T

hey say to be the champ you’ve got to beat the champ. For the past four years Charleston has remained the champ among readers of Travel + Leisure magazine as the nation’s best city. The Holy City has ranked first among Conde Nast Traveler’s readers for the past six years. Last year, the cherry on top: Charleston earned the top spot in the world among Travel + Leisure readers. It didn’t just win; it lapped the field, finishing in the top spot in six of the 10 categories -- Sights/Landmarks, Arts/Culture, Restaurants/ Food, People/Friendliness, Shopping, and Value. Year after year, travelers around the country and the world sing hosannas to the Holy City. How do we do it – and then do it again? It’s Helen Hill’s job to keep the accolades coming, along with the tourists. Nearly 5 million people visited the region last year, resulting in job earnings of $1.23 billion and a regional economic impact of $3 billion. Hill has served as CEO of the Charleston Convention and Visitors Bureau for 30 years. She likes to point out the honors are coming from readers, not from

the Charleston marketing machine that starts with her agency but includes literally thousands of companies, organizations and individuals. Weather, beauty, history, architecture, food and beaches remain the drawing card. Hill says a pivot in marketing strategy has also helped keep the city in the limelight. “The last two years we made a strategic decision to sell who we really were, not who we want to be. We have a long, rich history and a lot of it’s not very pretty. But we decided to be brave and not hide from that,” she said, referring to the city’s defense of slavery and brutal support of racism and discrimination under Jim Crow laws. Embracing all that Charleston is and has been by promoting the unexpurgated version of the region has paid off handsomely. Hill says visitors come here for the authentic Charleston experience. “We know that if you’re interested in a theme park experience we’re not the place for you,” she said. “That’s being realistic about who you are as a community.” That approach has been a boon to more than just the tourist economy. Businesses are plugging the quality of life to attract talent from across the country. A consortium of tech firms has

developed a talent recruiting campaign called Open Source. Its Insider’s Guide to Charleston notes that Charleston is ranked among the nation’s best places to live by Outside magazine, boasting “90 miles of coastline…and a temperate, subtropical climate.” It goes on to wax poetic about the “internationally-acclaimed culinary scene, thriving retail center, plus world class festivals…” and much more. Notes Gavin McCulley, president of Morgan 6, a Charleston-based software development and cybersecurity firm for government agencies, “It’s a lot easier to recruit talent to a beautiful city like Charleston.” Every hospitality company, every talent recruiter, every event planner and many others function as part of the pro-Charleston buzz-making. Robert Sullivan, director and managing partner of Absolutely Charleston, says his entire industry boasts about the region. “They’re talking about our amazing culinary scene, our architecture and all the things that make this such a great town,” he said. College of Charleston has gotten in on the act. Dubbed the most beautiful campus by readers of Travel + Leisure magazine, the school employs 14 staff to plant $10,000-$15,000

plants on the tiny urban campus twice annually. Paty Cowden, arboretum/ground maintenance manager, says the buildings and cobblestone provide the perfect canvas for her team’s efforts. “It’s the most beautiful backdrop, like a beautiful painting, and all we’re adding are the accessories,” she said. The fly in the ointment of Charleston’s popularity has been explosive growth beyond the capability of current infrastructure. To compete with major U.S. cities for global companies, a community-wide effort co-sponsored by the Charleston Regional Development Alliance and the Charleston Metro Chamber of Commerce developed a new strategy for the region last year that transcends economic development. Dubbed “One Region,” the strategy takes aim, in part, at increasing affordable housing and transit solutions, particularly those that move people out of their cars. It’s not specifically designed to keep Charleston at the top of the tourism charts, but efforts to improve quality of life will be necessary to maintain those rankings, says the CVB’s Helen Hill. “We’re growing faster than our infrastructure can keep up with. n February 2017, attendees at the S.C. Governor’s Conference on Tourism & Travel in Spartanburg weren’t given the standard conference booklet outlining the event program and pertinent details. Instead, all that was included in a new conference mobile app. The app – created by event app developer Attendify – included the conference schedule, speaker bios, hotel information and details on fellow conference-goers. Attendees also received alerts about upcoming sessions and other up-to-the-minute conference announcements. The move away from expensive printed programs is underway. Duane Parrish, director of the S.C. Department of Parks, Recreation & Tourism, sees it at other conferences he attends. And for the state tourism conference it made sense financially. In 2016, the department spent $7,300 on printing and postage. With the app in 2017, the printing cost dropped to less than $1,000

One of your best sales pitches for future conference attendees is current conference attendees who are sharing their good experiences all over social media.

