owned by Le Cordon Bleuchef / owner Mike Petrillo) says that healthier options have been requested as of late. “We are seeing some more folks wanting us to provide vegan and vegetarian items,” he said. “For the fall it’s the drinks and cocktails that are trending. Pumpkin spice everything, right?” Crave Charleston also prides itself on exceptional shrimp and grits with

“goodness gravy.” If you’re overwhelmed by the options, don’t worry and leave it to the pros. “It is our job to educate our clients, giving them the best information possible so that they can easily make decisions about their events,” says Wigfield. “We love to personalize each event, perhaps incorporating a favorite dish from where the couple met, or infusing international flavors from a memorable trip abroad.” She says that many of Hamby’s clients are savvy about food and wine, and typically have some idea of what they want to serve. Can a business today afford NOT to use social media during an event? Of course it depends on what type of event it is and who is attending. More often we are seeing attendees want to document what they are experiencing while connecting with other attendees. Social media is a natural fit for that. Which platforms would you recommend as most important for events? It depends on understanding your audience, but generally, you want to be set up and branded on the major platforms prior to the event and then make sure you’re monitoring the active ones during your event. Facebook works for your business page, event listing and live videos, while Twitter, Instagram, Snapchat and Periscope are most

typical for active platforms during the event. You should also create and implement an event-specific hashtag that can be used on all of the platforms. How can instantaneous platforms such as Snapchat and new Instagram “stories” be useful for an event? The downside of documenting events in real time is over-posting and clogging people’s feeds with so much content. Snapchat and Instagram Stories are the solution to this problem! You are able to keep everyone up to date during your event without the fear of getting unsubscribes from overposting. The nature of Snapchat and Instagram stories mean that attendees and other viewers are choosing to watch. There’s no news feed involved.

Share a few Dos when it comes to promoting an event on social media. • Create an easy-to-type and short hashtag for your event (remember, people are on their phones.) • Make Wi-Fi accessible and share that info. Are hashtags necessary? Hashtags are an absolute must, especially for event marketing! Get creative and fun with your hashtag, and don’t be afraid to think outside the box with a catchy slogan or phrase. What advice would you offer the overwhelmed independent business owner about using social media during events? Ask for help! As a business owner, it’s common to try and do everything

yourself. Make sure you’ve planted the social media seeds ahead of time so your event can really blossom. When we work with a client, we provide a checklist. How can a business overcome an event that “flopped?” I would never recommend acknowledging poor attendance on social media. Nor would I suggest being dishonest about the turn-out. If an event doesn’t go as planned, simply start on the next one! There are a lot of factors that play into the success of social media during events, so don’t be discouraged. EPG

Planning Checklist BEFORE THE EVENT o Determine event goals and objectives. This is especially important with client events and sales meetings, as it will help you keep on track. o Identify possible dates for the meeting. Thinking ahead and checking with others on possible conflicts can limit the inconvenience for all parties. o Prepare a preliminary agenda and guest list to help set the criteria for the venue. o Prepare a preliminary budget. Unless you manage your corporate event closely, the budget can grow unexpectedly. o Send meeting requirements to selected sites with requests for written proposals.

Hot tip: Communication is a huge key to your event’s success. Strive for clear communication with attendees, sponsors, vendors and the venue representative. o Conduct site visits as required. This is important when you’re using the facility for the first time. o Negotiate hotel rates and blocks. If you use hotel meeting rooms for the event, you could get a significant discount on sleeping rooms. o Determine preliminary food and beverage requirements and negotiate menus and prices. o Add any deadlines and other requirements to the timetable.

Hot tip: Plant the seeds of social media early by promoting a hashtag before the event to generate buzz.

60 TO 90 DAYS BEFORE THE EVENT o Form committees as required. Organizations that have regular events should consider forming standing committees that meet regularly. o Develop a promotional strategy. o Do some public relations for the event. Calendar notices, press releases and interviews may all be appropriate. o For nonprofit or charity events, line up sponsors. o If you are charging admission to the event, establish

registration fee structures and policies, and be sure to include clear cancellation policies. o Invite and confirm key speakers. This includes people within your organization. o Obtain audiovisual needs from speakers and presenters, and order all necessary equipment. o Review, update and confirm final event budget. o Identify and communicate on-site responsibility areas for committees and volunteers. Set up training for volunteers and educate them about your expectations. o Select and order speaker gifts and awards. o Order special decorations for the event. o Prepare and order signs. This is another opportunity to build your brand. o Arrange for travel and housing of all staff and VIPs.

THE DAY OF THE EVENT o Have a staff and volunteer meeting to review responsibilities, procedures and overlap areas such as registration. o Confirm and monitor pickup of all rental equipment and supplies.

Hot tip: Use your leverage to get the best out of your vendors. Explain that the event’s audience is invaluable to their business. “Here is what I am bringing you.”

