SIGN IN For Gaillard Center- You must sign in one and half (1.5) hours prior to the scheduled performance time. For All Other Festival Venues- You must sign in one (1) hour prior to the scheduled performance time. THE TIME ON THE USHER SLOT IN SIGNUP GENIUS IS THE TIME YOU SHOULD BE AT THE VENUE TO SIGN IN.

ATTENDANCE POLICY If for some reason you cannot work a performance for which you are scheduled and are unable to cancel the assignment yourself on SignUp Genius, please inform us via the Usher Hotline (843.724.1199) or email (usher@spoletousa.org) at least 24 hours prior to the performance. Do not call the main administrative office or box office. Your message will not be received. Do not send a substitute. Cancellations made less than 24 hours prior to performance time will result in a marked infraction on your usher record. If you are interested in working additional shifts, please email usher@spoletousa.org. We will be contacting those who offered availability throughout the Festival to pick up shifts as needed. However, the best way to pick up available shifts is to monitor SignUp Genius for openings.

USHER GUIDELINES 1. Do not bring a guest. Anyone not working must have a ticket. 2. Please do not have conversations with other ushers during the performance. Your undivided attention to the safety and enjoyment of our patrons is essential. 3. Know the location of all restrooms and exits. 4. Know where to locate the House Managers. 5. Your House Manager may have special late seating instructions. These procedures will vary by performance, so be sure to check with your House Manager regarding these policies. 6. NEVER leave your assigned area unattended. 7. Review the program book so you can be aware of any pauses or intermissions in the program. 8. Stay at your post during intermissions to answer questions and assist with traffic. 9. No food or drinks allowed in the theatres. There are certain exceptions – please consult your House Managers. 10. Try to prevent additional light and noise from entering the theatre during a performance by holding the doors as they open and close. 11. Pay special attention to the physically impaired. 12. In the event that a patron has a problem, notify the House Managers, who will handle the situation accordingly. 13. At intermission and at the close of a performance, do not open doors until the house lights come on. 14. Check your area for items left by patrons. If any are found, take them to the House Managers. 15. Check out with your House Managers before leaving the venue. 16. While on duty as an usher, please do not approach the box office staff regarding personal ticket purchases or performance availability. The in-person box office is located at the Charleston Gaillard Center, 95 Calhoun Street. Remember, your responsibility does not end when the curtain goes up. Often, there are late comers or other unforeseen problems that arise that you must handle.

FREQUENTLY ASKED QUESTIONS What should you do if… 

Late arrivals are upset about not being allowed to sit in their seat? Late seating procedure will vary by performance. Please be sure to check with your House Managers when you arrive as to how late seating should be handled. Patrons decide to leave the theatre during a performance? Use your flashlight. Shine it on the floor to guide them to the door. Make sure to hold the door so it closes quietly and quickly. Again, late seating policies may affect these procedures for certain performances. An audience member is creating a disturbance or distraction during a performance? Quietly slip out of the theatre and inform the House Managers, who will assess the situation and handle it accordingly. You have two people with tickets for the same seat? Check the date, time, name of production, row, and seat number. If there is in fact a double seating, stay with them and have your usher partner get the House Managers. The patron does not like her/his seat? If there is time before the production begins, send her/him to the House Manager. If the production has begun, tell them they can speak with the House Manager during intermission, but that you can do nothing at this time. EMERGENCY PROCEDURES HOUSE MANAGERS WILL REVIEW EMERGENCY PROCEDURES PRIOR TO EACH PERFORMANCE.

Someone has a medical problem, becomes ill, or faints? Have your usher partner stay with the patron as you retrieve the House Manager as quickly and quietly as possible. The theatre loses electricity? Turn on your flashlight. Keep patrons calm. Stay at your assigned station, and wait for instructions. There is a fire? Stay calm! Be aware of the closest exit to your station and guide the patrons in your section to that exit. Try to maintain control so that people are not pushing and shoving. Make sure all patrons in your assigned area are out before you exit. There is a person with a disability in your area during a fire or emergency? Their escort will assist them. Check with the escort if they need extra assistance or directions to an accessible exit. If they are alone, you must take charge and escort them out of the theatre. There is a disturbance, for example, a fight between patrons? Do not intervene. Keep anyone not involved in a safe area away from the disturbance, and send your usher partner for the House Manager immediately.

HELPING THOSE WITH DISABILITIES 1. People with disabilities deserve to be treated with dignity and respect. People with disabilities have different personalities and different preferences about how to do things. To find out what a person prefers, ask. 2. NEVER assume that a person with disabilities is SICK. 3. Always ask before you assist a person with a disability. Then listen carefully to any instructions. Do not interfere with a person’s full control over his/her own assistive devices. 4. Be considerate of the extra time it may take a person with a disability to get some things done. 5. Speak directly to the person with the disability rather than to a companion or sign language interpreter who may be along. 6. Some terms that might have sounded acceptable in the past, such as “crippled,” “deaf and dumb” and “wheelchair-bound” are no longer accepted by people with disabilities. 7. Do not lean on or over a person’s wheelchair, as their wheelchair is considered an extension of their personal space. 8. Don’t pet a guide or companion dog while it is working. 9. Speak calmly, slowly and directly to a person who is hard of hearing. Don’t shout or speak in their ear. Your facial expression, gestures, and body movements help in understanding. 10. Greet a person who is visually impaired by telling them your name and where you are (in relation to them). When you offer walking assistance, let the person take your arm/elbow and then tell him/ her when you are approaching inclines or turning right or left. 11. Always be aware that there are many people with disabilities that are not apparent. Just because you cannot see a disability does not mean it doesn’t exist. 12. If someone is upset, stay calm and offer to get help.

FESTIVAL ISSUED BADGES Badge Types: Please familiarize yourself with the color and appearance of each of the five (5) Festival Issued Badges.     

All-Access Staff Staff Participant Usher Charleston Symphony Orchestra Chorus

All access badges are issued only to those with complete access to all parts of the theatre – primarily production and box office management.

Staff badges are issued to full time Festival staff members.

Phone 843.724.1199 | Fax 843.720.1121 | Email usher@spoletousa.org

Participant badges are issued to artists, members of production crew, apprentices, and seasonal Festival employees.

Ushers will be issued their own badge with their name on it to be worn while working. Please do not wear your usher badge at a performance you are not working, as it would be confusing for audience members.

Charleston Symphony Orchestra Chorus members are issued this specific badge that allows them access to theaters for rehearsal and performing purposes only.

Phone 843.724.1199 | Fax 843.720.1121 | Email usher@spoletousa.org