Make it easy for people to post, tweet, snap and share. • Create a conference hashtag and post it everywhere – on schedules, in programs and on signage. • Include your social media handles on all printed materials, presentation slides and on signage so it’s easy for people to tag your organization. • Have a photo booth, props or banners – especially at networking socials, in expo areas or other gathering places where people are hanging out and ready to snap a photo. • Create a Snapchat filter specifically for your conference.

• Make sure you have a staff member dedicated to social media. That person should be monitoring your accounts and the event hashtag ready to respond to questions and comments. That person also should be regularly posting to your organization’s accounts with conference information, updates and photos.

ning industry. The cost of an app can start at a few hundred dollars and climb into the thousands depending on the features and functionality. While the upfront costs might seem like a lot to spend, the printing savings can be significant. The S.C. United Methodist Annual Conference also went mobile for its 2017 conference in Greenville. Because delegates attending the conference span a wide age range – with some into their 70s and 80s – the conference used both the app and a printed program, explained Dan O’Mara, communications coordinator. The idea came from the host team in Greenville, which took the lead on developing the app and finding a vendor. Then the conference communications staff finalized the app and made sure it lined up with the overall communication policies. O’Mara said the app allowed conference attendees to easily access

the schedule, information on the speakers, conference documents, live stream of sessions as well as information on dining and sightseeing in Greenville. “All documents the delegates needed were accessible from their mobile devices, which allowed users to avoid having to carry around inch-thick binders of paperwork,” he added. “We live-streamed the proceedings, which kept delegates – and those who didn’t attend the conference – in touch with the hum and flow of the conference even when they weren’t present in the meeting hall.” The app also incorporated a Twitter feed so conference delegates would find needed content and participate in timely discussions, O’Mara said. The app was so useful, O’Mara said, the team is already working to convert the app into one for yearround use as well as for future meetings of the S.C. Conference of the United Methodist Church. Can a business today afford NOT to use social media during an event? Of course it depends on what type of event it is and who is attending. More often we are seeing attendees want to document what they are experiencing while connecting with other attendees. Social media is a natural fit for that. Which platforms would you recommend as most important for events? It depends on understanding your audience, but generally, you want to be set up and branded on the major platforms prior to the event and then make sure you’re monitoring the active ones during your event. Facebook works for your business page, event listing and live videos, while Twitter, Instagram, Snapchat and Periscope are most

typical for active platforms during the event. You should also create and implement an event-specific hashtag that can be used on all of the platforms. How can instantaneous platforms such as Snapchat and new Instagram “stories” be useful for an event? The downside of documenting events in real time is over-posting and clogging people’s feeds with so much content. Snapchat and Instagram Stories are the solution to this problem! You are able to keep everyone up to date during your event without the fear of getting unsubscribes from overposting. The nature of Snapchat and Instagram stories mean that attendees and other viewers are choosing to watch. There’s no news feed involved.

Share a few Dos when it comes to promoting an event on social media. • Create an easy-to-type and short hashtag for your event (remember, people are on their phones.) • Make Wi-Fi accessible and share that info. Are hashtags necessary? Hashtags are an absolute must, especially for event marketing! Get creative and fun with your hashtag, and don’t be afraid to think outside the box with a catchy slogan or phrase. What advice would you offer the overwhelmed independent business owner about using social media during events? Ask for help! As a business owner, it’s common to try and do everything

yourself. Make sure you’ve planted the social media seeds ahead of time so your event can really blossom. When we work with a client, we provide a checklist. How can a business overcome an event that “flopped?” I would never recommend acknowledging poor attendance on social media. Nor would I suggest being dishonest about the turnout. If an event doesn’t go as planned, simply start on the next one! There are a lot of factors that play into the success of social media during events, so don’t be discouraged. EPG

