Main Purpose:

To be responsible for managing, maintaining and updating the financial systems of the organisation.

Area of work:

The organisation covers Brighton and Hove and surrounding area and will be based at the Safety Net

This post will be accountable to the Safety Net Director in the first instance and will work with the Treasurer.

Leave Entitlement:

28 days (pro-rata) plus bank holidays (pro-rata).

Finance Manager – Roles and Responsibilities 1. Be responsible for the financial administration of the organisation and for the design, implementation and maintenance of financial systems, working with the Director and Finance Administrator. 2. Maintain proper accounting records for the organisation in co-operation with the Director and Treasurer and prepare the annual statutory accounts, liaising with the independent examiner, in accordance with the Charity Commission Statement of Recommended Practice (SORP), Charities’ Commission and Companies’ House reporting requirements. 3. Provide timely reports to staff members and trustees: e.g. quarterly management accounts, budgets and cash flow forecasts. 4. Be responsible for the day to day running of the finance function and the operation and maintenance of an effective computerised financial system (currently Quickbooks) and the maintenance of adequate internal controls, including monthly reconciliations of bank accounts and all other control accounts, the segregation of duties for all banking operations and robust credit control procedures. 5. Work closely with the staff team, the trustees and the Treasurer as part of a mutually supportive team, advising all on the likely financial consequences of all proposed courses of action. 6. To assist the Director and project managers in the preparation of project budgets for new and existing projects and the annual budget, ensuring full cost recovery, for the organisation. 7. Produce financial returns in any format required by the organisation’s existing or potential funders in liaison with the Director and project managers and monitor funders’ conditions of grant. 8. To monitor budgets and ensure expenditure is allocated to the correct funder or project within the financial system.

9. Oversee petty cash systems ensuring that an accurate record of all transactions is kept and that it is reconciled monthly. 10. Oversee and control expenditure, ensuring that staff and trustees are informed of any potential problems. 11. Ensure that all expenditure is properly authorised in accordance with SN policy. Also to ensure that value for money is obtained in the awarding of contracts and purchase of supplies in accordance with policy. 12. Manage the cash flow of Safety Net. 13. Run the monthly payroll and maintain PAYE records and complete HMRC returns for all staff employed by the Safety Net. 14. Maintain a fixed assets register. 15. Keep abreast of accounting developments and changes in charity and company legislation, which may be relevant to the work of the Safety Net, informing the Safety Net Director, trustees and staff of the same. 16. Provide the Safety Net staff members and trustees with financial advice and support on technical accounting issues. 17. At all times help to ensure that the equal opportunities and diversity policy, all other polices and procedures and agreed anti-discriminatory practice guidelines are implemented. 18. To work as part of the management team, to assist all staff and volunteers with relevant information, and to have responsibility for the line management of the Finance Administrator. 19. To contribute to the effective flow of information within the Safety Net team, including paid staff, volunteers, trainers and reports to trustees. 20. To attend and participate in team meetings, staff supervision, staff reviews, and management meetings as required. 21. To work with the Director, Trustees and the staff team to develop the strategic direction of the Safety Net, including development planning and fundraising.

Finance Manager – Person Specification Essential: • Experience of working as a Finance Manager for a medium-sized not for profit organisation, with multiple sources of income or as a senior member of a financial management team. •

Have good knowledge of charity accounting.

Good time management, organisational and administrative skills.

Have good analytical skills with the ability to review financial information and resolve issues.

Have an ability to prioritise work, work to deadlines and work under pressure.

Excellent verbal and written communication skills, including the ability to present relatively complex financial issues clearly and simply to individuals who may lack a financial background.

Have an excellent working knowledge of computerised accounts and payroll systems (QuickBooks & Iris PAYE master would be an advantage) and Microsoft Office.

Have experience of designing and producing financial and management reports.

Have experience of budget preparation (experience of developing financial budgets for funding applications would be an advantage).

Have experience of office management and general administration.

Understanding of confidentiality and its importance.

Awareness and understanding of equal opportunities and diversity issues.

Be able to self-manage and work as part of a team.

Ability to think creatively and innovatively.

Desirable: • Be a (part) qualified accountant or hold other appropriate qualifications. •

Knowledge and understanding of work in the voluntary and community sector

Understanding of the importance of monitoring and evaluation procedures and the introduction and maintenance of standards and quality measures.

Experience of fundraising.

Knowledge of HR procedures
