SCP 18 £17,714 FTE pro rata, per annum, paid monthly

About Safety Net Safety Net is an independent charity which was established in December 2004. Prior to that Safety Net was managed by the National Children’s Society. The aim of the organisation is to promote safety and emotional well-being for children, young people and their families at home, school and in the community. The principle methods of working are through community education, awareness raising, direct support and training and by working in partnership with other agencies and groups to establish child safety systems, policy and practice.
Safety Net DBS Service Safety Net has been set up as an umbrella body registered with the Disclosure and Barring Service (DBS) since 2010. This means that Safety Net can countersign and process DBS applications for other organisations who require their staff and volunteers to be checked. The majority of clients are small, voluntary sector organisations and groups based in the Brighton and Hove area. We do however also deal with bigger clients in the public and private sectors. The post operates within the Safety Net office, based in Portslade and also requires visits to client offices and group settings in the Brighton & Hove area. The post holder will promote and uphold the well-established positive reputation that Safety Net has across the city.
Key Tasks To check the DBS telephone message and email service, respond to client queries and requests and log relevant information. To explain, to clients, how the Safety Net Umbrella Body Service operates, the requirements of DBS Code of Practice, relevant legislation and the actual application process To record and maintain new client details on the client spreadsheet To arrange appointments, meet applicants, check identity documents and complete DBS application forms. These meetings may be at the Safety Net offices or out in the community. To maintain the DBS application database To track and check individual application progress via the DBS on-line website, and to record and advise clients of their progress To liaise with the Disclosure and Barring Service regarding overdue applications and any related queries 2
To record returned certificates on the Safety Net database, draft and send advice letters to clients in accordance with the Safety Net Policy Statement on the Secure Storage, Handling, Use, Retention and Disposal of Disclosures and Disclosure Information To process all payments and liaise with the finance team to ensure all invoices are raised and processed. To order, prepare and maintain a supply of DBS application packs To keep up to date with relevant legislation and DBS updates To carry out any additional reasonable tasks as requested by the Training Manager
General Tasks To attend regular supervision sessions and meetings as required by your line-manager. To be aware of the needs of other workers, paid or unpaid, and contribute positively to a supportive working environment.

PERSON SPECIFICATION: DBS Administrator Essential Desirable Key Skills and Abilities Excellent communication skills face to face and over the phone e.g. explaining DBS requirements to clients and assisting applicants to complete forms
Good computer skills such as word processing, database, spreadsheets and internet in order to input data, track on-line application process, draft correspondence etc
Ability to deal with very sensitive information and maintain confidentiality
Ability to relate well to a range of clients and to provide applicants with clear advice and support according to their needs Ability to organise and plan workload and ensure prompt response to client queries
Ability to work accurately with attention to detail
Ability to work flexibly according to the needs of the service
Clean current driving licence and car owner
Experience and Knowledge Demonstrable experience of administrative work, likely to have been gained over a period of at least one year
Experience of ICT software and use of email and internet
Knowledge and understanding of the function of small, not-forprofit groups and organisations An understanding of the requirements of the Disclosure and Barring Service and relevant Acts
Qualifications GCSE Level or equivalent in English language and Maths Equalities Ability to demonstrate commitment to equalities and to adhere to the Safety Net Equal Opportunities Policy