You only have one shot to get it right – it’s live. • If you have multiple vendors – coordinate their load-ins/outs – nothing is worse than having vendors fighting over the loading dock or elevators. • When budgeting, always allow for unexpected extra cost. Things happen – the elevator is stuck, your talent is late for rehearsal, etc. There are many things that can increase your cost beyond your control. Planning Checklist BEFORE THE EVENT o Determine event goals and objectives. This is especially important with client events and sales meetings, as it will help you keep on track. o Identify possible dates for the meeting. Thinking ahead and checking with others on possible conflicts can limit the inconvenience for all parties. o Prepare a preliminary agenda and guest list to help set the criteria for the venue. o Prepare a preliminary budget. Unless you manage your corporate event closely, the budget can grow unexpectedly. Send meeting requirements to selected sites with requests for o written proposals.

Hot tip: Communication is a huge key to your event’s success. Strive for clear communication with attendees, sponsors, vendors and the venue representative. o Conduct site visits as required. This is important when you’re using the facility for the first time. o Negotiate hotel rates and blocks. If you use hotel meeting rooms for the event, you could get a significant discount on sleeping rooms. o Determine preliminary food and beverage requirements and negotiate menus and prices. o Add any deadlines and other requirements to the timetable.

Hot tip: Plant the seeds of social media early by promoting a hashtag before the event to generate buzz.

60 TO 90 DAYS BEFORE THE EVENT o Form committees as required. Organizations that have regular events should consider forming standing committees that meet regularly. o Develop a promotional strategy. o Do some public relations for the event. Calendar notices, press releases and interviews may all be appropriate. o For nonprofit or charity events, line up sponsors. o If you are charging admission to the event, establish

registration fee structures and policies, and be sure to include clear cancellation policies. o Invite and confirm key speakers. This includes people within your organization. o Obtain audiovisual needs from speakers and presenters, and order all necessary equipment. o Review, update and confirm final event budget. o Identify and communicate on-site responsibility areas for committees and volunteers. Set up training for volunteers and educate them about your expectations. o Select and order speaker gifts and awards. o Order special decorations for the event. o Prepare and order signs. This is another opportunity to build your brand. o Arrange for travel and housing of all staff and VIPs.

THE DAY OF THE EVENT o Have a staff and volunteer meeting to review responsibilities, procedures and overlap areas such as registration. o Confirm and monitor pickup of all rental equipment and supplies.

Hot tip: Use your leverage to get the best out of your vendors. Explain that the event’s audience is invaluable to their business. “Here is what I am bringing you.”

IMMEDIATELY AFTERWARD o Pack and inventory all material. Many of your collateral materials are reusable — and they’re a big investment. o Do financial reconciliation. Gather the invoices and make sure you have been billed correctly and that you pay in a timely fashion. Watch expense reports for other costs. o Write and mail thank-you letters. o Collect and organize data for final meeting reports. Get evaluations from staff, volunteers and consultants to determine what went right and what needs improving.

Hot tip: Address any problems that need to be handled after the event is over. Take notes for future events if there are things that need to be done differently.

Emergency Kit & Tips KEEP AN EYE ON THE WEATHER: Lauren Fox of

Fox Events was planning an outdoor event and the client did not want to pay for a tent – despite her recommendation. Inclement weather arrived just hours before the event and no tents were available in Charleston. Fox had to call a company in Savannah. “You really do need to look at the weather 48 hours in advance,” she said. Another suggestion: Clip nametags to a big ribbon at outdoor events.

PREPARE FOR SERIOUS EMERGENCIES: Nicole Garrigan, independent event planner, has encountered

her share of emergency situations. The best outcomes come with being prepared, she says. She has a preconvention meeting with venue staff and pertinent vendors. She establishes a protocol for life-anddeath situations: call 9-1-1 first and then call her. For other emergencies, call her first. She recommends having someone on the security team trained in basic first aid and CPR. Anytime you have a large group of people together, anything can happen. But, Garrigan said, if you have emergency plans in place, it won’t be as bad as it could be.