IMMEDIATELY AFTERWARD o Pack and inventory all material. Many of your collateral materials are reusable — and they’re a big investment. o Do financial reconciliation. Gather the invoices and make sure you have been billed correctly and that you pay in a timely fashion. Watch expense reports for other costs. o Write and mail thank-you letters. o Collect and organize data for final meeting reports. Get evaluations from staff, volunteers and consultants to determine what went right and what needs improving.

Hot tip: Address any problems that need to be handled after the event is over. Take notes for future events if there are things that need to be done differently.

itchell Crosby, a corporate and business event planner in Charleston for 25 years, doesn’t do the cliche parties. If it’s a Roaring 20’s event, his vision will be, “What Great Gatsby would throw today if he was alive,” rather than just a flapper theme. “My job is to come up with interesting new twists on ideas to offer to our clients,” said the owner and founder of JMC Events, specializing in corporate events, social functions, non-profit fundraisers and destination management. His visions have resulted in successful events and fundraisers, which has included the College of Charleston’s “A Charleston Affair” event that draws thousands of guests each

spring. “Being a Charlestonian definitely plays into my selling these events, and helps groups which are entertaining from out-of-town,” he said. Here, Crosby discusses his top events from the past year and gives tips on how to add originality and flair that is always decidedly Southern and decidedly Charleston. Evening garden party. Crosby was tasked with coming up with an evening garden party for a corporate event. He immediately thought of Alice in Wonderland. “I thought, ‘What about a proper garden party that you would hold in the daytime, with tea cups and petit fours? What if we did a twist on that for an evening garden party?’” The Governor Thomas Bennett

House in downtown Charleston was transformed into his vision. In true Southern fashion, men wore seersucker suits, ladies wore garden party dresses and guests were handed drinks in antique teacups from acrobatic artists swinging from trees. Guests had to finish their drinks in the gardens before they walked inside, which had plenty of macaroons and Waldorf salad bites. “We took it to the next little level of surrealism,” he said. “It was a fun take on an old theme.” Angel Oak party. For an out-oftown corporate party with 36 guests, Crosby arranged the first-of-itskind private event surrounding the 500-year-old tree on John’s Island. The tree is open daily for visitors, but is not an event venue. “They wanted the unattainable,” Crosby said. He

conferred with the city and agreed to have no open flames, abide by noise ordinances and donate a monetary amount to the city to maintain the tree. A “Blues, Brews, Bourbon and BBQ” theme delighted guests. “Food was cooked way down the dirt road. Sometimes events don’t have to be expensive; the magic is finding something very special.” Sunday brunch. For a corporate party for Google, Crosby planned an extravagant Sunday brunch at Cannon Green in downtown Charleston. for sharing. “That’s what Lowcountry eating is all about,” Crosby said. “Having the tables beautifully set was as if you were at someone’s home in Charleston.” As an added touch, a mixologist at Cannon Green created

a special cocktail for the event called “The Googler.” Southern Baroque. For a highend corporate event (featuring the company’s board of directors) at downtown’s Lowndes Grove, guests arrived in style – by yacht from Wild Dunes via the Ashely River. Once guests arrived at the venue, they found a “Southern Baroque” theme with antiques, Oriental rugs

and over-the-top elegance. “To me, Southern Baroque means grandeur,” Crosby explained. “We added antique sideboards and tables under a tent. Dinner cognacs and champagne tasting added to the Southern glamorous evening.” 21st Century New South. For a corporate event for a Southern magazine, Crosby was tasked with throwing a “New South” party at

The Cedar Room downtown. He knew he wanted bluegrass music and Southern cuisines with a whimsical twist—including a roving oyster shucker who hand-shucked oysters for guests. ou find them at networking events, fairs, conventions, grand openings and any occasion that involves a booth: Free corporate logo-marked giveaways and products. This method of advertising is still one of the most affordable ways to get a company’s brand out to (and remembered by) the public, according to a 2016 Global Advertising Specialties Impressions study of over 100,000 consumers nationwide.

Giveaways have evolved well past the ubiquitous company pen. Shiny trinkets, USB flash drives, umbrellas, desk calendars, hats, tote bags and more are emblazoned with a company’s name and logo in hopes that the freebie can positively influence consumers to use the company’s services. According to the nationwide survey, promotional products have strong ownership and longevity among the public, especially products

months, making it a good branding investment. The most influential product, according to the survey, is a USB flash drive. While the majority of giveaways nationwide include pens, tshirts and drinkware, many companies get creative and use these giveaways as an opportunity to drive home their company’s message.