CHECK AND DOUBLE CHECK: When a transportation vendor didn’t send its normal followup confirma-

tion, Maryann Hoyt of The Event Cooperative reached out on the day of the event and discovered no driver was scheduled for her event. So she used her connections and found a replacement. “Relationships in this industry can go a long, long way,” she said.

Making fundraisers fun, festive leads to long-term success

A

big challenge for any nonprofit organization is competing against the hundreds of other nonprofits when it comes to sponsors, donors and fundraiser ticket sales. Every cause is worthy, but people can only attend so many galas and golf tournaments and bid on only so many auction packages. So, what are nonprofits to do

when it comes to making their event stand out in the crowded fundraiser space? Finding strong partners can make all the difference. For about 15 years the Dee Norton Child Advocacy Center in Charleston had partnered with generous supporters Tradd and Weesie Newton, owners of Fleet Landing Restaurant & Bar. Each year the couple would donate the restaurant

space plus food and drinks for a dinner auction called “Chart a Course for Children.” When it came time to give the successful event a refresh, Beverly Hutchison, director of development and marketing, said the organization was fortunate to find more great partners in Teddy and Blair Turner and the Turner Foundation. They helped cover the costs of the fundraiser at a

new venue, The Cedar Room located within the Cigar Factory. Because so much of the event overhead was donated, Hutchison said people could attend knowing the money raised was truly helping child victims of abuse. Sometimes the greatest supporters aren’t one or two key donors but an active board or committee ready to pitch in on events.

Board members participate in various committees and aren’t afraid to roll up their sleeves, said Jennifer Ross, director of development at the museum. “They are committed to making the Gibbes successful and in getting the information out to the community,” she said. Committee members solicit sponsorships for fundraisers and help sell tickets, inviting their contacts – some of whom aren’t familiar with the art museum – to attend events for the Gibbes. Plan for a festive time Nonprofit professionals recommend focusing on the organization’s mission while providing an event that is fresh and fun. “With our events, we continually look at the mission of the Gibbes,”

said Jena Clem, special events manager at the Gibbes said. “We’re always working to diversity our audiences and involve them, but as long as it’s related to your mission – that’s important.” Hutchison said the “Chart a Course for Children” dinner auction sells out each year and has about 50 percent repeat attendance. That success is due not only to people’s desire to support the cause, but also because they enjoy the event. “Your guests have to have a good time,” she said. “It has to be a good experience.” That means providing good food and beverages and a speedy checkout system at the end of the night. “If they have to stand in line for 15 or 30 minutes, that’s what they will remember,” Hutchison said. Jacqueline Bouvier Lee has been planning events and fundraisers for 30 years. As the director of the R2I2 Conference Center in Columbia, said incorporating surprises is the best way to keep people coming back year after

year. A festive theme – masquerade parties or New Orleans décor – as well as celebrity visits and signed memorabilia can be big draws, Lee said. She stresses the importance of planning early and managing all the little details that make a good event great. Really thinking outside the box

“We tell people what it costs to help a child and a family and ask them to sponsor a child,” she said. “Everybody can leave having contributed something. Not everyone will buy the $5,000 trip to Mexico, but many can write a check for $200.”

Telling that story in a visual way also works well. One year, Hutchison said, the event décor was simply 800 balloons. Using fictitious names and ages, each balloon represented a child the center had helped that year. “It was a such a ‘wow’ factor,” she said. EPG

Do me a favor Promotional giveaways are important for company branding

ou find them at networking events, fairs, conventions, grand openings and any occasion that involves a booth: Free, corporate logo-marked giveaways and products. This method of advertising is still one of the most affordable ways to get a company’s brand out to (and remembered by) the public, according to a 2016 Global Advertising Specialties Impressions study of more than 100,000 consumers nationwide. Giveaways have evolved well past the ubiquitous company pen. Shiny trinkets, USB flash drives, umbrellas, desk calendars, hats, tote bags and more are emblazoned with a company’s name and logo in hopes that the freebie can influence consumers to use the company’s services. According to the nationwide survey, promotional products have strong ownership and longevity among the public, especially products that are useful to consumers. Fifty percent of U.S. customers own promotional writing instruments, the survey states. Forty-one percent of U.S. consumers use promotional desk and office accessories. As for longevity, calendars last the longest at 12 months and 76 percent of consumers who own calendars say they display them prominently in their homes or offices. The study found that consumers keep promotional items for an average of eight months, making it a good branding investment. The most influential product, according to the survey, is a USB flash drive. While most giveaways nationwide include pens, T-shirts and drinkware, many companies get creative and use these giveaways as an opportunity to drive home their company’s message. “A corporate giveaway at an annual meeting is the ideal time for a

company to elevate its brand reputation,” said Allison Sparrow, creative content manager with AM Conservation Group Inc. in Charleston. “Our kits include energy- and water-efficient products that can be easily implemented in a workplace or household.” At Crescent Homes in Charleston, there are several promotional items like pens and koozies given out at annual events, but the most positive feedback has been generated from burlap tote bags and acrylic cups with the company’s logo, said Lee Miller, vice president of marketing. Kimberly Fite, corporate office manager at ISHPI, an information technology company in Mount Pleasant, said she looks for items that have a “wow factor.” “I keep two things in mind when determining my promotional items: first, making good judgements when pricing out items; and second, picking items that tie in with the company’s image.” She said she purchases giveaways that tie in to ISHPI’s industry with items such as dual-port USB car chargers, dual-port USB hubs and hardcovered Post-it notebooks. Things to consider for successful corporate logo giveaways include making the giveaway relatable to the company and ordering enough for all events throughout the year. “One other thing I try to keep in mind when I order products is, if people are attending from out of town, will they be able to take the item on a plane? Will it fit in their suitcase? Will they get past check points with it?” Fite said. “I also keep my branding simple with the logo and I always try to just incorporate the website. hen you’re dressing for an event in Charleston, there are two things to consider: what’s proper for the work or social occasion, and what fits the weather. One consideration may certainly affect the other, because much of the year is warm, and summer heat and humidity in the Lowcountry can get oppressive. Lightweight fabrics should be ready in your closet all year, because it’s not unusual to have an 80-degree day in February or November. The last thing you want is to arrive dripping with perspiration at an important company event. So, stay with us here for some ideas that will help keep you cool and collected. Remember that dressing for warm temperatures does not mean dressing more casually or wearing a skimpy outfit. You still need to look professional at business events. Here are some tips for work and business meetings. Women • Think layers. You can wear a sleeveless blouse or dress, but add a jacket or dressy cardigan. The top layer can come in handy if the air conditioning is turned down,

as it often is when men are wearing suits. Neutral colors in lighter fabrics are a good choice for skirts, slacks and jackets. Add a blouse in an accent color. You can change the look by changing the blouse and accessories. White, tan, taupe, pale gray or navy are good color selections for warm weather business attire. Dresses should be lightweight fabric but conservatively cut for business meetings. Make sure the fabric is wrinkle-resistant. If you have questions about what to wear, follow the lead of female supervisors in your company. Keep a goes-with-anything jacket, a string of faux pearls or beads and a scarf in your office or car. With these, you can dress up any outfit if need be. Wear heels in a neutral color, or dressy sandals – but no flip-flops. If your toes are going to show, make sure your nails are manicured.

To brighten up neutrals, add a silk tie in a bold color. But don’t go too splashy. Look for a linen blend suit. Pure linen can be cool, but it wrinkles easily. For a business casual event, it’s good to wear a jacket, though it can be a blazer and need not be part of a suit. If you get there and find most guests aren’t wearing jackets, you can always remove yours. Wear dress shoes and – sorry, this is important – socks.