“A corporate giveaway at an annual meeting is the ideal time for a company to elevate its brand reputation,” said Allison Sparrow, creative content manager with AM Conservation Group, Inc. in Charleston. “Our kits include energy and water efficient products that can be easily implemented in a workplace or household.” At Crescent Homes in Charleston, there are a number of promotional items like pens and koozies given out at annual events, but the most positive feedback has been burlap tote bags and acrylic cups with the company’s logo, said Lee Miller, vicepresident of marketing. Kimberly Fite, corporate office manager at ISHPI in Mt. Pleasant, said she goes above and beyond ordering promotional giveaways to purchase items that have a “wow factor.” “I keep two things in mind when determining my promotional items: first, making good judgements when pricing out items and second, picking

items that tie in with the company’s image.” She said she purchases giveaways that tie in to ISHPI’s Information Technology Company industry with items such as dual port USB car chargers, dual port USB hubs and hardcovered Post-it notebooks. “I absolutely refuse to buy something simply based off of how cheap I can get it, because I know those cheap items just get tossed away and that’s like throwing money out the door,” Fite said. “I will spend a little more on an item that I know the recipient will have a use for.” Things to consider for successful corporate logo giveaways include making the giveaway relatable to the company and ordering enough for all events throughout the year. “One other thing I try to keep in mind when I order products is, if people are attending from out of town, will they be able to take the item on a plane? Will it fit in their suitcase?

hen you’re dressing for an event in Charleston, there are two things to consider: what’s proper for the work or social occasion, and what fits the weather. One consideration may certainly affect the other, because so much of the year, it’s hot in Charleston. Lightweight fabrics should be ready in your closet all year, because it’s not unusual to have an 80-degree day in February or November. She establishes a protocol for life-anddeath situations: call 9-1-1 first and then call her. For other emergencies, call her first. She recommends having someone on the security team trained in basic first aid and CPR. Anytime you have a large group of people together, anything can happen. But, Garrigan said, if you have emergency plans in place, it won’t be as bad as it could be.

n Charleston, everyone wants to hold events by the water, so why not hold an event actually on the water? A number of operators offer unique floating venues for parties, events and receptions—from milliondollar luxury yachts to a charming riverboat with a working paddlewheel. A 360-degree view of Charleston’s iconic waterways along with stately homes and church spires always comes standard, and sightings of dolphins are all but guaranteed. Events at sea aren’t new, but they have seen an uptick over the past several years, according to vessel opera-

tors in Charleston. Ashley Davis, sales manager at The Carolina Girl, said the company books between 50-75 events each year, from wedding rehearsals to company lunches. The 100-foot luxury yacht can comfortably accommodate 150 guests for celebrations year-round. “We bring you a sunset that’s changing every 30 minutes. Photographers love it because of the lighting and the skyline is distinctly Charleston,” Davis said. Each moving event promises

a unique and memorable experience, one which guests will have a hard time getting bored while onboard. “A lot of times dolphins will swim in the boat’s bow wake,” said Drew Yochum, director of sales and marketing at Charleston Harbor Tours. The fleet includes The Carolina Belle, a 1920s replica vessel with a smokestack and the Carolina Queen Riverboat with a working paddlewheel. While the route depends on the weather and tides, vessels almost always cruise along the Charleston Battery, the Atlantic Intracoastal Waterway

We still get compliments.” Davis said many brides at the Carolina Girl work in nautical themes including wedding invitations designed as a vintage boat ticket. “I see a lot of navy colors along with pink and dusty rose,” Davis said. The boat captain can even officiate the wedding. For smaller events, Harborview Charters can accommodate up to 26 guests on its boat, The Island Siren. The boat is “BYOB” or bring-yourown-alcohol and food, which can cut down on costs. Capt. Bret Curlett, a 15-year veteran of the Coast Guard, said, “The sights and sounds and the whole experience of being on the water is really special.” The only restriction, other than each vessel’s maximum capacity, is

result in spectacular sky views. “Usually rain is followed by incredible sunsets,” Davis said. Boats cruise rain or shine, unless guest safety is a concern. Operators say motion sickness has never been an issue as boats cruise at a slow speed and stay in and around the Charleston Harbor. One concern is that guests who show up late will be left ashore. Save on paper costs by combining information onto one item, such as having guest seating assignment cards that include the menu on the back. Or have centerpieces as guest takeaways. 2. Use photos of the couple or old photos of the couples parents’ wedding celebrations as decorations on the tables. It not only personalizes the event, but it’s cost-effective and all you need are a few frames. 3. Choose to get married during an off-season, such as January and February or July and August. 4. Holding the wedding on a Friday or Sunday is a much cheaper option than Saturday, the most popular day to hold a wedding. 5. Bring in your own vendors. If it’s a month that has an “R” in it, there must be oysters; if it’s spring, there must be a race over the bridge. You can count on it. While these events are wonderful to attend with family and friends, you may want to avoid planning a large conference or wedding on those dates so you don’t compete for parking and space. Or if you’d like to piggyback your event onto those events, they can be additional built-in fun. To help you with planning, we’ve compiled a list here of the most crowded events, with the help of the Charleston Area Convention and Visitors Bureau.