Here are some DON’TS for warm weather business occasions: • For men: No short-sleeve dress shirts – and never wear them with a tie. • For women: No plunging necklines, spaghetti Men straps or strapless tops. • Fit your dress to the culture of your company. If you’re attending • Don’t wear loud •

prints or dress head to toe in bright colors. • If you’re not sure a garment is appropriate, it’s probably good to wear something else. And one more thing: Like most Southern climates, Charleston’s weather can change at any moment. Be prepared for a sudden shower, stiff breeze or drop in temperature. Picking the right food options for your event

hether it’s a formal sit-down dinner, a conference lunch or simply catching a bite at a networking event, there’s an appropriate food option that can complement any event. Jessica Smithson, the catering sales manager/wedding specialist at the Charleston Place Hotel, has spotted several trends. She said many food providers are opting for different food offerings according to the needs of the event, while making the meal an important event unto itself, whether it’s breakfast, lunch, or dinner. “Dinner menus vary, but group events with fun and creative food stations are definitely becoming more and more popular,” Smithson said. “For corporate meetings, people love all-day break packages, which begin with continental breakfasts and transition to include all-day beverage service and usually an afternoon snack break.” Lunch buffets are a popular option, as they offer a wide variety from which guests can choose, Smithson said. “Especially popular is a deli buffet where guests can choose a salad or two, make their own sandwich and enjoy a nice dessert,” she said. For events that include networking, passes of appetizers are the best

option, so people don’t have to go to a food service area while connecting with others. “Small, non-greasy bites that are easy to eat while having a beverage in one hand are best,” Smithson said. “Reception stations are (also) conducive to network-style events where the companies may want the guests to continue interacting with each other.” A seated dinner is ideal for more formal events where everyone needs to pay attention to a planned presentation or awards ceremony. If you want to break up the seating format, offer dessert in a buffet style so people can mingle after their meal. Be sure to note that some in the audience may have food allergies that will need to be addressed when planning for a seated meal. With a buffet station, they can just skip the dishes that would be a problem for them. Jillian Thompson, conference services manager at Wild Dunes, said that for outdoor events, buffet and reception-style stations work best. “You don’t want to have planned, seated meals for anything outside because you don’t have a kitchen outside,” she said. For events that include an activity, such as a golf tournament or an outing for employees, boxed lunches are an excellent choice to keep people moving.

Local flare It’s easy to incorporate Charleston Lowcountry cuisine into the food menu for an event. The most famous of the Charleston dishes, shrimp and grits, is a mainstay on most event menus. “People always want shrimp and grits,” Thompson said. At the Charleston Place Hotel, the two most popular “Southern” dishes are shrimp and grits and Carolina crab cakes, Smithson said. She said a popular new favorite is their gourmet lobster mac-and-cheese, usually served at a station. More easy Southern dishes include short ribs and a variety of fresh, local vegetables. Just remember to think about the time of year for what’s the freshest option for fruits and vegetables. Stay within a budget Sit-down meals generally cost more because you are paying for the additional labor costs for the event’s service staff, said Steve Baller, an event planner with Event Charleston. If holding an event off-site, it helps to work with a planner who knows

DON’T BE AFRAID TO GET CREATIVE WITH EVENT VENUES By Holly Fisher

hether it’s a wedding for 300 people or a small conference for 75, one of the most important decisions to make is where to have the event. Most people will begin the process looking for a space that can accommodate the estimated number of guests or event attendees. That’s a good first step, but there are many more considerations to keep in mind when selecting an event venue.

The space you choose will set the overall theme for the event so do you want something small and intimate or a grand space with plenty of room for custom décor? Or maybe your event is better suited for an outdoor spot or a more unconventional meeting space like a theater or athletic facility. “The venue is important for setting the tone of an event,” said Graham Ervin, director of sales for The Cedar Room in the Cigar Factory

and The Riley Park Club. “A venue’s location, design and décor brings the details of an event to life. The venue also gives guests insight into what to expect and what to wear.” The Riley Park Club is a new event space located inside the Charleston Riverdogs ballpark. It’s about 3,000 square feet so can easily accommodate events ranging from 50 to 200 guests. Two sides of the space have floor-to-ceiling windows with

views of the ballpark to the left and the Ashley River marsh to the right. Ervin said the space has hosted corporate meetings, cocktail receptions, rehearsal dinners and holiday parties with Mercantile and Mash as the exclusive caterer. Consider nontraditional venues Charleston’s continued growth as a destination for both corporate

events and weddings means event planners might want to get creative when it comes to looking for a venue. A space like The Riley Park Club is a fun way to combine a daytime meeting with an evening baseball game. Several local theaters also rent their spaces during the day or on weekends when they don’t have a performance. This can provide an affordable option for businesses to do presentations or trainings. Planners also should look to nontraditional spaces and venues that are new to the market as they might be able to negotiate a good price. The Schoolhouse is a new West Ashley facility with both large and small spaces available for events. The building on Magnolia Road is a remodeled 1940s school turned office and event space. A large space with a stage – dubbed the “music room” – is more than 4,000 square feet and can hold about 250 people. A smaller 600-square-foot room is good for groups of 30 to 60 people. A commercial kitchen houses six restaurant startups, and it’s available for caterers and cooking classes. Vanina Meystre, event coordinator & kitchen manager, said The Schoolhouse has been hosting educational events, art shows and business functions as well as yoga classes and support groups. She’s eager to work with local businesses and nonprof-

its to build a true community space. Meystre works with organizations to accommodate their budgets, and existing tenants can use the event spaces at no extra charge. Meystre said she takes a personal approach to helping individuals and organizations with their event venue needs. “We’re all about people and community,” she said. Read the fine print Once you’ve decided on a space, be sure to find out exactly what’s included in the room rental fee – and, more importantly, what’s not included. Those extra items can add up fast and bust your carefully crafted event budget. “At both of our venues, we provide tables, chairs, serviceware and free on-site parking to guests included in the rental fee,” Ervin said. “These added amenities are important when considering an event’s overall budget.” Also ask about catering options. Many spaces have exclusive agreements with certain caterers so you’ll be limited to their selections. Other venues allow you to bring in your own caterers. Or some venues will make an exception for a wedding cake only, for example. For corporate events that usually need projectors, screens, microphones or other audio/visual equipment, ask about whether the venue has those available for an additional fee or if Event Planning Guide 2017

Lifestyle you need to bring in your own tech. Also, don’t forget to ask if tech support will be available the day of your event. There’s nothing worse than when a video’s sound won’t work and no one is around to help you troubleshoot the issue. As you’re reviewing venue options, also consider: • Proximity to other entertainment options. If you’re hosting a cocktail hour reception for your employees, think about selecting a spot near restaurants where attendees can go afterward for dinner. Guests visiting from out of town will most certainly want to be near Charleston nightlife or attractions that are within walking distance. • Parking and transportation. Most downtown Charleston venues don’t have designated parking lots, so think ahead about whether you can work out a flat rate with the nearest parking garage or if it makes sense to bus your guests in from a hotel or business. Be sure to communicate the parking situation in advance so guests are

hen it comes to serving alcoholic beverages, Jesse Bullard, vice president of Southern Way Catering in Columbia, breaks event venues into two categories: those that have on-premise licensing for beer, wine, and liquor and those that do not. “The ones that do, of course, can basically serve or sell alcohol by the package, drink, or bottle,” he said. “The cost of serving alcohol at venues where they have an on-premise license (from the Department of Revenue) tends to be higher because there are expenses involved in getting the permit. A lot of venues do not have a permanent license, in which case the bartending company has to apply for temporary permit.” Bullard said that ticketed events, in-

harleston is a busy city – there’s always a race, festival or tour of homes going on. And sometimes, when you add thousands of extra visitors to heavy tourist traffic, it’s hard to get around. If it’s a month that has an “R” in it, there must be oysters; if it’s spring, there must be a race over the bridge. You can count on it. While these events are wonderful to attend with family and friends, you may want to avoid planning a large conference or wedding on those dates so you don’t compete for parking and space. Or if you’d like to piggyback your event onto those events, they can be additional built-in fun. To help you with planning, we’ve compiled a list here of the most crowded events, with the help of the Charleston Area Convention and Visitors Bureau. There will be crowds everywhere as Charlestonians and visitors welcome the New Year at venues all over the area. Folly Beach and Sullivan’s Island host “Polar Bear plunge” events, where hundreds of people jump into the frigid Atlantic Ocean. Lowcountry Oyster Festival Jan. 28, 2018 www.charlestonrestaurantassociation.com Each January, 80,000 pounds of oysters are brought in for the annual Lowcountry Oyster Festival at Boone Hall Plantation, named one of the top 20 events in the Southeast.
